Eclipse is looking for a competent, organised and experienced Finance and Operations Manager to join the organisation during a period of transition.  The Finance and Operations Manager will be responsible for managing the finance support service for the organisation together with operational support for Governance, Admin & HR.

This is an opportunity to play a vital role in the organisation as it develops and instigates an exciting and ambitious new set of plans over the next six months.  You will be working directly with senior leaders and trustees, and line-manage an Administrator utilising strong financial and administrative skills to manage the charity’s finances and day to day operations.

The ideal candidate will have an understanding of budgets and financial management as well administration, along with a passion for theatre and culture to be made by and resonating with Black voices and the communities in the North of England.

Snapshot of the role:

• Full time, with part time options available.
• Fixed 1-year contract, with a view to extend.

JOB DESCRIPTION

Purpose of the Post

• To Provide financial leadership and to be accountable for financial reporting to the leadership team, Board, and stakeholders.
• To be responsible for effective management of the day-to-day office administration, and HR processes.
• To undertake company secretarial duties to ensure compliance with statutory requirement and relevant legislation.
• To work directly with the leadership team and board supporting business planning, organisational development, and to ensure Eclipse meets its aims and objectives.

The Finance and Operations Manager is a key relationship for internal staff and suppliers as well as fielding enquiries from artists, partners and the general public.

Terms and Conditions

Reports to: Senior Change Director

Other reporting: Board of trustees

Line manages: Other administrative staff once recruited, external accountants, IT supplier

Salary: £35,000 gross per annum (pro rata if applicable)

Location: Working from home with some working from company office in Leeds with reasonable notice

FTE / Hours: Full Time (1.0 FTE) at 35 hours per week, plus a compulsory break for one hour. Part-time options of 0.5 to 0.8 FTE would be accepted.

Holidays: 28 days per year (including statutory Bank Holidays), pro rata if applicable

Term: 1-year fixed term contract, with a view to extend following a contract review

Notice: 6 weeks either side for the period of the contract.

Pension: 3% employer contribution.  

Role responsibilities
The Finance & Operations Manager is responsible for:

Finance

• Preparation, monitoring, and control of the budgeting and forecasting processes.
• Provision of clear and timely management accounts to the senior team and Board of Trustees.
• Administration of the company’s financial systems through day-to-day bookkeeping including data entry, management of petty cash, processing of invoices and bank reconciliation.
• Liaising with the external payroll provider and payment of monthly salaries.
• Overseeing the preparation of the annual statutory accounts and management of the annual independent examination.
• Supporting in the delivery of an annual report or funder reports as needed, including Arts Council England NPO reporting requirements and quarterly payment conditions. 

Governance

• Leading on the arrangements for Board Meetings and Away Days: minute taking, writing and circulating agenda and documentation, post-meeting minutes and communicating with the Trustees pre-meeting on location, time and attendance.
• Regularly reviews the company’s policy making – ensuring the company maintains and abides by its policies e.g. Safeguarding, Health & Safety, Environmental and Staff Handbook.

Administration & HR

• Day to day responsibility for managing the HR function of the company.
• Keeping in contact with and responding in a timely manner to any queries from key stakeholders.
• Support the organisation to maintain key relationships and deliver report writing.
• General administration and office management lead.
• Management of the company calendar.
• Administration of company compliance and reporting to statutory bodies e.g. Companies House and the Charities Commission.
• Working as a central point of contact through phone and email.
• Management of the company administration systems.
• Support the delivery of contracts and letters of agreement.
• Support recruitment and onboarding processes.
• Support accommodation, travel, logistics, and tour-booking processes.

As the Trusts and Foundations Manager, you'll be at the forefront of our fundraising efforts, generating income through grant applications to fuel our essential programs and pioneering pilot initiatives. You'll be the driving force behind building strong relationships with grant-giving bodies, family foundations, and corporate supporters, crafting compelling proposals that secure vital funding.

Previous grant writing experience is not essential, but the successful candidate will have well honed writing skills and the ability to pitch proposals to a variety of audiences.

The Income Generation and Communications department is a small team, working flexibly to support the charity’s frontline services. Job Title: Partnership Development Manager

Salary: £34,500.

Contract Type: Contract for 18 months; there is a strong possibility that currently anticipated growth in the team may see this role become permanent during the contract term. Full time (35 hours per week) although flexible hours may be considered; the role may require occasional evening and weekend work  

Working location: Home based. The post holder should expect to come into the office a minimum of two days per month, with the possibility of up to five days per month being routinely required.

The latest research suggesting that the number of children and young people at risk of hunger has rocketed to three million means that one in five children don't have enough to eat.   

When a child is too hungry to learn, when they’re aching for something to eat, they can’t concentrate. They can’t absorb information. Big feelings and worries can be impossible to control. They fall behind in their studies.  

Magic Breakfast provide a nutritious and filling breakfast to over 200,000 children and young people every school day. We work with schools in areas of high disadvantage, helping staff target the children most in need without barrier or stigma.   

Magic Breakfast are ambitious to grow our impact in order to remove hunger as a barrier to learning for all children and young people in the UK. To do this, we need to continue to grow our fundraised income, of which new corporate income is a significant element.

JOB INFORMATION

KEY RESPONSIBILITIES 

• Building a pipeline that reflects Magic Breakfast’s restricted and unrestricted funding needs, including Gift in Kind requirements, working with the Partnership Research Executive to research and identify prospects with potential.  
• Making use of multiple tactics to secure meetings with prospects including, for example, cold calling, emailing, running events, event networking and social selling on platforms like LinkedIn.
• Ensuring that risk-screening and due diligence processes have been completed in line with Magic Breakfast’s Ethical Fundraising and Due Diligence policies. 
• Understanding each prospect’s strategic interests through meetings, discussions and research and defining the mutual advantage in partnership. 
• Developing and delivering engaging, relevant and impactful pitches and written proposals to prospective partners.

South London Citizens 

South London Citizens is a thriving chapter with a growing team of ~18 organisers and project staff. We are building the power of communities in South London through borough alliances (in Greenwich, Lewisham, Southwark, Lambeth, Wandsworth, Merton, Croydon) and the wider region by developing community leadership and supporting people to take action on what matters most to them. Over the past three years, we have worked in partnership with mental health trusts to deliver a pioneering organising project, South London Listens (SLL), to prevent mental ill-health, and more recently with wider South London NHS leaders to take action on a range of issues (from low wages to housing conditions) that impact our communities’ health.

Purpose 

We are looking for two Associate Organisers to join our thriving and dynamic team in South London building the power of local communities. These roles will support local organising, and have a specific focus on health and living wage organising.

In this exciting and innovative role, you will work with community organisations, including faith institutions, schools, universities, and community groups. Your primary responsibility will be to

1. build ‘Be Well’ teams to support the wellbeing of their communities, as part of the South London Listens partnership; 

2. find and develop new community leaders within their organisations; and 

3. take action to tackle the social determinants of health inequality (e.g. lack of migration status, racism, housing conditions, low wages and precarious work).

One or both of the roles will also include specific organising with low paid workers to lead the fight for a real living wage and living hours.

A central focus of an Associate Organiser is their own development: learning the craft of Community Organising under the guidance of an experienced Community Organiser. An Associate Organiser is working towards becoming a competent practitioner of the craft of broad-based community organising methodology, and focuses on the building of relational power, the recruitment and retention of dues-paying institutions, the development of leaders, the strengthening of member institutions, leader-led public actions, and the winning of systemic change. Your learning and development will be paramount in the first few months as the responsibilities given to your experience and skills develop.

Working as an Associate Organiser in South London for Citizens UK your main responsibilities will be to:

Grow and deliver on the priorities of South London Listens and our broader Health organising 

• Build and support new Be Well Hubs in a range of institutions in your allocated boroughs. Including identifying new institutions, delivering training, and supporting them once they are established.

• Work with other organisers to deliver on the priorities identified by communities that are part of the South London Listens project

• Ensure reporting and capturing of stories of the South London Listens project are captured and shared to celebrate and grow the project.

At least one of the roles includes supporting our organising efforts for more just work and wages 

• Identify and develop worker leaders

• Take action with South London Citizens leaders to increase the number of living wage and living hours employers in London 

• Develop and deliver community organising training for worker leaders 

Build relational power to further the goals of CUK 

• Actively participate in the development of a comprehensive power analysis appropriate to the desired sphere of influence for each project/assignment

• Establish working relationships with identified leaders and demonstrate ability to move them into action, including as part of the wider alliance; taking the initiative to establish new relationships as required

• Conduct one-to-ones to develop relationships with leaders and understand their concerns.

• Tell a wide range of Community Organising stories effectively to influence others and achieve CUK’s goals

Identify and develop relational leaders prepared to act with others for the common good 

• Identify and discern actual and potential leaders with the passion and ability to drive change in their borough alliance and through South London Listens.

• Take the lead in supporting groups of leaders through the cycle of action on neighbourhood issues; aiming to achieve neighbourhood and health wins

• Evaluate the effectiveness of actions; demonstrating ability to incorporate lessons learned into future actions

Contribute to CUK’s financial viability through effective fundraising & financial management  

• Contribute to fundraising to the value of at least £20,000 per annum through one or some of the following: 

• WWritinge regular updates on the work to be shared with the funders and maintain a healthy relationship with them

• Recruit new dues paying institutions; work together with a more senior Organiser to negotiate annual membership fees and letters of understanding

• Liaise with the Finance & Operations team to update the membership database and ensure timely invoicing and fee collection

Contribute to effective teamwork and live out our ‘Inclusion’ value 

• Be proactive concerning personal professional development and wellbeing: i.e. by reading widely, developing a healthy work-life balance and demonstrating ability to reflect on own organising craft & improve on self-identified weaknesses

We are seeking a knowledgeable individual to oversee the Fundraising Development Manager position for a fixed-term, covering maternity leave.
