Job Title: Executive Assistant to DCEO
Reports To: Deputy Chief Executive Officer

Job Purpose
The Executive Assistant will provide operational, strategic and analytical support to the DCEO. This role goes beyond traditional executive assistance and will involve planning, research, project coordination and organisational reporting. The post holder will play a key role in preparing executive insights, analysing departmental reports, and ensuring effective follow-up on strategic priorities. This role requires strong analytical thinking, communication skills and high proficiency in digital tools and technology.
Key Responsibilities
Executive Support
- Manage the DCEO’s calendar, schedule and priority workflow to ensure effective time management
- Coordinate internal and external meetings, prepare agendas and produce accurate minutes and action trackers
- Draft and manage professional correspondence on behalf of the DCEO
- Prepare briefing notes for senior meetings, visits and events
- Organise travel arrangements, itineraries and supporting documentation when required
Strategic Analysis and Insight
- Analyse reports from SMT meetings and departments to produce executive summaries and insights
- Support strategic planning
- Develop briefing papers and analysis to support decision making
Research and Reporting
- Conduct research on sector trends, funding models, charity regulations and strategic opportunities
- Produce clear reports and presentations to support board and SMT meetings
Project Coordination
- Follow up on actions from DCEO and SMT meetings to ensure timely delivery
- Coordinate departmental plans and track progress against milestones
Technology and Digital Support
- Use Microsoft 365 and other AI tools for reporting, planning and communication
- Maintain structured digital documentation and record keeping
- Introduce automation or digital improvements to enhance productivity in the DCEO’s office
Qualifications and Experience
Essential

- Degree level or equivalent preferred in STEM (Science, Technology, Engineering, Mathematics) subjects.
- The candidate must have a minimum of 3 years’ experience in a similar role as a Personal Assistant or Executive Assistant, ideally supporting senior management.
- Strong analytical skills with experience in preparing professional reports and executive briefings.
- Excellent written and verbal communication skills.
- Ability to research, interpret and present information clearly and concisely
- High level of IT competence
- Strong planning and organisational skills with attention to detail.

The Role
We are currently looking for a Van Driver and Donation Centre Assistant to join our Retail, Services and Operations team.
Reporting to the Warehouse Operations Manager, you will be part of the team responsible for ensuring the efficient running of the donation centre and warehouse. The primary focus of this role is to deliver stock to our retail shops across Yorkshire in a timely manner. However, at busy times you will also be required to assist with sorting and selecting of stock, collecting and accepting donations at the centre or from donors, assisting with general maintenance tasks and supporting with the removal of general waste through the appropriate channels whilst working in compliance with all relevant Health and Safety legislation and our Driving for Work policy.
Specifically, you will:
· Carry out deliveries of donated stock to shops ensuring that the shops receive the stock that they have requested from the Donation Centre.
· Complete collections of furniture and goods across Yorkshire, including the disposal of waste materials, as directed.
· Be responsible for day-to-day vehicle maintenance, including completion of the weekly vehicle maintenance checklist and daily visual checks.
· Ensure charity vehicles are left secure, clean and presentable at the end of the day and ensure any vehicle defects and damage promptly are reported in accordance with charity procedures.
· Be an ambassador for the charity whilst driving branded vehicles, ensuring that you drive carefully and mindfully of other road users.
· Seek opportunities to actively engage with visitors to enhance their visit and further promote the profile of the charity.
· Be responsible for assessing the quality of goods collected, including furniture which will include declining donations that are unsuitable for sale and may contravene the Sales of Goods Act 1979.
· Take pride in the centre's presentation, seeing everything through the eyes of the visitor and addressing anything that would not meet a visitor's expectations.
· Complete PAT testing of electrical donations to ensure that they are safe for us to sell (full training will be provided.)
· In the absence of the Donation Centre Managers, monitor the Donation Centre email inbox daily for Stock Requests from shops and ensure that the Donation Centre team have prepared the stock in line with the weekly delivery schedule.
· Assist with basic maintenance tasks at all sites, including:
o Minor repairs to fixtures and fittings
o Basic grounds/exterior maintenance
o Painting & decorating
About You
To be considered for this role, you will need:
· To be ideally educated to at least GCSE standard or equivalent, including Maths and English.
· To have the ability and willingness to travel across the Yorkshire region.
· To have a full UK driving license with less than 6 penalty points.

We are looking for sessional farm assistants who will support the Farm Lead in delivering the vision for the farm by supporting the delivery of the farm’s variety of activities, including:
· To deliver youth activities on the farm, supporting young people to help care for the animals

As our Facilities Assistant, you will provide day-to-day in person support at our London Office in Stockwell.
You will ensure an efficient, effective and customer-focused facilities management and Health and Safety service. The Role:
To provide high-quality administrative, coordination, and communication support across the charity. Main Duties
Executive and Administrative Support

Fundraising and Data Administration
- Process and acknowledge donations, ensuring accurate records on the CRM.

Workshops and School Liaison
- Liaise with schools to coordinate logistics and materials for workshops.

- Coordinate logistics for internal and external events, including venue booking, catering, and invitations.

The Candidate

Working towards a recognised accountancy qualification AAT qualified, ACCA, CIMA entry level;

Typically, Bachelors Degree in finance, Accounting Accounting.

In this role, you’ll play a key part in ensuring exceptional care for both pets and clients while making well-connected, efficient decisions that prioritise pet welfare. As the leader of our home-based pet operations, you’ll oversee the smooth running of daily activities, acting as the subject matter expert in practical animal handling and assessment. Your goal will be to prepare pets for adoption as quickly and effectively as possible. You’ll work closely with your team to ensure timely pet assessments, behaviour management, and training, while providing full support to foster carers.
You’ll also be responsible for achieving pet-related targets, ensuring your team of Pet Welfare Assistants and Foster Co-Ordinator's maintains the highest standards of animal care and adheres to national processes in case management. Since we don’t have cattery or kennel facilities, innovation and teamwork are essential to address the most urgent cases effectively.

The JOB:

MAIN PURPOSE AND SCOPE OF THE JOB:
To provide first line support to the Fundraising Team across a wide range of projects and activities. You will be the first point of contact for all fundraising enquiries, you will play an essential role in making supporters feel welcomed and valued, ensuring their interaction with the charity results in a positive experience every time.

Responsibilities:
Donor Stewardship & Communications
- Ensure timely and personalised acknowledgements (thank you letters and certificates) are sent to donors.
- Review and improve the thank and stewardship programme to enhance donor satisfaction and retention, sharing best practice across the team.
Supporter Engagement & Enquiries
- Co-ordinate incoming fundraising enquiries and fulfil or allocate them to the appropriate team members, ensuring prompt and professional responses and exceptional customer service.
- Provide direct responses to supporter enquiries where appropriate, maintaining a high standard of communication and service.
- Represent and promote the charity at internal and external events, acting as an ambassador to engage new and existing supporters.

- Accurately record all supporter interactions and correspondence on the Harlequin CRM database, in line with data protection regulations.
Regular Giving Programme
- Support fulfilment and progress updates related to the Sponsor a Puppy programme.
