Objective: The programme assistant provides individualised support to Fellows and facilitates placements/extensions.

Organisational Background

The Council for At-Risk Academics is a UK-registered charity founded in 1933 under the leadership of William Beveridge, to rescue academics suffering persecution under the rise of Nazism and facilitate their continued work in safety. Sixteen Cara Fellows from the 1930s and 1940s became Nobel Laureates, and many more innovators in their fields, including, Nikolaus Pevsner, Lise Meitner and Karl Popper. A number of Cara’s founders and Council members also personally provided places and/or funds to help individual academics; and Cara, known in the 1930s as the AAC, later the SPSL, was closely involved in the successful effort in 1933 to bring to London the Warburg Institute art library, which had been prohibited by the Nazis, and six of its staff. The Fellowship Programme is the continuation of the rescue mission operation started in 1933.

Cara has been a lifeline to academics at risk for just over 90 years, as and when world events have placed them in the line of fire: Hungarian Uprising, Cold War, Apartheid South Africa, Iran, Latin American Juntas, Vietnam, Kosovo, DRC, Rwanda, Sudan, Zimbabwe etc. and, more recently Iraq, Turkey, Yemen, Palestine, Syria, Afghanistan and Ukraine. Cara support is typically framed as temporary sanctuary offered at times of heightened risk.

Cara Objectives ‘To assist academics who have been, or are, or are at risk of being, subject to discrimination, persecution, suffering or violence on account of race, religion, nationality, membership of a particular social group, or political opinion, to relieve needs among them and their dependants and ensure that their specialist knowledge and abilities can continue to be used for the benefit of the public.’

‘To advance education by supporting academics and their educational institutions in countries where their continuing work is at risk or compromised, to ensure that such academics and institutions can continue to fulfil their critical role as educators for the public benefit.’

This is a critical time to join our dedicated and friendly Fellowship Programme team as we expand our capacity to support at-risk academics from the Middle East, Myanmar, Afghanistan, Ukraine and Russia and many other countries.

Fellowship Programme Officer Role & Responsibilities

Casework

- Provide support for a caseload of at-risk academics (Cara Fellows) carrying out research placements at UK or international universities

- Assess Fellows’ suitability for academic placements/extensions

- Assess, arrange or signpost additional support for Fellows

- Develop relationships with universities and other partner organisations

- Secure fee waivers, bursaries & in-kind support from universities, research institutes and other funding bodies.

- Provide logistical support for visa processes, travel, etc.

- Write and send official documents to Fellows

- Request relevant invoices and produce documentation needed to make payments

- Attend weekly case meetings with the team

Administration

- Provide support to the drafting of reports to funders

- Present and collect data

- Ensure Fellows have submitted their quarterly reports

- Ensure safekeeping of confidential information

- Maintain excellent detailed records of correspondence, documents, and activities

Managerial Support

- Contributing to Fellowship Programme policy changes and decision-making

- Provide advice and guidance to colleagues

Responsibilities also include related activities that might arise in relation to the Fellowship Programme

as required by the Executive Director or Deputy Director/Fellowship Programme Manager.

• Assist in organising event logistics for virtual member working groups on various topics (due diligence, claims, deforestation regulation) including tech support with platforms such as Zoom and MS Teams

ROLE PURPOSE

As our Executive Assistant (Maternity Cover, 0.8 FTE, Fixed term for 12 months), you will play a crucial role in developing and supporting our charity and strengthening our administration and governance. You will be providing flexible assistance primarily to our CEO, in the planning and delivery of their workload. You will also provide administrative support to the Senior Leadership Team, Trustee Board and other structured groups which shape the charity’s strategy and activities, for example our Clinical Advisory Group.  As such, you will have the opportunity to work with the entire Student Minds team and a variety of stakeholders across the health and higher education sectors.

Key responsibilities:

Chief Executive Officer assistance

• Email and calendar management: helping to prioritise demands, responding to correspondence on behalf of the CEO and following up with contacts post-meetings.
• Arrange meetings and itineraries and coordinate travel as required.
• Stakeholder management support: utilising CRM to maintain updated databases for organisational contacts; support with the completion of contracts and registering purchase orders with suppliers,where the CEO is the lead contact.

Meeting management

• Plan and coordinate relevant meetings to ensure they are purposeful and relevant. These will include Board meetings, Senior Leadership Team Meetings, Leadership Group meetings and any other general committee meetings.
• Provide logistical and administrative support for all meetings, arranging suitable meeting premises or software, preparing and circulating agendas and meeting papers in consultation with the relevant participants (e.g. Chair of the Board, CEO and Senior Leadership Team).
• Coordinate catering requirements and liaise with the finance team to make purchases.
• Take high-quality and accurate meeting minutes and circulate them for appropriate approval and sign-off.
• Ensure prompt follow-up with agreed action points and follow through with ongoing delivery of commitments.

Governance support

• Provide administrative support where applicable to meet the charity’s requirements with
• Companies House and the Charity Commission.
• Support with Trustee recruitment, induction and training.
• Support the charity’s continuous improvement and compliance using tools such as the Governance
• Code.

Senior Leadership Team coordination

• Support with coordinating multi-stakeholder meetings, and liaising with internal and external stakeholders.
• Support members of the Senior Leadership Team or their guests with the use of our core systems and software (Google Workspace, Google Meet, Slack, Mural, Zoom).
• Process any travel expenses for the Senior Leadership Team.
• Manage charity records: provide historical reference by supporting procedures for the retention and disposal of records.
• Welcome guests and provide tours of facilities or support guests to use online meeting software where required.

Other duties

• Such other duties as may be reasonably prescribed by the organisation, appropriate to the grade and responsibilities of this post.

Chapter One is a small but growing charity with a vision of a world in which all children have the literacy skills needed to thrive. Our mission is to close the reading gap by providing children with one-to-one support at the time they need it most. We work in eleven areas/regions of the UK and will support 3,300 children in 2024-25.

Our unique Online Reading Volunteer programme pairs disadvantaged, struggling five to eight-year old (KS1) readers with reading support volunteers who are working professionals. The volunteer ask is very focused: readers commit 30 minutes a week to read with a child using a bespoke digital platform for an entire academic year. The results are transformative, boosting children's reading confidence and ability.

This role is an exciting opportunity for someone to contribute to the work of our fast-growing charity. You will work as part of the Chapter One Support Team, ensuring that volunteers have everything that they need to make a success of their reading sessions with pupils. You will be the first point of contact for our volunteers, so excellent customer service skills and a genuine interest in helping others is essential.

Reporting to the Performance and Data Manager, you will work for 25-30 hours a week (Monday to Friday) and will need to be available for an 09:30 am start each morning. You will work remotely and will need to have access to a reliable internet connection.

The Role:

This role will cover a wider area of executive support including governance, meeting management, senior leadership team support, managing on-line gatherings, travel management, diary management, correspondence management and relationship management.

The post-holder will be key in supporting the WWP in this, and also, with both WWP and CEO, in mapping out the key events and activities over a 6 year cycle, so that there is a clear structure for the new WWP (and ultimately successor to CEO ) to come into and work with. They will also assist the CEO in “standard agenda planning” for the board, for example, the induction of the new Board in early 2025.

Whilst the role is for 3 days per week, ideally this would be flexible, with the individual working more days at certain times (for example during the Board week) and less at quieter times.

MU is a small team, (about 25) and there is an expectation that all will show flexibility in helping out on areas not explicit in their role descriptions, when time and their expertise and ongoing workload allow

Who we are looking for

The ideal candidate should be proficient in handling the Microsoft suite, zoom, familiarity with handling databases and finance systems. They should be confident in taking minutes in board meetings, experienced in acting as a project manager, able to use a project tool to facilitate planning of schedules for SLT, Board and committees throughout the year, and possess excellent relationship skills, confident to liaise with board members and provincial presidents from around the Globe.

Work Location

This role will be based at our Head Office in central London. Mothers’ Union operates a hybrid working model. Staff are required to work an aggregate minimum of 90 days per calendar year (pro rata for part timers) at our Head Office, Mary Sumner House in central London. Tuesdays are our anchor days where every staff member is expected to be at the office. The 90 days includes anchor Tuesdays.

The Assistant Archivist will join the Paul Mellon Centre (PMC) at a time of consolidation: formally established just over ten years ago with much of the essential groundwork laid, the archive is now a thriving repository with offers, acquisitions and reader engagement growing at a rapid pace. This position is situated within a small team of five information professionals who work closely together to embed professional best practice and deliver a high standard of service to internal and external audiences.

Who We Need

We are looking for someone who will support the Archivist, Records and Data Protection Manager to successfully manage the demands of a busy and growing repository.

You will assist with the everyday work of a small specialist archive including, in particular, reducing the cataloguing backlog and helping ensure that all archive collections held at PMC have been appraised, catalogued and are accessible to interested audiences. You will help assess offers and liaise with donors regarding the acquisition of new material. You will assist with the promotion of the archive collections, supporting the Centre’s commitment to audience reach and fulfilment. You will have specific responsibility for overseeing the day-to-day operations of the Public Study Room and copying service. You will work to embed best practice across all areas with a view to securing Archive Accreditation.

This role would suit an experienced professional who embraces all aspects of core archival work, thrives on juggling competing demands but also relishes seeing projects through to completion. The PMC is an educational charity that champions new ways of understanding British art history and culture. We publish, teach and carry out research, both in London at the Centre and through our online platforms. Our archives, library and lively events programme are open to researchers, students and the public. Salary will be in the range of £35,000 to £40,000 per annum depending on experience.

Organisational Background

The Council for At-Risk Academics is a UK-registered charity founded in 1933 under the leadership of William Beveridge, to rescue academics suffering persecution under the rise of Nazism and facilitate their continued work in safety. Sixteen Cara Fellows from the 1930s and 1940s became Nobel Laureates, and many more innovators in their fields, including, Nikolaus Pevsner, Lise Meitner and Karl Popper. A number of Cara’s founders and Council members also personally provided places and/or funds to help individual academics; and Cara, known in the 1930s as the AAC, later the SPSL, was closely involved in the successful effort in 1933 to bring to London the Warburg Institute art library, which had been prohibited by the Nazis, and six of its staff. The Fellowship Programme is the continuation of the rescue mission operation started in 1933.

Cara has been a lifeline to academics at risk for just over 90 years, as and when world events have placed them in the line of fire: Hungarian Uprising, Cold War, Apartheid South Africa, Iran, Latin American Juntas, Vietnam, Kosovo, DRC, Rwanda, Sudan, Zimbabwe etc. and, more recently Iraq, Turkey, Yemen, Palestine, Syria, Afghanistan and Ukraine. Cara support is typically framed as temporary sanctuary offered at times of heightened risk.

Cara Objectives ‘To assist academics who have been, or are, or are at risk of being, subject to discrimination, persecution, suffering or violence on account of race, religion, nationality, membership of a particular social group, or political opinion, to relieve needs among them and their dependants and ensure that their specialist knowledge and abilities can continue to be used for the benefit of the public.’

Part-time Fellowship Programme Assistant Role & Responsibilities

· Produce a weekly list of payments.

· Produce financial paperwork.

· Schedule Fellows’ placement disbursements on SalesForce (SF) – those having simple funding allocations and support the schedule of more complex funding requests when needed.

· Update disbursement details once paid on a weekly basis.

· Input payments made via our Pleo card to SF and link allocations.

· Update details for new grant requests (funding request status, disbursement details, and relevant allocations) and ongoing requests when needed.

· Support management of Fellowship-related grants (English, hardship, mentoring, small grants).

· Create payments and allocations for opportunities on SF once an award letter has been issued.

· Track invoice status and notify colleagues to initiate the invoicing process.
