The role
Working to the COO, the Finance & CRM Manager is responsible for managing the day-to-day finance function and overseeing the operation, data quality, and user support of the organisation’s new CRM system. The role encompasses financial processes, CRM data and reporting, governance, and wider organisational activity.
Key Responsibilities
Financial Administration
• Manage finance operations: ledgers, payment runs, reconciliations, VAT and Gift Aid where applicable.

You will play a key role in championing our supporters, helping us understand their needs and continuously improve their experience. KEY TASKS AND RESPONSIBILITIES
- Deliver excellent supporter care, including responding to email, post and telephone enquiries, issuing receipts, and carrying out donor follow‑up.
- Provide warm and consistent stewardship to donors, including personalised contact such as telephone calls, letters, handwritten cards and emails.
- Be the first point of contact for community groups, schools and clubs, offering guidance, support and fundraising materials.
- Support recruitment and stewardship of challenge event participants, ensuring they feel informed, motivated and appreciated.
- Support community fundraisers throughout their activity, providing resources, stewardship and encouragement.
- Record and track community fundraising activity within the CRM.
- Support the development and delivery of supporter journeys, helping ensure communications and touchpoints are timely and engaging.

This exciting CRM Officer role will support the data team with data imports, data selections and processing of income.
The Foundation has just started using a new CRM after undergoing a CRM migration from Raiser’s Edge, a very exciting time to be joining the Foundation! This role, alongside with other members of the CRM team, will liaise with the CRM Project Teams to support and ensure the successful outcome of the project and get us up to BAU.
What does the role involve?
- Manage data processes, imports and exports of all fundraising data including direct debits, new donors, email signups etc. in accordance with agreed protocols and in agreement with CRM Manager.
- Ensure that the use of the Fundraising database and the capture of all data from supporters or prospects conforms to data protection guidelines including GDPR relating to supporter preferences and consent.
- Support training for colleagues using the new CRM (Beacon) and help ensure all members are trained and kept up to date on new features and enhancements as they require to do their job effectively.
- Support the reconciliation of the bank statement with Beacon and ensure the Finance team know where to find information to enable accurate coding for management accounts.
What skills, knowledge and experience are we looking for?
- Demonstrable relevant experience working in Fundraising, or a Charity database team role using Raiser’s Edge or any database similar, with experience of CRMs in general.
- Evidenced experience of managing high volumes of personal data using a large and complex supporter/CRM database.
- Evidenced ability to think analytically and deliver the most effective and accurate solutions for data capture, manipulation and reporting.

More about the role
Reporting to the Head of Enterprise Solutions and working closely with colleagues and strategic partners, you will be instrumental in improving the accessibility, availability, performance and security of our CRM products. You will take ownership of project objectives agreed by the Project Steering Group and provide clear vision, leadership and direction to the project team throughout the programme lifecycle. This will include planning, monitoring and evaluating work, taking responsibility for performance and ensuring that any required improvements are identified and delivered.
You will ensure projects are effectively controlled through strong project planning, scope management, resourcing and financial oversight. A key part of the role will involve producing timely, accurate reporting and escalating progress, risks and issues to senior stakeholders within the project governance structure. You will coordinate and organise project and organisational resources, build strong working relationships across departments and geographies, and confidently manage changing goals and requirements, responding proactively to both challenges and opportunities as they arise.
Collaboration will be central to your success, as you engage positively with initiative leads, subject matter experts, delivery partners, the CRM Steering Group, CRM Leads and the CRM Process Change Analyst. You will also act as a champion for positive organisational change through the Central Platform programme.
About you
Essential qualifications, skills and experience
- Proven experience as a Senior Project Manager, working to time, budget and specification constraints.
- Thorough understanding of risk management.
- Considerable experience working in CRM implementations, emerging Microsoft CRM technologies and best practice.
Although not essential, it would be great if you had;
- Prince 2 Practitioner, Agile PM or PMP certification.
- Understanding of website integration and digital marketing.

Join Us as our Operations Coordinator
BeSpace is a small but growing Christian charity with a big vision to see a future where every child has space to develop personal tools to pray, reflect and grow spiritually throughout their lives, helping churches, schools and communities to flourish.
We have seen incredible impact through developing prayer and reflections spaces in schools across Oxfordshire. Since 2010, over 65,000 children have experienced prayer and reflection spaces led by local churches, trained and resourced by us. Currently 60 schools a year have one. Now, we’re building on this momentum to reach over 115 schools in the next three years and are preparing to grow nationally with developing contemplative retreats for schools.
About the Role
We are looking for an Operations Coordinator to cover adoption leave, likely for one year. This is a vital role in keeping BeSpace running smoothly and enabling our small but growing team to thrive. You will also, where needed, play a hands-on role in supporting churches and schools in our work.
In this role, you will:
- Take responsibility for key operational processes including recruitment, HR, and volunteer management systems — not only maintaining them effectively but actively seeking ways to innovate and strengthen them, with guidance and support from senior leaders.
- Manage finance administration, including donations, CRM (Beacon), and Gift Aid claims.
- Project manage BeSpace events and provide admin support to the team.
- Develop and maintain systems for impact tracking, GDPR compliance, and volunteer management.
- Provide communications and social media support.
- Where needed, support on-the-ground delivery of retreats and prayer and reflection spaces in schools.
