Do you enjoy working with people and would you like to make a positive impact for Turtle Doves? This species was once widespread and numerous but now is down to 2100 pairs in the UK. The Operation Turtle Dove project in partnership of RSPB, Natural England, Penthorpe Conservation Trust and Fair to Nature was established to conserve this iconic, red-listed species. Our staff and volunteers are working with landowners to try and halt and reverse the population decline but we need to measure our progress. Following on from the successful 2021 National Turtle Dove survey, we need to expand our network of survey volunteers in Kent, Sussex and Essex to enable yearly monitoring of survey squares for Turtle Doves.
We are looking for an organised person with excellent communication & IT skills to join our team and to help run the Turtle Dove monitoring program and supporting a network of volunteers. Experience in carrying out bird surveys is welcome but NOT essential, we can provide training so you can understand the role of the surveyors you will be recruiting and co-ordinating. This role could be carried out remotely. This is a year-round roll with peaks in activity before and after the survey season which runs from 11th May until 31st July. All equipment needed will be supplied.
Volunteer Coordinators undertake a wide range of activities, including:
Tasks:
- Dealing with queries from potential new volunteers who get in touch
- Being the first point of contact for our existing volunteers and answering general queries
- Lead on advertising new volunteer roles (on the RSPB and external websites, in the local community)
- Set up interviews with potential volunteers and assist with induction administration
- Administrative tasks such as recording volunteer hours, registering new volunteers on our database, organising surveys, receiving, and entering data and processing expense claims
- Organising and managing a small budget for volunteer thank-you events at the end of the survey season.
- Helping to promote the project through internal comms such as project newsletters

THE ROLE
Administration and compliance
The Company Secretary (CS) of a charity, together with all other charity trustees are responsible for the proper conduct of a charity, particularly with regard to ensuring compliance with statutory and regulatory requirements. The role of the CS includes:
- Being familiar with the charity’s governing document, and the legal responsibilities of charities under the Charities Act 2006 and the Companies Act.
- To keep all trustees informed of key matters in relation to its legal responsibilities and to signpost trustees to training courses and content to maintain sufficient knowledge
- To support the induction of new trustees and patrons
- Maintaining statutory registers including the register of members, the register of trustees/ directors and secretaries, the register of trustees’ and secretary’s interests.
- Ensure relevant statutory returns and information are filed with the Charity Commission and Companies House e.g. annual reports, changes to the charity’s details and/or trustees’ details etc.
- Identify and implement best practice, ensuring that the Board of Trustees are aware of the requirements to comply with relevant codes such as the Charities Governance Code and Code of Conduct
- Ensuring that decisions and actions of Board meetings are accurately recorded, communicated and implemented.
- Together with members of the Governance and IT Board committee, tracking progress with the charity’s risk register, business plan and strategic plan.
- Working with the Chair and CEO to ensure the AGM is properly administered in line with relevant legislation.
- Willing to become a member of the Governance and IT Committee.
- To comply with the trustee pledges as varied from time to time which sets out the broad consistent level of commitments across all trustees.
Preparing for board meetings
The Secretary should assist the Chair of the Board with the planning and administration of Board meetings. This includes:
- To plan and prepare the board meetings and the AGM with others as appropriate – plan meeting dates, book room, send out notifications, minutes and other papers,
- Making sure the timetable of Board meetings for the year ahead is agreed.
- Sending out notification of Board meetings to Trustees (and others where applicable).
- Work with the Chair and CEO to set each board meeting agenda, including the management of any agenda items received from other Trustees.
- Circulation of Board papers / pack at least 4 days in advance of meetings.
- Checking that a quorum is present (and that it is present throughout the meeting if required).
Taking meeting minutes and recording actions or ensure that a minute taker is appointed
The role of the Secretary includes:
- Taking minutes at Board meetings and maintaining the records of all meeting minutes.
- Recording and keeping action tracker up to date
- Keeping a record of all issues discussion, decisions taken and any actions required to implement a decision.
- Working closely with the Chair to ensure that minutes are accurate.
- Issuing minutes and action tracker to Trustees after Board meeting.

VOLUNTARY GRANT FUNDRAISER
Alex TLC is a trusted and experienced organisation offering support and information for all those affected by leukodystrophy. Leukodystrophies are rare genetic disorders that mainly affect the white matter of the central nervous system, (ie the brain or spinal cord). They affect people of all ages and backgrounds, most notably children. Leukodystrophies are usually degenerative, causing symptoms such as impaired mobility, vision, speech and hearing, incontinence, inability to swallow and loss of cognitive skills. In many cases, this sadly means a reduced or limited lifespan.
Established in 2004, we are recognised by the NHS and global stakeholders as the "go to" organisation for those affected by these devastating conditions in the UK.
Like many other small charities, we have grown organically from an informal support group to the recognised voice for leukodystrophy patients and their families. To fulfil our charitable objectives, we need to increase and sustain our grant income levels.

We need community Fundraising Volunteers to help at fundraising events in our local community. The role is on an ad-hoc and flexible basis and helps us raise vital funds to continue to support local bereaved children and their families.

About the Donated Stock Team
The Donated Stock Team is responsible for driving stock donations across the whole of retail and stimulating partnerships that will lead to stock donations. We also work on for brand awareness through social media.
The team is incredibly passionate about the work they do and are proud of their achievements, including increasing stock donations by +50% year to date and winning the Sense Team Award for Professional Excellence. This role provides our team the support to help raise income through our shops with a focus organisation administrative support.
Key duties
· Supporting Sense Shops to grow their social media presence with a focus on encouraging people to donate their stock.
· Creating support material to encourage people to recycle, reuse and declutter pre-loved clothing and items within local communities around our shops.
· Plan activities to increase growth through targeted outreach.
· Collate and manage data to measure impact.
· Connect with community groups, local schools, and other organisations.
Skills & qualities
· Excellent written and verbal communication skills.
· Experience of working with Instagram and Facebook.
