About the role:

The HR Assistant plays a vital part in supporting Back Up’s People Strategy by helping create a smooth, inclusive, and well-organised experience for all staff and volunteers. This part-time role provides essential administrative and coordination support across the HR function, from keeping records up to date to helping with onboarding, meetings, and employee engagement. It’s a great opportunity for someone who’s organised, keen to learn, and passionate about making a difference in a values-led charity. Assistant Shop Manager - Nork

You will support the promotion of sustainable shopping and the shop’s social media to increase audience reach, attract customers, donors and volunteer supporters to deliver the Retail Strategy.

Role Requirements

• To maximise shop sales by achieving agreed targets both through donated stock and bought in/new goods. This involves proactive stock generation, optimum pricing, processing stock to agreed amounts and stock planning.
• Achieve Gift Aid sales conversion target through maximising new donor sign up and encouraging repeat donations.
• Achieve the shops Raffle sales targets through involving the shops team.
• To maintain high levels of shop presentation by merchandising and housekeeping to agreed standards as set out in the Shops Operations manual.
• Manage the stock levels of bought in/new goods, to include ordering of more stock as and when necessary and recording key performance indicators (KPIs).
• Assist in holding and attending Fundraising events to promote the awareness of The Children’s Trust.
• To source links with local communities to promote Retail in the community via media and other sources.
• Role involves a degree of manual handling in sorting and lifting of stock.

• Purchases and payments:

o Log purchase invoices into the finance system, check that documentation is complete and correct.

o Save all back-up and authorisations for purchase invoices in appropriate files and ensure these are well managed and easily navigable.

o Request and reconcile supplier statements.

o Maintain a log of all direct debits and regular payments to ensure that invoices are received and processed in the appropriate accounting period

o Download and distribute credit card statements to holders and process payments on the finance system. Follow up on missing documentation or non-compliance.

o Ensure finance policies are followed for the set up of new suppliers.

o Assist with finance training for new and existing administrative staff.

o Manage and act on queries sent to purchase ledger inbox in a timely and courteous manner.

o Deputise for the Purchase Ledger Clerk as appropriate. In their absence, upload payments on the bank and send out notifications to staff allocated to carry out checks and authorisations.

• Month end support:

o Reconcile bank accounts for the main entity and subsidiaries.

o Check ledgers for missing costs.

o Assist with year-end audit, providing supporting documentation to auditors.

Main Responsibilities:

1. Acting as a first point of contact for the Toy Appeal, responding to enquires from organisations wishing to take part in the appeal, as well as internal colleagues receiving gifts for service users.   

2. Responding to all enquiries in a timely and professional manner.  

3. Matching gift requests with pledges from donors and preparing information on gift requests.  

4. Maintaining a live list of all requests for gifts from approx. 60 services and projects, and over 100 companies and community groups, updating as matches are made and requests are filled.   

5. Building positive relationships with corporate donors through written and verbal communications, including email, telephone and occasionally meetings/visits where appropriate.   

6. Co-ordinating deliveries of gifts from donors to projects, ensuring needs and requirements of both parties are met.   

7. Accurately creating and maintaining donor and donation records on Family Action’s Salesforce based CRM system.  

8. Assisting the Corporate Partnerships Manager and Fundraising Administrator with donation processing and administration.   

9. Stewarding Toy Appeal fundraisers, encouraging the use of fundraising platforms such as JustGiving, providing fundraising materials and sharing the impact of their fundraising.

10. Researching to find suppliers for gifts that need to be purchased using donated funds.   

11. Supporting the Marketing and Communications team by providing regular information and updates about the appeal.

We are recruiting a Digital Fundraising Assistant to assist in the delivery of our growing virtual events programme. 

This is an exciting new role which involves supporting delivery of a wide range of virtual events at Sands, in order to grow our fundraising income.  The role includes increasing Sands’ online presence across a range of channels through excellent stewardship of large audiences who are both warm and new supporters. 

You will ensure delivery of a world class supporter experience using an omnichannel approach, helping our supporters reach and exceed their fundraising targets.

Working with the Digital Fundraising Manager, you will monitor the everchanging virtual challenge environment and consider how best to adapt our activities in order to achieve financial targets and remain innovative and a leader within the sector.

You will have strong communication skills and enjoy building relationships, especially within online communities. Additionally, you will have an understanding of a wide range of social media channels and an interest in creating refreshing, inspiring content.

A highly organised and efficient approach is essential in order to respond to large quantities of enquiries across multiple channels. Excellent written communication skills are therefore essential.

Relevant experience in creating engaging video, image and written content for different social channels is also an essential requirement.
