Role purpose
This role would suit someone with at least 2 years’ experience in a charity finance role, who has experience or knowledge of all the core accounts department processes and some understanding of different charity income streams. You might be studying for an accounting qualification (e.g. AAT or ACCA) or be qualified by experience.
A training package may be available for an applicable accounting qualification.
Responsibilities
- Day to day management and systems administration of Xero accounting software, expenses software (ExpenseIn), and other linked financial applications.
- Carry out monthly reconciliations of bank accounts, debtors and creditors, and set up payment runs.
- Prepare monthly management accounts journals (prepayments, accruals, depreciation, deferred and accrued income) and control account reconciliations.
- Being the systems administrator for the Fundraising CRM system (Donorfy) and linked platforms and applications (e.g. JustGiving, Stripe, EventBright).
- Database management of Donorfy and linked platforms and applications.
- Reconcile data between Donorfy and Xero, and where necessary, with other linked platforms and applications.
- Ensure Gift Aid returns are correctly submitted to HMRC (via Donorfy)
- Support with the development and implementation of new systems and procedures.
- Provide training and induction to new joiners in using Donorfy and ExpenseIn as well as for any other relevant platforms and applications.
- Business partnering - provide day to day support to the wider organisation with finance and fundraising system queries, payment information, and supplier queries.
- Working with budget holders to provide transaction reports, income and expenditure reports, and updates on payments from finance and fundraising systems to assist them to manage their project budgets.
- Assist Finance Director and Fundraising team where necessary with financial reporting to funders.
Skills/ experience
Essential
- Proven experience in all areas of accounts - purchase and sales ledger, banking and cash management, basic management accounts.
- Experience of Xero or similar cloud-based finance system.
- Excellent Microsoft Office skills, particularly excel and an ability to quickly learn new systems.
Desirable
- Accountancy qualification or studying for (e.g. AAT, ACCA).
- Experience of Donorfy or similar CRM system.
- Experience of dealing with charitable income and an understanding of how to account for restricted grants.
- Experience of liaising with auditors and other external stakeholders.

Last year we saw a 133% growth in the numbers of young people facing homelessness coming through our doors. Now, nearly half of them are - or recently have been - sleeping rough and with the numbers of young rough sleepers in the capital growing at an alarming rate, New Horizon Youth Centre has had to take decisive action to unlock support and housing for this group. The Head of Services - Rough Sleeping is a brand-new role for the organisation and will lead on developing a new internal strategy for young people facing rough sleeping, as well as holding operational oversight of our established youth-specific street outreach function and emergency accommodation hub, both of which are unique in London. You will act as our lead colleague on relationships with the Greater London Authority and London Councils’ rough sleeping teams, working with them to ensure our learning and insights inform policy and ultimately open up access to emergency support for those under 25. Alongside this you will need a keen eye for operational detail, have experience of delivering homelessness services, and be passionate about piloting new solutions to prevent homelessness among young people. Duties and key responsibilities:
Office Maintenance
- Oversee the general maintenance of the office.
- Manage office supplies by tracking office inventory and replenishing supplies including kitchen and stationery.
- Ensure the office and meeting rooms are well-maintained.
- Manage Sarcoma UK storage, ensuring it is fit for purpose.
- Liaise with office contractors and service providers to ensure the office runs efficiently.
- Assist with office refurbishments, expansions, and relocations.
Administration
- Be the first point of contact for all enquiries to our telephone switchboard and info@ mailbox, responding in a timely manner to all enquiries and delegating across the team where relevant.
- Manage the daily postal system including opening post and recording donations on the finance spreadsheet.
- Managing deliveries to the office and organising couriers.
- Organise travel and accommodation bookings across the whole charity including fundraising events.
- Organise travel, meetings and staff attendance at events including the British Sarcoma Group conference.
- Make any bookings and arrangements for the team that involve financial transactions, for example booking travel, conferences, training courses, flowers for supporters and event purchases.
- Provide meeting room management, including bookings and catering.
- Carry out ad hoc administrative tasks for other departments when requested e.g. fundraising and information send outs during busy periods or absence.
Health & Safety
- Ensure compliance with health and safety procedures, maintaining a safe working environment in the office. This
- Regular health and safety inspections of the office and workstations.
- Carry out regular DSE tests
- Arranging regular PAT tests
- Cary out fire risk assessments (training will be provided)
- First aid assistance and maintain the first aid supplies (training will be provided)
- Review and update the health and safety policy.
Other
- Support the operations team when required, this will include finance, database, and HR functions.

Our services are open access, so the people who come to the Ace of Clubs are diverse and from multiple walks of life. Role overview
The Project Support Officer will support our Programmes Team with activity related to project delivery while members of the team are on maternity leave. The postholder will be responsible for completing a variety of project delivery tasks that support the smooth running of our online mentoring. These tasks include administrative support through our online mentoring platform, data entry and data monitoring, training our volunteers to be mentors and inducting young people onto our programmes.
Key responsibilities
- Administrative support for our projects, including:

- Monitoring a centralised support inbox for our partners

- Writing emails and other communications to our project users

Salary and benefits
Salary: £24,900 - £27,200 (£14,940 - £16,500 actual based on 22.5 hours a week)

Holiday allowance: 25 days (pro-rata for part-time staff depending on join date)
