Job purpose
This is a pivotal senior administration role in a charity that is passionate about making a difference to the veterinary care that animals receive. You’ll be working closely with the Chief Executive Officer, with the trustee board and with all members of the staff team of about 20 people. The role is responsible for co-ordinating essential governance activities, including preparing, collating and distributing meeting information packs, writing minutes and managing actions following trustee and committee meetings. You’ll also provide diary management support to the Chief Executive and carry out a varied range of administrative tasks – from arranging team meetings to organising the charity’s award and grant-giving programmes.
Responsibilities
Governance and executive support
- Provide administrative support to the Chief Executive Officer, including proof reading and formatting documents, diary management, coordinating meetings and production of agendas and minutes
- Take minutes for trustee board and committee meetings, and any other meetings as requested by the Chief Executive Officer
- Organise in-person and virtual trustees meeting as well as other governance meetings as required
- Work with the trustees, Chief Executive Officer, RCVS finance team and legal advisors, ensuring legal returns and RCVS Knowledge governing documents are in order and submitted in good time to Companies House and the Charity Commission
- Maintain declaration of interest documentation and ensure that governance and compliance-related records are up-to-date
- Own the charity’s policy register, ensuring all policies are reviewed regularly and are up to date
- Carry out finance administration for the Senior Team as required, including purchasing items, collating receipts, assigning budget codes, and processing expense claims for trustees
- Provide administrative support around donations and gifts-in-will
- Manage the diary of the Chief Executive Officer, including arranging travel and accommodation when necessary
Project support
- Organise RCVS Knowledge awards (Plowright Prize, Quality Improvement Awards, Antimicrobial Stewardship Awards, etc.), including liaising with award panels, processing applications, and administration around the review and identification of award winners
- Arrange associated meetings and events for the awards
General administration
- Act as the first point of contact for RCVS Knowledge, monitoring generic inboxes and taking phone calls as required
- Manage the administrative functions of the office, for example arranging guest access for visitors when required and administering and dealing with room bookings
- Maintain and develop administrative systems, such as record management and document control
- Update records on our customer relationship management (CRM) system
- Organise and schedule meetings and awaydays, including setting the agenda and taking minutes
- Support the recruitment of new staff, including training and induction
- Provide administrative and project support to the wider RCVS Knowledge team as required
Skills, knowledge and experience
Required
- Relevant experience in an administration or governance support role
- Excellent written communication skills, with experience of writing committee meeting minutes and preparing meeting papers
- An excellent working knowledge of MS Office
- Strong interpersonal skills, with ability to work well with a wide range of stakeholders
- Experience of diary management
- Experience of electronic record keeping and file storage
- Excellent attention to detail, with good proof-reading skills

This is a newly created administrative role to increase capacity in Londonwide LMCs, the membership organisation representing approximately 7,000 NHS General Practitioners in over 1,100 practice teams in London, providing pan-London leadership and shared committee services for its members. About MPE
Myeloma Patients Europe (MPE) is a pan-European organisation representing 52 myeloma and amyloidosis patient groups from over 33 European countries. A Board mainly composed of patients and caregivers is elected by the membership to oversee the strategy and governance of the organisation. A team of 13 staff members runs remotely the day-to-day operations, programmes and services within 4 divisions: Access and Policy, Medical Education and Scientific Engagement, Patient Evidence and Member and Patient Community Programmes.

About the Patient Evidence department
The MPE Patient Evidence department was established in 2020 to generate evidence important to patients with myeloma and their families and is led by Dr Eilidh Duncan. Our goal is to understand unmet needs in the patient population and design patient-focussed research questions which will support new understandings and knowledge. MPE partners with academia, other patient organisations, industry and regulatory bodies where possible to understand more about what gaps exist within the myeloma landscape and how to best generate evidence on these. We work alongside MPE’s policy and access team to anticipate what questions need to be asked and what the data needs are for upcoming medicines approval processes.

Purpose of the Access & Learning Assistant (Digital) role is to:
As our Access & Learning Assistant (Digital), you will deliver across the whole range of Access and Learning Department activities, while leading on the creation of digital content.
The postholder will deliver daily programmed activities for schools (onsite, online and occasionally offsite), and there will be opportunities to work with families and other Museum audiences. In addition to delivering workshops for schools in a lively and imaginative way, the post holder will support the wider work of the department.

Key responsibilities of our Access & Learning Assistant (Digital) include:

- Preparing and packing away session resources
- Being fully active in the delivery of all elements of Access and Learning activities on site, offsite and online. This will include public demonstrations and presentations, class facilitation and tours
- Supporting the delivery of a high standard of visitor experience
- Leading on developing content for the learning team’s social media channels, working with the Access and Learning teams in London and the Midlands to schedule and produce posts
- Maintaining relevant pages of the Museum website and produce promotional materials as required
- In a manner consistent with the Museum’s shared values, working with Access and Learning staff and volunteers and with staff and volunteers across departments to support innovative and engaging activities and resources which reduce barriers to learning
- Assisting with the processing of Access and Learning team bookings, producing accurate timetables for school activities and other events
What we are looking for in our Access & Learning Assistant (Digital):
- Experience of delivering formal or informal learning activities
- Experience of working with children
- Knowledge of / interest in the history and current role of the RAF

The team
Business Energy Scotland is funded by the Scottish Government to provide free, impartial support and access to funding to help small and medium-sized enterprises (SMEs) save energy, carbon and money. As Scottish businesses try to overcome the twin challenges of high energy prices and playing their part in reducing carbon emissions, our work is more important than ever.
The role
• You will be the first point of contact for SMEs contacting Business Energy Scotland so your work will be vital in helping them start their energy saving process. After your initial contact with the business, you will forward enquiries to other members of the Business Energy Scotland team who will provide in-depth technical support.
• You will provide administrative support across all aspects of the service to ensure that programme outputs are delivered effectively and efficiently.

• Answer initial telephone, online and email enquiries from businesses. Response templates will be available, and you will take note of key information.
• Provide administrative support by recording key information on a range of IT systems.
• After you receive an initial enquiry, you will hand over the case to another member of the Business Energy Scotland team who will organise further technical support for the business.
