As a vital part of the safeguarding team, the Training Administrator supports the department through a variety of tasks from the booking and administration of safeguarding training courses run by the Diocese and content management for the training webpages through to the maintenance of the personal safeguarding training record database.

Main Duties And Responsibilities
Training
- In conjunction with the Diocesan Safeguarding Adviser, facilitate a safeguarding learning and development programme for the diocese aligned with the national church Learning and Development Framework, Church Safeguarding Standards, reflecting the specific safeguarding responsibilities of those in role.
- To administer all lay and clergy safeguarding training run by the Diocese in line with above, in approximately 80 sessions a year. This includes: producing a deadlines document; administers the sessions on Zoom / Teams, posting courses on Eventbrite and operating as content manager for publicity on the Diocesan website.
- To administer bookings for training courses; copy course materials and respond to emails and queries on training matters, ensure compliance of work submission required before and after courses.
- Log entry of all course participants onto a database to ensure each person has a personal safeguarding training record, and each parish has a safeguarding training profile.
General Administrative
- Work with IT and Information and Data Manager position to produce reports for the Diocesan Safeguarding Adviser on safeguarding training issues and trends, and annual statistics represented in charts and graphs for inclusion in the annual safeguarding review.
- Produce quarterly reports on training compliance for Archdeacons and the Diocesan Safeguarding Advisory Panel meetings.
- Helping to organise and minute meetings when the safeguarding administrator is not available/on leave.
- Support the safeguarding team with other tasks and projects as identified by the Safeguarding Administrator or Diocesan Safeguarding Adviser.

Job Description:
Duties to include, but not limited to:
- High volume diary management, including work and personal diary prioritisation and filtering out non-essential meetings.
- Answering, screening and responding as appropriate to incoming calls, visitors and correspondence.
- Preparing for internal and external meetings, calls and video conferences including confirming relevant materials are received, printed and bound for meetings.
- Management of travel arrangements. Scheduling and tracking domestic and international travel itineraries within several time zones.
- Administration support for the research team, including arranging meetings and assisting with event and meeting organisation.
- Management of expenses including arranging currency and processing expense claims in a timely manner.
- General office management and operational support including:
- Liaising with suppliers / brokers (e.g. internet, energy, insurance)
- Relationship management with office landlord
- Overseeing office supplies and equipment

Job purpose
This is a pivotal senior administration role in a charity that is passionate about making a difference to the veterinary care that animals receive. You’ll be working closely with the Chief Executive Officer, with the trustee board and with all members of the staff team of about 20 people. The role is responsible for co-ordinating essential governance activities, including preparing, collating and distributing meeting information packs, writing minutes and managing actions following trustee and committee meetings. Duties and key responsibilities:
Office Maintenance
- Oversee the general maintenance of the office.
- Manage office supplies by tracking office inventory and replenishing supplies including kitchen and stationery.
- Ensure the office and meeting rooms are well-maintained.
- Manage Sarcoma UK storage, ensuring it is fit for purpose.
- Liaise with office contractors and service providers to ensure the office runs efficiently.
- Assist with office refurbishments, expansions, and relocations.
Administration
- Be the first point of contact for all enquiries to our telephone switchboard and info@ mailbox, responding in a timely manner to all enquiries and delegating across the team where relevant.
- Manage the daily postal system including opening post and recording donations on the finance spreadsheet.
- Managing deliveries to the office and organising couriers.
- Organise travel and accommodation bookings across the whole charity including fundraising events.
- Organise travel, meetings and staff attendance at events including the British Sarcoma Group conference.
- Make any bookings and arrangements for the team that involve financial transactions, for example booking travel, conferences, training courses, flowers for supporters and event purchases.
- Provide meeting room management, including bookings and catering.
- Carry out ad hoc administrative tasks for other departments when requested e.g. fundraising and information send outs during busy periods or absence.
Health & Safety
- Ensure compliance with health and safety procedures, maintaining a safe working environment in the office. This
- Regular health and safety inspections of the office and workstations.
- Carry out regular DSE tests
- Arranging regular PAT tests
- Cary out fire risk assessments (training will be provided)
- First aid assistance and maintain the first aid supplies (training will be provided)
- Review and update the health and safety policy.
Other
- Support the operations team when required, this will include finance, database, and HR functions.
- The post holder will be working in a developing environment, and they will therefore be required to undertake other appropriate duties as necessary for the efficient operation of Sarcoma UK.

As a crucial part of the Facilities team, you will be the face of the organisation welcoming clients, visitors, and fellow staff members, ensuring that the central reception function, including facilities runs smoothly. In this role, you will report to the Head of Workforce-Training and Innovation and work within the WTI team, playing an integral part in linking our work across the directorates at Londonwide LMCs and externally with our practices and constituents.
The focus of this role is to provide administrative support to the Workforce-Training and Innovation team, enabling the smooth running of projects, scheduling meetings and supporting events. The Supporter Experience team at Shelter exists to provide expert stewardship to build deep long-term relationships, enhancing the supporter experience to drive income now and increase lifetime values. We ensure supporters feel valued and appreciated by Shelter and understand the impact of their support. We’re part of a wider Community & Events team that sits within an Income Generation directorate. About the role

Time management & organisation: there’s a lot to do, particularly when we have fundraising products live and during the busy winter fundraising period, so it’s important to be able to manage your time well. The team has a really positive collective attitude to helping you do this, and they will suggest different tools and methods to stay on top of your work. But your being organised from the get-go is important.
Attention to detail: in all tasks, you will need to have a good eye for detail to make sure work is completed with a high level of accuracy.
Proactive: there are many activities to get involved with at Shelter, so being proactive ensures you get as much from your role as possible. Within your role you need to take initiative in setting up meetings, asking questions and suggesting/trying new ideas. Beyond this, taking advantage of volunteering in our shops or at events, and visiting local Shelter Hubs, is a great way to understand the cause and sector.
Willingness to be busy: everyone in the team has lots to do and has a range of responsibilities across different areas. To be successful in this role, you need to be willing to be busy during the working day and enjoy the variety this brings.
Flexibility: as this role will support work across the wider Community & Events team throughout the year, it is vital that the successful candidate is adaptable and willing to get stuck into different activities when needed.
