About the role

Sitting in our Fundraising and External Engagement Team, you’ll support colleagues to achieve agreed proactivity and income targets. You’ll work in a small team of fundraisers which includes corporate and individual giving along with some event work.

This is a part-time role where you’ll be expected to work 18.5 - 22.5 hours per week to include a Tuesday in the office and some weekend working.

Due to the nature of the role, the ability and confidence to drive and access to a car is essential. You may be working across the Hampshire area.

As a Fundraising Assistant, you’re likely to be the first point of contact for our donors. It’s therefore essential that you can provide a welcoming, informative and prompt service so that our donors feel appreciated and supported. You’ll be a great communicator with people of all levels both internally and externally. Key Tasks

• Organising, distributing and updating the Charity’s marketing materials around the Trust, including posters, leaflets and banners.

• Developing our use of Sharepoint as an internal communications channel, and maintaining the Charity’s presence on the King’s staff intranet.

We are seeking a Fundraising Assistant at York Minster Fund for an initial fixed term contract of 12 months, commencing summer 2024. This part time, flexible role will support our team in administrative and fundraising tasks across a range of exciting activities and events, helping to raise funds for the Minster’s ongoing work.

York Minster Fund is the lead fundraising partner for York Minster. We are an independent organisation, with a separate board of Trustees, who work closely with colleagues across the Cathedral to secure income for a number of much needed projects and programmes of work. Established in 1967, as an emergency response to an urgent restoration project, we secure funds from charitable foundations, major and corporate donors, legacy donors, individuals and events. 

Our funds provide much needed income for a wide range of projects, including the fabric and repair of the iconic Minster itself, the training of apprentices in traditional heritage crafts and strategic initiatives such as the realisation of the Minster's new international Centre of Excellence for Heritage Skills and Estate Management.

What you will do:

Ensure that all third party received income is recorded on Raisers Edge and produce accurate reports for internal stakeholders.

Record and update non-financial supporter information such as, communication preferences, research information and other personal information in line with our Data Protection policy.

Distribute all parcels in a timely manner, making sure everything is recorded accurately.

To be successful in this role you will have:

English and Maths GCSE or equivalent grade C or above

Previous experience providing dedicated administration support.

Experience of handling sensitive information appropriately

Experience of working effectively within a team environment and assisting colleagues

The apprenticeship programme is due to start in September 2024, provided by the Juice Academy - an industry-led apprenticeship provider. They are partnered with Jane Montague Consultancy to deliver the 13-15 month Fundraiser Level 3 programme. Apprentices work on the job within a charity whilst receiving 20% off the job training from current industry experts. The training sessions are a hybrid of face-to-face learning (two optional in-person days) in Manchester, and virtual half-day classrooms via Zoom. Apprentices also receive the on-the-job training in the workplace. The final three months of the course will be the ‘assessment period’ during which apprentices go through an End Point Assessment and are graded a pass, merit or distinction. Apprentices currently have a 94% distinction rate. The Juice Academy are part of the Apprentify Group, and development coaches support apprentices throughout the programme.

Responsibilities:

• Assist in the creation, planning, setting up and working at fundraising and community awareness events 
• Face to face community work in the form of hosting coffee mornings and fundraising/engagement events 
• Face to face collection of raffle prizes etc within our communities 
• Poster erection and flyer distribution 
• Recording data from events 
• Work closely with both managers in the MARCOMMS team 

MARCOMMS/Fundraising – General 

• To help the Fundraising Manager deliver a continuous fundraising operation to meet the short, medium and long-term revenue needs of the charity as determined by the CEO and Board of Trustees 
• Establish and maintain positive relationships across the organisation and an in-depth understanding of the charity’s needs and priorities to ensure your fundraising activity contributes positively 
• Monitor, record and evaluate event performance, ensuring targets are met and providing reports as required 
• Spotting fundraising and communication opportunities and raising awareness of CHNs work 

General 

• Integrate with all members of the CHN team to learn the business and gain a full understanding of the charities work in order to communicate this to a wider external audience 
• Work with the MARCOMMS team to create social media posts when necessary 
• Design posters, tickets and flyers on CANVA or a similar design tool for events 
• Help with the community engagement strategy and annual plan to maintain and further raise the profile of the charity while protecting brand by acting as the ‘brand guardian’ 
• Ensure that all activity is compliant with policies and procedures 
• Actively keep current with trends in fundraising 

Person Specification 

• You will be highly organised, used to working in a fast-paced and autonomous environment and need to be able to plan ahead. 
• You will be proactive, flexible, creative, resilient and able to plan ahead.
• Flexibility is key as this role will require evening and weekend work, time will be given in lieu for hours worked in this situation 
• Computer literate as there will be database and design tools such as Canva to use 
• A team player as you will work with the Fundraising Manager and Communications Manager. Prioritisation is second nature.
• You will be confident using social media, and objective and flexible in the way you use the tools and platforms available. 
• Experience using CRMs is desirable but not essential. 
• This role can be physical – the successful candidate will be involved in setting up and closing of events which may entail some heavy moving and carrying. 

Experience 

• Previous experience working in a similar role (assisting with events, fundraising and communications
• customer service experience desirable

About the team

The Supporter Experience team at Shelter exists to provide expert stewardship to build deep long-term relationships, enhancing the supporter experience to drive income now and increase lifetime values. We ensure supporters feel valued and appreciated by Shelter and understand the impact of their support. We’re part of a wider Community & Events team that sits within an Income Generation directorate. Together, we look after a wide variety of fundraising activities to help fund our mission to ensure a safe home for all. Your team are welcoming and supportive, we work hard but try to have a lot of fun as well. Your line manager will be there to support you and encourage your personal development and you’ll have the opportunity to progress within the Community & Events team and beyond.

About the role

The main objectives of this role will be to provide excellent supporter care to Shelter’s fundraisers, which will involve building relationships and giving fundraising and event support and advice, and providing efficient administrative support to the department. We want to give you scope to grow into a confident and successful fundraiser, so you will receive training and provide supporter care and admin support across a variety of community & events activities, events and products across all three teams.

About you

Communicating with a variety of people: you will enjoy communicating with people in a variety of different ways, over the phone, face to face, by email, letter and over social media channels.

Time management & organisation: there’s a lot to do, particularly when we have fundraising products live and during the busy winter fundraising period, so it’s important to be able to manage your time well. The team has a really positive collective attitude to helping you do this, and they will suggest different tools and methods to stay on top of your work. But your being organised from the get-go is important.

Attention to detail: in all tasks, you will need to have a good eye for detail to make sure work is completed with a high level of accuracy.

Proactive: there are many activities to get involved with at Shelter, so being proactive ensures you get as much from your role as possible. Within your role you need to take initiative in setting up meetings, asking questions and suggesting/trying new ideas. Beyond this, taking advantage of volunteering in our shops or at events, and visiting local Shelter Hubs, is a great way to understand the cause and sector.

Willingness to be busy: everyone in the team has lots to do and has a range of responsibilities across different areas. To be successful in this role, you need to be willing to be busy during the working day and enjoy the variety this brings.

Flexibility: as this role will support work across the wider Community & Events team throughout the year, it is vital that the successful candidate is adaptable and willing to get stuck into different activities when needed. There will be occasional evening and weekend work to support events, for which time off in lieu will be given.

Positive attitude to learning: one of the most important aspects of the job is being positive and willing to learn. Being open-minded and keen to find solutions to problems is essential.

As the Engagement Events Lead, you will oversee the planning, project management, and delivery of a diverse portfolio of bespoke events across the organisation. These events, ranging from dinners and receptions to webinars and VIP tours, will serve to maximize donor cultivation and stewardship opportunities. With a keen attention to detail, you will prepare and maintain project plans for each event, ensuring that deadlines are met, and budgets are adhered to while providing regular updates to stakeholders.

Working closely with colleagues across fundraising, particularly with the High Value Fundraising teams, you will build strong working relationships to ensure the successful delivery of events. This entails leading project group meetings, responding to inquiries from various stakeholders, and advocating best practices in event management. The Autism Centre of Excellence exists to improve access to high quality support and remove barriers and stigma for autistic people, but to do this we need to grow our funding.

We aim to raise £5 million over the next five years to increase our reach, impact and activities, whilst creating a sustainable and predictable income stream for the charity. To do this we need to systematically build a pipeline of donors and supporters, to build profile and new relationships. In the short term we need someone who can lead the development of a series of applications to trusts, foundations and other sources of funding to support our priority workstreams.

Main duties and Responsibilities

• Primary focus will be on managing and soliciting income from your own portfolio of high value trusts, foundations and statutory funders, securing gifts of between £10,000 - £1,000,000 to successfully achieve the charity’s ambitious fundraising targets.
• Secondary focus will be on the planning and delivery of first-class Special Events and Major Donor fundraising.
• Create a robust prospect pipeline of effectively researched and qualified funders, ensuring a continued flow of prospects through the pipeline, taking a sales approach to lead generation and the assessment of the warmth and value donors.
• Deliver effective research of prospective and existing donors, which enables us to raise significant income through both new and existing relationships; utilising our networks effectively.
• Implement effective cultivation and stewardship journeys that provides a high-quality supporter experience to your portfolio of donors and prospects.
• Deliver first-class relationship management to ensure excellent ongoing relationships with donors in both a written and face-to-face capacity.
• Deliver exceptional writing skills through proposal and bid writing and day-to-day communication with donors and colleagues.
• Fully understand the charity’s projects and activities to both ascertain their suitability as funding propositions and communicate them in a compelling manner to funders.
• Work closely with operational colleagues to develop compelling and thorough cases for support to inform our research and fundraising strategies.

 Benefits

Salary: Up to £32,000 FTE, dependent on skills and experience.

Hybrid working, working in Cambridge a minimum of two days a week.
