Job description

Position: HR Administrator

Team: People

Reporting to: Head of People & Volunteering

Contract type: Initial 12 month fixed term contract, 3 days a week

About The Felix Project

The Felix Project is a London charity working to end hunger and food waste. We collect surplus food from supermarkets, wholesalers and other food suppliers right across the commercial food industry – food that is fresh and nutritious but cannot be sold for various reasons. We deliver this food free of charge to charities and schools. Every week the food we redistribute provides wholesome meals for the elderly, the homeless, people with mental health issues, refugees and asylum seekers and vulnerable families and children. Thousands of people volunteer their time with The Felix Project so that, for every £1 donated we are able to deliver £12 worth of good food to people in need.

We have two warehouse operations based in Park Royal, West London and Enfield, North London. We also run a central London operation. Our Head Office is based in Park Royal. We want good food go to good causes.

Purpose of the Role

The HR Administrator will manage all staff recruitment and induction at The Felix Project. You will support people managers through all stages of recruitment, and will ensure this process is both rigorous and streamlined. You will also manage our HR administration systems and record keeping, and will act as first point of contact for day-to-day staff issues. Working closely with the Head of People & Volunteering, you will help introduce improvements to our systems and administration processes.

Duties and Accountabilities

  • Administration
    • Staff contract preparation & management; assist with probation cycle
    • Maintain and update employee records and databases
    • Oversee BreatheHR portal (onboard new staff, monitor TOIL and AL)
    • Working with the Head of People to refine all systems and processes
  • Recruitment
    • Support managers with end to end recruitment; including advertising vacancies, shortlisting, organising interviews, interviewing where needed and ensuring recruitment processes are followed
    • Issue all related paperwork and follow up on references
    • Arrange and support new starter inductions
    • Administration of the Recruitment Inbox; Taking phone enquiries about roles
    • overseeing job board accounts
    • Working with external recruitment agencies
  • Other
    • Collecting data for payroll and HMRC
    • Staff issues: day-to-day issues/enquiries, escalating to Head of People & Volunteering

You will be passionate to play an influential role in a charity that is expanding rapidly, and thrive in a busy environment. 

Our ideal candidate will have a strong background in HR administration. You will have experience You will be familiar with maintaining databases, general administration, supporting line managers across different teams, and most importantly, managing an end-to-end recruitment and onboarding process.

Essential Skills, Knowledge, and Experience

  • Strong administrative skills, with a good eye for detail and ability to stick to deadlines
  • Some background or qualification specifically in HR administration
  • Excellent interpersonal skills and ability to work across teams, building long term relationships
  • Willing and able to learn different systems (e.g. BreatheHR, Sharepoint, IRIS)
  • Proven understanding of working with confidential information
  • Strong customer care skills, and ability to deal professionally with colleagues

Desirable Skills, Knowledge, and Experience

The ideal candidate will have as many of these as possible, but none are absolutely essential to the role.

  • Experience volunteering or working in charities
  • CIPD qualification or working towards qualification
  • Knowledge and experience of HR databases
  • Committed to our cause, and have a desire to help reduce food waste and fight food poverty.

You’ll be working in an upbeat, innovative charity with strong vision, ambition and a fantastic culture and leadership team.  We would expect you to come into the office 1 day a week, and we currently have offices in West and North London – the role would involve travel to both locations, with hot desking. 25 days annual leave + bank holidays and occasional flexi-working.
