As Vet Admin Assistant, you’ll
- be the first point of contact those contacting our busy Vet team,
- assist with the daily monitoring of a number of inboxes, providing clients with excellent customer service,
- support with the administration of our emergency fund, which supports dog owners in financial need and provide cover in our busy pharmacy, based at our London office
- support with the processing of prescriptions, maintain accurate records and organise relationship building meetings with vet practices for a number of stakeholders to attend.

The Veterinary department is a friendly team of nurses, surgeons and administrative staff working in the London office. Due to the rapid expansion of Day One Trauma Support over the last three years, the charity’s infrastructure has needed to respond quickly to meet its changing demands. The HR Officer and Executive Assistant role is a newly created position to reflect both the growing HR needs of the charity as the workforce expands, and the executive support required by the CEO and Senior Leadership Team (SLT) to ensure the efficient and effective running of the charity. About you:
You will have at least 3 years’ experience of delivering HR support directly and facilitating line managers to deliver HR support. You will have a demonstrable understanding of employment law and the practical application of this, with experience of implementing HR administration and operational best practice for example, in the areas of recruitment, capability and performance management. You will help lead in creating an atmosphere of trust and an enabling environment where staff can contribute their best and develop their potential, which is critical for Day One as a young organisation.
You will have significant experience of providing proactive and responsive administrative assistance to senior staff and demonstrable experience of developing and managing effective administrative systems. Additionally, the ability to build and maintain trusted relationships through professional engagement and communication skills, both written and spoken, that are effective, empathetic and adaptable to different situations are key to this role.

Our Legal Practice Unit provides advice and representation primarily under legal aid contract. About the role
This role will provide financial and operational leadership and management for CCLC particularly focussed on the Legal Practice Unit and the Migrant Children’s Project but with support for the Child Law Advice Service and Coram International where required. Managing a small finance team, the role will hold primary responsibility for core financial functions within CCLC including legal aid billing and management and tracking of grant and other charitable funding. Through systematic and efficient financial management, the post holder will play a pivotal role in CCLC’s financial sustainability. The role will act as a key point of contact with Coram’s central finance team and a range of internal and external stakeholders on financial matters.
The role will also oversee the smooth running of the London and Colchester offices through line management of operations and administrative staff.
The role would suit a high organised and efficient business support professional with experience of financial management within the legal or charity sector. In particular, candidates with experience of legal billing and more specifically, civil legal aid billing, would be welcomed.
This is a largely office-based role in order to fully provide support to the finance and operations team. However, some remote / hybrid working may be possible depending the experience of the candidate after the initial settling in period (to be negotiated with the successful candidate).The finance team are split between the London and Colchester offices and the post holder should expect some travel to both locations. The large majority of the legal and policy team are based in London and as such regular (at least twice weekly) presence in our London office will be expected. The Assistant Archivist will join the Paul Mellon Centre (PMC) at a time of consolidation: formally established just over ten years ago with much of the essential groundwork laid, the archive is now a thriving repository with offers, acquisitions and reader engagement growing at a rapid pace. This position is situated within a small team of five information professionals who work closely together to embed professional best practice and deliver a high standard of service to internal and external audiences.
Who We Need
We are looking for someone who will support the Archivist, Records and Data Protection Manager to successfully manage the demands of a busy and growing repository.
You will assist with the everyday work of a small specialist archive including, in particular, reducing the cataloguing backlog and helping ensure that all archive collections held at PMC have been appraised, catalogued and are accessible to interested audiences. You will help assess offers and liaise with donors regarding the acquisition of new material. You will assist with the promotion of the archive collections, supporting the Centre’s commitment to audience reach and fulfilment. You will have specific responsibility for overseeing the day-to-day operations of the Public Study Room and copying service. You will work to embed best practice across all areas with a view to securing Archive Accreditation.
This role would suit an experienced professional who embraces all aspects of core archival work, thrives on juggling competing demands but also relishes seeing projects through to completion. It requires someone who enjoys thinking creatively about the collections in their care, gains satisfaction from embedding best practice and who possesses attention to detail, enthusiasm and excellent communication skills.

The PMC is an educational charity that champions new ways of understanding British art history and culture. We publish, teach and carry out research, both in London at the Centre and through our online platforms. Our archives, library and lively events programme are open to researchers, students and the public. Through all areas of our work, we promote activities that enhance and expand knowledge about British art. About the role
Smart Works are looking to appoint an exceptional Finance Manager to join our finance team at a time of significant growth for the organisation. Working closely with the existing finance team of four, the Finance Manager will play a crucial role in safeguarding the financial health of Smart Works Charity and its network of eleven centres across the UK.
The Finance Manager will ensure financial systems and processes are followed, financial tasks are completed before deadlines and key stakeholders receive the financial information they need to make sound decisions.
An important part of the role is to build excellent working relationships with non-financial employees working across Smart Works, so that information needed by the finance team is obtained in a timely fashion. The successful candidate will also identify opportunities for process improvements and automation.

Duties and responsibilities
- Comply with all financial systems and control processes for Smart Works.
- Support the Director in completing submissions, filings and returns completed in a timely manner. This includes supporting the successful completion of the annual audit and production of statutory accounts.
- Produce monthly income and expenditure reports, balance sheets, management accounts and the production of financial board papers for Smart Works Charity and each local centre.
- Supporting the Director in ensuring all members of staff are paid correctly and on-time.
- Deliver improvements to financial systems to drive efficiencies across the finance function.
- Establish and maintain a strong and productive relationship with local treasurers and other relevant stakeholders, acting as the ‘go to’ for day-to-day financial queries.

About the role
The London Library is looking for an Acquisitions and Discovery Assistant to assist in the acquisition and management of Library E-resources and print resources.
The role includes supporting the successful acquisition and seamless delivery of electronic resources to library users, utilising and maintaining relevant library systems and records; assisting purchasing decisions and supporting licensing, ordering and payment processes; verifying access, liaising with suppliers & Library IT, and ensuring correct metadata is presented to users; plus monitoring resource use and collecting data for the evaluation of subscriptions. There is the opportunity to support membership and services, including giving tours to prospective members.
In addition to assisting with the administration of E-books, the role requires processes associated with the management of the print journal collection, including serials and donated materials, such as checking in new issues and ensuring publications are shelved correctly, applying stamps, recording invoices, recording changes in publishers' information and preparing completed volumes of serial parts for binding and checking.

Purpose of the Post
This role will support the smooth running of all Lewisham Foodbank operations by providing effective and supportive communications to those who contact the main Foodbank phone line and inbox. The postholder will be based at the New Hope Centre office (353H Bromley Road, SE6 2RP) and will respond to enquiries in a timely manner with relevant information, or direct them to the relevant staff member. The candidate must have excellent interpersonal skills and will communicate well with other team members, clients and external organisations to troubleshoot when challenges arise, sometimes being required to provide information and support to people facing complex and distressing situations. The postholder will liaise and work closely with the rest of the team to ensure safeguarding procedures are followed and communication is in line with our policies and values.
Lewisham Foodbank works on a referral system and works with over 500 local organisations who refer people to our services. The postholder will be responsible for setting up new referral agencies on our system and sending out onboarding information and regular updates to these partners. They will also have responsibility for checking requests for home deliveries and coordinating the preparation and administration of these with a small group of delivery volunteers. This may occasionally require phoning clients and packing deliveries themselves if a volunteer has not been able to attend.
Main Duties & Responsibilities
● Respond promptly to enquiries on the main food bank phone and inbox from visitors, referrals organisations, donors and others.
● Either reply to enquiries or forward to the relevant member of staff.
● Sort emails into relevant folders and update records, when necessary, on the data collection system.
● Assess requests for deliveries and co-ordinate with delivery volunteer teams to prepare and deliver to a small group of clients’ homes.
● Liaise with referral agencies when more information or communication about deliveries is required.

You will provide support to our Cost-of-Living Crisis Clinic Consultant to co-ordinate the efficient service delivery of our busy Cost-of-Living Crisis Clinics, used by clients who need assistance to make successful applications for: welfare benefits; social housing; lower utility and broadband tariffs; and crisis and general grants.
