The Finance and Operations Assistant will provide essential administrative and operational support across the Finance and Grants team. This is a varied role requiring excellent attention to detail, strong organisational skills, and the ability to manage competing priorities.

MAIN DUTIES & RESPONSIBILITES
Finance Support
• Count and reconcile all cash donations, preparing receipts and ensuring timely banking.
• Work with the Junior Finance Officer to ensure banking is carried out regularly and that cash held remains within insured limits.
• Prepare and submit weekly and monthly Lottery reports for both internal monitoring and Gambling Commission compliance.
• Issue receipt books and maintain an up-to-date receipt book log.
• Manage stationery orders and oversee the receipt of goods.
Grant Administration
• Manage the Grants and Payments inboxes, responding to and allocating queries in a timely and professional manner.
• Monitor the Grants phone line, dealing with queries and escalating where necessary.
• Log incoming applications onto spreadsheets, ensuring accurate records are maintained.
• Set up grant application and payment folders, ensuring all relevant documentation is stored correctly.
• Support approvals administration including saving emails, generating GA numbers, and drafting approval emails and letters.
• Support the Grants Officer to upload new grant commitments onto Exchequer.
• Support the Grants Officer to write off grant commitments in Exchequer when required and update associated working folders.
• Order grant-related items on the charity credit card as required.
Operations Support
• Support the Director of Finance and Operations with a range of operational and administrative tasks.
• Administer all-staff training on the organisation’s e-learning platform, ensuring compliance records are up to date.
• Support with HR data input and maintaining accurate employee records.
• Assist with other ad-hoc operational tasks, including compliance and other project related support.

Role Purpose

We’re looking for a flexible and self-motivated Project Assistant to join our team in Newcastle, supporting the delivery of our Home from Hospital and Community Support project.

Preventing admissions, and re-admissions, to hospital is crucial for the NHS. Re-admissions alone cost the NHS over £2 billion per year, and no-one wants to be in hospital when they can be recovering safely and comfortably at home. The Home from Hospital project was developed to help enable people to thrive back at home, and in the community, while at the same time supporting the NHS.

We recruit, train, support and coordinate volunteers, who provide a “little bit of help” to people who may be socially isolated, have health issues, or don’t have many people around them.

Our volunteers provide social, emotional or practical support, completing short-term tasks for up to 6 weeks. This includes tasks such as helping with grocery shopping, collecting and delivering medical prescriptions, in person or telephone check in’s, driving someone to an appointment, helping with paperwork, ensuring the home is safe and secure, and lots more!

As our Project Assistant, you will:

· Work closely with Volunteering Matters colleagues in a flexible and agile way, taking instruction and responding quickly to ensure beneficiaries and volunteers have the best possible experience

· Face to face and telephone contact with older people taking part in the project, completing practical, social, or wellbeing tasks to meet their individual needs

· Administrative tasks including providing updates to colleagues on project activities, processing paperwork, and other computer-based tasks to help ensure the smooth delivery of the programme

· Support with the promotion of the project across Newcastle in order to attract new volunteers and generate referrals – this may include drafting content, public speaking and giving presentations

This role is part of a fast-paced and responsive workplace environment. In order to meet the needs of the programme, we are looking for a candidate who can offer significant flexibility when it comes to working hours – ideally over 4 days per week.

The main purpose of the role is to prepare individuals to move on to independent living in the community. Service users may step down from the intensive support service to high, medium or lower needs before moving into the community. From the outset of an individual's tenancy the focus of the support is on preparing them for their journey of recovery and independence over an agreed period. Our support service is provided 24 hours a day 365 days per year with tailored flexible support delivered in accordance with need. 

You'll need to be able to demonstrate the core skills this role requires as well as match our values and mission. Here's what the team will be looking for

You will have a strong understanding of the principles of recovery and a range of recovery approaches, alongside demonstrable experience of supporting individuals with mental health and/or dual diagnosis issues. With knowledge of mental health conditions, including crisis management, you will be able to communicate effectively, support people with dignity and respect, and apply relevant legislation such as the Care Programme Approach (CPA). Safeguarding awareness and the ability to act appropriately will be essential, as will good literacy, numeracy, and IT skills to produce accurate correspondence and records.

You will be confident working both as part of a team and on your own initiative, contributing to service delivery while supporting the induction of new staff and volunteers. With the ability to work collaboratively with statutory services such as the NHS, you will also demonstrate an awareness of health and safety issues. As Triage Support Adviser at Fuel Bank Foundation, you will be the first point of contact for beneficiaries, partners, or referral agencies seeking assistance. Your primary responsibility will be to assess needs, gather essential information, and direct each query to the appropriate team or resource. You’ll play a critical role in ensuring that those in need receive timely and accurate support, helping maintain smooth day-to-day operations within the Foundation’s support services.

Key Responsibilities

Initial Contact & Needs Assessment

• Inbound Enquiries: Respond to incoming calls, emails, or online requests, providing a welcoming and empathetic first point of contact.

About the Role

This new role will provide vital administrative support across fundraising, programme delivery, and operations. You’ll help keep the organisation running smoothly, freeing up time for senior staff to focus on income generation and impact. From CRM management and donation tracking to event logistics and donor communications, you'll be central to ensuring Transform’s work is efficient and effective.

Overall aim

• Work with the CEO on implementing supporter journeys and other fundraising systems and processes as required

Key responsibilities:

Fundraising support (approx. 50%)

• Lead on the roll-out, development, and ongoing maintenance of our fundraising CRM system and supporting platforms
