An exciting opportunity has arisen for an Executive Assistant to join the Chief Executives office. Your role is to provide high quality support to the Directors and by extension, the Senior Leadership Team

Role Requirements

• Provide high level administrative support to the Directors.
• Exercise judgement in prioritisation, dealing with matters within own remit and / or referring them to the director as and when necessary, ensuring tact, discretion and courtesy at all times.
• Review incoming mail, prioritising, redirecting or responding to issues.
• Monitor the email inbox of the Director(s), responding where relevant and highlighting any urgent messages to Director.
• Draft, edit and format documents
• Arrange travel bookings / itineraries
• Communicate instructions and other messages to managers and staff clearly and promptly on behalf of the Director(s)
• Keep Emergency Procedures File up to date.
• Monitor team PDR dates, and keep Director(s) updated in this regard; schedule PDRs for Director’s direct reports.
• Effectively support meetings in terms of venue, accommodation, equipment, and refreshments.
• Attend team and other relevant meetings taking and producing minutes for distribution (as required);
• Liaise with Reception in relation to external visitors and ensure the smooth running of internal and external meetings and visits;
• Process expenses on behalf of the Director(s).
• Manage the Director’s corporate credit card and reconcile against monthly statements
• Assist the Director(s) with additional administrative/organisational tasks assigned at the discretion of the Director.
• Assist in the planning, execution and tracking of key projects. Coordinate project timelines, deliverables and resources to ensure successful completion within deadlines.

About the Role:

As GPAC’s Planning and Performance Lead you will help us understand how the department is contributing towards WaterAid’s global strategy and maximise our global impact. The role will support GPAC’s work by leading the planning and performance assessment work, focussing on ensuring that the advocacy activity delivered across the department is aligned and working towards the same outcomes.

The role will work closely with the Directors in GPAC’s SMT and with members of the International Programmes Department (IPD) SMT to ensure that both departments’ plans are aligned. It will also engage with key Federation members involved in global policy, advocacy and campaigns work, with the WaterAid International Secretariat, and with the Global and UK performance, strategy and planning teams.

In this role, you will lead the design of the planning process for the department to deliver annual plans, ensuring alignment with similar processes in key Federation members and other departments, as well as being integrated with the wider organisation’s planning cycles.

You’ll also: 

• Project manage the implementation of the planning process, working in close coordination with GPAC SMT directors as well as and as relevant with other WaterAid, Member and WaterAid International directors.
• Lead the process to deliver an M&E framework for GPAC (including new metrics as relevant), that balances the effort required with the need to drive data informed decisions and actions.
• Run the quarterly and annual reporting cycle, working with senior leaders in GPAC to deliver high quality data, run learning sessions to reflect on the data to enable data driven and effective decision making.
• Manage the regular collation of data across the department and shared to the wider organisation, including to the Executive and Board reporting processes
• Represent GPAC in wider WaterAid UK and global groups around performance and planning.
• Support GPAC to partner closely with IPD to track Country Programme support requests, and use insights to inform strategic planning of the department.
• Be the internal communications lead for the department on matters related to planning and performance, working with the central internal communications function as appropriate.

Requirements

To be successful, you’ll need: 

• Experience of leading performance and planning cycles within complex organisations.
• Background in M&E within NGO or comparable contexts. Understands the complexity around assessing performance.
• Excellent project management skills to optimise the use of resources; manage multiple projects and conflicting priorities using insightful interpretation and resourceful solutions.
• Ability to think strategically across complex and fast-moving environments; able to concentrate on the big picture and respond to trends and shifts in the wider world.

Details of Job

The Events and Communications Officer will work across the team to plan, produce and deliver a calendar of in-person and on-line events. They will also communicate our work to external audiences to drive the participation of small and medium sized enterprises (SMEs) in our programmes and attract potential funding from corporates, grant-makers, and government bodies.

The post holder will work with the programme team to manage a calendar of online and in-person events and oversee the event process from beginning to end. The post holder will manage ticketing platforms, oversee event budgets and logistics and create event briefings to ensure alignment between external speakers and team members. This will include overseeing the set-up of IT and technology to ensure smooth event delivery and acting as a main contact point for external event partners. The post holder will also work with the Director and programme team to deliver the charity’s marketing and communications plan. Spires supports homeless and vulnerably housed people in South London. Spires has undergone a period of rapid transformation, moving to a model of multi-site working across three London Boroughs. Our core services include, day centre style drop ins for homeless people, a Women’s drop in, a Refugee drop in and outreach targeted at supporting Women who are sex working.  
 
The Head of Fundraising and Communications will be joining the organisation at an exciting time. Recent successful funding outcomes provide a short period of relative funding stability and an opportunity for the post holder to develop our communications and community fundraising strategies.

Part 1:  Job profile 

 
1.1 Purpose of job 

To generate income from a diverse funding pool that includes trusts and foundations, legacy and individual giving, community giving, government contracts and corporate support. Trusts and foundations remain the primary funding source for Spires so maintaining consistent application output is a core element of the role.

Oversee Spires’ external relations and public profile. The post holder will be responsible for all communications and will look for areas to increase the organisations profile.

Work with Spires CEO and the Head of Client Services to ensure that data and outcomes are being effectively captured in a way that is helpful for evidencing impact.

1.2 Position in organisation 

The post holder joins Spires’ Senior Leadership Team and will report directly to the Chief Executive Officer. The post holder will join the finance, fundraising and risk subcommittee which includes members of the board of trustees.

The post holder will manage the Communications and Community Engagement Lead who currently leads on community fundraising, social media and volunteer recruitment.

Part 2: Key duties and responsibilities 

2.1 Management Responsibilities 

• To manage the fundraising/communications staff and volunteers.

• Hold and record regular staff supervisions.

• Ensure that Spires’ policies are adhered to.

• Attend Spires’ managers meetings.

2.2 Income generation  

• Maximise existing and find new income to meet agreed income targets. 

• Research, write and present attractive propositions for a range of quality funding bids, proposals and documentation. 

• Produce and submit quality funding reports to meet deadlines.

• Maintain up-to-date knowledge of fundraising regulations, networks and developments across the sector, advising on best practice 

2.3 Planning, monitoring and reporting  

• Contribute to the internal planning and budget setting, setting out clear plans for income generation. 

• Contribute to forecasting and regular reporting, producing verbal and written reports for the CEO and Board of Trustees. 

• Actively manage contracts to ensure that Spires is delivering agreed outcomes and spending restricted funds correctly.

2.4 General 

• Review and update the fundraising strategy.

• Undertaking other duties compatible with the level and nature of the post and/or reasonably required by more senior members of staff, including session cover

Location: The postholder will be an employee of The Spires Centre. This post is based at 2nd Floor, Elmfield House, 5 Stockwell Mews, SW9 9GX This role will by hybrid with three days in the office and two days from home.

Probation: This post is subject to a 6 month probationary period.

Notice: This post is subject to an 12 weeks’ notice period once confirmed in post. 

Annual leave: The annual leave entitlement is 35 days per year including 8 bank holidays.

Primary Responsibilities and Duties:

• Work with the Director of Vegan Corporate Projects and Corporate Projects Manager to develop and manage a strategic plan for PETA's work with companies
• Establish and maintain productive relationships with corporations and institutions, and negotiate to improve/increase their vegan options while reducing/eliminating meat, dairy and eggs

The Toy Appeal Campaign Assistant plays a vital role in helping to coordinate Family Action’s Christmas Toy Appeal campaign, liaising with companies, groups, our services and partner charities to ensure the timely delivery of over 10,000 toys and gifts to disadvantaged children and young people.

You will gain experience in being involved in a large project and work across multiple teams including fundraising and marketing.     

Main Responsibilities:

1. Acting as a first point of contact for the Toy Appeal, responding to enquires from organisations wishing to take part in the appeal, as well as internal colleagues receiving gifts for service users.   

2. Responding to all enquiries in a timely and professional manner.  

3. Matching gift requests with pledges from donors and preparing information on gift requests.  

4. Maintaining a live list of all requests for gifts from approx. 60 services and projects, and over 100 companies and community groups, updating as matches are made and requests are filled.   

5. Building positive relationships with corporate donors through written and verbal communications, including email, telephone and occasionally meetings/visits where appropriate.   

6. Co-ordinating deliveries of gifts from donors to projects, ensuring needs and requirements of both parties are met.   

7. Accurately creating and maintaining donor and donation records on Family Action’s Salesforce based CRM system.  

8. Assisting the Corporate Partnerships Manager and Fundraising Administrator with donation processing and administration.   

9. Stewarding Toy Appeal fundraisers, encouraging the use of fundraising platforms such as JustGiving, providing fundraising materials and sharing the impact of their fundraising.

10. Researching to find suppliers for gifts that need to be purchased using donated funds.   

11. Supporting the Marketing and Communications team by providing regular information and updates about the appeal.   

12. To ensure you have an understanding (appropriate to your role) of, and comply with Family Action’s procedures for promoting and safeguarding the welfare of children and vulnerable adults.

This is an exciting opportunity for a creative individual to establish and lead a community engagement and volunteer programme in an important new visitor attraction in the heart of London. Bevis Marks Synagogue dates back to 1701 and is the oldest synagogue in the UK. You will recruit, motivate and support a team of volunteers and develop a dynamic community engagement programme as part of a small, dedicated team at this special, historic site.

In 2019, Bevis Marks Synagogue received a National Lottery Heritage Fund grant to restore the synagogue and create The Dangoor Heritage Centre. This project displays and interprets the synagogue’s historic collection for the first time, and enhances visitor facilities. The S&P Sephardi Community established the Bevis Marks Synagogue Heritage Foundation (BMSHF) to manage this project and the site's ongoing visitor operations. We are looking for a dedicated and enthusiastic heritage engagement professional to help make Bevis Marks Synagogue a vibrant place of worship that shares its unique story with a wider community of people of all faiths and none.

Bevis Marks Synagogue, completed in 1701, is the oldest synagogue in the UK and the oldest in continuous use in Europe. Its Grade I listed Wren-style design, well-preserved interior and fittings make it exceptionally historically significant. It is still a working synagogue with a community that has been engaged in the development of the new Dangoor Heritage Centre.

The S&P Sephardi Community’s collection of objects, rich archive, and intangible heritage, such as music and traditions, offer a continuous record of Jewish life in Britain since the mid-seventeenth century. The collection is mainly silver and textiles and many items are of national significance, providing rare insights into the practice of Sephardi Jewish worship, and London’s changing fashions and craftsmanship.

Visitors will be welcomed by volunteers and will explore the synagogue and Dangoor Heritage Centre with the help of an audio guide which includes insightful contributions from a number of members of the Bevis Marks community who have participated in the project. Volunteers will also engage visitors throughout the exhibition areas and support our events programme, shop and catering offer and provide a friendly welcoming experience for a wide range of visitors, from within the UK and abroad.

The construction project is set to be completed by early summer 2025, with the exhibition fit-out over the summer and opening is anticipated in autumn 2025.

Hours: 37 hours a week. Two Sundays per month will be required, along with evening and Bank Holiday working as required by the needs of the business.

As Mass Participation Events Officer (Challenge Events Officer), you will play a key role in engaging supporters to take part in exciting fundraising Challenge Events, from the London Marathon to cycle events and adrenaline fuelled challenges like a sky-dive or abseil, raising vital funds for disabled children and young people. You will be responsible for recruiting participants, providing excellent supporter care throughout their fundraising journey, and ensuring long-term engagement with Challengers, while managing multiple projects to create a smooth, rewarding experience for all. Alongside supporting third-party events, you will leverage your skills in marketing, social media, and event planning to maximise participation and meet ambitious fundraising targets.

Please note: this role is managing and supporting our Challenge Events program (an industry standard term for all walking/running/cycling/adrenaline challenges) and supporting individual supporters who would like to take part in these events. There will be some opportunity to organise our own Challenge Events however, the management of Challengers flagship fundraising events sits within a different role.

Job Title: Executive Administrator 

Location: Central Office which is based around a 10 minute walk from Highbury and Islington Station. Hybrid working available, approximately 2 - 3 days per week in the office including every Tuesday. Additional office, service, and away days would be required for attendance.
