About This Job

You will provide effective administrative support to the Office Manager and the wider team to ensure the smooth running of the two charities, the Army Cadet Charitable Trust UK (ACCT UK) and the Combined Cadet Force Association (CCFA). You will support across a range of tasks including administration, office management, supporting on our insurance provision as well as meetings and event support.

A cheerful, can-do attitude is essential, as is the ability to work well with a diverse range of staff based in the head office and across the UK. You will be organised, have excellent attention to detail and the ability to prioritise and manage a varied workload. You will have strong written and verbal communication skills. You will provide excellent customer service while addressing both internal and external enquiries. Full training will be given to the right candidate.

ACCT UK is a national youth charity dedicated to improving the life chances of young people. The Combined Cadet Force Association (CCFA) is a charity dedicated to the promotion of the ideals and activities of the Combined Cadet Force in schools. Whitley Awards Ceremony

The Whitley Awards are the result of an international search to find, fund, train and put a spotlight on outstanding grassroots leaders and their conservation projects. Finalists are invited to London for a week of training and events, culminating with the Whitley Awards Ceremony, where winners receive their Awards from WFN Patron, HRH The Princess Royal in front of 400 guests and many more tuning in via our livestream.

The Events and Office Assistant (EOA) will assist in the planning and delivery of the annual Whitley Awards Week, including the Ceremony, Friends Reception, NGO Reception, and related activities, particularly in the following areas:

• Arrange team and visitor travel, accommodation, and hospitality logistics
• Manage event guest lists and RSVPs using Salesforce and other platforms; help coordinate mail-outs and e-invitations
• Provide on-the-day event support including set-up, guest registration, and general assistance
• Support event logistics such as venue liaison, catering, AV, décor, merchandise, and materials, assisting with supplier coordination
• Champion WFN’s Event Code of Conduct.

Other WFN Events

Throughout the year WFN holds other fundraising and engagement events ranging from intimate dinners with supporters, winner talks, events as part of our Next Gen programme, and major initiatives such as Royal dinners, Galas and Biodiversity Summits which will require the EOA’s assistance.

• Manage ticketing and Q&A platforms and associated activities
• Coordinate volunteer involvement where required
• Support the organisation and logistics of fundraising and engagement events, including acting as venue liaison, arranging catering, managing guest lists, etc
• Assist with production of event materials as needed (signage, name badges, merchandise).

 OFFICE ADMINISTRATION AND OPERATIONS

Smooth running of the WFN office and systems is vital for the charity to work effectively, with this role helping to support the team. The WFN office is a busy and welcoming environment, with regular visits by winners and supporters.

Office Management

• Ensure the office is a welcoming, tidy, and well-functioning space
• Greet visitors and manage incoming calls, emails, and enquiries
• Liaise with team and suppliers to order office materials and manage contracts (utilities, cleaning, stationery, refreshments, merchandise etc.)
• Manage post, deliveries, and waste removal procedures
• Oversee and liaise with the office cleaners to ensure they have the products they need and are paid in a timely manner.

Administrative Support

• Assist with diary management and scheduling meetings (in person and online)
• Arrange team and visitor travel, accommodation, and hospitality logistics
• Draft routine correspondence, thank-you letters, and other administrative communications
• Review and respond to general email enquiries (info inbox)
• Support the Head of Finance with basic administrative and data entry tasks

 DIGITAL COMMUNICATIONS

WFN’s communications amplify the work of Whitley Award winners, raise the profile of the charity, bolster fundraising efforts, and contribute to global conservation conversations, positioning WFN as a leader within the sector.

• Monitor, and create and schedule content for WFN’s Twitter, Instagram, Facebook, YouTube, and LinkedIn accounts, helping to grow engagement and channel performance, driving traffic to WFN’s website, and sharing charity, winner, and sector news – in line with WFN’s communications strategy and with oversight from the Head of Communications (HoC)
• Lead management of WFN’s photo library and footage archive (Google photos): naming, categorising, and uploading winner and event photos
• Support delivery of social media campaigns during the lead up to events to drive engagement and/or donations, and supporting with posting content throughout the event period
• Help produce video content
• Support production and distribution of our regular e-letter (through MailChimp)
• Work with the HoC on WFN’s website to regularly review and update content
• Draft copy for website news stories and any additional copywriting as needed throughout the year
• Assist the HoC with monthly reporting on the website, social media platforms, newsletter and media coverage

 PR

• Produce reactive social media to share PR coverage secured by the HoM
• Create and distribute toolkits for press and partners to bolster media campaigns
• Collate charity and winner press coverage, including website news pages, throughout the year
• Support the Head of Media (HoM) and HoC in responding to press enquiries and supplying materials.

Communications

• Assist with supplier liaison across event filming, livestream, and photography
• Help create event visuals and on-screen graphics
• Support with creation of the Ceremony invitations and booklet
• Support with sourcing additional material for the Whitley Award films as needed
• Support the HoC with creation and uploading of content to the website and across social media platforms, including press releases, photographs, news stories, winner pages, and films.

Other WFN Events

About us

ZANE is a UK registered charity providing aid to some of the most destitute people in Zimbabwe. ZANE’s core work is supporting pensioners who, as a result of Zimbabwe’s economic collapse, have been left entirely dependent on charity. ZANE also funds a children’s clubfoot correction programme and education project in impoverished communities in Zimbabwe.

Who we’re looking for

ZANE: Zimbabwe A National Emergency is seeking a self-employed organised administrator with CRM experience to support the team in delivering outstanding stewardship to supporters.

Someone who has excellent attention to detail, previous database experience and is able to work both independently and as part of a team is required to provide admin support to our existing small team. Must be able to work year-round. A key part of the role is to shadow the existing team member responsible for the ZANE database.

What’s required

• Shadow the existing team to learn all aspects of ZANE’s database system and administration processes relating to donor stewardship. ZANE does not have an office, so this will be a combination of online and in-person at the individual’s place of work (home).
• Handling new Direct Debit payments.
• Responsible for dealing with legacy administration.
• Assist with the processing of incoming post. This includes cheques, charity vouchers, debit and credit cards and Direct Debits.
• Recording donations and keeping accurate data records of engagement on Harlequin, the charity’s CRM system.
• Attending weekly online and occasional in-person meetings. Assisting at fundraising events – this will require occasional travel to London and other locations.
• Admin duties such as printing thank you letters, filing, shredding, scanning and updating/maintaining spreadsheets.
• Any other duties that working as part of small busy team requires.

Requirements

• Organised, excellent attention to detail. Flexibility regarding hours.
• Previous CRM experience essential. Previous experience of data processing for a charity desirable but not essential.
• Proficient in MS Word and Excel.
• Commitment to ZANE’s mission of supporting impoverished communities in Zimbabwe.

This role is self-employed and it is the responsibility of the successful candidate to calculate and pay tax and National Insurance contributions.

Purpose of this role

• day-to-day through running some of our core systems and processes and being responsive to team needs

• in the long-term by helping to embed a progressive culture and working on operational projects

Key Responsibilities: 

1. Overseeing tech systems and hardware - website management, Mobilize, Nationbuilder, GDrive, Slack & other communication channels, laptops, mobiles, printers, and meeting tech & peripherals - and provide technical support to staff as well as collaborating with our external IT support providers;

2. Overseeing day to day running of the office, managing office supplies including first aid and ensuring accessibility as well as supporting hybrid working needs;

3. Supporting GDPR compliance - being the point of contact with our external advisor, supporting data champions in the hubs and managing GDPR changes; 

4. Working with the People & Ops Manager to run excellent people processes for the lifecycle of our staff from recruitment and induction to offboarding;

5. Participate in Operations projects, for example IT review & optimisation, GDPR review or programme support review;

6. Managing logistics for board & other meetings, team away days and retreats, other NEON events and other ad hoc team support, in particular for the EDs - booking meeting rooms, sorting out meeting tech or ordering food;

7. Monitor organisational accounts including generic email accounts and NEON networks;

8. Running delivery of an ops programme with the whole ops team - currently this is ops peer support network but with ambitions to expand to a formal programme;

9. Play an active part in the whole NEON team, contributing to organisation-wide plans.

You are experienced with using a range of IT and tech and are happy to learn new apps and new bits of hardware, so that you can get all of your IT tasks done well, and teach the team how to use things whether that’s updating our website, helping the team to use Slack as well as possible, or finding a new solution for hybrid working

5. Able to flex between longer term projects, regular cycle work and responsive requests - you are great at being self-motivated in order to push longer projects forward over weeks or months, as well as getting daily or weekly operational tasks done. But you can also shift your workload to turn things around on a day when it’s important.

6. You are proactive, well-organised and feel empowered to solve problems yourself when they come up (sometimes described as an “ownership mindset”), as well as balancing this with asking for help when you need it

In this role, you will be the first point of contact for delegate and general events related queries, ensuring that delegates have registered for events under the correct category, and received payment before the event. You will also set up events in the Events system and manage CPD accreditation applications for all events, collating event feedback and researching potential new sponsors for events.

The post-holder will assist with pre-event and training preparation, and onsite support at events, working closely with the Event Organisers and Conference and Events Manager, with task ranging from sending all pre-event communication, create flash poster presentation using PowerPoint and providing travel guidance to attendees to managing the registration desk, providing A/V support for speakers and handling and promoting marketing material at events and engaging with delegates, along with other duties as required by the Conferences and Events Manager.

The Events and Training Assistant will travel within the UK and occasionally overseas.

Suitable candidates will have an interest or some experience in events management, have excellent attention to detail and great communication skills, being friendly and personable.
