About the role

Your key purpose will be to provide high‑level executive and governance support to the CEO, the Directors Team and the Board of Trustees, ensuring they are organised, informed and enabled to perform at their best.

In this pivotal role, you will manage the CEO’s diary and communications, prepare and coordinate key documentation, oversee governance administration, and ensure board and committee meetings run smoothly. You will also act as a key point of contact for Trustees, supporting recruitment, compliance checks, mandatory training, and the distribution of board papers.

You will play a crucial part in keeping the organisation running efficiently by maintaining effective systems, coordinating meetings and minutes, monitoring policy reviews, and assisting with internal and external communications on behalf of the CEO.

About you

This role requires experience in providing high-level executive or PA support within a complex organisation, including managing demanding diaries, handling confidential correspondence, and preparing high-quality papers and minutes. Experience supporting governance, boards or committees would be highly advantageous.

You will also be able to organise and prioritise a varied workload, work independently with minimal supervision, and exercise sound judgement when escalating issues or acting on behalf of the CEO when delegated. You will be an excellent communicator, capable of building effective working relationships with senior leaders, Trustees, staff, and external partners.

You will demonstrate exceptional attention to detail, strong IT skills, and a commitment to maintaining professional standards, confidentiality, and accuracy in all aspects of your work.

Our Facilities team works hard to ensure that every guest visiting Woodrow has a safe and memorable visit. You will be working alongside the wider team to maintain all buildings, including our Grade II listed Manor House and Leisure Centre, and the outside grounds and activity areas, to ensure the site is welcoming, tidy and safe for all. You will assist the Facilities Manager in ensuring we remain compliant with relevant Health & Safety legislation; and will be involved in various duties that contribute to the wider success of the Centre and London Youth. 

What you will be doing 

The Facilities Assistant provides logistical and maintenance support for the Woodrow estate and holds the following core responsibilities. This is not intended as an exhaustive list, and the job may change over time to reflect the changing needs of our centre, as well as the personal development needs of the post holder. 

Grounds upkeep: 

• General upkeep of the 26-acre estate grounds e.g. pruning, mowing, planting, tidying gardens. 
• Keeping grounds, paths and hard surfaces safe and free of ice, snow, leaves, weeds, etc. 
• Maintaining the 3G astro pitch, cycle circuit and outdoor activity areas.

Building maintenance: 

• Undertake day-to-day minor repairs, e.g. patching, painting, leaky taps, hinges, caulking, etc. 
• Undertake cyclical / seasonal jobs e.g. clearing gutters, drains, drain gratings, etc. 
• Support with biomass boiler maintenance and receive woodchip deliveries. 
• Support with basic utilities issues as they arise, e.g. heating, plumbing, electrical, etc. 

Health and safety: 

• Undertake routine safety/compliance checks of all facilities including, among other things, legionella temperature aduits, emergency equipment inspections and tests, etc. 
• Support the FM with risk assessments and work procedures relevant to the role. 
• Maintain accurate records of all work carried out using systems in place for auditing. 

General duties: 

• Basic joinery, carpentry and build projects done in house, under direction of the FM. 
• Supervise outside contractors to ensure all jobs are carried out to agreed standards. 
• Supervise corporate volunteer groups who support us with gardening or build projects. 
• Support with setup and occasional on-the-day attendance at various events. 
• Undertake other duties as reasonably requested by London Youth's management that ensure the ongoing success of the charity and delivery of excellent customer experiences. 

What you bring to the role 

Experience, Knowledge & Skills 

We do not expect candidates to have expertise in all areas, but at a minimum experience of minor buildings repairs and maintenance and groundskeeping work is essential to this role. Training will be provided to address some gaps where necessary and relevant. 

• Experience with grounds maintenance including tree and lawn care, gardening, etc. 
• Experience of maintenance in heating, plumbing, electrical systems. 
• Demonstrable good practical DIY skills, including decorating, joinery, carpentry, repairs, etc. 
• Experience using power and maintenance tools, including small tractor with mower, jigsaws, strimmers, etc. 
• Demonstrable understanding of Health & Safety regulations relevant to this type of role; the importance of compliance, evidencing and contributing to this. 
• Hold a good level of fitness and able to work outside in variable weather conditions.

• A current driving licence (tractor experience is also desirable).

About the Role

Overview of Role:
To provide operational and administrative support across the RSN’s educational programmes, including the Certificate and Diploma, Tutor Training Course, Short Courses, International Summer School and On Demand Courses.

Main Duties 

The main duties include, but are not limited to: 

General Administration 

• Manage the Education Email Inboxes, responding to queries and complaints as appropriate.

Job Summary

You will play a key role in ensuring the smooth and efficient operation of the charity’s day-to-day administration. This part-time role provides essential support to the Board of Trustees, CEO, Policy Team, and staff across various administrative and operational functions. You will work the equivalent of three days a week and can be flexible about the distribution of your hours.

Key Responsibilities

• All administrative support for Board of Trustees, including minute taking.

The role 

The Events Assistant will support our Engagement Officers in the day-to-day coordination and delivery of the events and outreach, such as our Fellas’ Forums and Fellas’ Fairs. Working alongside the Engagement Officer, Engagement Manager, Office Administrator, and wider team, they will assist in the promotion, organisation, facilitation, and evaluation of events and engagement activities, including large-scale events. 

They will support a range of administrative and practical tasks, demonstrating strong organisational skills, the ability to multitask, and confidence in completing delegated responsibilities. This role will require travel across Essex and occasionally beyond. Please note some events will take place during evenings and weekends. 

The Events Assistant will also contribute to wider engagement initiatives, including both traditional and innovative outreach methods, such as digital engagement or film-based activities, supporting project outcomes and community participation. 

Working as part of the HWE team, the Events Assistant will help ensure that events, projects, and activities are well-coordinated, inclusive, and delivered in line with the principles and standards outlined in the HWE Strategic Plan. 

To work with HWE staff, and especially the Business Planning Team, to support the delivery of high-quality and well-organised HWE ongoing forums and events. This includes: 

• project planning, to ensure that the aims, objectives, and outcome plans are in place and that the intended activity is likely to achieve those outcomes; that suitable milestones and monitoring are in place; that budgets are realistic and represent best value; and that risks have been assessed. 

• project delivery, including working with and coordinating HWE ambassadors and staff, as well as external partners/stakeholders, suppliers and contractors, to ensure that HWE projects and events are delivered according to plan; 

• ensuring that project delivery is on time and on budget, and that risk mitigations are in place; 

• working with the HWE communications team to ensure that there is a PR and communications plan in place, and that it is implemented as appropriate; 

• ensuring that projects/events are evaluated appropriately, that outcomes are monitored, and that feedback is captured and provided to stakeholders. 

Key accountabilities 

• Demonstrable experience of working on projects and/or events. 

• Experience working in a fast-paced environment, managing a potentially unpredictable workload. 

• Knowledge and experience of using IT systems. 

• Experience and knowledge of social media and its applications. 

• Experience of community outreach and engagement.

• Ability to carry out events in evenings / weekends as required.

Working closely with the prison and their staff, people in prison, Shannon Trust volunteers and mentors, this post will lead the delivery and development of our literacy and numeracy programmes at HMP Ashfield, maximising opportunities for people in prison to learn. This role also includes providing daily assistance in the running of the prison library and of library outreach including facilitation of activity groups.

Ideally you will have some experience working within a prison environment, underpinned by the ability to build relationships and personal qualities that include resilience, determination and a problem-solving approach. You will have a love for reading and be able to help inspire others (including those who find reading difficult) to enjoy all of the benefits of reading for pleasure.
