We are seeking a Facilities & Events Assistant to help ensure the smooth running of our events and facilities hire at our historic Richmond site. It’s an exciting time to join the team, as we continue to further develop our visitor experience and facilities hire offer.
The Facilities & Events Assistant will be the first port of call for enquiries, and will provide excellent customer service and front desk support to our customers. You’ll be responsible for organising the staff and volunteer rota, and ensuring that all the logistics are in place for a smooth customer experience.
You’ll be involved in donation processing, and maintaining records in our supporter database. The role will also have the opportunity for involvement in high profile events such as the Field of Remembrance and VIP/Royal visits.
This position is ideally suited to someone who thrives on a high degree of autonomy, enjoys a varied role with the opportunity to think creatively to solve challenges, and can flex their pinpoint attention to detail in our events and facilities hire operations.

We are currently looking for a highly motivated and committed Waking Night Concierge to join the team in East London to support clients medium to high support needs in a supported accommodation setting.
The hostel offers a range of services to clients at different stages in the process of change and works closely with an adjacent health and advice centre operated by partner agencies. Operationally, the service focuses on promoting recovery, providing assessment, support and resettlement services within a framework of active engagement and person-centred planning. The project is committed to supporting continued client participation in all aspects of its work.
In this role you will provide overnight waking cover for the service. You will be responsible for providing first contact and safeguarding our clients at night including dealing with emergencies. Other duties include carrying out regular health and safety checks, monitoring the CCTV system and various administration tasks. There is also an element of the role which will be ensuring the environment is kept to a high standard.
The rota for this role is 4 nights on, 4 nights off, 10.30pm to 8.30am each night of working.
About you
To succeed, you will have an understanding of the needs and support requirements of people with complex needs. You’ll also have the ability to establish an effective working relationship with these clients, be client centred and possess an understanding of the issues that affect vulnerable clients. A good level of numeracy and literacy skills and the ability to use your own initiative are also required.

Job Purpose
The post holder will work cross-functionally to provide front-line administrative and transactional systems support to the People team and the Finance team. Within the HR/People elements of the role, the focus will be on day-to-day systems and process queries, recruitment, HR system support to Ada’s staff, compliance and general HR administration. This will require the post holder to have strong communication skills, strong attention to detail, and have the ability to manage and prioritise their workload.

Role Responsibilities:
Finance Support: 60%
Support the Assistant Finance Manager in updating the Purchase Ledger:
- Ensure that purchase requisitions are received and processed on the accounting system in a timely manner,
- Ensure that all expenditure is recorded against the relevant nominal code and cost account, and that the correct VAT code is used,
- Ensure all suppliers’ invoices are attached to purchase requisitions on ApprovalMax
- Prepare mid and end of the month BACS payment run and ensure that suppliers are paid within payment terms,
- Receive and check all statements from suppliers,
- Investigate and action any issues that arise with regards to creditors,
- Regular review and maintenance of the outstanding purchase order and goods received notes report,
Support the Assistant Finance Manager in updating the Sales ledger:
- Ensure that all income is recorded against the relevant nominal code and cost account and that the correct VAT code is used,
- Ensure that all requests for sales invoices are processed and sent to debtors promptly,
- Ensure that all requests for sales invoices are monitored and chased so that the prompt payment is received
Petty Cash:
- Ensure that the disbursement of the funds, keeping records of those disbursements and requesting replenishment of the fund is done accordingly to the Petty Cash Policy;
- Ensure that the reconciliation of the business petty cash transactions is done on the bi-weekly basis in the Xero finance system.
Other finance duties:
- Support Assistant Finance Manager in preparation of the pay runs;
- Monitoring finance account inbox and dealing with staff, students and supplier queries to ensure they are quickly and properly resolved;
- Support staff in following the financial policies and procedures, such as: filling out charge card tracker, purchase orders, setting up new supplier;
- Support the Finance team in setting up a Fixed Asset Register and making sure it is kept up to date on a regular basis;
- Support the Finance Team with any other queries that may arise.
HR Support:
Recruitment
- To work with the HR Manager to draft adverts for posts being advertised, ensuring that they are well-written and engaging.
- To obtain quotes for advertising on various job boards and recruitment media channels in a timely and accurate fashion ensuring the best possible exposure for vacancies
- To coordinate interview/selection logistics including room bookings, diary management, scheduling and preparation of relevant materials and sending invites to candidates
- To support the HR Manager with the administration processes around onboarding and offboarding of staff including consultants, mentors, volunteers and governors.
Inbox Management & Staff queries
- To manage the recruitment inbox, responding to candidate and hiring manager queries in a timely manner
- To work with the HR Manager to manage the HR inbox, responding to staff enquiries in a timely manner recognising that some correspondence will be highly confidential and/or sensitive in nature.
Systems & Compliance
- To be the main point of contact for all HR system queries and to action all first-level system transactions, escalating more complex transactions to the Head of People & Talent or the HR Manager.
- To send out reference requests for all shortlisted candidates, chasing responses and passing on to the relevant line manager
- To maintain spreadsheets and trackers to ensure all relevant HR information is collected and collated (eg vacancies, DBS and other pre-employment checks, probationary periods, performance management, exit interviews.)

Digital Champions are volunteers who inspire and motivate others to get online, while encouraging and supporting them to develop their digital skills and confidence. As the project continues to evolve, there will be an increased focus on Digital Champions placed in local health care settings across the borough. Digital Champions will operate at local community venues including Community Pharmacies, Phlebotomy clinics, and at community events, with a strong focus on NHS App promotion to Bexley residents. Key Duties:
- To be the first point of contact for the existing network of Digital Champions in the borough, and support organisations to recruit, onboard and manage new Digital Champions.

CCX’s organisational structure is a hybrid management model, blending elements of both functional and project-based structures. Project teams are formed to address specific initiatives, tasks, or delivery projects. These teams are cross-functional, comprising individuals from different specialties, typically with a project manager working under the direction of a CCX lead. The two core teams of Operations and Media operate as shared services across the organisation.

Haringey Migrant Support Centre is a community-based organisation, with over a decade of experience supporting migrants in Haringey and neighbouring boroughs. Helping Carers to Live Well is our organisational aim. We provide a targeted service to young carers, aged 5 – 18 years. Young carers, provide vital emotional and practical support to a family member with a care need including sibling young carers. Their care role can have an impact on their wellbeing, education and social opportunities. As Young Carers Support Worker you will be part of a small, dedicated team which directly deliver a range of services for young carers, including information and advice, emotional support and mentoring, promoting awareness of young carers and delivering a wide selection of group activities, both term-time and in the school holiday programme. Using all your skills, you will work with the young carers’ team to deliver, review, and continually develop services for young carers to best meet their identified needs.
With your proven knowledge of working with children and young people, families, carers or other vulnerable groups on an individual and/or group basis, you will recognise the importance of being client focused and have a commitment to enhance the lives of young carers and their families, including knowledge and awareness of sibling young carers and vulnerable families. You will be self-motivated and positive in your approach to working with both young carers, their families and team members, and have a willingness to embrace our organisational values. Being innovative and creative, you will identify and implement a range of support mechanisms for young carers, enhancing their wellbeing and supporting them to achieve identified goals. Strong administrative, time management, IT and organisational skills are essential. Your ability and willingness to regularly work outside normal working hours is required.

About the role

Our Green Space for Health programme helps to realise the value of green space for physical and mental health, both at healthcare sites and in the wider community. Our flagship project, the NHS Forest, promotes tree planting and woodland creation at NHS sites, supporting and encouraging sites to plant and maintain trees through offering free trees and advice. The Educational Mental Health Practitioner (EMHP) Programme is a one-year postgraduate diploma course which is part of the child mental health workforce development programme. The course started in January 2019 to train graduate entry practitioners to the child and young people mental health workforce.
