A new role, the Fianacial Accountant will support the Head of Finance in managing GWT’s day to day finances as well as providing routine financial advice to the head office staff.
Reporting to the Head of Finance, this role is a lead for ensuring financial compliance within UK head office including Fundraising and Gurkha Welfare Advice Centre (GWAC) and will ensure the effective financial management of UK activity through to trial balance and ensuring accuracy of monthly reconciliations.
This is a hands-on financial accounting role needing a practical, problem solving approach and has the opportunity to add real value to the team.
Key duties and responsibilities
This role’s primary responsibilities will be as follows:
- Lead the month-end processes for UK activity (head office, Fundraising and GWAC) to ensure that deadlines are met through:
- overseeing the timely and accurate financial transaction processing in the finance system;
- reconciliation of Balance Sheet accounts and resolving discrepancies in a prompt manner;
- ensuring the accurate and timely reconciliation of all bank accounts; and,
- end to end reconciliation of income through the fundraising CRM to finance systems (including Department, Restriction and Trading).
- Be responsible for the timely payment of invoices by the Finance Assistant.
- Draft monthly finance data dashboard and quarterly management accounts including variance analysis, liaising with budget holders as required, and assist in preparing annual budgets for UK activity.
- Lead for financial compliance in the UK including raising awareness through events such as the Charity Fraud Awareness Week, and reviewing all financial policies on annual basis.
- Manage and support two part-time team members through training, professional coaching and development.
- Deputise for the Head of Finance on matters related to financial management of UK operations including representing at the senior management meetings.
- Support the Head of Finance in the year-end process and preparation of financial documents for annual audit.
- Proactively seek opportunities for continuous improvement within financial systems and accounting processes and controls.
Key skills, qualifications and knowledge, and personal attributes

- A passed finalist or qualified (ACA, ACCA, CIMA, or equivalent) with proven experience in financial operations and reporting.
- Proficiency in accounting software and good Microsoft Excel skills.

Key Responsibilities
Hospitality & Wellbeing Support:
- Greet all guests, acting as the first point of contact between the team and external stakeholders visiting 1 Wharf Cottage, namely our clients, volunteers and partners.
- Prepare and serve teas, coffees, and refreshments to clients, volunteers and visitors, fostering a welcoming atmosphere.
- Assist the operations and psychology team with daily administrative tasks, including managing scheduling meetings and client assessments / reviews.
- Assist in the set-up and facilitation of nature-based mental health group activities, providing support to the group leaders and facilitators (where required).

The Operations and Office Administrator will provide wide-ranging administrative & operational support to ensure an efficient office environment, contributing directly to the delivery of the international Missionary Society of St Columban’s mission priorities.
Key Responsibilities
Office Operations: Ensure the smooth running of the office through the management and coordination of IT systems, office supplies, post, telephone/internet, document filing and retention, and oversight of maintenance and improvements to equipment and the working environment.
PA & Administration: Provide IT and administration support to the Regional Director, the Fundraising and Operations Manager, Regional Council, the Board of Trustees, Mission Appeals Team and the community living at St Columban’s House; including minute-taking, arranging meetings, drafting and sending correspondence, database administration, preparation of reports, and booking travel and appointments.
Venue Hire & Events Administration: Coordinate room and grounds hire at St Columban’s – handling enquiries and bookings, diary management, health & safety compliance, preparing the venue, maintaining and improving the facilities, advertising – and assist with the planning and administration of events organised by the Charity.
Reception: Host visitors and handle enquiries by telephone and email; including deliveries/collections, maintenance and supplier visits, and members of the public contacting the office to donate, request a Mass, update their record details, meet with a priest, or for any other reason.
Health & Safety Administration: Manage the online system for health & safety, coordinate the review and update of risk assessments for the office, house and grounds, organise training and briefings, monitor and re-stock first aid supplies, act as a health & safety marshal and organise staff appointed as first aiders and fire marshals.
Principal Tasks
Under the supervision and management of the Fundraising and Operations Manager, you will:
Office Operations
- Champion Microsoft 365 and provide support and guidance to staff in how to make best use of its capabilities.
- Oversee the performance and maintenance of our IT server and network, maintain regular contact with our IT services provider to ensure all issues are resolved.
- Maintain, service and replace office equipment and furniture as required, including IT and telephone systems.
- Monitor and order stock of office supplies, including stationery, cleaning and sanitary products.
- Oversight of office cleaning arrangements.
- Organise and promote recycling to staff for equipment and supplies no longer required.
- Oversee and develop systems for document filing and storage.
- Arrange for confidential disposal of documents in accord with the Charity’s retention policy.
- Oversee arrangements, equipment and systems for receiving and sending out post.
- Process monthly Charity ‘Response with stamps’ claims.

Venue Hire & Events Administration

- Keep a complete record of all bookings, related documents and correspondence in our CRM database.
- Ensure hirers and users of the facilities are briefed in all matters related to health & safety.

- Host or arrange hosting for each booking.
- Process payments/donations made for the hire/use of the facilities.
- Collect and record feedback on their experience from external hirers and users.

Reception

- Maintain and update BrightSafe, our health & safety planning and records management tool.

- Prompt and assist those responsible to review and update all other risk assessments.
- Ensure actions identified following a review are completed and updated in BrightSafe.
- Check and restock First Aid kits.
- Recruit and organise a team of first aiders and fire marshals.
- Provide and monitor accident books for the whole site and keep a central record of accidents reported.
- Arrange training for staff and volunteers in liaison with their line managers.

THE PURPOSE OF THE ROLE
As an Case Management Assistant you will be responsible for providing day to day operational support to a team of Clinical Case Managers.
WHAT YOU WILL BE DOING AS CASE MANAGER ASSISTANT
- Research services, equipment or goods that clients require.
- Book and coordinate travel, bookings, tickets and service providers to meet the needs of our clients.
- Keep accurate records of all purchases to ensure they are allocated to the correct client
- Monitor client spending accounts to ensure case managers have access to accurate balance information when needed.
- Assist clients to prepare for meetings and appointments.
- Follow up request for GP and medical records.
- Assist Case manager with administrative duties
- Organise client related meetings, ensuring invitations are issued, agendas produced, accurate minutes maintained and circulated.
- Gathering of pre meeting reports and summaries as required.
- Undertake direct client related work as allocated by the case manager. This will include the establishing of timetables, implementation of agreed strategies and monitoring to report back on their effectiveness
- Set up taxi accounts and book taxis for clients.
- Flagging up when goal sheets and risk assessments need to be updated / reviewed.
SKILLS AND EXPERIENCE REQUIRED
- Excellent written and verbal communication skills including excellent client relationship management.
- Microsoft Office proficient and high level of confidence using Apps and boking services.
- Preferably having experience working with disabled or vulnerable individuals.
- Excellent organisational and interpersonal skills.
- Ability to work independently on a broad variety of projects with competing deadlines.

Purpose of this role
The Business Support Administrator will provide high quality support to the Board of Trustees and its sub-Committees, and the Chief Operating Officer. This role will work closely with the Executive Assistant to the Director General.
Responsibilities and Expectations

Provide high-quality administrative and organisational support to the Chief Operating Officer, helping to ensure smooth day-to-day operations.

Coordinate the preparation and timely circulation of agendas, papers, minutes and action logs for Board and Committee meetings.

Monitor and report on progress against Board and Committee actions, ensuring timely follow-up and delivery
