Team: Planning, Governance and Assurance Directorate

As the Workspace Executive Assistant, you will enjoy a varied role based in the charity’s city centre head office. You will lead on delivering a welcoming and efficient front of house service for colleagues and visitors. 

Our UK-wide office spaces are centrally managed, and you will play a key role in this team - providing proactive administrative and operational support to ensure the smooth running of several workspaces. You will also provide Executive Assistant support to the Executive Director of Resources.

• Oversee and maintain the planned preventative maintenance schedule for allocated workspaces, ensuring timely completion of any identified remedial actions.

Night Hostel Assistant

Location: The Elms, Hemel Hempstead

Salary: £30,267 FTE
Hours: 10.15 hrs Tuesdays 9pm-7.15am, Opportunity for additional hours to cover holidays and sickness.

About the role

· Resident Support & Safety: Provide person-centred care to individuals experiencing homelessness, including assisting with "crash pad" admissions, conducting resident searches, and maintaining hygiene standards through regular sanitising and equipment sterilisation.

· Catering & Kitchen Oversight: Manage the daily breakfast service by preparing food, setting up the dining area, and ensuring the kitchen remains clean by maintaining appliances like the dishwasher and communal fridges.

· Facility Maintenance & Housekeeping: Ensure the 44-bed hostel remains functional and tidy by managing laundry equipment, restocking essential supplies, overseeing waste disposal, and maintaining the reception area.

· Operational & Administrative Tasks: Support the smooth running of the service by preparing rooms for re-letting, sorting donations, performing PAT testing, and assisting with the training of new staff members.

About you

· Experience and knowledge: Proven background in supporting vulnerable people with complex needs, ideally within supported housing or charitable settings, with an understanding of homelessness issues.

· Skills and abilities: Able to work under pressure in emotionally charged situations, self‑motivated with strong time‑management skills, effective team player, and competent in written English; familiarity with CRM systems is desirable.

· Education and training: Capacity to work night shifts, experience with vulnerable groups, and a good standard of education preferred.

Curatorial Assistant

Permanent, Full-Time

£28,000 - £30,000 per annum

You will participate in an ambitious and inclusive permanent display and exhibitions programme, and will work closely with the Senior Curator, Senior Collections Manager and other colleagues deliver the strategy for care, access and engagement for the Collections. You will contribute to the efficient day-to-day running of the Collections Department, creating a sense of common purpose, with an openness to innovative thinking and awareness of best practice. You will participate in the strategy for Waddesdon and the RF as a whole and the representation of the Collections within it so that learning and skills are valued and the Collections Department is recognized as an exemplar of excellence. You will work with a wide range of other departments and require good people and communication skills.

Key responsibilities include:

• Become familiar with the whole collection and develop interests in particular subject areas. Those that would benefit from particular focus include (but are not limited to) paintings (specifically Dutch 17th century), textiles, photographs, books, prints and drawings, sculpture and contemporary art

• Undertake research and information gathering for projects and reports

• Support the delivery of exhibitions, projects and permanent displays

• Assist with planning of events, activities and visits by groups and individuals to the Department. Act as point of contact for these arrangements and liaise with relevant teams to deliver these activities

• Schedule and support meetings of the Collections Department and assist with the preparation of agendas

• Manage the distribution of incoming enquiries about the collections, passing on to relevant colleagues, taking action as appropriate and drafting some communications as required.  Keep track of progress on enquiries

• Support research and cataloguing campaigns and assist with inputting information onto the Collections Management system including tidying of information such as checking for duplicate records, checking for missing/inaccurate data)

You will be a great fit if:

You have a relevant Undergraduate degree, or equivalent experience and qualifiations, with a desire to expand your skills and working with varied 19th and 20th century collections. You are collaborative, engaged, and motivated, able to work both as a kay part in a small team and independently.

You enjoy variety but can show your attention to detail and dedication in infromation gathering and record keeping.

Deliver Exceptional Customer Service

You will be the warm, reassuring presence residents and visitors meet first. Your confidence and professionalism will create a positive experience and set the standard for the quality of service YMCA is known for.

A Varied, Engaging Role

No two nights will be the same. Alongside reception duties—such as answering calls, processing payments, handling repairs, and managing post—you’ll take on a broad range of responsibilities that keep the building running smoothly.

Champion Safety and Security

As the on-site first aider and fire marshal, you’ll protect the wellbeing of our residents and staff. From conducting regular patrols to responding swiftly in emergencies, you’ll help maintain a safe and calm environment throughout the night.

A Welcoming and Compassionate Presence

You’ll often be the first to welcome new residents, address concerns, support those facing challenges, and record or escalate any issues such as anti-social behaviour or safeguarding concerns. Your empathy and professionalism will help residents feel heard, valued, and supported.

Welcoming and Listening
