The role

This role plays a vital part in ensuring the efficiency of our HR operations and the smooth running of our office.  You will provide administrative support across the full spectrum of the HR employee life cycle, from recruitment through to retirement, and ensure our office is a professional and welcoming space for staff and visitors.

Key responsibilities of the role include:

• Administration duties related to day to day operations of the HR function; including recruitment, new starter onboarding, staff development support and training coordination.
• Maintaining employment records and updating internal databases.
• Monitor and maintaining stationery stock levels, office stock and kitchen supplies.
• Serving as the initial point of contact for all employee-related queries.

The Volunteer Administration Executive will sit within the CoppaFeel! Education Team and will work closely with the Volunteer Community Executive and the Volunteer Community Manager. They will provide administrative support volunteer recruitment and onboarding; induction and training; support and supervision; and reward and recognition.

This is a remote-first role, which means you aren’t expected to come into the office. The only days you would be required to attend the office would be for our quarterly team meetings, quarterly department meetings and in person training. We will provide plenty of notice for when you are required to be in the office. Although the role is remote-first we have an office space where you are also welcome to work from.

We have over 250 volunteers involved in our core education volunteer programmes as well as opportunities across fundraising and events. Our volunteers include university students, former fundraisers and supporters.

DUTIES AND RESPONSIBILITIES

• Play a key role in overseeing the day to day administration of volunteer programmes
• Be the key contact and link between volunteers and external organisations who wish to book an awareness talk, stall or other volunteer-involving activity
• Communicate with volunteers, assisting with questions and requests through the management of shared email inboxes
• Coordinate bookings and scheduling for awareness talks, stalls or other volunteer-involving activity using our volunteer management platform and related digital tools
• Support the Volunteer Community Executive with the administration of recruitment, induction, onboarding, training and supervision of volunteers, including support for community events.
• Oversee the administration for thanking volunteers across the teams, taking an active role in CoppaFeel! thanking events, gifting and post
• Maintain volunteer records using our database and report against volunteer activity
• Manage volunteer kit including monitoring stock, ordering and reviewing resources
• Process volunteer travel and expense claims
• Assist with the administration for the set up and delivery of new projects and volunteer opportunities

Main responsibilities will include:

Administration

• Be responsible for securing contracts by confirming booking information and working with the Head of Budgets, Contracts & Policy to ensure freelance trainer contracts and Service Agreements are in place

• Oversee the general administration of all APD functions including responding to customer queries and feedback

•  Process course bookings made via Thinkific and other platforms, ensuring all requirements are noted and passed on appropriately

Finance

• Be responsible for APD budgets including raising sales invoices, reconciling payments and managing deferred income

• Follow anti-money laundering procedures to ensure APD sales are compliant with legislation

• Ensure all finance and operations processes and procedures are rigorously implemented in collaboration with the Finance & Operations team

• Produce budget forecasts for APD and provide monthly updates on current financial position to the Deputy CEO and Head of Budgets, Contracts & Policy

• Chase debtors and regularly report any overdue payments to the Finance team

Strategy

• Contribute to the APD growth strategy through ideas and practical solutions

• Work with the APD team and Deputy CEO in the development of new programmes, routes to market and audience development

Communications

• Help to maintain strong communication channels with all partner organisations and customers

• Provide administrative support in developing regional networks, contacts and partners

• Assist with the engagement of employers and partners for projects and programmes

Administration and Legal Compliance

• Maintain positive professional relationships with our participants, partners and stakeholders •

The purpose of this role is to provide administrative support for Global Black Thrive involvement in the Culture of Care Programme liaising with the Lived Experience Advisors, the Race Equity Lead, Neurodiverse Connections, the Royal College of Psychiatrists and NHS England. 

This will include HR, Operations and Admin functions relating to the Culture of Care (CoC) Programme and will include managing systems to efficiently run the business and achieve strategic objectives agreed by Black Thrive Board of Directors. 

The role will be the first point of contact for our CoC team, organising travel and accommodation, managing HR and office queries. 

You may be involved in managing onboarding and offboarding, preparing employment contracts (Full-time and/or part-time, zero hours and/or fixed terms contracts), checking and following right-to-work in the UK, and administrating DBS checks. 

You will be working with the HR and Admin Manager in Global Black Thrive and may be required to assist in wider team activities where required. 

About CleanupUK  

We’re a small charity that brings communities together to create cleaner, connected and safer urban and rural neighbourhoods by tackling the litter problems where they live. Litter-picking brings people closer together, enables neighbours to meet one another other and helps create a greater sense of pride and community in local areas.

Historically, we have delivered litter-picking focussed community engagement projects in London and Birmingham. Our current focus is developing partnerships with community organisations across England to expand our reach and increase impact.

Main duties of the role 

• To provide a pro-active, high-quality administration and support service to the Operational Team, Chief Executive and the Corporate Partnerships team. 

Operational Team: Deals with logistics, processes and day to day functions of our work on the ground with community partners and volunteers.

BACKGROUND INFORMATION AND PURPOSE OF THE POST

The Finance and Resources Team is responsible for responsible for HI’s finances, general services and HR in the UK. It comprises the Chief Finance and Operating Officer, a Finance Officer and an Accounting Officer.

The main purpose of this post is:

• To ensure smooth and efficient running of the HI UK office, including office services, IT, internal communications and health & safety
• To act as a key point of contact within the organisation and externally
• To undertake human resources administration for staff and volunteers, including supporting recruitment and follow-up
• To provide administrative support to the Chief Executive, Leadership Team and Board of Trustees

MAIN DUTIES AND RESPONSIBILITIES

Operations

• Maintain the office facilities and environment to agreed service levels
• Act as primary point of contact with the landlord and all suppliers for the office space, proactively dealing with arising issues
• Be responsible for the operation and maintenance of office equipment and IT equipment for all staff and volunteers, and arrange their repair or replacement, in conjunction with the Finance Officer and the Accounting Officer, as need arises
• Act as principal contact person for HI UK’s IT infrastructure and support provider, helping colleagues to access IT support when required and developing and implementing the organisation’s IT strategy
• Manage budget lines associated with running of the office and participate in procurement, primarily of office and IT supplies, liaising with external suppliers.
• Act as designated Health & Safety Officer for the office, including ensuring Health & Safety policies are up to date and being adhered to
• Continually review systems in place within the office, make improvements where required, and communicate these to relevant people

Human Resources

• Provide administrative support and advice for the recruitment of staff, consultants and volunteers, including advertising, interviews, issue of contracts and inductions, liaising with the federation manager and recruitment teams when relevant
• Assist with other HR tasks, including managing staff and volunteer files, managing the HR information system, administrative support for payroll and contributing to updates of the staff handbook
• Support teams on volunteer recruitment, contracts, induction, support and training
• Maintain an up-to-date welcome kit for new starters and provide and coordinate induction training sessions

· Make sure that HR policies and internal processes are updated and well known by all the staff

• Provide support and advice to managers on HR matters, in collaboration with the Chief Finance and Operating Officer and the Chief Executive, including leave management, payroll, pension, changes in contracts or situation, flexible working and flexible hours, diversity and inclusion, potential conflict and interpretation of the Staff Handbook

Administrative support

• Provide administrative support to the Chief Executive, including diary management, preparing and servicing meetings and filing
• Organise and support meetings of the Board of Trustees, including room booking, diary management, preparation of papers, minute-taking and organising catering
• Maintain filing systems
• Deal with enquiries, calls and emails from the public, partners and other HI entities
• Support specific projects as needed

Other tasks

• Contribute to projects led by the Finance and Resources team and the HI UK whole team.

Job Purpose:

Assuming the role of Executive Assistant, you will provide comprehensive support to Executive Director, the executives of the orginisation and the Hope Together shop. The primary responsibilities of this position will include serving as an Executive PA to Executive Director, administrative assistance to Ops manager, managing customer correspondence, managing online shop orders, upkeep and analytics reporting, as well as other general project administration.

Key Responsibilities:

• Manage Customer service (Phones, Office Email, and Admin email) ensuring prompt and accurate responses to inquiries, complaints, and requests for information.
• Funder and partner relational correspondence and maintenance.
• Provide general administrative support for the Hope office team including, but not limited to, record keeping, filing, meeting hosting, and monthly prayer emails.
• Organizing and managing weekly team prayer-parti
• Executive assistant work to Executive Director including, managing schedule, organising appointments and meetings, and arranging travel.
• Team, partner, and board meeting management, including keeping minutes, arranging meetings, and actions point. 
• Office management assistance including supply ordering and credit card expense tracking.
• Ownership of online shop management including preparing regular reports, inventory management, order processing, and ensuring timely and accurate product listings.
• Gathering monthly websites and social media analytics. 
• Undertaking any other duties necessary to support the smooth operation of the executives' and the overall success of Hope within the scope of the Employee's abilities and qualifications.

• Previous experience using project managagement platforms like ASANA or Mondays is preffered
