Key Responsibilities

Recruitment & Retention

• Administer the recruitment process by placing job adverts into the template on Canva, removing expired job adverts from the THET website; downloading applications; setting up interviews
• Update staff induction materials
• Update the Organisational Organogram on a monthly basis
• Update staff profiles on the THET website
• Maintain internal HR email/In-box
• Ensure new starters are added to the relevant induction meetings and staff meetings

Development & Performance

• Provide induction and refresher training to staff and volunteers on international travel
• Monitor implementation of staff training and development plans

Policies and procedures

• Follow THET policies and procedures, flagging any issues arising
• Update control sheet for policy review dates and maintain version control numbers for policies and forms

Administration

• Provide administrative support to the CEO and SMT
• Update and maintain the Activ absence system: – Create user accounts for new staff/ archive leavers; monitor staff absences
• Administer travel arrangements within the UK and overseas for senior managers
• Oversee and improve standard operating procedures and forms
• Support the HR & Operations Manager with administration of new and current consultants, volunteers, and interns (recruitment, contract reviews, induction, and compliance training schedules)

Operational Support

• Coordinate the procurement process for items and services including approvals, advertising, tender process, preferred supplier contracts, communication to parties
• Undertake office management tasks including responding to THET mail/ calls; arranging and servicing office meetings; maintaining email distribution lists and email accounts
• Facilitate the purchasing of staff IT and other work equipment in line with budget
• Activate email accounts; coordinate laptops for new staff/leavers; open and close IT accounts for starters, and deactivate these for leavers
• Act as the main point of contact for the outsourced IT supplier.

Health and wellbeing

• Prompt Country Directors to ensure Country risk registers are up-to-date and evacuation/hibernation plans exist

This is an exciting time to join a highly successful and friendly fundraising team at Meningitis Research Foundation (MRF) as out National Events Fundraiser. Our ideal candidate is passionate, proactive and organised and will enjoy supporting hundreds of Team MRF runners who are fundraising to defeat meningitis.

Events Fundraiser

Salary: £23,000-£28,000 (depending on experience)

MRF National Events Programme

The MRF National Events Fundraiser is responsible for a significant proportion of our events income with hundreds of runners each year taking on the challenge of participating in iconic races such as TCS London Marathon and A J Bell Great North Run.

Many of our race participants join Team MRF for deeply personal reasons, having had first-hand experience of the disease. Without Team MRF runners we would not be where we are in the race to defeat Meningitis, they are fundamental to our work and have been so since our early days as a charity.

The National Events Fundraiser is an enjoyable role at MRF within a very successful fundraising team, which last year raised over £500,000 by supporting hundreds of runners on Team MRF.

You will need to be an advocate for MRF’s work to defeat meningitis, enabling people to achieve their goals and achieving the best for the Charity. It is through the determination of everyone involved with the national events programme that we are able to deliver a number of our goals as a charity. You will harness that passion to help each runner succeed and understand what a difference they make along the way.

With many different elements to the role from planning, marketing, stewardship and event delivery you will need to be flexible and adaptable. This isn’t a fully desk-based job, as at different points of the year you will get the chance to meet Team MRF runners face to face by attending the events themselves and delivering celebratory post-race receptions.

With large teams of runners across a rolling annual events programme you must feel comfortable in managing deadlines, overlapping plans and keeping on top of supporter communications. Whilst we have systems in place to support this, our ideal candidate is someone who enjoys taking responsibility for their own workload.

This a fun role that sees the events through from start to finish and a great opportunity for the right candidate.

Scope and Nature of Services

Relief International (RI) is a leading nonprofit organization working in 14 countries to relieve poverty, ensure well-being and advance dignity. We specialize in fragile settings, responding to natural disasters, humanitarian crises and chronic poverty. 

RI is seeking proposals from Microsoft App developers to develop an automated Travel Request Form (Lot 1) and Expenses Claim Form (Lot 2) within RIs Microsoft environment. The Forms will need to be able to populate relevant budget code data from RIs finance management system (Oracle Netsuite), use RIs single sign on (SSO) and MS Identity Service (EntraID) and preferably be able to work offline (sync’ing when the user has internet connectivity). Based on the data collected in the forms RI also requires a dashboard of relevant data to be generated using PowerBI (Lot 3).

Developers should bid for both Lot 1 and Lot 2 separately. The fees for Lot 3 (PowerBI) will be agreed with the successful bidder on completion of the initial scope of work related to Lots 1 and 2 and as such no quote is required for Lot 3 in this submission..

RI is open to revising its requirements based on recommendations from a developer where this can improve the functioning of the forms.

RIs IT department will be part of the developer selection process, and will review and sign off on all deliverables prior to any payment.

Lot 1: Travel Request Automation Requirements

A Travel Request (TR) form is to be created in Microsoft (MS) Apps, with an approval workflow automated using MS Automate, and using MS Lists if needed. It will be run on RIs SharePoint, and accessed the RI Sharepoint MyApps page. It can also preferably be used offline, with the data synchronising when a user has internet access. 

Any RI staff can access and create a TR and submit it for approval in the RI MS environment. The fields for the TR are defined in Annex 1. Note that Annex 1 is broadly based on the RI pdf Travel Request form (with some differences), which is available in Annex 5.

Once a TR is submitted for approval it obtains a system generated unique serial number and follows the approval process and subsequent actions as outlined in Annex 2.

Once a TR is approved a traveller receives an approved TR via email, with a link to a form they can save and/or print, which they use to book relevant travel.

Traveller draft and approved TRs will be available for a traveller to access at any time on a dashboard within the RI Microsoft environment that only shows those relevant to the Travellers RI email address.

Lot 2: Expenses Claim Form Automation Requirements

A form is to be created to support Expense Claims and Cash Advance Settlements, called the Expense Report Form (ERF). 

The ERF is to be created in Microsoft (MS) Apps, with an approval workflow automated using MS Automate, and using MS Lists if needed. It will be run on RIs SharePoint, and accessed the RI Sharepoint MyApps page. It can also preferably be used offline, with the data synchronising when a user has internet access. Any RI user with access to RI SharePoint can complete and submit this form. Based on the data collected in the forms RI also requires a dashboard of relevant data to be generated using PowerBI (Lot 3)

Consultant Profile and Submission Requirements

RI is seeking a developer who

• Has significant experience with developing such automations within customer Microsoft systems
• Is registered as a consultant and can provide formal invoices against which payment will be made within 30 days of satisfactory sign off of work by RI

Proposals must include

• The developers CV, showing relevant experience with MS Apps, MS Automate, MS Identity Services, MS Identity Service (EntraID), MS Lists and MS PowerBI, as well as experience with integrating data from other systems (e.g. Oracle Netsuite)
• A supporting letter with
  • a fixed price cost for Lot 1 and Lot 2 separately, including any VAT
  • your hourly or daily rate for any additional work related to Lot 3
  • examples of similar work completed in the past 2 years
  • a proposed timeline for the work, which must include
    • at least 1 detailed scoping session with relevant RI staff to finalise the requirements
    • at least 2 review cycles by RI staff to ensure the final product meets RIs needs.

There are currently 2.9 million people in the world living with MS and currently there is no cure. But, Overcoming MS provides hope through lifestyle changes which are backed by scientific research and which enables sufferers to lead a full and healthy life with MS.

Reporting to the CEO and managing a small team of two, we are looking for support to create long-term and sustainable income streams that allow us to plan for strategic growth. This is likely to involve building a pipeline of corporate partners, major donors, and legacy pledgers to grow income over the medium to longer term as well as managing and developing relationships with prospective high value donors.

The appointed candidate is likely to bring demonstrable experience of developing and implementing fundraising strategies, regularly reviewing them and monitoring against KPIs. You are likely to be a strategic and creative thinker with an entrepreneurial spirit in order to be able to identify and harness new opportunities and trends to drive income growth. As such a solid understanding of income generation opportunities outside of regular fundraising income streams would be helpful.

The Infection Prevention Society (IPS) is seeking an experienced Financial Controller on a part-time basis to manage the transition of the financial systems and processes. With 2,400 members, the IPS is dedicated to advancing infection prevention and control (IPC), playing a pivotal role in supporting IPC professionals, promoting best practices, and influencing policy to prevent infections.

The organisation is transitioning away from being a association-management / volunteer-led model to a small secretariat, hiring its first CEO and five other positions, including this most senior finance role. You will lead on the transition process covering all aspects of financial management, to ensure the Society’s financial integrity and sustainability.

Key Responsibilities:

• Manage the financial transition to an in-house model.
• Creating and testing all internal processes.
• Oversee Statutory accounts, budgeting, credit control, financial reporting and compliance.
• Manage payroll and pension scheme implementation.
• Forecasting, budgeting, variance analysis and support with audit.
• Investigate potential new income generation schemes with CEO.

Requirements:

• Accountancy qualification (CIMA, ICAEW, AAT, ACCA, etc.)
• Proven experience in a financial management role, ideally within a membership body, learned society, nfp/charity or public sector.
• Open to part-time role only.
• Knowledge of financial regulations and accounting principles.
• Analytical and strategic mindset.
• Strong comms to train and support non-financial staff.

Our Business Development department is integral to the success of our organisation and we are looking for an experienced, organised and driven individual to fulfil the role of Head of Business Development. 

We are looking for someone who is comfortable in leading and co-ordinating a team. You will lead and operationally manage the department in our external business development engagement activities as well as our internal, cross-departmental collaboration working towards our ‘Evolve Strategy’.

Role purpose:

The Role

Reporting to the Compliance Lead, the Compliance Officer will drive the development of an improved Compliance culture throughout the charity whilst ensuring that we adhere to all relevant regulations and laws.

Key responsibilities will include:

· Acting as a knowledge expert on compliance and promoting a culture of compliance within the charity in relation to data protection, fundraising and the provision of support services, by the provision of advice, guidance, internal communications and training.

· Assist in the development of new training materials and communications relating to Data Protection and Compliance including overseeing the relevant intranet pages.

· Help to review existing processes and policies and assist in the updating/development of these, along with tracking changes in the external environment that may have an impact on these policies and procedures.

· Overseeing, managing and responding to queries from the departments different inboxes including those for Data Protection, individual data rights requests and data breaches.

· Project managing a number of key actions from an external review of the organisation’s Data Protection practices.

· Assist the Compliance Lead and Associate Director of Legal and Governance in producing ad hoc and annual compliance reports along with any annual submissions to regulators, 3rd parties or external bodies.

You will have experience in, or be able to demonstrate:

· Knowledge of Data Protection and willingness to learn in other areas of compliance

· Experience of working in charities, not-for profit or healthcare sector

· Experience of senior stakeholder management and confidence in communicating with senior stakeholders
