About the role:

The Achieving Potential programme at SHP supports SHP clients with options and opportunities to build their confidence, learn new skills and try new things. We are recruiting to an exciting new post within our team, having recently secured funding to take forward our digital inclusion offer.

People experiencing homelessness are often from the most socio-economically disadvantaged backgrounds and are digitally excluded. Digital access is crucial for peoples’ independence – e.g. accessing Universal Credit or GPs, but it’s also fundamental in addressing isolation and loneliness. Feeling connected to others can be the difference between someone continuing their journey out of homelessness or falling back into drug-use due to isolation/loneliness – we want to break the vicious cycle between digital and social exclusion.  

As the Digital Inclusion Project Coordinator, your objectives will be to spearhead initiatives aimed at increasing digital inclusion within SHP’s diverse communities. This multifaceted role requires a blend of strategic planning, community engagement, technological proficiency, and environmental stewardship. You will work collaboratively with stakeholders from both withing SHP and externally to develop and implement sustainable solutions that bridge the digital divide and minimize the environmental impact of electronic waste.

About you:

• Demonstrated experience in community outreach, project management, and stakeholder engagement, preferably in the fields of digital inclusion, sustainability, or social justice.
• Strong communication skills, including the ability to engage with diverse audiences and communicate complex concepts in a clear and accessible manner.
• Strong analytical skills and creative problem-solving abilities to identify barriers, develop innovative solutions, and address complex challenges related to digital exclusion and e-waste management.
• Willingness to embrace change, navigate ambiguity, and adapt strategies in response to evolving priorities, emerging trends, and feedback from stakeholders and community members.
• Confidence to promote the benefits of the digital world and to challenge traditional silos and system barriers, as well as the ability to use different approaches and methods of communication with different stakeholder in order to achieve this

About the role 

This is an exciting opportunity to join Sustrans, the UK’s leading sustainable transport charity. We are looking for a highly organised individual to provide co-ordination and administrative support for Sustrans-wide business development systems, activities. 

As the Business Development Officer, you will support colleagues across the organisation bidding for tenders and grant funding, by helping to guide bid submissions through a series of steps, from initial assessment to submission to funder decision. 

In this role you will support Project Officers and Senior Managers with all aspects of bid preparation including checking for compliance, proof reading and formatting. 

This role requires you to be proactive in researching new potential funding sources and monitoring grant and tender alerts; and you will be expected to manage and further develop a suite of bidding resources.

You will work from a Sustrans office, preferably in Bristol, with the flexibility to work from home, or home-based within reasonable travelling distance from Bristol. 

About you 

Experienced in providing administrative support and coordinating work in a busy environment, you will be able to communicate and build relationships easily, enabling you to engage with multiple teams and work effectively with colleagues across the organisation. 

You will be highly organised, comfortable multi-tasking and working to deadlines, with excellent attention to detail. You’ll use your excellent planning skills to help anticipate and manage potential issues before they arise.

You will have experience of using business development management, client/customer relationship management or contact systems. Ideally you will be familiar with tender procurement portals, grant funding websites and funding sources.

​Main purpose of the post 

We are seeking to appoint a Business Development Coordinator to join a wider team that spearheads RUSI’s research fundraising efforts. Reporting to the Director, Research Business Development, the successful candidate will enhance the institute’s business development activities by providing administrative and coordination support for business development, contracts, and risk management. Working closely with research groups, central services teams, and the senior management team, the successful candidate will be responsible for ensuring that RUSI is well-placed to spot and respond to new funding opportunities and that our contracts are high-quality and executed efficiently. 

This is a highly collaborative role that involves building very strong internal relationships at all levels of the organisation and managing competing priorities and deadlines. We are seeking a team player with a pragmatic and positive attitude and excellent attention to detail, who will enjoy taking on new challenges, using your initiative to solve problems, and seeing your work directly contribute to meeting our short- and long-term goals.

​Key tasks 

Tracking, identifying, and sharing new funding opportunities:  

• Conduct research to identify potential funders and grant opportunities, populate and maintain a prospects tracker. Ensure we have an accurate and current map of relevant funders at all times to draw from.

• Manage the Business Development email inbox, ensuring we are registered to all relevant portals and that we are regularly checking funder portals that do not send notifications. Share summaries of relevant opportunities with the BD Director along with suggested dissemination plan, agree next steps and follow up with appropriate Research Groups.

• Support research colleagues to identify funders to invite to RUSI events and draft outreach emails.

Providing administrative and coordination support on bids, contracts, and new business activities: 

• Assist the Bids Manager with compiling information about RUSI as an organisation, its registrations, policies, organisational structure, banking and insurance details, financial information, and other generic details to be included in bid submissions and for due diligence. 

• Support the Bids Manager/Director of Research Business Development with administration and coordination of specific components on large bids.

Maintaining and improving business development processes and systems: 

• Ensure the business development team trackers (action log, new funding opportunities etc.) are accurate and up to date. 

• Work closely with RUSI’s Legal and Contracts and Finance teams to finalise funder contracts and ensure that final copies are saved centrally, and key information is distributed to relevant teams. Ensure that relevant and accurate funder information is tracked by the finance system for ongoing analysis. 

• Review drafts of subcontractor agreements and work closely with RUSI’s Legal and Contracts team to manage the process for preparing, securing approval, finalising, and sharing sub-contracts. 

• Act as central point of contact for the research funding pipeline, ensure it is functioning as needed and respond to ad hoc questions.

• Manage the team’s Sharepoint page, ensuring that it is useful and relevant for research colleagues, with high-quality templates and guidance.

• In coordination with colleagues on the Communications team, update RUSI’s customer relationship management (CRM) system with accurate, relevant and up-to-date funder information and develop and promote best practice for CRM usage for BD.

• Update RUSI funders on the website annually, ensuring that they are accurate and that we have appropriate permissions to acknowledge them publicly.

• Assist in preparing training materials and internal presentations, including by conducting data analysis. 

• Schedule regular catch ups with research groups, take and share notes in appropriate formats, update trackers. 

• Take accurate and useful minutes and share and follow up on action points after Business Development meetings.

• Establish strong working relationships with research teams, central service teams, and senior management.

• Assist with administrative tasks for the business development team as needed, including setting up tech (Zoom/Teams) meetings, coordinating diaries, and booking meetings.

Managing the institutional Risk Management process:  

• Be responsible for ensuring that risk registers are maintained and updated across the Institute to track risk within the organisation.

• Attend all Audit & Risk Committee meetings to update members on changes to the risk register, and take minutes for each meeting. 

• Work with the COO and Business Development team to ensure that RUSI has in place all policies and procedures across the Institute that are required by funders on various projects. 

• Assist the COO in keeping up to date with all Charity Commission guidance on charity operations and compliance.

​Essential Skills and Experience:  

• Professional experience in charity administration, business development, customer service, events management, account management or similar.

• Previous experience in grants administration or project management. 

• Basic knowledge and awareness of common requirements for bid submissions including such items as statements on duty of care, quality assurance, supply chain management, gender, and diversity, equity, and inclusion. 

• Experience in contract administration and completion. 

• An undergraduate degree or equivalent in business, international relations, or related field.

• Team Player – a genuine enthusiasm to help others, collaborate across multiple teams, and to see your work contribute to the benefit of the organisation. 

• Excellent interpersonal skills and ability to work with different personalities and manage confidential information with sensitivity. 

• Strong written and verbal communication skills, able to communicate clearly and professionally on video calls, Teams chat, email and in person. Able to produce clear, accurate and insightful written output, meeting the highest quality standards. 

• Excellent organisation and attention to detail – you can maintain, implement, and improve systems, processes, and databases to ensure that our data and outputs are accurate, thorough and up to date. 

• Outstanding time management skills and a willingness to work flexibly – juggling shifting priorities and competing deadlines, managing people’s expectations effectively. 

• Strong IT and Microsoft skills (Excel, Word, Outlook, Adobe and PowerPoint) 

• An interest in, and knowledge of, defence, security and geopolitics.

London's Air Ambulance treats patients who experience critical injury in the capital and support them and their families on a road to recovery. This is only possible through close collaboration between  London's Air Ambulance Charity, the London Ambulance Service (LAS), Barts Health NHS Trust (Barts), London's Major Trauma Centres and the wider Major Trauma Networks, to deliver groundbreaking care and save lives.

To deliver this service the Charity is split across two locations, with offices in Mansell St and in the Royal London Hospital. 
The Charity has grown significantly in size and complexity over the last few years and we are now seeking a Finance Business Partner to support the Deputy Director of Finance to provide the charity's Financial Performance and Analysis function.

Reporting to the Deputy Director of Finance this post supports the provision of high quality financial reporting to assist budget holders, managers, directors and trustees. Acting as a finance business partner you will provide financial insights, analysis, and guidance to support decision-making and drive the financial performance of the charity.

Key areas of responsibilities;

• Stakeholder collaboration: Work closely with internal and external stakeholders, including finance and non-finance colleagues, to support strategic planning and decision-making.
• Financial reporting: Prepare monthly, quarterly, and annual financial reports for the charity, ensuring accuracy, timeliness, and compliance with regulatory requirements. Own the full life cycle of reports from build to delivery.
• Budgeting and forecasting: Assist the Head of Financial Performance & Analysis in the development of annual budgets and forecasts, collaborating with department heads to gather necessary information and oversee the consolidation and review of departmental budgets into a cohesive organisational budget.
• Financial analysis: Monitor actual performance against projections and conduct analysis to identify trends, variances, and opportunities.
• Systems accounting: Maintain and improve the charity's accounting systems and processes, ensuring data integrity and implementing new features or upgrades as required.
• CRM management: Work closely with the Head of Financial Accounting and Head of Data to ensure financial reporting requirements are adequately considered when managing the CRM.
• Advanced data analysis: Utilise tools such as PowerBl, Power Query, and advanced Excel functions to build reports, conduct in-depth financial analysis and provide actionable insights to support decision-making.

My client is a specialist education provider supporting schools across London and South England. As a Finance Business Partner, you will play a crucial role in supporting budget holders in their financial and strategic decision making. Working with a team of Assistant Finance Business Partners you will be responsible for the month end reporting cycle, periodic forecasting and yearly budget setting. Supporting a Regional Finance Business Partner, you will help translate financial information into insightful commentaries, and provide input into benchmarking, dashboarding and financial modelling as required.

Key areas of responsibilities;

• Lead and manage a team of Assistant Finance Business Partners and Finance Officers, including performance management, development, succession planning, sickness monitoring, etc. 
• Lead the preparation of monthly management accounts pack (including income & expenditure, and balance sheet) to regular deadlines; specific duties will include: approve monthly journals, reconciliation of balance sheet accounts, income analysis and inter-company recharges. 
• To actively collaboration with the wider finance team to maintain and champion the integrity of financial information, specifically purchase ledger for supplier invoices, commitments, expenses and petty cash; procurement for contracts; and assets accountant for capital expenditure and maintaining fixed assets.

We are seeking a dedicated and experienced operations manager to join our team. We are looking for someone who will help strengthen the foundations of our organisation, as well as help us expand our growing network of partner organisations across the UK.

• You will be trained as a Big Green Heart facilitator with an expectation that you may be needed to facilitate a workshop during your time at the organisation.

Main roles & responsibilities:

You will be responsible for stakeholder engagement across Ygam’s portfolio of programmes. You will develop long lasting relationships with schools, colleges and children’s services, promoting Ygam’s work and recruiting delegates to our workshops.

You will work across the programme team, developing relationships throughout the UK, training professionals to understand the impact and risks of gaming and gambling. You will also be responsible for promoting and marketing the work of Ygam at conferences and events.

You may, on occasion be required to arrange and deliver our City & Guilds assured workshops, both online and face to face and provide support to delegates post training, updating all relevant records and CRM systems.

A fantastic opportunity has arisen to join Westway Trust as a Property Assistant, providing efficient and responsive administrative support across the full property team. You will be a friendly, motivated, and active administrator who will play a key role in the smooth running of the property department.

You will be pro-active, organised, with good initiative being the main point of contact responding to estate and property related enquiries and reports of issues, from tenants, customers, contractors and the community.  You will therefore need to possess or demonstrate a willingness to provide a good level of customer service with property knowledge.

Key responsibilities of the role include:

• Provide efficient and effective administrative support across the Property team, including daily active filing, archiving, photocopying, scanning and record keeping.
• Initial point of contact for enquiries to the Property team.
• Provide a responsive customer service handling system to record such enquiries.
• Coordinating the general day-to-day activities of the Head of Property & Estates in relation to emails, posts, and voicemails.
• Assisting in the preparation and maintenance of property particulars, void reports, and reviewing property marketing websites for current information.
• Cross-referencing and managing the prospective tenant’s selection list with the historical enquiry list and alerting the team of any repeat/active enquiries.
• Regular visits to Trust premises to record any Health and Safety/Fire Risk Assessment breaches and reporting these to the appropriate Facilities Management team member. 
• Assist with attending Unit Base Parking/Filming/Events on the estate, recording any infringements of agreements on site, and notifying the appropriate team member for further follow-on action.
• Preparing notification details for relevant authorities for entry and exit of tenants – rates, utilities, etc.
• Assisting with servicing property meetings (i.e., circulating papers, coordinating actions where required).
• Responsible for the recording of void premises and issuing of building keys.
• Occasionally provide assistance to the Trust’s reception/office manager for general office duties and reception cover if required.

Knowledge and Experience:

• A minimum of one year’s experience in a busy property department.
• A broad understanding of commercial property or demonstrable experience of transferable skills if you are from a different sector.
• Customer focused, with the ability to provide a friendly and efficient service to customers, staff and tenants.
• Good time management, attention to detail, organisational skills and the ability to work under pressure with changing priorities.
• Excellent administrative skills.
• High level IT skills and experience of using MS Office (Word, Excel, PowerPoint)

The role:

This part time (0.6FTE) post is located within the core services Team, and reports to the CEO. The postholder works closely across the organisation to deliver an efficient Office management, Reception and basic HR service to all managers and staff.

Aims of the post

• To manage the office, coordinating volunteers to provide reception and administrative services. 

• To coordinate and procure office and IT equipment.

• To carry out HR administration tasks acting as a first point of contact for managers and staff.

Specific Responsibilities

Office management

• Dealing with customer & external queries and disputes dealing with in bound and out bound communication, such as hybrid mail, post, phone calls and customer satisfaction surveys. 

• Organise Reception rota and cover, enabling opening hours to be fully resourced. 

• Dealing with petty cash.

• Managing phone and IT systems, contributing to new projects and upgrades.

• Ordering and facilitating meeting refreshments. 

• Promote and manage booking of rooms. 

• Manage all hardware e.g. laptops, phones etc and ordering office consumables.

• Managing small budgets and checking expenditure.

• Ensuring all new staff are set up with correct equipment and IT access e.g. laptops, phones, keys etc with good records kept.

Volunteer and Placement development

• Day to day supervision of customer services volunteers and placements.

• Recruit and plan for volunteers and placements, including contributing to individual learning plans and reviewing progress. 

HR administration

• Investment in staff - To be an impartial point of contact for employees and volunteers seeking HR advice if their line manager is not able to assist, signposting them as appropriate to other sources of advice and assistance. 

• Employment contracts and Consulting employees - To provide administrative support when consulting on Terms and Conditions, investigating Disciplinary and Grievances and any other related matters. To support the CEO to coordinate working groups across employees and volunteers. To administer staff surveys. 

• DBS checks - To undertake renewal DBS checks for all employees and volunteers and make recommendations as necessary to managers. 

• Managing information - To ensure good quality and accurate HR information management for all employees and volunteers with due regard to confidentiality and document control. To maintain electronic files and enable colleagues to make the best use of the HR database, Breathe HR. To facilitate references for former employees in partnership with managers and the CEO. 

• Payroll - To collate information, draft and seek authorisation of payroll changes in partnership with the CEO and Director of Finance. To support the annual pay review. 

• Recruitment - To coordinate recruitment processes in partnership with the recruiting manager. This includes liaising with the recruitment agency. 

• Learning and Development - To coordinate training suppliers and place bookings for courses in consultation with the CEO. To contribute to coordinating the annual Staff and Volunteer conference. 

Customer focused services

• Promote and support tenants/participants to access PBHA’s participation and co-production opportunities.

• Be supportive of PBHA’s ethos of maximising tenant/participant influence over the development of the organisation.

• To positively promote and signpost tenants and participants to report complaints in line with PBHA’s practice. To have a collaborative and co-operative approach towards resolving complaints, working with colleagues across teams and departments. To take collective responsibility for any shortfalls identified through complaints.

General Responsibilities

• Participate in key meetings.

• Contribute to policy development, income generation, strategic and annual planning, corporate and cross-team activities, external partnerships and promotional activities as required.

• Promote, develop and support PBHA’s ethos, values and impact.

• Provide cover for other managers and workers.

Main Conditions of Service

This is a part time position. The post is for 22.5 hours per week. It is expected that the hours will be delivered on 3 full days (to be agreed) each week but alternative arrangements, ie 4.5 hours per day for 5 days, may be acceptable. Duties will occasionally be carried out over evenings and some public holidays. Overtime is not paid but in line with Agile working, hours can be averaged out over a 2-week period.

Annual leave entitlement is 26 days per year plus normal bank holidays pro rata. This will rise after each completed year of service to a maximum of 30 days – pro rata.  

Salaries and expenses are based on PBHA’s salary scales and are revised each year. The salary for this post will be in the range of £35,692 pro rata per annum and the starting salary is £35,692 (£21,415 for 22.5 hours per week).

The post holder will be auto enrolled to be a member of the organisation's contributory pension scheme if eligible.

In common with all posts at PBHA, confirmation of appointment is subject to a probationary period (6 months). The notice period for this role is four weeks.
