About you and the role

The School Food Project is an ambitious coalition-led initiative dedicated to transforming the school food system. To achieve this, we are deploying three distinct school engagement models: Beacon schools (intensive, in-person, deep-impact sites), Explorer schools (hybrid training and peer learning), and Discovery schools (online only support).

We are seeking an exceptional School Food Project Coordinator to serve as the operational engine room and central connective tissue of this project. Reporting directly to the Programme Manager for the School Food Project, this role will be responsible for ownership of all school-level coordination.

As the primary point of contact for all participating schools, you will bridge the gap between the school and the individual coalition’s delivery leads. You will be responsible for nurturing school relationships, maintaining seamless communication across all delivery partners, and ensuring that vital monitoring, evaluation, and impact data flows smoothly from the schools to our evaluation team.

Key responsibilities

School Coordination & Relationship Management

• Responsible for being the day-to-day first point of contact for all Beacon, Explore, and Discovery schools, ensuring they feel supported, informed, and valued.

• Responsible for the induction and onboarding of schools across the Project.

• Conduct regular, proactive site visits to schools, to build strong, empathetic relationships with school leadership, kitchen staff, and project leads. Initially across London and the North West, scaling nationally year on year.

• Use school visits to monitor delivery quality, identify localised operational challenges, and escalate potential issues to the Programme Manager before they impact delivery.

Coalition & Stakeholder Liaison

• Serve as the central touchpoint and coordinator between the delivery leads of each program across the different organisations within our coalition.

• Ensure that all partner organisations are kept fully up to date with real-time, accurate on-the-ground information and feedback from the participating schools.

• Help facilitate communication loops, ensuring action items involving schools are clearly communicated and executed by the relevant coalition partners.

Data Capture & Impact Reporting

• Take ownership of ensuring that required data points, surveys, and metrics are accurately captured within each school according to project timelines, including conducting school audits for Beacon schools where required.

• Package, organise, and report school-level data back to the Monitoring and Evaluation team to help track project success and iterate delivery models.

Insight & Communication Support

• Keep an eye out for exceptional success stories, milestone achievements, and inspiring moments during school visits.

• Act as a conduit for the internal Communications team by passing along these notes, updates, and on-the-ground insights to celebrate the project's impact.

Essential skills & experience

• Exceptional Project Coordination: A proven track record of managing moving parts, timelines, and logistics across multiple sites or projects simultaneously.

• Superb Relationship-Building: Outstanding interpersonal skills with the ability to quickly build rapport, trust, and influence with a diverse range of stakeholders, from school cooks and headteachers to coalition partners.

• Clear, Proactive Communication: Ability to summarise complex feedback from the ground into clear, concise, and actionable updates for senior leadership and external partners.

• Data Diligence: Strong organisational skills with a sharp eye for detail, ensuring data is collected systematically and accurately in line with M&E requirements.

• IT, Software, and Tech Literacy: Proficiency with office software (Google Workspace or Microsoft 365), and familiarity with CRM systems or project management tools.

• Adaptability & Autonomy: Highly self-motivated and comfortable working independently in a hybrid/remote structure, managing your own schedule and priorities effectively.

• Flexibility to Travel: Willingness and ability to travel frequently and extensively across England, specifically prioritising regular visits to school clusters.

Desirable skills & experience

• Sector Familiarity: Prior experience working within, or closely alongside, the UK education sector, schools, charities, or food system initiatives.

• Coalition Experience: Experience working within a multi-partner, consortium, or coalition framework where diplomacy and cross-organisational collaboration are key.

Responsibilities

Finance & Board Administration

• Financial Oversight: Manage invoice creation, process team expenses, have a good understanding of our overall budget, and pull monthly budget reports from Sage for budget holders.

• Reporting: Prepare core financial reports for the board (budget vs. actuals, projections, cash flow charts) and support fundraising financial queries.

• Board Support: Coordinate quarterly board meetings, manage agendas/slides, take action notes (utilising AI tools), and track the risk and action logs.

Operations, HR & Governance

• HR Support: Manage employee onboarding/offboarding, set up equipment, update personnel databases, and prep monthly payroll, working together with our People & Culture team.

• Compliance & Governance: Ensure Companies House records, CIC documentation, insurance policies, and GDPR compliance are strictly up to date, supplier contracts management.

• Team Culture: Plan team-building events, manage co-working events, and coordinate team gifts and milestone cards.

Data Integrity & Digital Championship

• Digital Champion: Act as the internal expert for HubSpot and Wrike, providing staff training and sharing tips on leveraging AI for productivity.

• Data & Copy Editing: Maintain clean data entry in HubSpot (donations, donor tracking, reporting, supporting prospect research, following up on proposals), and serve as the team’s eagle-eyed proofreader for newsletters, reports, and proposals.

• Centralised Knowledge Wiki: set up and maintain an internal knowledge Wiki (Confluence), maintain up-to date information, assure everyone on the team has access to information they need

Support to Co-directors and PV UK team:

• Week-to-Week and Ad hoc support: preparing budget queries, business cases, liaising with the external provider for bookkeeping / accounting etc.

• Further support: creating monthly and quarterly reports in HubSpot

Qualifications

• Exceptional administrative skills to manage everything from HR onboarding and wellbeing scheduling to high-level Board preparation and Director support.

• A strong eye for detail to proofread and edit internal and external communications, ensuring different pieces of content meet grammar, tone, and branding standards.

• Ability to maintain meticulous data integrity in our CRM for programme and fundraising activities.

• Prepared to embrace being a ‘Digital Champion’, helping team members to learn and embrace platforms we use such as Wrike / Hubspot / Gemini.

• Organised and able to hold us to strict legislative timelines or important annual dates (e.g., filing of accounts / updating Companies House records).

• Good financial competency and confidence in liaising with People and Culture / accountants.

• An understanding of basic UK employment processes, Health & Safety, insurance handling, and corporate governance (e.g., Companies House).

                 We are an established UK charity, which for 25+ years has proactively worked to prevent young sudden cardiac deaths through awareness, screening and research as well as supporting families following a young sudden cardiac death.

                   We are looking to recruit 2x Screening Co-ordinators to join our wonderful Screening Department.

You will have:

o A good, clear telephone voice with excellent spoken and written English

o Good administration skills with an eye for detail.

o The ability to interact well with a variety of stakeholders and CRY staff at all levels, and with many-and-varied external contacts and clients.

o Excellent organisational skills with the ability to be flexible in managing tasks and workload on a daily basis.

o The ability to remain calm and interact sensitively with any enquirers who may be anxious, stressed, upset, etc.

o An appreciation for the need to treat personal data and medical information with the greatest of care in order to meet data protection and information security requirements.

Main Duties:

Coordinating your allocated CRY cardiac screening events which includes:

o Being the main point of contact for the family, school or other party that is funding or requesting the screening event.

o Liaising with the CRY Screening Managers / Drivers / Bookings Coordinator with all details regarding the event.

o Working with and managing the online booking system for your CRY screening events.

o Confirming event information and updating the screening spreadsheet (known as the ‘Screening Calendar’) with any changes.

o Producing screening posters via Canva to advertise screening events.

o Producing results letters, mail-merging letters and ensuring they are created and sent in a timely manner.

o Managing email distribution lists (waiting lists) for individuals who wish to be notified about future screening events in their area; including updating the lists as needed and sending notifications when new event dates are released.

o Ensuring all equipment and consumables are ready for the screening event and all prepared for the Driver to take on the CRY van.

o Managing and inputting data into various CRY screening spreadsheets – e.g. producing information spreadsheets for use by the screening team on the day of the screening event.

Ad hoc Duties:

o Providing support to other members of the screening team with their assigned CRY screening events when needed (e.g. to cover annual leave, sickness, etc).

o Answering telephone queries and emails about screening.

o Secondary telephone answering duties for both the screening phone number and the main CRY office phone number.

o Secondary ‘ECG’ mailbox answering duties.

o Ensuring that records (physical and digital) are kept in accordance with general data protection and information security regulations (GDPR and related legislation)

o Other office administration tasks at the request of the Screening Team Leader, Screening Manager or the Director of Screening and Research.

About us

The Mason Foundation is a national charity that supports neurodivergent young people and communities to thrive. (Neurodivergent means people whose brains work differently, for example autistic people or people with ADHD.) We run three main programmes: Propel, which is employment support for neurodivergent young people aged 14 to 25; Community Mile, locally led physical activity run by trained Champions; and wider community programmes. We work across England and Scotland.

About the role

You would be the person delivering our programmes on the ground across the South East. You would deliver all three programmes, Propel, Community Mile and our community programmes, by running training and sessions, building relationships, and championing neuroinclusion, which means helping everyday settings work better for neurodivergent people. You would also meet the wider team in person a few times a year.

Role Summary

The Training Coordinator is a member of the Into Film Learning Content Creation team; the team is responsible for the devising, commissioning and delivery of high quality film focused learning opportunities and resources for use in both formal and informal learning settings, including face-to-face and online via webinars and our on demand learning platform. The Training Team sits within this team, and is responsible for Into Film’s CPD (continuing professional development) across the UK.

The main function of the Training Coordinator is to plan, create, deliver and evaluate film-focused materials for our core areas of learning: teaching with film, careers and extracurricular filmmaking. Along with the rest of the team, they also act in an advisory capacity across the organisation on curriculum and pedagogical matters.

Main Responsibilities:

• Devise, create and deliver interesting and exciting training, resources and online interactive learning opportunities, for both educators and young people.
• Act in an advisory and supportive capacity to internal and external writers and practitioners who will also devise, create and deliver the learning content, ensuring a high level of quality assurance is maintained.
• Support the recruitment of project partners such as ITT (initial teacher training) and other notable educational organisations, managing relationships and ensuring scheduled milestones are adhered to.
• Project manage courses, sessions and other learning assets from idea generation to publication and evaluation. 
• Create digital content for the learning platform, including gamified interactivity, video content, copy and downloadable assets.
• Evaluate and report on the training programme through creation and analysis of surveys, focus groups and other methods to identify and implement changes. 
• Carry out both external and internal training to a range of staff and stakeholders, including supporting internal staff with education advice and information. 
• Provide day-to-day administrative support, including responding to training enquiries and processing paperwork relating to the running of the programme.
• Copywriting, consultancy and research for industry journals, research papers and content for the Into Film audience.

Person Specification:

Minimum Requirements:

• A minimum of 2 years' experience of teaching in the UK.
