Due to the rapid expansion of Day One Trauma Support over the last three years, the charity’s infrastructure has needed to respond quickly to meet its changing demands. There is now a requirement to ensure that the Finance and Resources team has the right skill set and capacity to provide the support needed by the charity in an efficient and proactive way.

The HR Officer and Executive Assistant role is a newly created position to reflect both the growing HR needs of the charity as the workforce expands, and the executive support required by the CEO and Senior Leadership Team (SLT) to ensure the efficient and effective running of the charity. This is a key role which is instrumental in bringing the HR and organisational administration functions together at an operational level.

Reporting primarily to the Director of Finance and Resources and assisted by an external HR and Employment Law support service, this role will provide advice, guidance and support to all line managers in HR related matters whilst building and nurturing relationships with key stakeholders throughout all levels of the organisation.  This will include support to ensure the efficient and effective management, monitoring and reporting of people metrics, from recruitment, development, retention through to attrition and at all stages of the employee life cycle.

The role will also provide crucial executive support to the CEO and SLT of three Directors, to ensure the smooth operation of their responsibilities and co-ordinating efforts of various parties to ensure completion of key tasks and actions.

As part of an expanding and ambitious organisation, there are considerable development opportunities for the successful candidate and the ability to help shape the infrastructure of the charity.

About you:

You will have at least 3 years’ experience of delivering HR support directly and facilitating line managers to deliver HR support.  You will have a demonstrable understanding of employment law and the practical application of this, with experience of implementing HR administration and operational best practice for example, in the areas of recruitment, capability and performance management. You will help lead in creating an atmosphere of trust and an enabling environment where staff can contribute their best and develop their potential, which is critical for Day One as a young organisation.

You will have significant experience of providing proactive and responsive administrative assistance to senior staff and demonstrable experience of developing and managing effective administrative systems.  Additionally, the ability to build and maintain trusted relationships through professional engagement and communication skills, both written and spoken, that are effective, empathetic and adaptable to different situations are key to this role.

You will be highly organised and responsive to others in a way that is both timely and professional with well-developed time management skills to manage competing priorities, ensure follow up of actions and meet deadlines whilst working under pressure. A high level of accuracy and attention to detail is critical to this role, whilst maintaining strict confidentiality.

Day One is a young, ambitious national charity dedicated to supporting people impacted by serious or multiple injuries which could result in life changing consequences such as disability or death, referred to in the NHS as Major Trauma.  We provide practical, emotional and financial support to adults and children as well as their families and loved ones.  Inspired ‘by patients for patients’ our vision is that no one has to piece life back together on their own after catastrophic injury.

About the role:

The SHP Somerset Cluster is based in the heart of the London’s theatre and shopping districts – the main hub is just off Drury Lane, with the other sites near Oxford Street and Tottenham Court Road. The aim of the service is to support people over the age of 18 to navigate various support needs and develop the skills required to maintain independent accommodation long term.   

As a multiple disadvantage (MD) referral and move on coordinator, you will work as part of a larger support team to ensure that consideration is given to the individual experiences of multiple disadvantage when it comes to accessing and moving on from our service.   

You will work with people from their first interaction with the service: at the point of referral, ensuring that all aspects of someone’s experience is considered by undertaking a trauma informed, culturally sensitive assessment and supporting your colleagues to develop their awareness of these experiences. 

From here you will then support their journey through the service by working alongside other support staff to foster a culture of move on, supporting the development of holistic and realistic move on goals.   

This work will be underpinned and supported through the development of a move on programme. This programme, developed and overseen by the MD Referral and Move on Coordinators in partnership with the Recovery and Opportunity Coordinators, will be not only look to develop confidence and ability to navigate social systems, but also be accredited through SHP’s AQA Registered Learning Centre.   

In addition, you will carry your own caseload for people living in the step-down services to ensure that they are prepared, equipped, and confident about moving on. This may include identifying current barriers within the system that can prevent someone from moving on successfully or within their set timeframe. 

About you:

• Experience of coordinating projects across multiple teams or people with varying roles to achieve successful outcomes for vulnerable people
• Knowledge and awareness of the intersection of needs in people facing multiple disadvantage & strong understanding of how the intersection & co-occurrence of these issues can make it difficult for people to engage with support or to move on from services.
• The ability to judge the appropriate response to situations that you find challenging or emotionally difficult
• The ability to work as part of a team to ensure that everyone is clear in their roles and provide peer support and guidance when needed, working through any arising conflict professionally and successfully
• Strong time management skills, ability to work on own initiative, manage competing priorities and maintain high standards.
• Excellent administrative and IT skills including Microsoft Word, Excel, database usage and e-mail, and the ability to interrogate and extrapolate data from various sources

Organisation Overview

CDS UK (the Clinic for Dissociative Studies) is a psychotherapy service, established 25 years ago to provide assessment and long-term specialist outpatient treatment to people with dissociative disorders. Its patients have often suffered the most extreme forms of abuse over a long period, and represent one of the most vulnerable and complex client groups. CDS UK is a Charitable Incorporated Organisation (CIO) and an Independent Provider to the NHS, and is subcontracted by NHS commissioning organisations nationally on a discretionary perpatient basis, where local mental health services are unable to provide appropriate treatment. CDS UK has a small core team of employees, mainly based around London, and a larger group of associate therapists, support workers and supervisors working throughout England and in Scotland. The organisation has seen steady growth in referrals over the past few years.

Job Summary

One of the key elements of the role will be to manage a caseload of referrals from receipt of referral through to submission of funding application and referral outcome. The postholder will be one of two people within CDS UK’s core team with responsibility for this. 

There will also be an allocations management function, involving matching new (and/or existing) patients with suitable clinical staff, usually from within CDS UK’s group of associates, but sometimes via the recruitment of new practitioners.

The role will include a range of other tasks key to the successful functioning and development of CDS UK. Amongst these are maintaining a log of, and costing where appropriate, allpotential service developments (from requests for training to submissions to funders), developing reporting from basic information systems, checking and sending of patient progress reports and monitoring of patient funding. They also include developing our outgoing communications – such as via our website – and helping to explore opportunities for developing our charitable arm.

As part of our small Business and Administrative Team, the role will encompass some ad hoc administrative tasks, and may require delegation of some tasks and/or some line management duties as required.

The post-holder will work on their own initiative and independently deal with issues of workload and problem-solving, becoming a specialist in their areas of work within an agreed period, supported with appropriate training if required. This will include responsibility for analysing, interpreting and comparing a range of complex material, proactively reporting on key metrics, and helping to develop systems and procedures to serve the aims of the organisation.

The Task Ahead: Finance Manager

As The Difference moves from its early start-up phase into the delivery of our 2025-30 strategy, our programmes and sector-influencing work are expanding to reach more schools and to deepen our impact. Alongside this growth, our team - and the operational function which supports them - is also growing.

As Finance Manager, you will be a key member of the Finance & Operations team. You will hold end-to-end responsibility for the finance function, from reconciliations to budgeting. You will decide where and how our existing processes could be improved, as well as developing new systems that will underpin our work as a larger and more established charity. You will be supported by the Director of People, Finance & Operations, as well as our external auditors.

The Difference is still a small and growing charity. This means that our work is fast-paced, our roles are broad, and there is a culture of being reactive and flexible, as the needs of the organisation evolve. Areas of Responsibility

The Difference is looking for a Finance Manager to lead our finance function in the following ways:

• Oversee our internal bookkeeping, payment, and accounting processes, and improve these systems ongoingly.

• Lead on budgeting and forecasting across the organisation, supporting teams to predict income and expenditure and make sound financial decisions.

• Lead on the production of management accounting information, including internal monthly management accounts, quarterly reports for Trustees, and financial reports for investors.

• Lead on The Difference’s audit process, with external auditors.

• Work with the Development & Impact Manager to update fundraising pipelines, and ensure the availability of high quality income projections for Trustees.

• Support accurate budgeting and reporting for grant funding, including tracking spend of restricted funds.

• Support business planning by working with teams to model potential future work - e.g. costs of expansion of an existing programme; modelling potential new programmes.

Person Specification

Essential – We are looking for the following skills, aptitude and experience; though you may be stronger in some areas than others:

• Finance experience, operational and strategic – Experience across all areas of finance, from accurate invoicing, payments and record-keeping, through to setting and managing budgets, financial modelling and forecasting, and working with external accountants or auditors.

• Finance process development – Experience of developing finance systems; the ability to recognise how processes could be continuously improved, and enact this improvement.

• Leadership of self and others – Confident in identifying skills or information gaps within your team, and drawing on the expertise of others to address these gaps. Able to show how you've continually grown your own skills and those of your team members so that together you can efficiently cover workload and plan ahead.

• Proactive problem-solving – Ability to thrive in a fast-paced start-up environment and to problem-solve: from rolling sleeves up and diving into detail to working collaboratively to build capacity.

Desired – You are more likely to be successful in your application if you have one or more of the following additional experiences: 

• Accounting qualification and experience - Some form of accounting qualification and post-qualification experience.

• Early-stage charity/social enterprise experience – You may have specific experience growing charities or businesses for social good at the early or start-up phase.

• Experience of charity finances – You may have worked for or supported other charities, and have experience of working with philanthropic grants, charity accounting, and governance.

• Insight into schools – You may have experience working in the education sector, whether that’s through working for a business or charities that partnered with schools, or through working in a school yourself. 

Why Work for The Difference?

Schooling isn’t working for the children who need it most. Every week in England 109 children – equivalent to three full classrooms – are permanently excluded. This is just the tip of the iceberg. Since the pandemic, school suspensions have risen significantly, as has persistent absenteeism. 1 in 5 children are missing more than 10% of their time in school. Children who are excluded or persistently absent are much more likely to already be experiencing vulnerability or disadvantage. They are more likely to live in poverty, have additional learning needs, suffer mental health challenges, or experience a lack of safety outside school. Certain ethnicities are also disproportionately affected, notably Gypsy Roma Traveller and black Caribbean children. 

Exclusion and high rates of absence can have a dramatic effect on life chances. These young people are more likely to drop out of education or employment, become vulnerable to long-term mental ill health, or be at risk of criminal exploitation. The Difference believes that children and young people deserve better and that the education system has to change.

Our Organisation 

The Difference is a young education charity, founded to change the story on lost learning.  By 2030, we want rates of exclusion and absence to be falling nationally and for schools to be better equipped to support all children, including those who may be vulnerable. The Difference was born out of a year of research into school exclusions with think-tank IPPR. This research identified a lack of inclusion expertise in schools and proposed a new leadership development programme to fill this gap. In 2018, Difference founder Kiran hired the team who took this idea from concept to reality, beginning work with our first schools.

The Difference is now a 22-strong team delivering multiple school leadership programmes, alongside a growing research and policy arm. The team is supported by our Youth Advisory Board, made up of young people who have experienced exclusion and who provide their expertise and insights on how school inclusion work should be done. This work is needed more than ever. Effects of COVID-19, coupled with the spiralling cost of living, have substantially increased levels of vulnerability. Schools serving excluded pupils face under-funding. The Difference has had excellent early impact but there is work ahead to capture this, share learning with schools and policy-makers, and grow our capacity to lower exclusions across England.

Overall purpose

Provide strategic financial leadership for Baca and be accountable for the provision of financial and performance information to enable the Leadership Team and the Board to ensure Baca is financially sustainable for the purpose of achieving its vision and mission.

Core skill will be as a qualified accountant but you will demonstrate a range of experience leading teams and delivering a range of projects across the organisation using a joint working approach. As a member of the Leadership Team, you will work alongside other senior leaders to shape the strategic direction of the charity and ensure that its aims and objectives.

Key Responsibilities

Resource Planning, Budgeting and Reporting

• To direct Baca annual budget setting and longer term strategic financial planning, with robust analysis of income, expenditure, forecasts and cashflow.
• To deliver high quality financial reporting, providing advice and support, in writing and verbally, as required for the Leadership Team, the Finance and Fundraising sub-group and the Board of Trustees.
• To ensure budget holders receive up to date timely and accurate management accounts and information in order to maintain day to day control of the expenditure budget.
• Encouraging innovation and seeking best practice from inside and outside the sector.
• Identifying and responding to long-term strategic risks, challenges and opportunities to enable Baca achieving its Strategic Goals.
• Continually enhance the processes and procedures in place for resource allocation and monitoring at all levels of the charity
• Provide proactive assessment of opportunities to deliver efficiencies in collaboration with departments where necessary.

Leadership and Organisational Responsibilities

• As a member of the Leadership Team (LT), be a role model in practicing Baca’s values in order to achieve our Vision and Mission, prioritising the outcomes of the young people in all activities of the role.
• Together with the CEO, ensure all members of work with the Finance and Fundraising sub-group are regularly informed of all key strategic activity by leading the executive input and support to the Finance and Fundraising sub-group.
• Support the CEO to undertake negotiations with other organisations where necessary on matters of securing of resources.
• Ensure regulatory compliance with internal policy and procedures alongside external requirements of Charity Commission and Companies House.
• Undertake and deliver in the role as Company Secretary
• Steward Baca’s resources to effectively, economically and efficiently to achieve our Vision and Mission in line with our Values.
• Communicate effectively, internally and externally, ensuring accurate and efficient flow of information across the organisation ensuring finance plans are understood and supported by all involved with the organisation.
• Lead on financial aspects of subsidiary businesses if relevant
• Work at all times within the policies and procedures of Baca
• Respect at all times the confidentiality of information covering young people, staff and volunteers.
• Play an active part in the development and maintenance of good relationships with all who have business with Baca.
• Be proactive and willing to undertake other duties to help maintain our high standard of support and responsibility towards the young people we serve.

Financial Systems, Control and Accounting

• Oversee the integrity of all financial systems: Develop, monitor and manage the organisation’s financial systems, policies, procedures and internal controls and the development of a consistent approach across Baca.
• To lead the preparation of the organisation’s accounts for audit in accordance with current accounting good practice and Charity Commission’s Standards of Recommended Practice (SORP), liaising with the auditors and present the final accounts to the Finance and Fundraising sub-group and Board for approval.
• To be responsible for adhering to financial delegated authorities as agreed with the Chief Executive and Board.
• To implement, oversee and review Baca’s systems of financial risk management and controls assurance.
• To ensure the purchasing system operates effectively, ensuring sufficient supplies and services by working closely with the Operations Director.
• To lead the payroll provision and ensure that salary and related payments are made accurately and timely.
• To ensure that an appropriate register of assets are maintained accurately.
• To ensure that Baca has adequate cash holdings and cash is moved to interest bearing accounts as appropriate in line with Baca’s ethical asset management policy.

Team and People Management:

• Create, lead, manage, inspire and develop the finance team promoting Baca’s values by being visible, participative and encouraging cross team working
• Effectively manage the performance of the team, ensuring they are working to agreed objectives, delivering outcomes and that they receive appropriate training and support.
• Support theteam in day to day troubleshooting and administration where necessary.
• Develop and deliver integrated annual strategic objectives for all direct reports and their teams
• To keep abreast of legislation affecting financial accounting, that may be relevant to Baca, and to keep the Chief Executive fully aware of any relevant changes in the law.
• To maintain awareness of the fundraising, income generation and marketing environment
• To maintain and increase personal professional skills.

• Identify key areas of policy focus where the BES is uniquely able to add value to national conversations around biodiversity and climate.
• Direct the work of Policy Officers to deliver the BES policy strategic aims and objectives, and work collaboratively with the Policy Committee.
• Help identify and convene key stakeholders from the ecological community, including academics, eNGOs, policy makers, funders, and landowners and managers, to discuss, debate and coalesce around recommendations.
• Oversee our policy reports at both a national and UK level, working with authors and contributors to deliver publications that move a debate on and are resonant to their audiences.

This new role will support the Director of Development in shaping and implementing the next phase of DFN Project SEARCH’s fundraising strategy and will lead on the development of major new corporate partnerships. We are looking for a Finance and Payroll Officer to join our team. Reporting to the Director of Finance and operations, this role will ensure that appropriate financial processes and systems are followed and developed to support our charity’s sustainable growth and safeguard our financial health. The Finance & Payroll Officer will ensure that financial tasks and transactions are undertaken in an efficient, effective and timely manner and, importantly, that relevant financial information is provided to keep the Senior Leadership Team informed to make the best decisions for the charity. The role will also cover responsibility for all payroll operations, ensuring that all payments are accurate and on time and that appropriate and accurate information is provided to the Director of Finance & Operations, HMRC, pension providers and other external bodies. We are looking for a confident and experienced individual to join our supportive team. Previous charity finance knowledge and Xero is helpful but not essential, above all we want an individual to be tenacious, curious, diligent and show strong initiative.

The purpose of this role is to provide administrative support for Global Black Thrive involvement in the Culture of Care Programme liaising with the Lived Experience Advisors, the Race Equity Lead, Neurodiverse Connections, the Royal College of Psychiatrists and NHS England. 

This will include HR, Operations and Admin functions relating to the Culture of Care (CoC) Programme and will include managing systems to efficiently run the business and achieve strategic objectives agreed by Black Thrive Board of Directors. 

The role will be the first point of contact for our CoC team, organising travel and accommodation, managing HR and office queries. 

You may be involved in managing onboarding and offboarding, preparing employment contracts (Full-time and/or part-time, zero hours and/or fixed terms contracts), checking and following right-to-work in the UK, and administrating DBS checks. 

You will be working with the HR and Admin Manager in Global Black Thrive and may be required to assist in wider team activities where required. 

Duties & responsibilities

Administration:

• Provide comprehensive executive support to the Directors, including diary management, travel arrangements, and meeting coordination.
• Organise meetings, including setting agendas, taking minutes, and following up on action points.
• Maintain efficient electronic filing and document management systems, including registration of new members.
• Prepare and edit reports, presentations, and other documents to support Future Arts Centres activities.

Programme delivery:

• Assist in the coordination, administration and event delivery of Future Arts Centres events, in person and online, such as national members meetings, board meetings, and online workshops.

Other:

• Undertake any other duties as requested by the senior management team, in line with the role's scope and capabilities.

Proven skills and demonstrable office experience in the following areas:

• Excellent organisational skills with the ability to prioritise and meet deadlines

The Role

As a Personal Assistant, you will provide support to two of our Directors and our Chief Financial Officer.

Acting as a conduit and gatekeeper for our Directors, key stakeholders and other individuals, you will provide administrative and organisational support to enable their day-to-day operations. This will include diary management, meeting arrangements, venue and hospitality booking, and financial tasks.

You will effectively process, circulate and respond to correspondence, as well as undertake research and prepare papers, briefings and presentations on a range of subjects.

Additionally, you will:

• Manage documentation and filing
• Support the wider Directorate teams
• Attend occasional out-of-hours meetings and evening events
• Take meetings notes and actions

About You

To be considered as a Personal Assistant, you will need:

• Experience of working as an assistant providing administrative, project and/or secretarial support to senior individuals or teams

• Experience of managing and accurately maintaining physical and electronic filing systems
• Excellent written and oral communication skills
