The Helen Bamber Foundation (HBF) is a specialist UK charity which provides expert care and support for refugees and people seeking asylum who have experienced extreme human cruelty such as torture or human trafficking. We work with hundreds of clients every year from all over the world. HBF delivers a specialist Model of Integrated Care that addresses the complex needs and vulnerabilities of survivors. Through the Model of Integrated Care, the HBF offers survivors access to an individually tailored programme of specialist psychological care and medical advisory services, legal protection including providing expert medico-legal documentation, welfare and housing support, and creative and skills activities within an integration programme. Where someone is a survivor of human trafficking they benefit from HBF’s counter-trafficking programme of support. The Foundation’s expertise is renowned in the field.
The Role
This is an exciting opportunity to join the Client Services Team which operates within HBF’s vibrant, multi-disciplinary team. The duties of Client Services Administrator are two-fold 1) is to host our busy reception area and friendly waiting room; welcome clients and visiting professionals to the Helen Bamber Foundation and attend to any needs they might have and 2) to oversee the booking of appointments between clients and staff/volunteers across the organisation; liaising with third parties and clinicians in relation to Initial Assessments; booking and managing doctor’s diaries for our Medical Advisory Services and the booking of interpreters across the organisation. You will be at the heart of an exciting team of experts, working as the face of HBF and the first point of contact for both external and internal queries. You will be a self-motivating team player, organised, efficient and have a compassionate mind-set.
The role will work closely with the other person in post as Client Services Administrator and jointly manage the workload. The role also includes assistance and general facilities support to the Senior Operations and HR Coordinator.

Administration
You will support the whole organisation with a range of administrative tasks which will include:
· Completing minutes for key meetings.

Cover Support
You will provide cover on the front of desks of both our sites: Cancer Support Centre, Northumberland Road and our Charity Hub, Whitham Road which will include:
· Meeting and greeting visitors including supporters and patients and acting as their first point of contact for any queries.
· Dealing with telephone, email and postal enquiries across the organisation
· During cover period, you may be required to open and close the patient spaces, as part of a wider team rota.
· Booking in and logging patients onto the relevant records and databases to provide accurate data.
· Sending appointment reminder calls/texts/letters to clients as required
· Co-ordinating the Transport service, including supporting and co-ordinating the volunteer drivers.
· Managing the consumables within this patient space and ordering replacement stock as and when required.

- Develop a thorough understanding of Muslim Aid’s work areas in order to ensure strategic linkages / appropriate dissemination of information or assignment of actions.

We are looking for a skilled and qualified (or in advance training) counselling supervisor to provide clinical supervision, leadership, management and service development of our Psychotherapy and Counselling service. Knowledge and understanding of a number of modalities would be an asset. Part of the role will be to help us achieve and maintain BACP or equivalent service accreditation and to grow the service.

What would we like…?
Do you have a track record of delivering accurate, reliable, administrative and project support in a fast moving environment?
We are looking for someone with experience of working in a collaborative way to join the Marketing and Brand team as Project Administrator on a 12-month fixed term contract basis. You'll support the day-to-day running of the team by providing effective administration and project planning.
This role is varied and the successful postholder will be responsible for scheduling external and internal meetings, liaising with key internal and external stakeholders, preparing reports, setting agendas and minute taking for meetings and financial administration. Working in a hybrid way, you’ll be attached to either our Birmingham, London or Manchester office and will report to the Project Lead. In line with our current ways of working, you’ll be expected to be in the office at least 1 day a month, in addition to team days and this may be reviewed by Ambition.
Skills, Knowledge and Experience
To succeed in this role you'll have an helpful attitude, with the ability to take initiative to lead or support on projects as required, and you'll identify opportunities to improve operations. Our ideal candidate will have the ability to manage multiple, competing demands, prioritising as appropriate.
Whilst an interest in Marketing and Communications is desirable, it is not essential for applying to this role. Rather, you'll have proven experience of minute taking, preparing reports and PowerPoint presentations.

This role will work closely with the Head of Support Services supporting our volunteers and wider community through a range of services and events.
You’ll work with our incredible volunteers to support others living with conditions and raise awareness and understanding of our work. You will recruit and support people to engage in volunteering in the way that best suits them.
Alongside this you will undertake administrative work to ensure the smooth running of Support Services, and deliver our flagship in person events.

Role Description
Volunteers
o Working with the CEO and Head of Support Services develop and deliver the Volunteering Strategy for the organisation.
o Work to significantly increase the inclusivity of volunteers and the work done by volunteers.
o Oversee the recruitment of volunteers and ensure appropriate induction in collaboration with relevant staff.
o Deliver mandatory initial and ongoing training for volunteers.
o Working with colleagues, produce and keep up-to-date policies, processes and forms, ensuring volunteers understand and use these resources.
o Provide day-to-day support to volunteers, working closely with the Head of Support Services.
o Manage all volunteer programme communications in collaboration with the Communications Officer including: ebulletins, website, social media and print materials.
o Collect and process feedback and statistics and compile reports on satisfaction and effectiveness as required.
o Provide specific support for volunteering roles including;
Helpline and Telephone Buddies
o Support the transition of the helpline to a new scheme such as our telephone buddy scheme
o Support and review the telephone buddy scheme
o In conjunction with the Head of Support Services, support the implementation and ongoing management of a new Facebook support group
o Collate statistics on helpline calls and report on this monthly.
Local Support Groups
o Support the establishment of online condition specific and new regional groups.
o Undertake visits to Local Support Groups as appropriate.
o Working with the Finance and Operations Manager support the groups to use funds they have raised.
Other Volunteers
o Support Office volunteers in their day to day work, being the first point of contact and allocating tasks.
o Working with the Head of Support Services contribute to the development of the Lived Experience Committee.
o Working with the Head of Fundraising support and engage Ambassador and Fundraising volunteers.
Support Service Coordination
o Ensure the CRM system is up to date with all Support Services information.
o Ensure all statistics relating to Support Services are up to date.
o Ensure Support Services’ phone systems and booked calls are effectively and efficiently set up.
o Ensure accurate record of all research and surveys we are asked to engage in and follow up on outcomes of that research.
o Undertake any small administrative duties as required.
o Where required, provide support in managing the helpline emails.
Support Services Events
o Lead on the development and delivery of three one day conference style events annually. These will be held throughout the UK and will offer panel discussions and networking for our community.
o In partnership with the wider team, occasionally represent The Foundation by running information stands, coordinating volunteers and preparing information for external events such as industry conferences.
o Where appropriate attend and present at external meetings.
o Support the management and delivery of the portfolio of online and in person events delivered by the Pituitary Foundation in conjunction with the wider team.

We’re looking for a Change Manager who is skilled in facilitating organisational change, particularly in technology adoption, with the proven ability to build relationships with stakeholders at all levels and challenge where necessary, and a practical understanding of change management principles and adoption processes.
About the role
Working with the Salesforce Programme Manager, fellow colleagues in the Business Change team and the wider Delivery Services team, you’ll play a critical role in the successful delivery of the Salesforce programme.
Working alongside the Business Change Lead, you’ll develop and implement a comprehensive change management strategy for the Salesforce programme rollout, and actively engage with Salesforce programme stakeholders at all levels regularly to understand their needs, address concerns, and foster a positive attitude towards Salesforce.
What you’ll do:

Design, analyse and create mechanisms in order to collect ongoing feedback from users and stakeholders and have ways of identifying resistance and managing it.

Create and deliver clear, consistent change communication plans to keep all relevant parties informed and engaged throughout the transition process.

Provide ongoing support and coaching to users, helping them navigate the new system, and manage and address risks and issues as they arise, and regularly monitor and report on the progress of CM activities, analyse its impact, provide opportunities for feedback and suggest improvements.

At the end of the programme, lead the CM retrospective, ensure benefits and adoption metrics are identified, tracked and measured to demonstrate success. Lastly, provide the handover to the Business Change Lead.

- Assist in credit control.
- Manage office stock levels.
- Assist in processing of renewals and subscription releases.
- Order office and event stock.
- Circulate advance copies.
- Assist finance team with statements to account.
- Administrative support to the Operations team as required.
Skills and Experience
