Cast from Clay is growing and so we are looking for a part-time Finance Assistant to join our team. We’re not looking for someone who’s going to hide in the back office. You should have an interest in the work that we do and want to be a part of it.

Cast from Clay is a communications consultancy for those who work on policy change. Most good ideas in the world of policy never make it to the desk of a decision-maker. That’s where we come in.

The Role

Role type: Part-time

Schedule: 2 days per week

Salary: £30,000  full time equivalent

Location: Hybrid (we’re based in Vauxhall, London; you should plan to be there at least every other Thursday)

Start date: As soon as possible

Reporting to the Commercial Director, you'll be looking after:

• Book-keeping: Posting purchase invoices, keeping track of payments and receipts, making sure costs are allocated correctly and keeping our financial records up to date and squeaky clean.
• VAT: Preparing & submitting our quarterly VAT returns accurately and on time.
• Invoicing & credit control: You’ll take charge of the monthly invoicing process, gathering information from contracts, timesheets and project software to prepare accurate invoices for our clients and encourage them to pay on time. You’ll make sure what we bill reflects the work we’ve actually delivered.
• Payments & payroll: You’ll prepare a weekly payment schedule, making sure our valued freelancers get paid on time and keeping an eye on cashflow. You’ll also bring our monthly payroll preparation and reporting in-house (currently outsourced).
• Reporting & forecasting: You’ll be working closely with the Commercial Director and the Head of Strategy to ensure we’re on track with monthly targets, monitor financial trends, and flag risks or opportunities early - keeping our cash flow, accounts, and forecasts accurate and up to date.

• expert at using Xero  - and preferably familiar with Dext & Stripe too

• financially qualified (minimum AAT Level 3 or equivalent)

• able to work flexibly to accommodate ebbs and flows of work during the month

What we offer

Salary. £30,000  (FTE, pro-rata)

Part-time and flexible hours. Adding up to 2 days per week

Hybrid setup. We work from our offices in Vauxhall on Tuesdays and Thursdays; we’ll want to see you there for a full day at least once a fortnight on a Thursday but otherwise, you can work when and where you choose.

Trauma Recovery CIC’s Administrative Assistant is central to the organisation. The person in this role supports the
people accessing our services, the client facing team to provide the services, and the leadership team to ensure

who use the service and the professionals supporting them.

Job Purpose:

The Director Executive Assistant supports far beyond administrative coordination - they act as a strategic partner, anticipating needs, streamlining decision making, and ensuring the Executive and or Director’s time is focused on the highest impact priorities.

The Role

We are seeking a highly efficient and detail oriented administrative professional to support a dynamic organisation. Our London office – covering the United Kingdom and the Republic of Ireland – is looking to recruit a Project Assistant & Office Manager to support our programme activities and the day-to-day operations of the office.

Our annual programme includes panel discussions, workshops, and international conferences with partners from politics, academia, business, and the media.

The successful candidate will be responsible for the organisational coordination and smooth running of the London office, while supporting the delivery of our programme activities.

Key Responsibilities

· Assist in planning and implementing events and projects

· Organise event logistics, including venues, travel, and accommodation

· Use the internal project management system for project and financial administration (training provided)

· Liaise with headquarters in Berlin and local contractors/service providers

· Manage day-to-day office operations and general administration

· Assist with diary management, meeting organisation, and internal coordination

The Role

What will I be doing?

You’ll be responsible for a broad range of high‑level Executive Office support activities, including:

• Preparing, coordinating and servicing senior leadership meetings, including drafting clear agendas, collating accurate papers, taking high‑quality minutes and tracking actions with a strong attention to detail.
• Providing high‑quality executive and administrative support to the CEO Office, including complex diary and inbox management, and the drafting, handling and dispatch of correspondence on behalf of the Group CEO with excellent written accuracy and judgment.
• Supporting effective planning, briefing and preparation to ensure the Group CEO is fully equipped for internal and external engagements, with well‑structured briefings and precise, timely documentation.

Projects you may work on include:

• Coordinating national and international travel programmes for the Group CEO, President and senior trustees, producing accurate itineraries and paperwork to ensure effective use of time and seamless stakeholder engagement.
• Supporting the delivery of high‑profile Institute events involving the Group CEO, Executive Team and senior stakeholders, with a strong focus on detail, logistics and written briefings.
• Undertaking short‑term project work and research for the Executive Team, analysing and summarising information clearly and producing briefings, reports or presentations as required.

Who will I work with?

You’ll work closely with a wide range of colleagues and stakeholders, including:

• The CEO Office Operations Manager and Executive Assistant to the Group CEO and President, working collaboratively to ensure the smooth, accurate and professional running of the Executive Office.
• Executive Directors, senior trustees and members of the Leadership Team across the Institute and its subsidiary companies, including IOP Publishing.
• Senior internal and external stakeholders, including equivalent CEO offices in partner organisations, government and learned societies, requiring clear, professional written communication and attention to detail.

Ideally, we hope you’ll apply if you bring:

Essential:

• Proven experience providing high‑level PA or Executive Assistant support in a fast‑paced, complex environment, including diary management, meeting support and high‑quality minute‑taking.
• Excellent written communication skills, with the ability to draft clear, accurate and professional correspondence, briefings and minutes, alongside a consistently high level of attention to detail.
• Strong organisational and prioritisation skills, with the judgment and discretion to handle confidential and sensitive information.
• Advanced IT skills, including confident use of Microsoft 365 applications (Outlook, Word, PowerPoint and Excel).

Nice to have:

• Experience supporting senior executives or boards within a charity, professional body, membership organisation or similarly complex environment.
• Experience using CRM systems and maintaining accurate electronic records and contact databases.
• A professional qualification as an Executive Assistant or Personal Assistant (or working towards one).

How will I be working?

We operate a flexible, trust based working model that gives colleagues autonomy over how, when and where they work, while recognising the value of in person collaboration. You will be assigned a base office, with hybrid working offered as standard. This role does however involve regular visits to our head office based on business needs. 

You will engage in regular in person collaboration with your team (as operational appropriate), as well as with colleagues across the wider organisation, to ensure effective operational alignment and to support our inclusive approach to working.

As an organization we meet in person once a quarter at our Head Office in Kings Cross, London.

Summary

We have an opportunity for a Marketing Specialist Apprentice to support the Central Quadrant of Harris secondary academies, helping to identify, attract and engage our communities.

Working with the Assistant Director and Principals from the Quadrant, you will have the opportunity to support with our Academy marketing strategies, including social media channels, newsletters, events and create graphic designs, images and videos for both organic and paid campaigns. You will also work with the Federation Talent Attraction Partner.

This is an apprentice role with a fixed-term duration of 18 months. Your learning will be supported by the completion of the Multi-Channel Marketer Level 3 apprenticeship programme.

The Central Quadrant academies are based in Southwark, Lambeth, Wandsworth, Croydon and Bromley and the successful candidate will be part of the academy team. We can be flexible on your base academy within the Central Quadrant.

Main Areas of Responsibility

Your responsibilities will include:

• Developing and implementing marketing and communications strategies, primarily focussing on student and staff recruitment and improving brand awareness
• Designing and generating mixed media content for use on academy websites and relevant social media to increase brand awareness and drive engagement
• Managing day-to-day social media posting and platforms
• Helping to develop compelling campaigns that resonate with our target audiences
• Ensuring brand consistency across all communications and external media
• Writing, editing, proofreading and publishing press releases and academy newsletters
• Monitoring and adjusting campaigns to meet budget and performance objectives
