We are looking for a Legacy and Administration Manager to join our Finance and Operations team on a part-time basis (2 days per week). This role will report to the Director of Finance and Operations. 

Job Purpose

Legacies are one of the most vital sources of income for Operation Smile UK, helping us continue our work supporting patients with cleft around the world. We’re now looking for a Legacy Administration Manager to join our dedicated team and ensure that every gift left to the charity is managed with care, professionalism, and in line with the wishes of our supporters.

Key Responsibilities

• Manage a portfolio of residuary, specific, and reversionary legacy cases from initiation to completion, optimising income while upholding all legal, ethical, and organisational standards.
• Communicate with empathy and professionalism with executors, solicitors, and beneficiaries’ families, including handling enquiries and confirming receipt of legacy notifications.
• Review estate documentation and valuations, determine the charity’s entitlement, and verify that all due funds are correctly received.
• Ensure that all relevant charity tax reliefs are properly applied for, including Inheritance Tax, Capital Gains Tax appropriations, and Income Tax (form R185).
• Maintain accurate and up-to-date records of all legacy income and correspondence within OSUK’s CRM system and Finance Tracker.
• Track the status of ongoing cases, pursue outstanding actions, and take prompt steps to address issues or disputes as they arise.
• Collaborate closely with internal teams—such as Finance, Supporter Care, and Partnerships—to promote strong stewardship and compliance.
• Refer or escalate complex or high-impact matters to the Director of Finance and Senior Finance Manager when necessary.
• Contribute to team meetings, process improvements, and the development of best practice.

Person Specification

· Strong interpersonal skills with the ability to build positive relationships and communicate clearly and sensitively, both in writing and verbally.

· Proven experience in legacy administration within the charity sector or in probate and estate law.

· Highly organised, with the capability to prioritise and manage a diverse caseload effectively.

· Exceptional attention to detail, ensuring accuracy in financial transactions, documentation, and data entry.

· Skilled in interpreting wills, estate accounts, and related legal documents.

· Competent in reviewing estate accounts to verify the correct application of Inheritance Tax (IHT) and Capital Gains Tax (CGT) and to ensure estates are properly finalised.

· Proficient user of Microsoft Office and customer relationship management (CRM) systems.

· Review estate accounts, including the allocation of Capital Gains Tax (CGT) and Inheritance Tax (IHT), to confirm estates are correctly administered.

· Certificate in Charity Legacy Administration (ILM) or legal/paralegal qualification.

A Finance Officer is required within our vital and growing community organisation to; manage financial systems, create and report on finance to the trustee board and stakeholders of the Loughborough Community Centre.

We are seeking a detail-oriented finance professional with strong ledger and reconciliation experience to join our Finance and Legacy Administration team as Finance Officer. You’ll play a key role in supporting the financial operations of the charity whilst working alongside the Finance Officer (Payables) and reporting to the Head of Finance and Administration. You’ll be liaising with staff across the charity, those in Head Office, the four Farms and their Visitor Centres, Field officers and the International Team.

Key Responsibilties: 

• Processing of Farm, Visitor Centre and Shop income 

• Processing and reconciling of fundraised income

• Co-ordination and control of stock at Visitor Centres and Head Office

• Sales ledger 

• Processing of international expenses journals from the circa 16 international projects the Charity funds 

• Assist in the preparation of monthly Management Accounts including accruals and prepayments 

• Ensure that the Fixed Asset Register is kept updated and reconciled 

• Assist in the preparation of Quarterly VAT returns 

• Working proactively with the Head of Finance and Administration, Finance Officer (Payables) and other key internal staff to achieve the overall goals of the Charity 

About you:

We’re looking for someone with substantial experience using finance software packages, strong skills in sales and nominal ledger management, and a solid understanding of double-entry bookkeeping. You’ll need excellent Excel and numeracy skills, strong attention to detail, and the ability to work under pressure and to deadlines. Ideally, you’ll be AAT qualified or part-qualified, with experience using Sage 200 or Microsoft Dynamics 365 Business Central, and familiarity with EPOS systems, charity VAT, and foreign currency transactions. A flexible, organised, and conscientious approach is essential, along with a genuine interest in the work and values of World Horse Welfare. 

Location:

The role is based in Norfolk and is currently a hybrid split of 2 days in our head office in Snetterton and 3 days at home. You may be required to attend events around the UK so the ability to travel occasionally is necessary.

About the Role  

The Head of Finance will support the Director of Finance and Resources in providing strategic financial leadership across the charity. They will oversee day-to-day financial operations, ensure robust financial management, and deliver timely and accurate financial reporting to support decision-making. • Provide regular financial reports and analysis in accordance with organisational timetables set by the Director of Finance & Resources.

Person Specification 

Essential 

• A relevant professional accounting qualification (ACA, ACCA, CIMA). 

• Experience gained in a financial management role within a small or medium-sized organisation. 

• Experience in business planning, performance management and impact reporting.  

• Significant experience in managing a high-performance team. 

• Strong IT skills, particularly with accounting software and Excel. 

• Understanding of charity finance and accounting practices. 

• Strong understanding of charity law, governance best practices, and regulatory frameworks. 

• Excellent written and verbal communication.

Commercial Financial Accountant

Are you an experienced financial professional? Pilgrims' Friend Society is expanding, and we need a Commercial Financial Accountant to work across the organisation with a Commercial mindset while aiming to achieve charitable impact. Reporting to the Financial Controller, the Commercial Financial Accountant will be responsible for managing and completing relevant projects.

Our focus is providing a loving and caring environment for our “family members” (our residents) and maintaining the Christian ethos that is important to many of them.

The group operates on 20 sites with over 700 staff and an annual income of c.£20m.

Responsibilities:

• Growth and renewal plans
• Organisation Governance which will involve Company and Charity governance including projects that simplify the group structure
• Pilgrims' Friend Society Loans – covenant reporting and management
• System improvement projects
• Assist Director of Finance with banking relationships, including defining and implementing investment and reserves policies 
• Responsibility for internal audit and controls within the Finance team 
• Maintain a good working relationship with relevant Care Home and Housing Scheme Managers.
• Carry out any other duties reasonably required to ensure the smooth operation of the Society’s business.

• Reporting to the Chief Executive, and additional responsibilities to the Finance and Audit Committee, and Board of Trustees.
• Overall responsibility and accountability for Turning Tides’ finances, ensuring accurate and timely financial reporting and risk management that is compliant with all relevant accounting standards.
• Key SMT member, working collaboratively to ensure accurate forecasting and value for money is achieved, and provide review and challenge on expenditure, efficiency and effectiveness.

About You

• Qualified Accountant (ACCA, CIMA, ACA or CIPFA)
• Have a breadth of finance experience, including good working knowledge of creating strategic financial strategy and business plans
• Have a proven track record of effective leadership, including experience of managing small finance teams with turnover of around £8m
• Have experience of influencing and building strong relationships with senior stakeholders to include working with Board and Finance and Audit Committee
• Possess excellent IT skills and utilisation of Microsoft 365 applications, including Advanced Excel
• Strong analytical skills with proven experience of using data to support decisions, identify trends and challenge
