Main purpose of post  

As the Operations Assistant you will be supporting the Operations Manager in delivering and maintaining effective operational function at the charity. Including but not exclusively, Health & Safety, Premises, Facilities, Vehicle Management, and IT Services.

This is an exciting opportunity for someone who is looking to develop their knowledge of operations and risk management with scope to develop your skills whilst also contributing to a great cause. 

Key Responsibilities 

Operational Support 

• Act as the first point of contact for premises, facilities, IT and Estates issues across all Weston Park Cancer Charity locations including our Outreach programmes.

• Assist the Operations Manager in maintaining a secure and organised premises and facilities, which ensure colleagues, volunteers and visitors are safe and experience a welcoming environment.

• Support the Operations Manager in the successful delivery of the Annual Operations plan.

• Provide administrative support to the Operations Manager and take minutes in operations-related working groups. 

• Support with updating operational policies and procedures.

• Act as a first point of contact for data related issues, alongside the Operations Manager - following relevant training, to promote a strong GDPR culture.

• Assist in the coordination of charity vehicle fleet maintenance schedules and provide breakdown response support. 

• Assist in the control and coordination of the use of charity space and assets, including liaising with contractors and Sheffield Teaching Hospitals (STH) on relevant matters as required.

• Act as a designated keyholder, responsible for the opening and closing procedure. 

• Manage the operations shared email inbox. 

Site 

• Event site working as required across South Yorkshire. 

• Community working locations to facilitate our work in targeted outreach communities. 

Health & Safety 

• Serve as the first point of contact for all Health & Safety matters, including incidents and accidents, ensuring accurate recording and reporting. 

• Provide operational and administrative support on all Health & Safety matters at our sites and external locations (including external events and the Outreach Service, updating COSHH reports). 

• Assist in the procurement, delivery and recording of mandatory staff training needs. 

• Help establish and maintain safe working practices and policies and undertake basic risk assessments. 

Workwear and equipment 

• Act as the first point of contact for workwear and equipment requests; including being responsible for issuing and returning stock, regular stock checks and ordering stock as required. 

Tech Support 

• Serve as the first point of contact for general IT enquiries. 

• Consult with IT consultants to ensure adherence to processes. 

• Work with the Operations Manager to implement processes that maintain the IT security score.

• Assist in the onboarding and offboarding of employees, including software licenses, logins, and induction training. 

• Serve as lead administrator for key operational software, such as Webex phone system and Vatix Lone Worker App. 

General Administrative Support & Development 

• Handle general enquiries from staff, patients, and volunteers efficiently.

• Manage charity postal enquiries.

• Assist the Operations Manager with the procurement of stationery and consumables.

• Assist the wider team with ad hoc work and undertake small projects that support the charity's work. e.g. Events, Logistical and Tech Support. 

Environmental Advocate 

• Work with the Operations Manager to promote environmental awareness and encourage the charity adopts a green approach (e.g., recycling, energy use, carbon footprint). 

• Identify and implement actions to reduce environmental impacts, costs, and/or increase income under the direction of the Operations Manager. 

Hours: 

• This post may require some flexible working. The charity offers an excellent Time in Lieu policy for hours completed outside of your normal working hours.

We are seeking an experienced and diligent HR Administrator to provide HR admin support to the organisation. You will be responsible for all HR administration, including the production of HR paperwork, and serve as the day-to-day generalist HR contact for all employees. We do not currently have HR software, so reviewing our requirements in this area would be one of your responsibilities. 

This is part-time fixed-term position, as we review the organisation’s needs in this area, and will be subject to review and possible extension at the end of six months.

As a small charity (c. 35 staff including part-time and casual workers), the role will require balancing practical tasks with more senior HR responsibilities. You'll be based in the office (a lovely rural setting near Twyford, Reading) for at least two days per week and, being situated within the rehabilitation centre, you will have daily contact with those men whom you are helping. About the role

Sitting within our people and organisational development team and reporting into the senior learning & organisational development manager, you’ll support us with a wide range of administrative duties across the learning & development; people; equity, diversity and inclusion (EDI) and internal communications & engagement functions.

As the first point of contact for all learning management system (LMS) user and administrative queries you’ll maintain and housekeep our LMS as well as help coordinate and administer internal and external training programmes, workshops and learning events. You’ll use our HR management systems to develop and maintain regular people management reports and liaise with the people and EDI teams to ensure employee and training records are updated.

About the Role

As a Service Delivery Assistant you will provide high quality and responsive administrative function for the National Contact Centre. Acting as the first point of contact for enquiries and supporting the wider team with general administrative duties.

Key Responsibilities:

• Provide high quality administrative support to the team and service.

Office & Administrative Operations

• Maintain accurate records for compliance, audits, safeguarding training, and policy renewals.

• Support contract and lease administration (e.g., office lease, supplier agreements, insurance renewals).

Event & Travel Coordination

• Coordinate logistics for UK events, training days, team gatherings, and visits from international colleagues.

• Manage bookings, venue arrangements, hospitality, travel itineraries, and attendee communications.

• Support international travel preparation, including documentation, itinerary organisation, and expense tracking.

Communications & Public-Facing Support

• Serve as a friendly first point of contact for enquiries via email, phone, and the ICC UK office address.

• Assist with maintaining contact databases and ensuring GDPR‑compliant data handling.

Systems & Organisation

• Maintain shared calendars, organisational systems, and internal workflows to ensure alignment across the team.

• Help ensure consistency of templates, branding, and standard documents across ICC UK.

General Duties

• Uphold ICC’s mission, values, and commitment to hospitality, clarity, and servant‑hearted support.

Purpose of the Role
The Administrator provides essential support across the organisation by maintaining accurate records, supporting compliance, coordinating communication, and ensuring efficient daily operations across the organisation.

Key Responsibilities

1. Records & Compliance (H&S, Training, Equipment)

• Maintain and update relevant staff records, including training logs, H&S documentation, equipment registers.

2. Database, SharePoint & Digital Filing Management

• Manage SharePoint folders and ensure documents are stored, updated and accessible.
• Support staff with document retrieval and information management.

3. Finance Administration

• Review and submit invoices for approval and maintain records of purchases on credit and debit cards and submit on a timely basis for processing.
• Liaise with the Finance Team to resolve queries and ensure timely payments.
• Maintain accurate administration logs.

4. Office Supplies & Stock Coordination

• Monitor stock levels for both sites and reorder supplies when required.
• Maintain records of stock usage and deliveries.

5. Internal Communications

• Prepare and distribute internal staff updates as appropriate – ideally in liaison with the communications team unless urgent.
• Support organisational communications and notices where needed.

6. Event Planning & Administration

• Maintain logs for events and support planning documentation.
• Assist with scheduling, preparation and administrative tasks for events and meetings.

7. Facilities and Property (including Health & Safety & Fire Compliance Records)

• Maintain and update organisational and building H&S records, including fire safety certificates and compliance documents.
• Organise building maintenance as required.
• Monitor outstanding actions and ensure timely updates.
• Be a qualified first aider on site.
• Book H&S-related training and track attendance.
• Support coordination of fire alarm testing, fire drills and related documentation.
• Support with reception duties as required.

8. Project Administration & Reporting Support

• Assist teams with project documents, data collection and reporting processes as required.
• Maintain project logs and support updates to reporting templates as required.

9. Phone & Admin Inbox Management

• Monitor admin and info inboxes, responding to or redirecting queries appropriately.

The Volunteer Pogramme Manager will be responsible for the programming, planning, organisation, administration and delivery of HOME’s Volunteer Programme, which aims to:

• Provide a diverse range of people with the opportunity to develop skills and improve their wellbeing within the unique environment of a creative contemporary arts centre

• Develop employability and emotional intelligence skills

• Contribute to developing future talent within the cultural sector

• Diversify HOME’s workforce

Main Duties

• Collaborate with staff across the organisation to champion, programme, plan, organise and deliver HOME’s Volunteer Programme.

• Recruit, monitor, rota and support volunteers. Organise inductions and training for all volunteers. Ensuring they are appropriately trained and matched to roles and that volunteers with additional needs are supported.

• Oversee communications to all volunteers ensuring they have all information needed to succeed in their role, including sending a weekly newsletter and providing role briefing information.

• Work closely with Engagement team members to ensure that opportunities are targeted towards participants, partners and groups we are working with where appropriate.

• Work with the Customer Service Team to ensure appropriate staff are trained and/ or supported to enable them to support and develop volunteers.

• Ensure appropriate staff are kept aware of best practice in relation to volunteering and of any changes in legislation that relate to this strand.

• Develop pathways for the personal development of volunteers we work with at HOME, supporting them in their endeavors beyond our programmes.

• Develop strategic partnerships and relationships to ensure HOME’s programme and associated opportunities reach out across the city and into the other 9 boroughs of Greater Manchester.

• Work with Communications staff to ensure suitable publicity and other promotional material is produced and distributed to promote the Volunteer Programme.

• Manage and control the Volunteer Programme budget in liaison with the Director of Audiences, and to assist in raising additional financial support when necessary.

• Maintain monitoring as well as record keeping systems to evaluate work and prepare material for the written reports for HOME's Board and funders.

• Represent HOME at relevant conferences and events and be an advocate for this programme of work internally, locally, regionally and nationally.

• Ensuring that all individuals who are legally required to undertake a DBS check are vetted before beginning relevant activity.

• Work collaboratively and supportively as a member of HOME, playing a key role in developing and delivering an integrated, inclusive, vibrant and creative programme of work.

• Ensure that all quarterly and annual reporting is completed on time and in full.

Additional duties

• Perform all tasks in line with HOME's commitment to providing the widest employee access.

• Take part in working groups & training sessions as required.

• Be an advocate and ambassador for HOME.

• Uphold and follow values and GMAC policies, particularly those around diversity, environmental sustainability, access, safeguarding, H&S & GDPR.

• Keep up to date with financial, administrative and operational best practice.

• Undertake any additional duties within the scope of the role as requested by the Director of the department or CEO.

• Work evenings and weekends if required.

OVERVIEW OF THE ROLE 

This is an exciting opportunity to join the Client Services Team which operates within Helen Bamber Foundation’s vibrant, multi-disciplinary team. The duties of a Client Services Administrator are two-fold 1) is to host our busy reception area and friendly waiting room; welcome clients and visiting professionals to the Helen Bamber Foundation and attend to any needs they might have and 2) to assist with overseeing the booking of appointments between clients and staff/volunteers across the organisation; liaising with third parties and clinicians in relation to Initial Assessments; booking and managing doctor’s diaries for our Medical Advisory Services and the booking of interpreters across the organisation.

The role will work closely with the Office Manager and Appointments Lead as part of the Client Services Team. It includes support and cover to the Appointments Lead and any other operations tasks set by the Office Manager and Director of People. You will be at the heart of an exciting team of experts, working as the face of Helen Bamber Foundation and the first point of contact for both external and internal queries.

MAIN DUTIES AND RESPONSIBILITIES 

RECEPTION FUNCTION

· Greet clients and visitors and fielding a wide range of queries (in-person, on the telephone, via e-mail and WhatsApp) in a timely manner;

· Ensure all site visitors and staff sign in/out using our Visitor Management System

· Handle the charity’s post ensuring that the appropriate persons receive it daily

· Deal with Walk ins in line with the charity’s policy

· Triage queries that come to reception internally to the multidisciplinary team;

· Provide accurate and detailed signposting advice as well as occasional casework for clients that might arise from fielding queries;

· Create and maintain signposting resources as needed

· Open and close reception at the specified times (typically 8.30am and 5pm);

· Order office supplies, refreshments and any other purchases authorise as necessary.

· Handle and accounting for petty cash, including client travel and staff/volunteer expenses;

· Record petty cash transactions on the appropriate spreadsheet and inline with internal policies

· Report discrepancies with Finance and investigating this in line with internal guidelines

· Lead, training, and supervising reception volunteers as well as providing ad hoc training to other members of the team as needed

· Provide administrative support and ongoing tasks as required, including database management, calendar and diary management and file-keeping

· Assist with monitoring and evaluation (client surveys, Key Performance Indicators (KPIs) etc.)

· Undertake any task that may be requested from time to time that may be consistent with the nature and scope of this post

SELECTION PROCESS

We will invite candidates to an initial 15-minute online screening meeting week on Friday 27th February  followed by shortlisted candidates attending in-person interview on Tuesday 10th March or Wednesday 11th March. We will also ask you to complete a short exercise on the day.
