The Royal College of Ophthalmologists (RCOphth) is a membership organisation and the voice of the profession, with over 4,000 members in the UK and overseas. Job Purpose

The National Ophthalmology Database (NOD) is a core Department workstream using clinical audit data to identify improvements and provide advice, to inform patient care, safety, and service delivery. This is a new role working with internal and external stakeholders to coordinate and support the programe manager to deliver activities of the NOD. The post requires strong attention to detail and excellent organisational skills. The role will be responsible for all aspects of project support and day-to-day management of the NOD website, including implementation of new developments with the supplier and analysis of usage to suggest areas for improvement.

Main Areas of Work and Responsibility

• Assist the NOD Manager in project planning to identify and track deviations from the project plan and budget, identifying and logging any risks and issues, and improving project procedures
• Support the NOD Manager with administration, project outputs, applying and explaining the information governance, outlier, and other project policies to stakeholders
• Management of the NOD website including liaising with the website supplier, working with the NOD Manager to develop a content schedule, editing content, assisting users with queries, authorising user access
• Review and analyse website performance and make recommendations for improvement
• Lead and manage the delivery of specific workstreams as agree with the NOD Manager
• Administer virtual and in person meetings, preparing agendas, taking minutes, following up actions
• Liaison with the project teams and RCOphth functions e.g. policy and communications team  
• Process and respond to incoming correspondence, providing information and guidance to stakeholders and project participants
• To maintain and update audit contact databases (Microsoft Excel and CRM) assisting with its ongoing development and testing.
• Assist the NOD Manager with recruitment of organisations to take part in the audits
• Assisting with editing and proofreading project outputs and ensure they adhere to branding and house style guidelines
• To undertake other administrative duties as required. For example, finance/processing purchase order information to enable subscription invoices to be issued

Person Specification

Knowledge, Qualifications and Experience

• At least two/three years’ experience in a similar project support role
• Experience of website administration/management including use of Google analytics, Content Management Systems and liaising with developers
• Experience of working with customer relationship management databases to support effective project administration
• Experience of coordinating activities for complex/substantial work programmes, with numerous ‘external’ customers, to challenging deadlines
• Knowledge and experience of Microsoft applications, including Word, Excel, Outlook, PowerPoint and Project
• Experience with managing and maintaining documentation, flowcharts and schedules

Mind's Partnerships Fundraising team - part of the wider fundraising directorate - is responsible for generating income from major donors, charitable trusts and foundations, the statutory and corporate sectors.

The New Corporate Partnerships team is comprised of a head of team, two senior managers, two senior officers, three officers and one assistant.

The New Corporate Partnerships team has been at the forefront of securing some fantastic partnerships for Mind such as, Allianz, Bupa, Co-op, Direct Line, Dunelm, ITV, McLaren Racing, and McVitie's, to name a few. Our partnerships cover the spectrum of partnership types; strategic and Charity of the Year partnerships (COTYs) and brand and commercial partnerships. You will help us build on our success.

Key duties and responsibilities

The post holder will:

Working with the Head of New Partnerships, the New Corporate Partnerships Manager will:

-Help develop and implement the Corporate Partnerships team's new partnerships strategy, working closely with the Head of New Corporate Partnerships and other team members.

-In year one, be accountable for delivering an individual income target for 22/23 and supporting the overall New Partnerships Teams' multi-year income targets and ROI, working with the Head of New Corporate Partnerships and reviewing progress on a monthly and quarterly basis.

-Lead and develop opportunities from the Charity of the Year (COTY) and commercial/strategic pipeline, including developing and stewarding relationships, submitting proposals, leading on pitches, while working with various teams across Mind.

-Project Manage high level bids, to engage internal teams, create clear project plans including: roles and responsibilities, senior stakeholder briefing and internal feedback.

-Identify networking opportunities across Mind and externally for potential corporate partnerships

-Develop stewardship plans for top prospects, including Mind senior leadership and trustee engagement and roles, taking a collaborative approach and balancing impact and effort across opportunities

-Line manage two New Corporate Partnerships Officers who will support with the development of pitches and lead their own opportunities with your support

-Lead and assist with the design of new partnership agreements with companies to ensure that expectations from both parties are met and the interests of Mind are looked after, and risks are mitigated.

-Work proactively with the Corporate Partnerships team managers and support the wider team to renew, deliver and grow holistic, donor-focused partnerships where appropriate.

-Work with colleagues across Mind to identify the potential and manage the risk in new partnerships, ensuring that Mind's ethical policy and charity legislation is adhered to.

-Monitor, analyse and review information on industry trends, innovations and developments, keeping the pipeline updated.

-Represent the Partnerships team in appropriate working groups, workshops and/or meetings/other events as directed.

-Monitor and evaluate new business activity and provide regular updates/reports to the Head of New Corporate Partnerships.

-To use the CRM database to enter, update and extract accurate information to maximise operational benefits and opportunities from the database system.

-To support the new partnerships team and have delegated responsibility from time to time, in the absence of the Head of New Partnerships.

MAIN PURPOSE OF THE JOB

The primary focus of this external-facing role is to ensure that Bond’s member organisations are deeply engaged across a wide-range of Bond services and activities.

Using an account management approach, you will thrive on seeking out, building and nurturing relationships with key job roles at every level within our member organisations, offering them regular support and advice on how to get the most out of their membership of Bond. 

As the first point of contact for Bond members, you will deliver outstanding customer service with a warm, helpful, and confident demeanour, lead meetings with members to understand their needs and identify engagement opportunities, and introduce members to Bond colleagues when appropriate. A firm grasp of the Member Value Proposition is essential, as is the ability to confidently and enthusiastically speak to all aspects of it when interacting with members.

Working alongside the membership and marketing manager, you will help to develop and implement strategies to retain existing members, using data (in Salesforce, our CRM) to inform and tailor our approach including identifying members with low activity or gaps in engagement. You will gather feedback and intel from members through surveys and other mechanisms so that we better understand how and why they value Bond and to identify potential new initiatives and services they may find useful. One of your responsibilities is member renewals (which is integrated with Salesforce), in which you will work with the Salesforce Adviser to ensure that the process is optimised and efficient. You will also regularly compose member emails and newsletters and contribute to Bond reporting and Board papers.

While the role sits in the Communications and Member Services team, it is integral across the organisation. You will regularly meet and collaborate with colleagues across our policy and advocacy, sector transformation and senior leadership teams to possess a thorough understanding their work and the value-add it provides to members. Likewise, your deep comprehension of what members need from Bond will input into Bond’s strategy and membership offer. 

MAIN RESPONSIBILITIES

Member engagement and account management

• Create and implement effective strategies to engage members and keep them involved and interested in Bond’s activities and initiatives.
• Build and nurture relationships with key member audiences to better understand their needs and requirements of Bond and clearly articulate the member value proposition.
• Regularly meet members (predominantly online, but also in person) to discuss their membership and engagement opportunities.
• Ensure the contact data we hold on key member contacts is accurate.
• Coordinate the member renewals process including the communications schedule, automated reminders, reviewing fees and raising invoices.

The Corporate Team at ARUK has just enjoyed a record-breaking year of fundraising by our corporate partners. We require a proactive and organised colleague to provide the team with vital administrative support. 

The successful candidate will support our partnerships with companies such as Dyson, The Perfume Shop, Cadbury, and Slimming World while building excellent relationships with supporters from within those organisations. This role will also support our new business team with their approaches to prospective companies. 

This is a 12-month fixed term contract, or on return of the substantive post holder, to cover a secondment period.

Main duties and responsibilities of the role:

Team administrative support

· Provide general administrative support for all members of the team.

· Manage invites and room bookings for Corporate Team meetings.

· Ensure accurate recording keeping through the use of our CRM system.

· Be the main internal point of contact for the Corporate Team.

· Respond to incoming team enquires promptly and professionally.

Securing new partnerships

Supporting our existing partnerships

· Provide a first-class stewardship journey for fundraisers from companies that are supporting the charity. Including making sure they have the materials and resources required to fundraise – preparing and sending information packs, wishing them good luck, drafting letters, and sending thank you messages.

· Work closely with the Central Fundraising Team to ensure a consistent stewardship journey across all audiences. 

· Manage online giving pages and our CRM system to make sure corporate supporters are identified and recorded correctly, and their income potential is maximised.

· Monitor the CRM system to make sure that all information about our corporate fundraisers is recorded correctly.

· Filter enquiries from our corporate supporters whilst the Partnership Development Officers are on annual leave to ensure a timely and helpful response. 

· Help support event delivery by sourcing volunteers, merchandise, and gifts in kind for events.

· Keep the Partnership Development Officers and Team Managers up to date on feedback from supporters. 

· Communicate key fundraising products and communications designed for our Corporate supporters with the Regional team. 

· Develop new fundraising idea packs to engage our Corporate supporters and seek appropriate sign off.

Working with others

· Work with our merchandising team for the development and production of event materials as required.

· Liaise with our distribution centre to organise mass mailings of materials needed for pitches and large partnership launches and events.

· Represent the Corporate Partnerships team on working groups for internal projects to ensure the team’s needs are met.

· Work closely with our Supporter Care Team, Central Fundraising Team and Insight & Development teams to make sure that the Corporate Partnership team is following processes correctly and is adopting improved practices where possible.

Purpose of job: To work as a key part of the Philanthropy and Partnerships Team, line managed by the Senior Philanthropy and Partnerships Manager, and accountable to the Museum’s Director. This role will bring in vital income from trusts, foundations, corporate partners and individuals to deliver the business plan. This role has responsibility for achieving income targets by collaborating across all departments to understand and translate fundable and core activities into compelling cases for support.
Working pattern: 35 hours per week, usually worked from 10 – 6pm. Flexible/hybrid working offered for up 40% of hours to be worked from home.

Who we are looking for:

Supporter Identification, Communication and Cultivation

The Philanthropy & Partnerships team
In Autumn 2023, Foundling Museum delivered a successful, ambitious capital campaign to secure the future of the Museum through a variety of supporters, from individuals, major supporters and trusts/foundations.
The Philanthropy team is responsible for the funding revenue needs of the Museum, which for 2024-25 is c£800,000, making up approximately 36% of total income.
The post of Philanthropy and Partnerships Manager will deliver against personal targets toward this goal. Remaining income includes Arts Council England National Portfolio funding, NLHF funding, core earned income (admissions) and trading activities (retail and venue hire).
The Philanthropy and Partnerships team collaborates closely with the Director, Chair of Trustees and Development Consultants and across all departments to understand and translate fundable and core activities into compelling cases for support. Across a year the team raises vital income for exhibitions, learning and participation activities, events, capital projects, an established endowment fund and unrestricted revenue income.

CCX’s organisational structure is a hybrid management model, blending elements of both functional and project-based structures. • To develop and maintain a culture of compliance across the Foundation through developing and delivering training and producing guidelines and departmental policies.
• To conduct periodic reviews or audits (to include external suppliers) to ensure that compliance procedures are followed and fit for purpose.

Gift Administration and Implementation

• Support our fundraising colleagues to maximise their income and engage with supporters in a compliant way
• Triage and respond to gift administration and compliance queries and requests within defined service level times
• Produce and keep updated, relevant guidance, tools and resources for colleagues across the fundraising function
• Develop new strategies to provide the best support for our fundraisers and work to build new and lasting relationships with key stakeholders
• Advise senior stakeholders on the benefits and risks of our activities and advise on the best course of action
• Working with the legal team, develop and maintain the appropriate gift agreements and similar documents, supporter communications and online pages, and support fundraising colleagues and supporters to complete the appropriate paperwork ·
• Manage the Fundraising Support email address/enquiry channels
• Ensure policies around philanthropy and gift management are up to date and disseminated appropriately across the Foundation.

Fundraising compliance and data protection

• To evaluate and apply the Data Protection principles to variable and challenging scenarios, supporting colleagues to find solutions to their problems within the limits of the law.
• Ensuring we are aware of and reacting to any fundraising and data protection regulations changes. Regulations include GDPR/UK Data Protection Act 2021, Fundraising Regulator's Code of Fundraising Practice, Charity Commission guidelines, BACS, and PCI DSS Compliance. HMRC Gift aid guidelines.
• Recognise that a change in procedure or legislation external to the Foundation has implications and who needs to be notified of the changes.
• Produce and continually monitor our operational policies; modelling best practices against the Fundraising Regulator's Code of Fundraising Practice
• Responsible for reviewing all fundraising contracts and third-party agreements for data capture to ensure they are in line with all compliance regulations, ensuring our supporter data is adequately protected, any new fundraising processes and procedures are compliant, and fulfilling the operational commitments associated. Suggest and negotiate amendments, and if the necessary compliance clauses cannot be met then decline authorisation to work with that third party.
• Assess data risks and complete Data Protection Impact Assessments where required, being prepared to work with colleagues to pull together the relevant information and present to the data protection lead for sign off. ·

Leadership

• Where necessary, be prepared to make pragmatic decisions on where we should be focusing resources.
• To develop a programme of training and guidelines to cover complicated rules and processes in a concise and accessible manner. To identify and address where the knowledge gaps exist.
• Monitor workflows and procedures identifying and implementing new efficiencies to increase work output and reduce service delivery timeframes

Skills and Experience

Essential criteria

• Experience of working in a compliance or similar function
• Experience of working in fundraising or with fundraisers
• Project management experience, leading multi-faceted projects
• Experience of working in a regulated environment
• Experience in creating and delivering strategic objectives and plans
• Experience of reviewing a variety of legal agreements, including gift agreements and similar documentation
• Experience of writing policies and procedures Knowledge of the Raiser's Edge or similar fundraising CRM system (desirable) or demonstrable ability to get quickly to grasp with new data systems Essential criteria
• Extensive knowledge of UK Data Protection legislation (in particular UK GDPR and PECR), Fundraising Regulations (Code of Fundraising Practice and Charity Commission regulations) and a track record of how to apply them.
