About the Role

The Events & Community Fundraising Manager is an integral part of our ambitious and forward-thinking Fundraising & Communications team.

This postholder will deliver The Connection at St Martin’s Events and Community Fundraising activity. They will line manage the Events & Community Fundraising Assistant, with a particular focus on their work on our annual Pilgrimage event. They will work in conjunction with the Director of Fundraising & Communications to develop and implement an action plan for these important functions.  

This role will develop, manage and grow an enthusiastic and motivated team of challenge event participants, pioneer our involvement in the collaborative London Walk event, lead on our emerging Special Events programme, and identify new opportunities and networks for our Community Fundraising remit.

This role requires someone with a strong track record in Events and Community Fundraising, with a solutions-focussed mindset. They will need experience in translating sector best practice into action, and to be excited at the prospect of innovating and pursuing new Events and Community Fundraising opportunities for the organisation.

Salary: £41,599 - £45,097 (scale points 26-30)

Job purpose

As our Events Assistant you have an exciting opportunity to join our developing charity. Working closely with the Events Manager, volunteers and a small team of colleagues, we are looking for an enthusiastic and committed individual to provide efficient and strong administration and coordination for both existing and new supportive events for bereaved parents and adult siblings. This role also involves supporting the volunteers who facilitate online groups, in-person retreats, support days, and supportive walks.

For this varied and busy role, we are looking for a highly organised individual with excellent interpersonal, written and IT skills. You will be comfortable working across multiple projects, be able to prioritise effectively and manage your time well in this part-time position, as many projects are time sensitive. You will have some experience in event administration and coordination and be able to learn new processes quickly. Excellent attention to detail is essential in this role and you will also be able to build successful relationships with volunteers and staff.  The role requires a high degree of flexibility, including a willingness to work some evenings and weekends. You will work closely with colleagues while also using your own initiative to work independently and complete time sensitive tasks.

The Compassionate Friends (TCF) is the UK’s only national charity providing peer support to bereaved parents whose child, of any age (from 1 month old to an adult child), has died from any cause. We also offer support to bereaved adult siblings and grandparents.

About the Role 

We’re looking for a Senior Events Executive to support the delivery of major fundraising events and take ownership of key components. This is a high-profile role where you’ll contribute to complex projects and help ensure exceptional supporter experiences. 

You’ll contribute to our focus of continuous improvement and innovation, keeping our events compelling, supporter-led, and helping us meet our ambitious financial and engagement targets. 

On event day, you’ll play a key team leader role, supporting logistics, assisting with critical elements, troubleshooting issues, and helping deliver a seamless experience for thousands of participants. 

Key Responsibilities

•  Support the delivery of large-scale, mass-participation events, taking ownership of critical areas, including supporter communications and the co-ordination of key stakeholder teams.
• Collaborate across teams to plan and execute event activities.
• Deliver creative stewardship journeys that maximise supporter satisfaction and ROI.
• Lead team members and volunteers on event day.
• Help monitor key metrics and maintain accurate CRM data.
• Potentially line manage a Product Executive, supporting their development and success.

About You 

You’re an experienced events professional with a proven track record in supporting the delivery of large-scale fundraising and mass-participation projects involving complex logistics. You thrive under pressure and will be confident taking responsibility for key areas on event day.

•  Proven experience supporting the management of large-scale income-generating events from concept through to live delivery.
•  Strong project management skills to assist with planning, execution, and evaluation of high-profile events.

Working arrangements  

This is a hybrid role, where your work will be split between your home and at least one day per week, on average, in our London Office.This may vary from time to time, so you will need to work in a flexible way to unlock your best work for our cause.     

There will be a requirement for flexible out of hours working to support occasional evening and weekend activity. This includes requirement to attend the London to Brighton event weekend. You will be compensated for this with time off in lieu. 

Starting salary in the range of:  £33,141 to £35,855

Working pattern: Full-time (35 hours per week) - some out of hours work may be required for events.

Annual leave: 25 days plus bank holidays, 3 well-being days per year (leave), an extended Christmas closure, and an employee benefits package.

Location: Hybrid and flexible working (core hours between 10am-3pm); split between remote working and our office based in central London with occasional UK-wide travel. There is a mandatory, in-person team day once a month in our office near Euston and expected attendance at relevant in-person events (typically up to 5 days per month).

Purpose:

The Events and Communications Officer will be responsible for supporting both membership events and communications activities.  The ECO will work with both the Communications Manager and the Membership and Events Manager to ensure membership data is up-to-date, to track membership engagement, to support the organising and delivery of our events, and to craft and broadcast digital content and media outputs.  This role requires a proactive, dynamic, and driven individual with excellent communication skills, an understanding of event management, confidence and experience using CRM databases and Excel, along with social media skills and an ability to spot new media opportunities. The ideal candidate will be highly organised, confident and adept with CRM systems, and enthusiastic about delivering excellent service to members whilst helping to promote the organisation's work across digital channels.

Key Responsibilities

Membership and Events Support

1. Working closely with the Membership and Events Manager to deliver  strategies for recruiting, retaining, and engaging members. 

2. Maintain and update the CRM system, ensuring accurate records and consistent data standards.

3. Support the processing of membership applications, renewals, and enquiries in a timely and professional manner. 

4. Support the organising and execution of member events, such as network and consortium meetings and other engagement activities as needed.

5. Support with the preparation of regular reports on membership numbers, trends and engagement activities. 

6. Work  closely with the Communications Manager and Membership and Events Manager to design, distribute, and collate the annual member survey.

7. Input membership invoices and payments into Xero or relevant systems.

Communications Support

1. Support a comprehensive media strategy set out by the Comms Manager to promote the organisation's mission and activities.

2. Manage planned activities on all social media platforms, including content creation and community engagement.

3. Proofread and distribute press releases, newsletters, and other communication materials.

4. Maintain and update the organisation's website with relevant news and content.

5. Managing the press inbox.

6. Monitor media coverage and help prepare reports on media performance.

7. Create engaging content for various platforms.

The postholder will also be expected to:

1. Actively support the delivery of the GuildHE strategy.

2. To contribute positively to a small, professional team focused on delivering excellence in their members’ interests.

3. Support GuildHE events and communication activities as appropriate - including campaigns, writing articles, blogs and press releases.

4. Build strong relationships with key stakeholders at HE institutions, including senior leaders, academics, and professional services staff.

5. Gather feedback from HE institutions and use this to inform the continuous improvement of our services.

6. Demonstrate a proactive approach to embedding EDI principles within all policy development and advocacy efforts.

7. Represent GuildHE externally on a range of HE sector groups and projects where appropriate.

This important role supports the operational delivery of the charity’s busy events programme and supports the team and running the office.

The events programme is diverse - from drinks receptions and report launches to events at agricultural shows across the UK - and support on administration for the wider charity, including some communications activity. Through these events, we drive awareness of our work supporting family farms and rural communities. In doing so we also garner support from funders to tackle the issues facing the countryside, ensuring our work reaches a diverse audience to raise awareness.

Under the direction of the Head of External Affairs, and with support of the wider staff team, you will be responsible for coordinating and running all the charity’s events, including full administrative support, booking venues, the invitation process and guest lists, organisation of collateral (including marketing and promotional information), catering arrangements and researching and inviting speakers. You will be also ensuring effective follow-up to each event such as wider dissemination of event content, evaluation, and reporting.

Working on events will account for approximately 75% of the role. The remaining time will be spent working across the charity undertaking a variety of administrative tasks. This will include supporting the team with mailings, coordination of specific activities and some general office management. Whilst reporting to the Head of External Affairs, this role will work closely with several team members, particularly the Executive Support & Governance Manager, providing a unique opportunity to gain knowledge and experience of different aspects of the charity’s work.

What we are looking for

This is an important role, and we’d like you to have a sound working knowledge of end-to-end event management and office experience within a charity or other professional environment.  To be successful you will be required to demonstrate a confident attitude supported by good written and verbal communication skills.  You must be comfortable using Microsoft office suite, events management platforms and our CRM system (currently Salesforce). You will be able to manage your time and prioritise your workload.  An ability to engage with a wide range of people is also advantageous. Most of all is the desire to provide first class customer service.

This position requires you to be a reliable individual with a detailed, methodical and organised approach who can work independently as well as part of a team. You will enjoy detail and managing data, all this supported by an interest in our work and the desire to develop a successful programme of events. You must be able to handle confidential information with discretion.
