Financial Administrator reporting to the Finance & Operations Manager.  The role of Finance Administrator is a crucial one in our small Finance team, where the successful candidate will be responsible for maintaining financial records. This position requires strong organisational skills, an attention to detail, enthusiasm for figures and good financial practice. About the role

The Access Project is an evidence-based, data driven intervention. Central to our programme are the ways in which we use data to ensure each of our students receives the provision they need, to learn about how we can improve our delivery and to evaluate our impact on our students’ university prospects. We have developed sophisticated monitoring and evaluation systems bringing together data from a variety of sources to track students’ progress (impact management) as well as ascertain their outcomes (impact evaluation). We collect data on our students’ academic and socio-demographic background, their participation on our programme and progress on our bespoke university readiness scales, and their academic results and university destinations. We use this data to intervene in real time when delivery goes off-course but also to understand how The Access Project programmes affect student outcomes and publicize this impact externally.

As part of the Strategy and Impact Team, the Data & Insights Lead will be responsible for ensuring all teams have the right data and to deliver and monitor our programme in a timely and effective way. They will manage, analyse, interpret, and present data and information, most of it recorded on our Salesforce system, to enhance the quality of delivery, maximise the achievement of outcomes by participants and ensure that the project achieves the greatest possible social impact. They will also project manage distinct pieces of work ranging from system optimization to external reporting for impact-related projects and partnerships.

Duties and responsibilities

1) Ensure the efficacy of our monitoring & reporting systems

1. Identifies required changes related to how we collect and manage data in Salesforce so that programme delivery data is available in the right format and at the right frequency to support decision making across teams and allow for accurate reporting.
2. Make recommendations for changes to the Salesforce system in line with this and support the Operations Team with reviewing options.
3. Support other teams to have the confidence and skills to effectively use our monitoring & reporting tools and processes for their specific needs.
4. Identify required improvements to our data processes (e.g. processes for collecting/collating data, for automation, etc), and project manage their implementation.

2) Coordinate the use of data to guide tactical and strategic decision-making on programme delivery and design

The District Administrator is the first port of call in the District office and acts as an essential point of contact for all 19 Circuits and their Churches within the District.

· During cover period, you may be required to open and close the patient spaces, as part of a wider team rota.

Administration Officer – England Central

We are recruiting an Administration Officer to provide an effective and comprehensive range of administrative support to workstreams/projects, which will enable the charity to fulfil its function across Central England to a high-quality standard.

What you will do:

Coordinate training bookings, using the diary system, email and databases to ensure training is organised, allocated and delivered.

Create resource pack for colleagues delivering training courses and workshops.

Help to facilitate training delivery nationally, responding to email and telephone enquiries, ensuring preparation, materials, resources, venues, for all events are in place when required.

Help to plan, contribute to and attend PAPYRUS conferences, workshops and events as required.

Collate evaluations and feedback from training and project work.

Salary: £23,114 per annum (NALC Scale SCP 4) progressing by increments to £23,893 per annum (NALC Scale SCP 6)

Background - Number Champions

We set up Number Champions in 2018 to transform the lives of children in state primary schools who struggle with numeracy or lack confidence in maths.  We employed our first staff member, our Head of Operations (HoO), in 2022 and our second, an administrator, in 2023.. 

We are the only charity systematically working in-person with young children in our field.  Early support will put children on track to achieve their full life potential in a world where some fluency with maths is an essential building block. Success in this one area can increase their self-esteem and their involvement in education as a whole. 

Now in our sixth year, we are working across 14 London boroughs in 32 partner schools, with over 110 In-School Volunteers supporting more than 300 children. We plan to increase these numbers each year. Our medium-term vision is to expand across London, while maintaining the highly positive impact we have achieved to date. 

We are proud to have received two national awards last year recognising the work of our volunteers, and we are currently shortlisted for a 2024 award.

The Administrator role 

Our HoO has taken the lead in developing the charity and in giving us the capacity to expand further while maintaining quality of delivery. The administrator reports to the HoO and manages the bulk of the administration processes of the charity.  

The role is for an equivalent of 2 days a week, during school term-time only. It will be almost all remote, although you will be expected to attend occasional meetings in Central London (or possibly North London if that is more convenient for you). 

We intend the role to be permanent, but we are offering an 11-month contract September to July pending confirmation of funding. 

Impact on the organisation 

You will take on key responsibilities for administration and for contact with different groups of stakeholders. In a small professional team, you will have the opportunity to suggest ideas and to influence the development of the charity.

Core responsibilities 

• Manage the administration processes of onboarding volunteers and schools
• Gather, capture, and maintain the charity’s data in our management system
• Communicate with volunteers and with office and finance staff at partner schools
• Raise invoices
• Manage basic bookkeeping
• Assist in purchasing
• Provide occasional cover for other staff, as required
• Other activities as required from time to time to support the HoO, SRM, and charity.

Required skills and experience 

• Administrative or professional background
• Attentiveness to accuracy
• Proficiency in Microsoft Office (and knowledge of Google Suite would be advantageous)
•  Excellent interpersonal skills and the ability to build productive working relationships remotely with staff, volunteers, and schools
• Good time management skills and the ability to prioritise
• Commitment to the mission of the charity to help young children with maths.

Basic bookkeeping experience is desirable but not essential.

Benefits 

25 days holiday plus 8 bank holidays, prorated for a 2-day-a-week role. 

(Although the role is for only 39 weeks a year we will pay you for  33 days annual holiday reduced only by 2/5 for working 2 days a week.  This increases your take home pay by about 4% compared to also reducing holidays by 39/52 for weeks worked.)

Employer’s contribution to pension of 3%.

This is an exciting new role within the charity to work across the organisation to unleash the power of data analysis and curiosity.  You will work with colleagues across different departments to understand their data, find insights and support the team to make data driven decision and impact reporting. You will have experience of fundraising database marketing within the not-for-profit sector, with a focus on the specific use and manipulation of data structures within a relational database.

This role will be crucial in Muscular Dystrophy UK’s (MDUK) transition to be a more data driven organisation.
