We are looking for a proactive, positive and team-oriented Schools Coordinator to work within our busy and fast-paced team. We are proud to have recently been identified as delivery partner for the Department for Education’s ‘Supporting Survivor Testimony in Teaching’ contract. Your priority area will be to ensure the effective and timely onboarding of schools who have registered to take part in this initiative, ensuring that once they have registered, we provide a seamless and efficient user journey, maximum school participation, and encourage further engagement across the organisation.

You will need to use your initiative and have a willingness to adapt to changing demands and priorities. The ideal candidate will demonstrate a high level of organisational skills, integrity, problem solving and people skills.

Key responsibilities

When a school registers for one of the Trust’s programmes, the Schools Coordinator manages the logistics and organisation of each school’s engagement, working closely with the schools and link teachers to ensure the smooth delivery of our programme. This includes:

• Coordinate booking dates/times – working with schools to ensure we fulfil their application to join one of our programmes.
• Handle enquiries and maintain accurate booking records.
• Staff allocation – securing freelance educator to deliver content.
• Direct communication – building and maintaining strong relationships with schools, teachers, and school staff, ensuring a smooth user experience for our clients. This includes, but is not limited to, answering queries from teachers / staff as received, linking schools with respective freelance educators as necessary, sharing all relevant updates and information ensuring teachers/staff are fully informed about the delivery plans.
• Courier booking – to ensure all hardware is onsite for respective delivery.
• Kit maintenance – monitoring processes related to monitoring of kit and responding to issues log in a swift manner.
• Monitoring – logistics plans and raising any issues with senior logistics staff as they arise.
• Maintain strong relationships with new and existing clients.
• Manage office communications, including phone calls and emails.
• Assist with general administrative tasks to support the teams objectives.

This is a full time contracted role until 31st March 2027 working in our Central London office location with hybrid working available in line with organisational policy.

About This Job

This is an exciting training role in Army Cadet Headquarters responsible for the coordination, development and implementation of strategic training policy across the Army Cadets.

We are looking for a training professional to bring their skills, enthusiasm, and personal credibility to the team and lead on the training governance, strategic policy, and implementation of training requirements across both our volunteer staff and employed workforce.

Roles & Responsibilities: 

Customer Care & Investor Support  

• Provide high quality customer care to investors, ensuring timely, clear and supportive responses to enquiries.

• Support new investor onboarding by guiding investors through account setup, verification steps and platform navigation.

ROLE:

As part of the Supporter Care team, the Supporter Care Assistant will help provide an excellent supporter experience and through every interaction will seek to build meaningful relationships with our supporters which increases their level of satisfaction and engagement. Whether you are handling donations, maintaining a high-quality database, responding to various supporter enquiries and fulfilling their requests, responding to complaints and feedback, or providing supportive administrative services to the department, the delivery of outstanding customer service to our many supporters will remain at the heart of your role and be the focus of your efforts. Over the coming year ShelterBox is transitioning to a new CRM system (Dynamics 365), and the job holder will be involved in supporting team SMEs (Subject Matter Experts) and being active participant in adopting new changes and learning new processes.

WHO ARE WE LOOKING FOR?

We are looking for a proactive and enthusiastic individual with a passion for amazing supporter experience. The ideal candidate will be a great communicator and be a real people person with previous experience in customer facing roles. They will have a keen eye for detail, able to accurately follow processes and have experience handling spreadsheets and databases.

As part of a growing organisation, we are looking for someone with an interest in supporter engagement and international affairs who will continuously seek new ways to ensure supporters are at the heart of everything we do.

Duties will include but not be limited to:

* Delivering a consistent and high quality of supporter engagement through all enquiry channels including inbox, phone calls, social media direct messages and post.

* Managing the ongoing relationship with supporters as they progress in their ShelterBox journey.

* Championing the supporter voice throughout the organisation via meetings, communications and daily interaction.

* Processing and acknowledging all donations that have come in through a range of sources including but not limited to post, website, standing orders, direct debits and financial reconciliations.

* Maintaining accurate gift aid records.

* Ensuring supporter records are kept up to date and data entry is accurate, recording all communications on our CRM database.

* Producing written correspondence such as bespoke letters and responding to feedback or complaints.

* Aiding the Supporter Care Manager, Supporter Care Team Leader & Supporter Care Officer in project work that will develop the team's approach to supporter engagement.

* Supporting and supervising volunteers within the team.

* Taking an active part in ensuring your own personal development.

* Contributing new ideas and continually seeking to improve processes to drive efficiency and improve supporter experience.

* Undertaking general admin tasks related to supporter communications such as filing, scanning etc.

About you

As our Face-to-Face Acquisition Manager, you will set the standard for brilliant, effective fundraising putting our supporters are at the heart of everything we do. Working with the Senior Manager and Direct Engagement team you will take the lead, bringing both fundraising and operational expertise to deliver strong data driven campaigns, ensuring its success day to day. 

In this role, you will:

• Manage the team to drive the success of our face-to-face agency program, meeting and exceeding KPIs and targets through effective management of stakeholders.

To be successful, it is important that you have:

• Experience of managing the delivery of end-to-end face-to-face fundraising activity.

Ways of Working

The majority of our roles can be performed remotely in the UK. However, for this role, you will be required to work from our Farringdon Office- London 1 day a week, some weeks this might be slightly more, some weeks could be slightly less Please note that travel costs to your contracted office will be at your own expense. Main Responsibilities:
 

This role will ensure that visitors feel comfortable, valued, and informed about the services available through Pecan. Responsibilities will include:

• Support the Together Coordinator with delivering a timetable of community activities, workshops and events, including the Warm Space/Café space, i.e. setting up the space, arranging refreshments for each session, creating an open, transparent, communicative, and supportive environment for guests, volunteers, and staff, and supporting guests’ and members’ participation in activities. 

• Deliver one-to-one appointments, particularly, ensuring that over-55s seeking support receive timely and accurate information, tailoring the assistance to address their specific needs, and directing them to the appropriate services within the organisation.

• Work with the Together Coordinator to build and maintain, relationships with other organisations and agencies across Southwark to facilitate effective referrals and signposting, ensuring clients can access a broad range of support services beyond Pecan.

• Support and maintain all of the administrative duties associated with the Together Space.

 

Key Requirements (specific skills, qualifications required):

• Posses analytical skills and can think critically to grasp the client’s needs and provide sound advice on the best course of action.
• Experience of working with and supporting vulnerable or disadvantaged people.
• Experience of giving advice or signposting.
• Proficient in IT and CRM systems, with expertise in Microsoft Office applications, particularly Word, and a foundational understanding of Excel. 
• Strong commitment to the goals, ethos, values, and vision of Pecan, including a belief in the important of all people of different backgrounds working together and respecting and valuing each other’s contributions.

Desirable knowledge/expertise

• Experience of facilitating / coordinating workshops, and good presenting skills.
