 About the role

Are you a proactive, energetic and highly effective individual with great attention to detail? We’re looking for a new Executive Assistant (EA) for the CEO and the Chair of the Overcoming MS Board of Trustees as well as organisational administrative duties.

This role plays an essential role in the smooth running of the charity. With a small team and big ambitions, everyone plays an important part. Yours is to facilitate our team to work in the most effective and productive manner, using your organisational and planning skills so we can all deliver the greatest impact for people with MS.

Job summary:

You will support the organisation across a range of administrative, organisational and governance activities. You will be comfortable working in a busy environment juggling multiple projects, as is characteristic of a small but ambitious organisation.

You will be able to demonstrate discretion and commitment, along with excellent organisation, written and verbal communication skills and will bring experience of providing director level PA/EA support. You will be able to use your own initiative to prioritise workload according to the demands of the day and learn to anticipate changes, responding professionally, adeptly and positively.

You will be expected to provide a high standard and quality of support across a range of activities and projects, being fully aware of and upholding the charity’s values, and taking responsibility for modelling these to others across the organisation and to the wider community.

Key responsibilities and duties:

The role comprises of the following key areas of responsibility:

· Executive Assistant to CEO

Provide full support to the CEO, including but not limited to:

o Overseeing the diary of the CEO, prioritising meetings and scheduling time for reading, thinking and preparing, ensuring meeting materials are to hand.

o Providing ‘right-hand’ support, undertaking research, ensuring CEO is up to date with all projects and pre-empting needs.

o Secretarial – supporting emails, creating presentations, keeping management files organised and up to date within SharePoint.

· Executive Assistant to Chair

Provide full support to the Chair in any administrative activities that relate to her role as Chair, including but not limited to:

o Overseeing calendar appointments, and ensuring the Chair is prepared for meetings.

o Providing ‘right hand’ support in communication with staff and Board, scheduling meetings and providing administrative support as required.

· Governance and administrative support to the Overcoming MS Board

Provide governance and administrative support to the Overcoming MS Board of trustees, including:

o Scheduling Board, committee and Strategy meetings and making the necessary arrangements (eg booking venues, setting up virtual meetings via Teams/ Zoom).

o Preparation of documentation for meetings including circulation of agendas, compiling Board packs for the Board of Trustees and committee meetings, taking accurate minutes and co-ordinating follow up actions.

o Supporting the Chair and CEO in the recruitment and induction of new Trustees.

o Providing administrative support for working groups, for example, making arrangements for meetings, circulating agendas and papers.
 

· Internal HR administrative lead

Fully supported with external expertise, to provide administrative support for the team, including:

o Advertising vacant roles, coordinating recruitment, sifting applicants, arranging interviews.

o Onboarding new starters, including references, contracts, setting up new starters on the systems, inducting starters in organisational processes.

o Supporting ongoing team development including coordinating training, staff surveys and appraisals.

o Coordinating leavers, including exit interviews, leavers forms and relevant administration.

· Internal IT administrative lead

Fully supported by our external IT agency, to provide administrative support for the team, including:

o Regular meetings with IT agency to ensure correct licenses, equipment and protections are in place.

o Coordination of hardware and software for new starters, equipment provided and returned for leavers.

· Management of Overcoming MS contact enquiries

o Regularly check the Overcoming MS contacts mailbox and manage its contents, responding or delegating to Overcoming MS team members where appropriate, and ensuring follow up is completed.

o Manage the Overcoming MS telephone number to ensure queries are dealt with efficiently.

o Draw themes from regularly occurring queries, to make sure any trends are picked up and addressed effectively.

· General organisational support

o Provide ad hoc project management support to organisational improvement projects, including supporting project team meetings, developing project plans and tracking progress.

o Travel/ meeting arrangements – arrange meetings, attendance at conferences and book rooms and making travel arrangements as necessary.

o    Coordination with our outsourced storage facility.

o Policy support – maintenance of the policy tracker, coordinating the reviewing and updating of policies.

o Admin support for team meetings, oversight of the shared drive, central email lists.

o Lead relationship with our Employee Assistance Provider, including regular team reminders of services and other charity discounts.

o Proactively identify areas where improvements can help improve efficiencies, impact or wellbeing.

Primary location of role

This is a remote role, and the candidate will need to be based in Birmingham, Coventry, or the surrounding areas. Regular travel will be required to meet supporters and visit Asda stores in your region, as well as occasional travel to our London or Sheffield offices.

In line with our income generation strategy:

· Lead on the strategic planning and implementation of income generation activities to help build sustainability of The Carers’ Centre and its services for 19,600 unpaid carers across Bath and North East Somerset.

· Develop and implement a stewardship programme for donors and funders building support and securing new income for The Carers’ Centre.

· Work collaboratively with colleagues to help deliver The Carers’ Centre vision for carers.

Income generation

· Design and deliver a diverse income generation plan to support philanthropy and fundraising in line with The Carers’ Centre Strategic Plan.

· Co-produce annual philanthropy and fundraising targets and take the lead responsibility to instigate and co-ordinate the activity that will achieve them.

· Build long-lasting relationships with key local philanthropists, donors, and funders.

· Work proactively with colleagues to research, identify and scope a portfolio of compelling projects and proposals that will appeal to donors and funders.

· Work closely with communication colleagues to develop appropriate communications campaigns and activities for different supporter groups.

· Contribute towards the charity’s communications and marketing strategy ensuring fundraising is embedded.

Stepping Stones is a small, local charity based in Southwark, supporting adults with learning disabilities to live more connected, creative and fulfilling lives. We believe that everyone deserves a space where they feel seen, valued, and able to express themselves, and that community, creativity, and consistency are key to making that possible. Each week, we run a range of inclusive activities, including music, dance, art, gardening, drama and digital skills. Our sessions offer a fun, safe, welcoming environment where adults with learning disabilities can build friendships, grow in confidence, explore their creativity and feel a true sense of belonging. Many of our learners face social isolation, anxiety, or barriers to taking part in mainstream services. We’re looking for a friendly, organised and proactive person to join us as our new Activities and Volunteer Coordinator. This is a hands-on, people-focused role. You’ll be the go-to person for keeping our weekly sessions running smoothly, supporting facilitators, welcoming learners, managing session admin and planning community events like our summer show and Christmas party. You’ll also take the lead on developing our volunteer programme by recruiting, inducting and supporting the amazing people who give their time to help make Stepping Stones such a special place.

We are looking for an ambitious and proactive Community Fundraising Lead to engage individuals, schools, and community groups across the East of England, maximising income generation and supporting the hospitals to deliver exceptional patient care.

Key Responsibilities

• Manage a portfolio of residuary, specific, and reversionary legacy cases from initiation to completion, optimising income while upholding all legal, ethical, and organisational standards.
• Communicate with empathy and professionalism with executors, solicitors, and beneficiaries’ families, including handling enquiries and confirming receipt of legacy notifications.
• Review estate documentation and valuations, determine the charity’s entitlement, and verify that all due funds are correctly received.
• Ensure that all relevant charity tax reliefs are properly applied for, including Inheritance Tax, Capital Gains Tax appropriations, and Income Tax (form R185).
• Maintain accurate and up-to-date records of all legacy income and correspondence within OSUK’s CRM system and Finance Tracker.
• Track the status of ongoing cases, pursue outstanding actions, and take prompt steps to address issues or disputes as they arise.
• Collaborate closely with internal teams—such as Finance, Supporter Care, and Partnerships—to promote strong stewardship and compliance.
• Refer or escalate complex or high-impact matters to the Director of Finance and Senior Finance Manager when necessary.
• Contribute to team meetings, process improvements, and the development of best practice.

Person Specification

· Strong interpersonal skills with the ability to build positive relationships and communicate clearly and sensitively, both in writing and verbally.

· Proven experience in legacy administration within the charity sector or in probate and estate law.

· Highly organised, with the capability to prioritise and manage a diverse caseload effectively.

· Exceptional attention to detail, ensuring accuracy in financial transactions, documentation, and data entry.

· Skilled in interpreting wills, estate accounts, and related legal documents.

· Competent in reviewing estate accounts to verify the correct application of Inheritance Tax (IHT) and Capital Gains Tax (CGT) and to ensure estates are properly finalised.

· Proficient user of Microsoft Office and customer relationship management (CRM) systems.

· Review estate accounts, including the allocation of Capital Gains Tax (CGT) and Inheritance Tax (IHT), to confirm estates are correctly administered.

· Certificate in Charity Legacy Administration (ILM) or legal/paralegal qualification.

About the Role 

We are seeking a capable, motivated Operations Manager to lead on the effective running of our charity’s systems and operations. This role is pivotal in ensuring our work remains efficient, financially sustainable, and aligned with our strategic goals. 

Working closely with the Chief Executive Officer and Leadership Team, you will oversee the smooth functioning of our internal systems—including finance, CRM, IT, and communications—while supporting fundraising processes and continuous improvement across the organisation. 

This position will suit an organised, analytical, and values-driven professional who enjoys making systems work smarter and supporting teams to deliver impact. 

Key Responsibilities 

1. Leading Our Operations: Accountable for the smooth operational running of our Operational, HR and Financial Systems, including Salesforce, and identifying operational risks that could affect the charity’s mission. Your proactive approach will help us stay on track and keep making a difference.

2. Supporting Our Fundraising: Work closely with other members of the Leadership Team to identify fundraising opportunities, support with bid writing, and take responsibility for individual giving, managing our fundraising CRM, Donorfy. 

3. Supporting Change: Accountable for managing transitional change programmes across the organisation in respect to operational processes and procedures. Help our team adapt to new processes and procedures by providing guidance, training, and resources.

4. Financial Oversight: Understand the revenues and expenses of the charity in order to promote operational efficiency while managing cashflow risks. Whilst this role doesn’t require advanced experience in accounting or bookkeeping, the holder will take responsibility for day-to-day finance processes, including invoicing, account reconciliation on our account software Xero, and monthly financial reporting, as well as working alongside our external accountant. 

5. Communications and IT Fluency: Oversee systems supporting communications and marketing, including our social media platforms and website, ensuring effective collaboration with our external partners.

You will be responsible for expanding and stewarding relationships across TT’s funders, particularly philanthropic funders and select public sector development partners (statutory donors) and growing our funding.

You will lead the design of high-quality, fundable initiatives built on participatory, equitable partnerships - ensuring those we serve help shape the solutions. Working with colleagues across regions, you will secure strategic funding from donors including Trusts and Foundations, statutory donors such as the EU, FCDO, SIDA, Danida, and pursue selective consortium contracts aligned with our mission and capacity.

This is both an external facing and internal catalytic role. We are looking for someone who combines strategic vision with hands-on delivery: a strong communicator who can turn complex ideas into compelling proposals, build partnerships based on trust and shared values, and navigate donor priorities with confidence.

Our Infrastructure Systems Manager plays a crucial role in the development, support and maintenance of these systems, implementing the tools and technology we need as well as driving the reduction of IT costs where possible.

This role is responsible for:

• Maintenance of technical infrastructure based on Microsoft technologies
• Automated process creation to ensure systems are monitored and managed
• Migration of remaining on premise systems to Microsoft cloud based solutions
