The Finance department provides the complete finance function which includes payroll to the whole organisation overseeing all the 165 services across England, addressing all issues and processing payments to meet the demands of staff and external agencies.

Reporting to the Director of Finance, you will be responsible for the ongoing development and implementation of the new itrent payroll system, configurations are as per the requirements of the organisation and ensuring that the project is completed on time and goes live successfully. You will be a confident communicator and comfortable working in a small team environment where priorities can change at short notice. 

Main Responsibilities:

• To work closely with MHR, HR Team and consultants to ensure that tasks are scheduled and completed to meet project timelines.
• To co-ordinate work with HR and Payroll colleagues to ensure all relevant payroll processes are captured, reviewed, and, where necessary or appropriate, changed to ensure they are fit for purpose with the new system.
• To be responsible and manage the configuration of the new modules, working with HR and Payroll colleagues, MHR and other consultants to ensure that it is configured to Family Action’s requirements and that the rationale and effects of our chosen configuration is clearly documented.
• To work alongside the HR Systems and Operation Managers to ensure that the HR and Payroll teams are trained and supported in the effective use of the system as pertains to their roles.
• To be responsible and manage user testing of the new system and any parallel runs as part of the implementation process.
• To act as the Payroll System Administrator for iTrent, taking the lead on technical functionality and expertise and liaising with MHR as required for technical solutions.
• To support the Payroll team with other ad hoc duties, as may be required for running an effective and efficient payroll system.

Main Requirements (for details check the job description and person specification):

• CIPP qualified or significant experience working in Payroll in a Payroll  Manager or payroll system development and implementation role
• Significant experience using and administrating itrent payroll systems, including liaison with system providers.
• Experience of implementing payroll system(s).
• Experience configuring systems in accordance with specific and complex requirements.
• Experience leading on projects.
• An excellent in-depth knowledge and understanding of HR and payroll processes.
• Excellent attention to detail, with the ability to think creatively and decisively to solve problems.
• Demonstrable ability to build relationships and collaborate effectively, both internally within and across teams, and with external partners.
• An excellent understanding of payroll and related legislation, including pension, absences etc regulations
• A high level of proficiency using Microsoft Office, in particular use of Excel to manipulate data.

The role oversees the operations of a full range of facilities owned by CMS, to be used flexibly for strategically driven services in relation to CMS’s vision and values. We require someone who develops and builds strong team relationships throughout the organisation, as well as with a small team of direct reports. We aim to offer a facilities service which is customer focused, professional and unobtrusive. Delivery of a quality service, which will embody the level of hospitality and welcome consistent with the CMS ethos, is a primary performance measure.

Your relationships

· This role will report to the Director of Finance & Corporate Services.

· This role will work collaboratively with others in the wider finance and corporate services group.

· This role will work closely with all staff and tenants across CMS

· Line management responsibility for the CMS House supervisor and conferencing and reception assistant.

Your responsibilities

Conferencing and reception

· Line management of a team of two staff: the CMS House supervisor and conferencing and reception assistant

· Ensuring team development to nurture a culture of welcome and customer service, while ensuring tasks are completed

· Giving direct support to the team, providing cover on reception and help for major events happening in the CMS House building

· Support the Director of Finance and Corporate Services in setting of policies and guidelines for the use of the CMS House building and for hiring of conference facilities to include rates, publicity, balance of use by internal/external people.

Facilities management

· Monitoring the contracted services for the supply of utilities (gas, electricity, water, etc) and selected services (windows, pest control, hygiene, refuse collection)

· Arranging and supervising building maintenance contracts - lifts, air conditioning, fixed equipment electrical testing, fire alarms, CCTV and others - and minor repairs as required. Renegotiating contracts as needed, involving the director of finance and corporate services and the CMS legal advisor as required.

· Maintain the performance of building services, optimising maintenance regimes and proposing improvements

· Liaise with existing tenants. Work with agency appointed by CMS to arrange marketing of the surplus office space and work with the CMS legal advisor on the tenancy agreements.

· Managing other properties owned by CMS (2025: three houses and two flats) which are let or licensed for occupation to employees and former mission partners, advising on maintenance as required

· Manage the maintenance of the pooled car fleet

Health and safety

· Responsible for the co-ordination of health and safety policy for the whole organisation, working with the support of consultants where required

· Maintain the building to meet health and safety legal compliance

· Carrying out daily and weekly checks as needed, e.g. fire alarm, water safety

· Arrange training of first-aiders, fire wardens and oversee fire drills

Other

· Flexibility with working hours as required e.g.: co-ordination of some maintenance out of hours to ensure minimal disruption and communication with contracts

· Manage the facilities budget and related invoice and expense administration

· Contribute to the Creation Care group in relation to the use of the building and car fleet

· Other reasonable duties as may be assigned from time to time by the Director of Finance and Corporate Services

Job Title: Training and Development Officer

Location: Home-based, covering the South

Salary: £26,000 (pro-rata), you’d get £17,820 (gross)

Hours: 29.6 hours to be worked flexibly over 4 days

Contract: fixed-term to end of March 2028, Term Time Only

As a Training and Development Officer, you will be working directly with teachers and other education staff supporting their journeys in taking curriculum learning and play outside and to utilise their school grounds. You will deliver LtL’s training and projects within diverse communities across a significant geographical area. This role is part of our exciting new climate change education initiative. Role Summary:

The Operations Manager is responsible for the smooth, efficient, and compliant day-to-day operation of the business centre. This includes oversight of facilities management, health & safety, lettings, team leadership, and budget management. The role ensures the business centre is well-maintained, tenants are satisfied, and operational performance is continuously improved. Reporting to senior leadership, the Operations Manager contributes to strategic planning, drives efficiencies through systems and digital tools, and plays a vital role in sustaining high occupancy and tenant retention.

Role Responsibilities:

Centre Operations Management

• Oversee the day-to-day operations of the business centre, ensuring all facilities are well-maintained, compliant, and running smoothly.
• Ensure the lettings process is well-managed and aligned with policies.
• Implement and monitor operational procedures to improve efficiency and service quality, including opportunities to digitise processes and services.
• Contribute to strategic operational planning and continuous improvement initiatives.
• Identify and resolve operational challenges in collaboration with senior management.
• Report regularly on KPIs, occupancy, operational issues, and budget status to senior management.

Building Maintenance

• Oversee the upkeep and preventative maintenance of the property, ensuring high facility standards.
• Manage and coordinate external contractors and service providers (e.g., cleaners, engineers).
• Monitor maintenance budgets and project timelines, ensuring quality and cost-effectiveness.
• Conduct regular building inspections and implement corrective actions as needed.
• Drive sustainability initiatives, including energy efficiency and waste reduction.

• Maintain the Visitor Management System and ensure it is used appropriately and consistently

Health & Safety

• Ensure compliance with UK health & safety regulations, including risk assessments and fire safety.

• Maintain accurate H&S records, incident reports, and lead periodic audits.
• Support development and execution of emergency response and business continuity plans.

Lettings and Lease Management

• Oversee the Assistant Lettings Manager and monitor the development and execution of the lettings process from enquiry to move-in, including viewings, negotiations, and onboarding and offboarding of tenants.
• Check we are maintaining up-to-date tenancy records,
• Draft lease documentation and ensure timely renewals and support the rollout of any rent reviews.
• Carry out twice-yearly audits of lease documentation.
• Maintain relationships with tenants to support retention and satisfaction.
• Monitor lease management by team, lease compliance and resolution of any lease-related issues.

Customer Service

• Act as a point of contact for tenants, addressing any issues or concerns promptly and professionally.
• Foster strong relationships with tenants, ensuring high levels of customer satisfaction and retention.
• Collaborate with the marketing team to develop and implement strategies to attract new tenants and retain existing tenants with the goal of maintaining high occupancy levels.

Financial Management

• Manage the operational budget, ensuring cost-effective management of resources and that projects are delivered within budget.
• Negotiate contracts with suppliers and service providers to secure cost-effective deals.
• Ensure tenant arrears are regularly monitored and managed.

Line Management

• Lead, mentor, and manage the lettings and maintenance teams, ensuring high performance and productivity.
• Conduct regular team meetings, performance reviews, and provide ongoing training and development opportunities.
• Handle recruitment, onboarding, and offboarding of staff members as needed.

Essential Skills / Experience

• Bachelor’s degree or higher in Business Management, Project Management, or other relevant fields.
• At least 2 years’ experience in operations work.
• Previous experience in Lease management

OPERATIONS MANAGER - ROLE RESPONSIBILITIES

The Operations Manager is a key support for the church’s leadership and heads the staff team providing management over key operational and missional areas of the church’s activities.

This leadership role supports the ethos and ministries of the church and its mission to be a church for the community - discovering Jesus, sharing God’s love, and caring for those in need.

A vital aim for our church’s work in the local community is that our staff relationships, our Venue ministry, our Christian hospitality and how we use and share our building should all reflect God’s character - showing compassion, generosity, and kindness.

The role has a lot of different components, so we’re looking for someone who sees all aspects of this job as an expression of the church’s mission to proclaim the Good News and will facilitate and serve the congregation, the staff and the volunteer teams as they creatively explore ways to express our Christian ethos through the life and ministries of the church. This therefore requires that they are someone who has a mature Christian faith.

They will need to be a “servant“ leader who is mentally agile, energetic, able to schedule and prioritise, a good delegator, a team player, a quick learner and capable of taking initiatives, with a healthy understanding of self-care - we’re not looking for a “hero”, but someone who can work sustainability.

Leadership:

• Work closely with the church leadership team to support the trustees, staff and congregation in the development of church vision, ethos, mission and ministries.

Building Management:

• Coordinate with the Estate Manager to develop long-term maintenance plans for the common parts areas of the building.
• Provide the Trustees with regular building management reports.

We are seeking a driven and experienced manager to oversee the operational side of our Liverpool Centre. This is a pivotal role within the team which focuses on coordinating activity across the service to ensure the safe and effective delivery of our intervention.

The successful candidate will manage the day to day running of the James’ Place centre, with oversight from the Liverpool Head of Centre. You will manage the centre environment through both resource management and by influencing and driving local culture. The Centre Manager is responsible for line management of the Clinical Administrators and overseeing the processing of referrals to the service, ensuring men coming to James’ Place are welcomed warmly, within the expected timeframe and according to our values. 

This role requires someone with excellent organisational, problem-solving and interpersonal skills who can work hands-on in a busy and potentially challenging environment. You will be collaborative and work closely with the local team and wider charity outside the Liverpool centre to ensure we have consistent, strong, and effective systems in place. This would include other Centre Managers in other James’ Place centres in the UK, the Senior Management Team, and potentially trustees.

Pathfinders is a user-led charity run by and for people living with muscle-weakening conditions. We support disabled people and those who employ personal assistants (PAs) through peer support, information, training, and advocacy. We believe in the power of lived experience and centre disabled voices in everything we do.

About the Role

We are looking for a highly organised and motivated Project Coordinator to lead the delivery of an exciting new learning and development project for individual employers and personal assistants. The project will support people who employ PAs through direct payments and their PAs to develop the knowledge and skills they need through videos, peer-led training, discussion sessions, and case studies.

You will oversee the planning, coordination and delivery of the project, ensuring activities run smoothly, are well-attended, and meet the needs of learners. You’ll work closely with people with lived experience of employing PAs, guest speakers, partner organisations, and the wider Pathfinders team to deliver high-quality, accessible training and resources.

We will prioritise applications from people with lived experience of employing PAs, or who have supported others to do so.
