Job Description 

The Finance Manager is responsible for the management and technical support of the Finance function and acts as advisor to the Chief Executive Officer (CEO) and assists in the development of the organisation’s financial strategy, modelling new projects, preparing budgets and reporting on financial performance. 

You will also be responsible for maintaining accounts on Xero and all related bookkeeping tasks.

Main duties and responsibilities

• Responsibility for bookkeeping on the organisation’s accounting system (Xero);

• Preparation of accurate and timely monthly management accounts for the organisation and individual cost centres, including variance analysis and reports for the Board. This information should include a short narrative on the current position, future prospects, and financial risks and opportunities. The reports will be tailored as necessary for the Board and management; 

• Provide robust financial information including accurate balance sheets and a rolling cash flow forecast; 

• Act as key point of contact for project budget holders on financial matters;

• Carry out regular reviews of spending under various grants, alerting budget holders and CEO to any actual or potential over or underspend;

• Work with CEO and managers on fundraising bids and financial reports for funders;

• Produce statutory accounts, files and schedules, in partnership with the3million’s accounting firm; 

• Monitor records of all funding and funding sources and the appropriate allocation of incoming funding;

• Monitor monthly accrual of income and expenditure, deferral of income, maintenance of reconciliation to Xero, balance sheet changes and undertake bank reconciliations;

• Monitor the accounts mailbox and ensure invoices are included in the accounting system, answering internal and external queries as they arise;

• Act as main point of contact with banks, service providers, suppliers (when appropriate) and auditors;

• Other duties as requested by the CEO.

Person Specification

The post requires the holder to:

• Have an appropriate accounting qualification – in full or part (AAT, ICAEW, CIMA or ACCA);

• Have a minimum of three years of professional experience, including experience of operating within a not-for-profit organisation (managing accounts for restricted and unrestricted funds);

• Be proficient in Xero Online accounting software and Excel spreadsheets, including experience in using Power Query;

• Be comfortable with the financial systems typical of a small organisation, including financial monitoring and reporting to a range of different funding sources;

• Have some experience of projects finances and understand the financial implications behind an efficient delivery strategy;

We are looking for a highly motivated, detail oriented and flexible team player, for this varied and exciting role. In this role, you will provide finance, bookkeeping, and administration support to MD, processing and maintaining all financial records, data and payroll, helping us grow as an organisation while maintaining the smooth day-to-day running of the office.

Key Responsibilities:

Bookkeepers are responsible for several duties related to managing financial records these responsibilities may include:

· Processing payments, invoices, income and receipts and entering data into accounting software (QuickBooks online) or databases then filing hard copies

· Preparing financial statements showing organisation income and expenditure

· Paying vendor invoices and tracking bank account balances

· Completing VAT returns (if related)

Scope of the Job

The Finance Officer at Alfanar will play a crucial role in delivering an effective and efficient finance function across the organization's group structure. Reporting to the Head of Finance, the Finance Officer will be supporting various financial tasks, including budgeting, forecasting, financial reporting, cash and reserves management, accounting processes, and financial risk mitigation. The role requires a focus on continuous improvement, problem-solving, and development to ensure high-performance standards and exceptional finance services for Alfanar's teams.

Reports to: Head of Finance

Main Responsibilities

· Manage all receivables and payables following agreed processes and ensure timely payment.

· Prepare monthly payroll and set up salary payments

· Reconcile bank accounts on a monthly basis

· Producing Monthly Management Accounts with the help of the finance system and Excel templates.

· Review donor reports prepared by the country office for accuracy and cost allocation

· Claim gift aid on a regular basis

· Support organisation budget and proposal budget process.

· Support organisational audit process.

· Any other duties as agreed by the Head of Finance.

Financial accounting

· Be an integral part of ensuring effective and efficient financial control environment across Alfanar’s group structure

· Operate key financial controls including balance sheet schedules, intercompany and income reconciliations

· Support the continuing develop of effective financial management procedures, increasing automation and efficiency

· Ensure accurate and complete records for restricted funds

● Prepare financial information for the trustees annual report and liaise with the communications function on presentation

Financial management reporting and finance business partnering

● Support budgeting and reforecasting process led by Head of Finance. Ensure relevant team members receive guidance notes and documentation in relation to the budget and forecast processes and templates

● Manage the month end close procedure, including preparing journals to record the required accruals and fund transfers

● Prepare, review and analyse management accounts, seek variance explanations, prepare commentary and summaries based on budget holder responses, and ensure management understand any required actions.

● Continue to develop monthly management reports and budget Vs actual reports for budget holders.

● Work with the fundraising team to ensure that income data flows are documented, and finance and fundraising metrics are clearly defined and accurately calculated and reported

Tax, cash, risk and reserves management and group operations

● Working with the Head of Finance, manage, review and improve Alfanar’s (online) banking arrangements and relationships, across the group structure

● Prepare monthly cash flow forecasts and requirements and ensure appropriate cash management and transfers across the group structure.

● Should it be required, support with Alfanar’s registration for VAT, set up and operate the required changes to the accounting systems, and prepare and file VAT returns, including other entities within the VAT group

Qualifications & Experience

Essential

● Experience of supporting in accounting, payments, transaction processing, financial reporting, tax, and cash management with international operations ideally in a growing group.

● Experience of automating financial processes and developing  reporting functionality from accounting systems

● Knowledge and experience of using Xero or other cloud-based accounting software.

● Experience of providing financial management support/business partnering to managers/budget holders, who may not have a financial background.

● Qualified affiliate accountant or working towards a qualification (UK ACA, CIMA, ACCA ,AAT or equivalent)

● Knowledge of data protection legislation, risk management and other governance regulations including confidentiality.

You might know us for our group walks, thousands of which take place every week across England, Scotland and Wales.

But there’s a lot more to the Ramblers. Since 1935, we’ve been fighting for the public’s right to enjoy Britain’s landscapes. We do it through campaigning for changes in legislation, opening up green routes in cities, maintaining paths and signposts, saving lost paths … and so much more.

Purpose of Role

Reporting to the Head of Finance, the Senior Finance officer will lead on the day-to-day financial administration. They will provide a high standard of service in key financial and operational functions to include Accounts Payable, Accounts Receivable, Cash management and Banking.

Key responsibilities

• Oversight and maintenance of the purchasing system iDocuments including administrative role, setting up new users and ensuring workflows are configured correctly
• Matching invoices to purchase orders
• Reconciliation of supplier statements
• Preparation of BACS payment runs
• Liaison with colleagues and budget holders to ensure:

- Purchase Orders are raised in advance of spend being committed,

- Purchase Orders are correctly coded

- Invoices are correctly matched to POs

- Goods Receipts Notes are created promptly

• Collaborating with suppliers and colleagues to resolve queries, disputes, or outstanding invoices
• Ensuring supplier details are up-to-date, old details are removed and any change requests are checked in line with best practice
• Carrying out spot-checks on procurement documentation pre-audit
• Manage the filing, storage, archiving and security of documents meeting all Data Protection requirements and responsibilities

Month end tasks, including preparation and maintenance of:

• Aged Debtors reports, with detailed notes on overdue invoices
• Aged Creditors reports, with explanations about any outstanding invoices
• Deferred and accrued income balance sheet account reconciliations
• Accruals and prepayments schedules, to include posting month end journals
• Reconciliations between iDocuments purchasing system and SUNsystems finance system
• Income analysis and pipeline monitoring
• Ensure all Direct Debit payments and associated invoices are posted in the correct period and reviewed periodically
• Monthly credit card reconciliation
• Posting other month end journals as required

Ad-hoc finance team tasks:

• Support to annual audit process.
• Finance inductions for new staff members.
• Credit card administration

Quarterly tasks:

• Preparation of gift aid claim to HMRC

Impact

• Impact: This role is a key player in the finance team and will be crucial in ensuring the Ramblers’ finances are run professionally and efficiently, and our budget holders are well-supported to help them to manage the budgets for their areas.

The Person

Qualification

• AAT Level 4 or CIMA/ACCA part-qualified (minimum)
• GCSE English and Mathematics or equivalent.

Knowledge, Skills and Experience

Knowledge: This section specifies the theoretical understanding or specific expertise needed for the role. 

• Knowledge of and experience in Accounts Payable, including making BACS payments
• Extensive experience of working within an Accounts Department preferably in the non-profit sector
• An understanding of basic book-keeping
• Solid working knowledge of Excel is essential

• Salary Range: The role has a defined salary range from £31,760 (the minimum salary) to £47,640 (the maximum salary).
• Initial Salary Offer: The initial salary offer will be at the bottom of the range or possibly up to 10% above the base salary, depending on the candidate's skills and experience.

This approach is designed to ensure that new hires are compensated fairly but within the structured pay range for the role.
