Title: Healthcare Assistant
Reports to: Patient Services Manager

Job Purpose: To provide direct support to patients and support to all areas of the Charity Group
Working Hours: Monday – Thursday 09:00 – 17.30, Friday 09.00 – 17.00
Key Responsibilities:
· Responding to enquiries via telephone, email, online forums or social media with empathy, a listening ear, informative and supportive manner, whilst demonstrating confidentiality and sensitivity. Stay fully informed on the conditions and treatments associated with all three charities, ensuring the ability to respond to related enquiries becomes second nature
· Co-ordinate and action messages in the Patient Services Mailbox and distribute messages accordingly to the wider team where needed
· Maintain Patient Services documentation and make sure details are updated with clear and concise information
· Identifying gaps in patient information and assist in developing and proofreading relevant medically approved resources to reflect current guidelines, treatments, services and advances
· Frequently reviewing and assisting with update of content on charity websites and social media channels current and relevant Forums
· Supporting the organisation, promotion and delivery of all charity events including Patients Day, World Heart Rhythm Week, Global AF Aware Week, Know Your Pulse & Support Groups, Coffee mornings, Living with ...Series etc
· Build a central database of case studies / patient stories whether written or recorded
· Contribute content for the monthly e news and regular newsletters including patient stories, FAQ’s and latest news and updates with resources to Patient Service Manager
· Propose titles and speakers for patient educational events and develop virtual educational videos
· Co-ordinate the day-to-day planning and organisation of the fundraising activities and responding to enquiries.

This role provides proactive administrative support to the Bishop of Ripon. The Bishop's PA represents the Bishop's Office and is often the first point of contact.
The postholder will manage the Bishop's Office and ensure that work for the Bishop of Ripon is completed to a high standard. Much of the work is highly confidential, so the postholder must be able to deal with this discreetly and sensitively. The PA is a vital part of the local Ripon Area team but must be able to work independently and use initiative as necessary. Commitment to supporting the Bishop's ministry is essential, and a good understanding of the Christian Faith and Anglican worship is helpful.
Daily tasks will include prioritising mail and messages, organising the Bishop's diary, drafting replies and/or briefing papers as appropriate, producing communication and paperwork around the Bishop's appointments (including church visits and clergy meetings) promptly, attending and arranging events and meetings and in general ensuring that the Bishop is properly resourced and supported in his/her work. As well as overseeing the Ripon Episcopal Area, the Bishop has some diocesan responsibilities, which necessitate travel around the Diocese, and national responsibilities which include travel to London and elsewhere in the country. The planning of the Bishop's diary will reflect the travel involved.
The PA will have key working relationships with other senior staff in the Diocese and particularly those in the Ripon Area. The PA will work closely with the Archdeacon of Richmond and Craven and their PA. The postholder will also be in frequent contact with the Area and Assistant Area Deans and other Area Officers. As the Bishop is often out of the office, the post-holder should be a self-starter and capable of using their initiative with regard to planning and managing their workload.
There may be the possibility of some home-working - details to be discussed with the post holder.
Principal Duties
- Manage the Bishop's diary, appointments, travel and event logistics
- Plan the annual meeting cycle for various committees and individuals
- Manage the approval system for Lay Eucharistic Ministers, including the renewals every five years.
- Anticipate and act proactively on information that comes into the office (via email, phone or letter) particularly where this relates to diary and deadline matters.
- Ensure that appropriate matters are brought to the attention of the Bishop
- Arrange Confirmations, Licensings and other church services and handle related administration.
- Manage annual review appointments (MDRs) for clergy, ensuring that the necessary paperwork is issued and received within appropriate timeframes.
- Manage the 'New in Post' system alongside the Archdeacon's PA
- Administer the clergy appointments process within the Ripon Area, working closely with the Archdeacon, the Archdeacon's PA, Patrons and parish representatives. Ensure that all legal requirements are met.
- Managing meetings for PTO applications.
- Prepare materials for meetings; to occasionally attend and take minutes.
- Oversee the Bishop's expenses and local budget, ensuring that accurate records are kept and returned to the Bishop of Leeds Financial Officer monthly.
- Organise and maintain general and confidential filing systems, including clergy files.
- Manage the Bishop's Office, including ordering stationery, dealing with phone systems, etc
Other duties
- Represent the Bishop's Office with professionalism, discretion and pastoral sensitivity.
- Welcome visitors to the Bishop's Office, ensuring that they are dealt with in a polite and courteous manner.
- Assist in providing refreshments when necessary
- Attend meetings and other events (outside the office) as agreed with the Bishop
- Maintain confidentiality and integrity at all times, ensuring that all confidential material is properly managed and stored.
- Undertake any training as required and be willing to understand GDPR and Safeguarding practices.
- To support the Bishop in developing a social media presence

ABOUT THIS OPPORTUNITY
We are seeking an organised, proactive and professional Personal Assistant to provide high-level support to the Director of Secondary Education at the Harris Federation. This 1-year fixed-term maternity cover role is central to ensuring the smooth running of the Director’s day-to-day operations, including diary management, stakeholder communication, meeting coordination and the preparation of key documents.

MAIN AREAS OF RESPONSIBILITY
Your responsibilities will include:
- To present the professional and welcoming face of the Harris Federation and all secondary academies, to all visitors, staff and students, in person and on the telephone.
- To ensure that the Director’s diary is managed efficiently and effectively. This will involve liaising with a variety of external and internal stakeholders.
- To provide a daily/weekly diary and documentation and maintain an overview of approaching deadlines.
- To maintain the Director’s contacts.
- To maintain an exemplary professional environment for the Director at all times.
- To ensure that all visitors are welcomed and catered for in a professional manner, organising refreshments as appropriate.
- To exercise complete discretion when dealing with issues of confidentiality and sensitivity.
- To take all telephone calls, in the first instance, dealing with queries, passing on calls if necessary.
- To keep the Director’s meetings file and retrieve necessary paperwork as and when meetings arise.
- To be responsible for organising meetings and passing on messages between all stakeholders, parents/carers, external agencies and students and the Director.
- To liaise with clerks to Governors to ensure that all relevant paperwork and correspondence is efficiently managed for all the secondary academies.
- To support the Director with the preparation of paperwork and presentations for a range of meetings including interviews, disciplinary hearings, grievances, performance management, presentations, training sessions etc.
- To liaise with Federation admin teams, Data, HR, IT and Finance Business Managers, as well as PAs and Principals across the Federation as appropriate.

In financial year 2025-26, PCR’s virtual challenges have raised over £2m so far (against a target of £1.4m) with still one more big challenge to go! We are thrilled at the impact this will have for families affected by prostate cancer, and are therefore excited to be expanding the Events & Community team again with this new role.
The Supporter Engagement Assistant will be at the frontline of our virtual challenges stewardship, supporting a rapidly growing supporter base and delivering exceptional supporter experiences. The role is ideal for someone who enjoys building relationships, is highly organised and is eager to develop within a supportive and ambitious fundraising team.
While your focus will be on virtual challenges, you will also gain exposure to the wider Public Fundraising portfolio, with full training and support provided.
Key Responsibilities
Supporter Care & Engagement
• Be the first point of contact for virtual challenge fundraisers, responding to enquires on email, SMS, social channels and phone within agreed timescales.
• Manage supporter relationships and high-quality fundraiser journeys using PCR’s systems and tools, providing thoughtful stewardship that builds long term loyalty.
• Work with the team to continuously improve supporter experience using feedback and data
• Create and maintain FAQs, supporter resources and fundraising materials.
• Monitor acquisition advertisements and appropriately respond to comments.
Administration and database
• Manage stock, including sharing data with our fulfilment house, sending merchandise and replenishing materials.
• Process supporter and financial data accurately, including coding and tracking income & expenditure.
• Support database administration in line with data protection needs.
Teamwork
• Actively contribute to meetings, sharing new ideas and learnings.
• Work with the team to embed our ‘agile’ ways of working, where we all take collective responsibility for the team’s goals and work together to achieve them.
• Be flexible in busy times, getting involved with other projects and tasks across Public Fundraising team as needed.
• Attendance will be required at some weekend and evening events, for which TOIL will be given.
Skills and Competencies
Our ideal candidate would have the following:
• A willingness to get stuck in, proactive problem-solving skills and lots of initiative.
• Very good written and verbal communication skills – the ability to communicate clearly, empathetically, and professionally with a diverse range of people, particularly supporters and patients
• Very good attention to detail (e.g. with data entry tasks) and good IT skills (e.g. web applications and file systems).
• Excellent organisation skills and an ability to identify the best use of time to complete day-to-day tasks.
• Work effectively individually and as part of a team.
• A belief in PCR’s work, goals and our values: innovation, collaboration, accountability and empathy.
Desirable:
• Demonstrable or transferable experience of an administrative or support role, within an office environment.
• Experience working with a CRM system and Microsoft 365 applications (Word, Excel, Outlook etc.).
• A good understanding or interest in events & community fundraising activities
• Ability to handle and process financial transactions.
• Knowledge of the Fundraising Code of Practice and data protection principles (including GDPR & confidentiality).
• Experience assisting with event administration or logistics.
• Experience using social media and digital communication tools (e.g. Miro/MURAL, Canva etc).

The post holder will take responsibility for the efficient day-to-day administration of the Trust’s membership schemes, using the Charity CRM database to maintain accurate contact & financial records in line with GDPR. This includes processing new, renewing and lapsed memberships, handling payments ( Direct Debits, PayPal & Gift Aid) and providing consistently high-quality communication with members through enquiries, welcome packs, renewal reminders and supporter care.
