Finance Officer - Purchase Ledger

The Finance Team at Alzheimer’s Research UK (ARUK) is responsible for maintaining the financial records of the Charity and providing timely and accurate financial information. The team provides support and advice on all finance matters to staff within all other teams in the Charity and is responsible for ensuring there is a strong financial control environment.

This role is focused on the purchase ledger and working both independently and collaboratively to ensure that the purchase ledger is maintained accurately and promptly, as well as carefully following all controls and procedures in place. The purpose of this role is to ensure:

• accurate figures within Microsoft Business Central (BC) for both internal reporting and analysis and for statutory reporting such as yearend accounts

• prevention of fraud or incorrect payments

• timely payments to ensure no delay to ARUK goods and services received, and no implication for supplier relationships.

Key Responsibilities:

Management of purchase ledger

· Make day-to-day decisions about the purchase ledger such as prioritising payments and workload to ensure purchase invoices are paid within agreed timescales.

· Regularly review all purchase ledger accounts to ensure that there are no outstanding issues such as non-payment, missing invoices, mismatched or unmatched entries.

· Make correcting entries as required where errors are identified within the purchase ledger area.

· Regularly liaise with the Research team to ensure that the folder of invoices awaiting processing matches their records.

· Reconcile all debit balances on the purchase ledger and chase suppliers for any missing invoices.

· Identify and resolve any ad-hoc issues within the purchase ledger, escalating them to the manager if needed.

· Verbal checks of supplier bank account details where we are informed that details have changed, to safeguard against supplier fraud.

Processing of purchase invoices and credit notes

· Check purchase invoices received match purchase orders in BC.

· Where the purchase invoices match purchase orders, convert the purchase orders in BC to invoices, ready to be paid.

· Chase people responsible for raising purchase orders where they have not been raised previously, making sure they raise the purchase orders in accordance with documented procedures going forward.

· Investigate any discrepancies between purchase invoices and orders with the relevant budget holders.

· Check invoices for prepayments or fixed assets, clarifying with the person who raised the purchase order where needed, and post these in line with the documented procedures.

· Check purchase orders for administrative errors when converting to purchase invoices and correct where necessary.

· Post invoices and credit notes in BC, ensuring that prepayments and fixed assets are added correctly and advising others around the charity of criteria for these.

· Attach copy invoices to the purchase invoices in BC and ensure invoice filing is kept up to date for payment runs. 

· Follow the documented controls and procedures to pay invoices via payment runs and make additional ad hoc individual payments if required.

Month end reconciliations

· Maintain Fixed Asset register in excel and reconcile to BC, checking that balances are correct.

· Post acquisition, depreciation, and disposal of fixed assets in BC.

· Maintain prepayments in excel and reconcile to BC, checking that outstanding balances are correct.

· Ensure purchase ledger is up to date for month end, i.e. all issues dealt with and balances correct or flagged to manager.

· Liaise with other team members to ensure clarity around purchase ledger cutoff for month end postings.

Office administration

· Respond to purchase ledger related emails in the Finance Team shared inbox and ensure these emails are filed appropriately.

· Year end audit assistance, collating documents for auditors and answering queries about transactions, controls and processes.

· Checking and approving of payments made by others in the team, e.g. refunds and expenses.

· Maintenance of all purchase ledger filing (on paper, computer files and within BC) to ensure proper records are retained and documents/information can be easily found.

· Regularly update shared process notes to reflect current processes.

· Make payments, keep basic records of payments in excel and perform checks on bank details for our joint venture company as instructed.

What we are looking for:

· GCSE in Maths at a grade C or above (4-9) or equivalent

· Knowledge of Excel functions and formulae

· Previous knowledge of finance systems

· Understanding of book-keeping and reconciliation work

Additional Information:

Ways of working:  As part of our Agile ways of working you will be required to work approximately 2 days a week from the office, which is subject to the requirements of the role and the business needs. Flexibility on where you work can be split between working from home and our office.

Roles that are classed as part of the Agile ways of working are not able to claim any costs for Mileage/Travel on Public Transport, Accommodation and/or Meals.  This includes when attending the office for various meetings/events.

Strategic Leadership

• Develop and implement the overall strategy for gaming aligned with the overarching Make-A-Wish UK organisational goals and market trends.
• Monitor and identify growth opportunities within the gaming sector that are unique to Make-A-Wish   UK, including (but not limited to) development of strategic partnerships,   product diversification to drive sustainable income growth, and market expansion to position Make-A-Wish as the go-to charity for the gaming sector.
• Collaborate with the extended leadership team to execute the gaming strategy and ensuring the journey and development priorities align with our overall Income & Engagement goals and growth targets.
• Establish Objectives, shared KPIs and other performance metrics that drive alignment with common priorities and focus across teams to deliver on growth targets.
• Attend appropriate industry events and conferences to cement Make-A-Wish UK as contender within the UK videogame sector.
• Lead stakeholder management of high-value and   high-profile gaming contacts, including senior Make-A-Wish advisors within the gaming industry

 Team Management:

• Lead and motivate the Gaming and Influencer Officer by providing guidance, mentorship, and professional development.

 Gaming Group Wish

• Oversee the entire gaming group wish development lifecycle from concept to launch, ensuring the project is delivered on time and within budget.
• Scale the group wish within the sector and develop commercial opportunities that resonates with the gaming audience.
• Leverage storytelling to engage with gaming influencers within the gaming community

 Partnership Development:

• Establish and nurture relationships with external partners, including publishers, hardware manufacturers, distributors, and platform holders.
• Identify, negotiate, and maintain relationships with gaming influencers and content creators.
• Collaborate with Brand and Corporate Partnerships to ensure the content and pitch is engaging for partnerships, campaigns and promotions.

Campaign Execution:

• Oversee the planning, execution, and analysis of gaming-related marketing campaigns.
• Ensure that campaigns align with the company's objectives and target audience.

Performance Analysis:

• Monitor campaign performance metrics and provide insightful reports to stakeholders.
• Adjust strategies based on performance data to improve engagement and ROI.
• Continuously analyse, refine, and optimise workflows, tools, and processes across gaming to increase lead time to value, reduce blocks, improve resource allocation and enhance productivity.
• Proactively identify and monitor risks that could impact product development timelines, from technical challenges to resource gaps, and proactively develop mitigation strategies

 Income generation:

• Identify and prioritise opportunities for the   growth of income, gift in kind and networks in areas of Gaming for Make-A-Wish. This includes collaborating with the corporate partnerships team and relevant internal teams for new Gaming partners and sponsors for MAW.

Budget Management:

• Manage the budget for gaming and influencer marketing initiatives, ensuring optimal allocation of resources in line with operational needs.
• Ensure cost-efficiency and return on investment for game projects.

Wishgranting:

• Support connections to help grant wishes for children with gaming-related wishes by establishing relationships with industry partners, networks and individuals who can help.

UK People Support Team Lead

Contract: Permanent, Full-time, 35 hours per week

Salary:£57,415 - £60,436 per annum with excellent benefits

Location: London, UK.

UK hybrid working – at least 40 % of working time is spent face-to-face (London office, external meetings or travel).

The 40% equates to 2 days per week for a full-time employee, one of those days must be a Thursday when the entire UK People Team are office based.

About the role

A key leadership position in the UK, responsible for leading a dynamic and talented team who delivers the highest standards of operational support to WaterAiders in country. The role will need to plan, prioritise, and deliver to a high standard what we promise in order to deliver our ambitious mission.

Responsible for the effective and efficient delivery of UK payroll, pension, and the annual reward process. You will support and coach your team for the development, review and application of UK policies and procedures and be a key stakeholder to our people system Administrator.

You will be working in a matrix environment across the UK People Team and the wider People and Organisational Development function.

In this role, you will:

Team Leadership

• Manage, coach and build the capabilities of the People Support Team, their performance and development in line with our values and people promise.
• Expertise and ownership of UK People Team policies, processes and procedures, ensuring that they meet legislative requirements, are fit for purpose and in line with best practice and organisational priorities under the umbrella of our employee value proposition.
• Lead the delivery of the programme of work so that service standards at met, solutions are pragmatic and driven by our values, minimising risk.

Payroll, Pension and Reward

• Accountable for the delivery of the UK monthly payroll and pension processes, providing oversight and support to the work of the in-house Payroll Officer and being a back-up to their role, to ensure payroll is run accurately each month.
• Implement the annual pay award operationally ensuring accuracy, compliance, and timeliness of payment to all UK based staff.
• Implementation of a new payroll system for the UK.

Systems and Reporting

• Primary super user in the UK of HR Information System, PeoplePlace, ensuring effective and efficient use of the system. Responsible that the country's employee data is correct and in compliance with data protection.
• Drive the importance of data and people analytics and create a culture of data-based decision-making and insight across the team.
• Ownership of maintaining the monthly UK headcount establishment data with key stakeholders in Finance.
• Annual analysis and statutory reporting of the Pay Gap in the UK.

Compliance and Contract Management

• Act as the UK Team specialist on areas of HR compliance, working with 3rd parties and specialist advisors, to ensure that our policies, processes and practices are compliant and meet legal requirements.
• Responsible for data protection in the People Team, provide senior expertise and build capability across the wider people function.

Other

• Ownership of salary calculations in the event of employee termination and/or redundancy.
• Monthly payroll and pension sign off.
• Budget management and invoice approval.

Requirements

To be successful, you will need:

Functional skills

• Proven experience in leading, managing and developing a high-performing people operations team in a matrix, fast-paced organisation.
• Proven experience in managing and running in-house payroll for at least 250 staff or more.
• Excellent understanding of HR policy development; and proven experience in developing and embedding HR policies, processes and procedures that are fit for purpose.
• A qualified and robust HR Practitioner who has sound and up-to-date knowledge of employment law, tax and legislative requirements affecting a wide spectrum of HR policies and practice, i.e. payroll, pension, reward and benefits, together with their application in the context of the employee experience.
• Working knowledge and experience of HR and Payroll systems, to maximise the functionality and create efficiencies.
• Demonstrate project management capability.
• Proven experience in contract management and managing a wide range of third-party service providers.

Personal qualities

• A self-starter who is focused on delivery and execution: proactive in bringing solutions and recommendations to resolve problems and continuously improve HR practices.
• Able to navigate uncertainty and ambiguity: comfortable working at pace. Resilient and able to work under pressure.

Location: Home-based with frequent travel to internal and external events, networking and other meetings in London and occasionally across the UK.  Regular international travel will also be required. All staff meetings are held in our ReStore, Romford.

Job Purpose

To support Habitat for Humanity GB’s (Habitat GB) vision of a decent home for everyone, our National Strategy 2024-2027 identifies two key goals:  to (1) ‘develop, pursue and share innovative solutions to increase access to decent, safe, affordable homes for communities across Great Britain’; and to (2) ‘form a diverse coalition that champions the universal right to decent homes and collaborates to implement effective housing solutions for underserved communities worldwide’. The Director of Impact & Influence has responsibilities which contribute to the achievement of both these goals and is accountable for co-leading Goal 2 with the Director of Fundraising & Partnerships. They work collaboratively across the organisation, with Habitat for Humanity International (HFHI) and other Habitat global network members, and with a wide range of external partners.

Key responsibilities include the cultivation and stewardship of FOI (Foundations, Organisations & Institutions) partnerships and funding, leading the achievement of ambitious income targets related to donors based in England, Scotland and Wales on behalf of Habitat GB and the Habitat global network. The Impact & Influence Team also serves as the unit responsible for programme quality and effectiveness across the full lifecycle:  from design and innovation, through implementation, to evaluation and learning, including high quality proposal development, robust Monitoring and Evaluation (MEAL) frameworks, grant management policy and process across the organisation, and the direct delivery of reporting and compliance requirements to FOI funders.

The Director of Impact & Influence also leads Habitat GB’s domestic and international advocacy function, leveraging our research and programmatic insights to drive systemic and policy change in line with our mission and strategy. As an external representative, the Director develops Habitat GB’s role as a thought leader to increase our influence on policy & decision makers and credibility with partners, communities and other collaborators.

As a member of the Senior Leadership Team (SLT), the Director of Impact & Influence helps ensure the impact, sustainability, diligence and productivity of the organisation, including engaging in organisational transformation, within the framework of a values-led approach to people and culture approach.

Key Accountabilities/Responsibilities:

Strategic Leadership & Organisational Delivery

• Provide strategic leadership for the development and delivery of Habitat GB’s impact and influence agenda, co-leading the achievement of organisational strategic goals, in particular our goal of forming a diverse coalition that champions the universal right to decent homes and collaborates to implement effective housing solutions for underserved communities worldwide.
• Working with the National Director, lead on the development and ongoing review of HFHGB’s National Strategy, as well as our engagement with strategic development at global and regional levels.
• Co-lead Habitat GB’s ambitious funding and partnership strategy in support of impactful domestic and international programme portfolios.
• Shape and drive delivery across Habitat GB’s five strategic enablers, ensuring high-quality programmes, coalitions and networks, organisational visibility, technical leadership, and internal capacity for learning and innovation.
• Lead the development, delivery and continuous improvement of a robust organisational performance framework, with monthly/quarterly KPI reporting into SLT and Board governance.

Partnership Development & Fundraising

• Lead the development and stewardship of strategic partnerships with Foundations, Organisations and Institutions (FOIs) across England, Scotland, and Wales to secure income and achieve impact targets.
• Be accountable for delivering annual FOI income and pipeline targets agreed in the Performance Framework, including soft‑commitments and conversion, quarterly phasing, proposal volume/quality, and donor reporting timeliness.
• Represent HFHGB in national and international fundraising initiatives, influencing stakeholder engagement on behalf of the global Habitat for Humanity network.
• Collaborate with the Fundraising & Partnerships (F&P) team to develop compelling funding propositions, donor reports, and stakeholder engagement strategies.
• Jointly develop and lead a resource mobilisation plan with the Directors of Programme Delivery and F&P, aligned with the Habitat GB Domestic Programme Strategy, with agreed annual income and impact targets.
• Build internal capacity across the network to engage with locally based partners, navigating sector themes such as shifting power and decolonisation.
• Identify and lead opportunities for research, consortia collaboration, and development partnerships to enhance programming and learning.

Programme Quality, Proposal Development & Grant Management

• Lead the Impact & Influence team in managing the full programme lifecycle — from strategy and design through delivery, evaluation, and learning.
• Work with technical leads to ensure appropriate inputs throughout the full programme lifecycle, for example in relation to gender, climate and safeguarding.
• Ensure robust programme design, effective MEAL frameworks, and compliance with funder requirements.

About Us

The Bike Project is an award-winning charity which refurbishes second hand bikes and donates them to refugees.  We were founded in 2013 by, Jem Stein, after he struck up a friendship and found a bike for Adam, a Darfuri refugee who had fled his home in Sudan after war broke out.

The Bike Project has grown into a national operation with new CEO, hundreds of volunteers, a team of 20 committed staff, roadshows in different cities, an online shop and two workshops, one in the capital and one in Birmingham.

To date we have supported over 15,000 refugees and people seeking asylum by giving them a second-hand bike. In addition, we have supported hundreds through our programmes designed to build confidence and build friendships in the local community.

Duites and Responsibilities 

This role will provide maternity cover for an initial period of 12 months, with the potential for a 1–2 month extension. It will focus on developing new corporate partnerships and managing relationships with our existing corporate supporters.The role holder will work closely with the Chief Executive and Head of Fundraising, Marketing and Retail to ensure a strategic approach to the development and management of relationships with our corporate partners, enabling us to maximise the potential from them.

As well as leading income generation, the post will develop current and new corporate partnerships, providing personalised stewarding journeys.

The ideal candidate will have extensive experience of securing income directly from corporates for charity, both winning and securing new partnerships as well as maintaining and developing existing supporters. As the Supporter Engagement & Legacy Manager you will play a key role as we seek to reignite our legacy marketing programme and grow overall individual giving income to help ensure long-term support for those facing financial difficulty. You will be responsible for the project management and implementation of all supporter engagement activity, acquisition, and legacy marketing activities, ensuring all activity is optimised and campaigns include enhanced digital and social media content.  

Reporting to the Co-Heads of Supporter Engagement and managing the Supporter Engagement Officer, you will develop a multi-year plan to rebuild legacy income and a pipeline of legacy supporters, including re-engaging the EFH care home staff and major donors.

You will be responsible for supporting the strategic direction, operational plans and effective management of Turn2us’s giving programmes from individuals including appeals, regular giving and legacies, maximising net income from new and existing income streams.

The successful candidate will have experience of managing direct marketing campaigns in a charity environment as well as proven ability to manage successful legacy marketing campaigns. They will have significant experience stewarding individuals and legacy supporters and be adept at communicating the impact of donations, as well as having line management experience. The ability to make a strong case for supporting Turn2us’ key areas of work is crucial, as is an aptitude for proactively increasing acquisition and retention rates.

The post holder will also be a self-starter who is comfortable building new strategies from a relatively small pool of supporters and is experienced testing different tactics to establish the best practice for Turn2us.
