Purpose of the role:
The Junior Salesforce Administrator role supports the effective use and ongoing development of the Churchill Fellowship’s Salesforce CRM platform and related applications. Working closely with the Salesforce Team and other internal teams, you will ensure our data remains accurate and accessible, help to improve business processes, and provides user support and training across the organisation. You will play a key part in ensuring Salesforce functions as the single source of truth for organisational data.
Key responsibilities:
Salesforce Administration and Support:
- Support day-to-day Salesforce user needs, including responding to support tickets and troubleshooting.
- Maintain data quality through duplicate management, validation rules, and standardised field formatting.
- Assist with regular data cleaning activities and updates to system records.
- Help to prepare technical documentation and user guidance materials.
- Contribute to routine platform maintenance, upgrades, and third-party app integrations (e.g., FormAssembly, Conga).
- Support data reporting and dashboards to ensure teams can access reliable insights.
- Collaborate on developing and refining automated processes using Flows and other Salesforce tools.
Grant & Event Technical Support:
- Assist with the technical setup of grant-related processes in Salesforce, including automations and applicant communications.
- Support the Events and Development teams with Salesforce Campaign setup, RSVP forms, and invitation tracking.
- Help ensure integrations and automations run smoothly before, during, and after events.
- Monitor engagement and follow-up activities through reports and dashboards.
Systems Training & Team Support:
- Provide training and onboarding support to help new and existing staff understand and use Salesforce effectively.
- Contribute to the identification of system improvement opportunities to support organisational needs.
- Work with internal teams to ensure data protocols are followed and support the development of efficient processes.
- Contribute to a culture of collaboration and continuous learning by proactively offering ideas for improvements.

Recruitment Process

Job Description
As Administrator for the Croydon Refugee Day Centre, you will be a crucial part of our small staff team, working across, maintaining and developing all our administrative systems. Your core responsibilities will be as follows:
- To manage the central administrative systems, processes and procedures of CRDC across different platforms, including Google Drive and Microsoft Teams, plus subscriptions to other services (e.g. web hosting)
- To manage our CRM Access Database of community members, including weekly data entry and management of accompanying paper records; plus annual updates and assisting with extraction of statistics for grant reports and trustee meetings.
- To manage administrative tasks and improve and develop administrative systems associated with our 70-strong volunteer team, including initial recruitment and onboarding of volunteers, DBS checks and references, weekly rotas etc.
- To develop and manage a database of (potential) in kind and financial donors and/or newsletter subscribers and to communicate externally with community donors, including writing thank you letters.
- To ensure that record keeping across the organisation is performed in line with our GDPR and confidentiality responsibilities.
- To support the Coordinators and Manager in managing Hardship Funds, including regular purchasing of necessary hardship supplies, such as toiletries, underwear etc.
- To manage purchasing of office and other supplies and equipment as necessary.
- To manage day-to-day administrative tasks, including but not limited to: monitoring and replying to external email queries; preparation of documents and letters for other staff members; weekly updates of website and facebook page.
- To assist Manager wih financial systems and bookkeeping, including working with Xero.
- To assist Manager with preparation of documents for trustee meetings, prepare draft minutes and act as Secretary at meetings.
- To oversee and train volunteers involved in administrative tasks.

Key Responsibilities
1.Regular Reporting
- Forecast and create monthly cash flow as requested.
- Report on cash reserve levels with reference to the reserves policy.
- Produce timely and accurate management and financial accounts information, as requested by the Director or Trustees each month, with full explanation on significant areas and variances from budgets, using accrual accounting methods.

2.Budgets
- Help to generate annual budgets.

4.Controls, Procedures, Systems
- Ensure accounting process remains compliant with the appropriate Charities SORP (Statement of Recommended Practice).
- Manage the annual report process to ensure a quality annual report is produced with an accurate and dynamic reflection on the year that the report refers to.
- Provide support in reviewing, monitoring and developing an appropriate and effective financial framework (policies, regulations, procedures and controls) that are in line with MEM’s strategy and values.
- Ensure financial processes and policies are up to date, communicated to and understood by the staff team and the Trustees. Ensure they are also in line with any regulatory requirements.
- Ensure appropriate risk management techniques and financial controls are embedded throughout the charity at strategic and operational levels.
5.Donor Support
- Deal with any donor queries that come by email.
- Maintain up-to-date records of donors, field staff and other contacts in the MEM’s database.
- Support the team with gift acknowledgements.
- Set up standing orders and keep records.
- Process and record completed Gift Aid declarations, and regularly submit Gift Aid reclaims to HMRC.
6.Financial Administration
- Input all financial data (income and expenditure) into organisation’s CRM, accounting and other relevant software.
- Prepare and follow up suppliers’ invoices for payment.
- Make payments for all authorised invoices.
- Process expense claims and make payments.
- Manage the banking of income (cheques and cash).
- Schedule transfer of funds to the field on a regular basis, making sure the transfer statements have the right codes.
- Act as one of the signatories for the bank accounts making amendments, payments and being a first point of communication with bank as required.
- Liaise directly with the outsourced payroll provider. Prepare, submit and issue P11Ds and ensure appropriate payment.

JOB PURPOSE

MAIN DUTIES
- Resident engagement, taking and responding to residents’ calls, ensuring that all such engagement is documented on the Goulden House Resident Engagement Database
