A fantastic opportunity has arisen to join Westway Trust as a Property Assistant, providing efficient and responsive administrative support across the full property team. You will be a friendly, motivated, and active administrator who will play a key role in the smooth running of the property department.

You will be pro-active, organised, with good initiative being the main point of contact responding to estate and property related enquiries and reports of issues, from tenants, customers, contractors and the community.  You will therefore need to possess or demonstrate a willingness to provide a good level of customer service with property knowledge.

Key responsibilities of the role include:

• Provide efficient and effective administrative support across the Property team, including daily active filing, archiving, photocopying, scanning and record keeping.
• Initial point of contact for enquiries to the Property team.
• Provide a responsive customer service handling system to record such enquiries.
• Coordinating the general day-to-day activities of the Head of Property & Estates in relation to emails, posts, and voicemails.
• Assisting in the preparation and maintenance of property particulars, void reports, and reviewing property marketing websites for current information.
• Cross-referencing and managing the prospective tenant’s selection list with the historical enquiry list and alerting the team of any repeat/active enquiries.
• Regular visits to Trust premises to record any Health and Safety/Fire Risk Assessment breaches and reporting these to the appropriate Facilities Management team member. 
• Assist with attending Unit Base Parking/Filming/Events on the estate, recording any infringements of agreements on site, and notifying the appropriate team member for further follow-on action.
• Preparing notification details for relevant authorities for entry and exit of tenants – rates, utilities, etc.
• Assisting with servicing property meetings (i.e., circulating papers, coordinating actions where required).
• Responsible for the recording of void premises and issuing of building keys.
• Occasionally provide assistance to the Trust’s reception/office manager for general office duties and reception cover if required.

Knowledge and Experience:

• A minimum of one year’s experience in a busy property department.
• A broad understanding of commercial property or demonstrable experience of transferable skills if you are from a different sector.
• Customer focused, with the ability to provide a friendly and efficient service to customers, staff and tenants.
• Good time management, attention to detail, organisational skills and the ability to work under pressure with changing priorities.
• Excellent administrative skills.
• High level IT skills and experience of using MS Office (Word, Excel, PowerPoint)

Summary of Job Purpose

The Business and Operations Lead plays a vital role in managing and developing the operational business functions of the organisation and supporting its charitable aims; working closely with the CEO to deliver and improve the organisation’s strategic planning, operational delivery, and budgeting/ finance processes. The postholder plays a vital role in ensuring that the day-to-day operations of the iHV run smoothly, with key functions:

• Leading iHV business and financial management, including accounting, budgeting, reporting, strategic planning and risk management.

o Work closely with the CEO, senior leadership team and our accountants to align financial and operational strategies.

o Manage financial controls, procedures, and systems.

o Collaborate with various departments, including external stakeholders, for effective budgeting and operational management.

• Leading iHV operations:

o Senior responsibility for administrative, legal, and compliance functions, ensuring smooth operations. This will include management of our Emsworth Office, IT and risks, supporting business planning and change management.

o Lead the operational change for a new Customer Relationship Management (CRM) system and website. iHV Project Lead working with the supplier, the Project Manager and a small team at the iHV to ensure that the project is delivered within the specified time, cost and quality parameters of the specification.

o Working closely with our part-time Head of HR, supporting the senior management team and line managers with HR matters, including recruitment.

o Line management responsibilities of designated staff in the corporate team, supporting business administration.

Key areas of responsibility:

Business and financial management:

• Maintain and develop robust quality assurance processes for income and expenditure, working with our CEO and accountants, to ensure all financial and reputational risks are effectively managed.
• Ensure effective financial processes across the iHV, with systems in place for invoicing, managing iHV payments and standing orders, and chasing outstanding payments and debtors.
• Build departmental budgets, supporting leads with forecasting, budget tracking, monthly monitoring (management accounts are produced by our independent accountants) to inform workforce planning.
• Work with department leads to prepare budgets for tenders and project/ research grant applications, including determining when VAT is applicable.
• Process invoices, iHV card payments, direct debits, standing orders, expense claims forms and ordering of office supplies, with support from the Corporate Team Administrator.
• Support leads to manage contracting, invoicing and reporting to external funders in accordance with funder requirements. Ensure all new funding streams and other costs are accurately recorded by the accountants.
• Ensure management of the corporate member joiners to the organisation, including invoicing and setting up a process for re-invoicing.
• Work closely with the external accountants to provide information on monthly suspense, debtors, mis-postings and general queries in relation to iHV finance. Ensure the iHV’s reconciliation and remittance records are updated weekly.
• Ensure all financial documentation is available for scrutiny as required, including support for annual financial audit by independent auditors.
• Make recommendations, provide advice, and prepare strategic reports and briefings as required.

Operational Management and Governance:

• Support the CEO and department leads in managing human resources, risk management, quality assurance, operational change, and board functions.
• Support iHV business planning and the development of key objectives and priorities for the corporate Team (in partnership with the CEO and other leads within the corporate team).
• Oversee the operational needs of the Institute – supporting leads within the organisation with workflow mapping, business continuity and planning to support matrix working across the organisation.
• Recording and monitoring of business risks across the organisation to enable risk management, reporting to the Board and providing support in association with the CEO.
• Support the board, providing secretariat functions to board meetings, including ensuring all papers are provided on time, managing sensitive information, and taking board minutes.

• Support Health & Safety risk management, ensuring risk assessments are in place, processes and policies are up to date, and staff are trained and informed with any changes.

Information Technology

• Management of robust administration and business support systems, including negotiation and management of IT agreements, subscriptions, licences and contracts as required, providing recommendations for improvements and efficiencies to the CEO.
• Facilities management of required IT and infrastructure to include details of equipment held and provision of Microsoft/ other required licences.
• Liaise and schedule work to be undertaken under external IT support contract.
• Lead operational change for new Customer Relationship Management (CRM) system and website – working with a dedicated project manager who has scoped our organisational requirements (almost completed), to finalise the invitation to tender (ITT), manage the procurement process, evaluate submissions with a small in-house change team at the iHV, and make recommendations to the board. The postholder will lead the project for the iHV, working with the supplier, the Project Manager and a small team at the iHV to ensure that the project is delivered within the specified time, cost and quality parameters of the specification and is robustly tested before launching.
• Information management and analysis to highlight issues/ risks and support decision making – work with Head of HR to ensure iHV compliance with GDPR.

Human Resources

• Management of our Emsworth office with line management responsibility for a small number of designated staff in the corporate team who support business management (currently the Corporate Team Administrator), supporting the delivery of team objectives within the iHV Business Plan.
• Support, motivate and develop staff, managing direct reports’ annual performance development review (PDR) and performance management, if required.
• Work closely with the Head of HR to make sure that good employment practices are universally embedded operationally within the iHV.
• Support staff recruitment and the induction of new staff; provide advice to staff on corporate policies and procedures and communicate changes.
• Support the Performance Development review process for the iHV, collating 360 feedback for iHV employees where requested, and maintaining records for annual PDR outcomes.
• Maintain oversight of the recording of annual leave with the Corporate Team Administrator, Head of HR, and department leads.
• Provide operational leadership and management for team awayday (leading a small team to plan this each year), to support team building and staff development.

Other:

This is a newly created administrative role to increase capacity in Londonwide LMCs, the membership organisation representing approximately 7,000 NHS General Practitioners in over 1,100 practice teams in London, providing pan-London leadership and shared committee services for its members. The organisation has an important role to Value, Care for and Protect general practice.

An exciting opportunity has arisen to join our Workforce-Training and Innovation team, which provides project management across the organisation and training for constituents across the 27 Londonwide Boroughs that make up Londonwide LMCs. The team also coordinates a range of supportive services for practices that are delivered through managed relationships with associates.

In this role, you will report to the Head of Workforce-Training and Innovation and work within the WTI team, playing an integral part in linking our work across the directorates at Londonwide LMCs and externally with our practices and constituents.

We are looking for a motivated, creative, and organised Engagement and Communications Officer to join our team. This role is a unique opportunity for someone with a passion for building a fairer legal system through impactful events, engaging member outreach, and powerful communications. Working alongside the Director of Development and the Head of Communications, this role will work across teams to maintain and strengthen engagement through events, communications and corporate outreach. You will play an integral role in communicating our work as widely as possible and improving and increasing engagement with our supporters, including our members, donors and corporate partners.

The Engagement and Communications Officer will work to maximise income and support for JUSTICE through events (approximately 45% of the role), communications (approximately 30% of the role) and membership (approximately 25% of the role). They will report to the Director of Development and Head of Communications.

The main purpose of this role is to grow the venue hire pipeline of business and deliver venue hire events and specialist group events to excellent standards ensuring repeat business and maximising new sales opportunities. We are seeking a professional, confident candidate who enjoys the end-to-end process of events and is keen to make their mark on venue hire at the Society. You will also be highly organised with a keen eye for detail and confident being the ‘gatekeeper’ of the room bookings diary at the society. 

Overall responsibilities / requirements …

Venue Hire Sales & Marketing: 

• To deal with all venue sales enquiries in a timely and efficient manner. 
• To build and maintain an effective pipeline of venue hire enquiries. Including attending venue hire showcases and B2B networking events as necessary. 
• Professional and friendly manner, confident in delivering and leading on showrounds to prospective clients. 
• To produce venue hire literature and ensure that all material relating to the venue facilities is kept up to date. 
• To meet venue hire sales targets for 2024 as set by the Society and build effective sales pipelines for 2025.
• Liaise with Marketing Teams to produce bespoke posts and newsletters for members, venue hire leads and special offers for venue hire throughout the year, maximising engagement. 
• Support the Head of Events with all key cultivation events including venue hire showcases and any new business ventures. 

Venue Hire Administration: 

• To maintain safe working practices in conjunction with Health & Safety policies. 
• Work collaboratively with Buildings Manager to communicate key information taking place across Burlington House. 
• To liaise with AV company with regards to timings, payments, staff needs, training and use of equipment / set up for events. 
• To liaise with caterers with regards to timings, payments, staff attending, training and room set up for events. 
• To produce a weekly booking sheet for all staff to communicate bookings across the building. 
• To produce and meet budgets for events in consultation with the Head of Events 
• Manage the venue hire diary, ensuring it is kept up to date and all bookings are accurately recorded. 
• To check all incoming invoices against quotes/information received and pass to accounts for payment. 
• To raise and resolve any invoice queries in a timely manner. 

Event Operations:  

• To deliver all venue hire and specialist group events to excellent standards.
• To liaise with speakers and venue hire delegates and communicate all logistical details in a timely fashion including H&S briefings, PEEP plans and Risk Assessments. 
• To make any other logistical arrangements that are necessary for the smooth running of events covering timings, parking, room set-ups etc. 
• To ensure that all events are accessible and organised within the disability discrimination legislation. 
• To support the events team with ad-hoc events out of hours where needed across the year. 
• Ensure the events spaces are well maintained in collaboration with the Buildings Manager.

Teamwork: 

• To be proactive in identifying areas for potential improvement in the events programme 
• To take part in developing more efficient ways of working within the team 
• To ensure that positive working relationships are created with other departments at GSL 
• To participate in team meetings and wider meetings including External Relations and Health & Safety. 

Other responsibilities and expectations: 

• The post holder is expected to work flexibly to respond to changing needs at The Geological Society.  As the Conference Office operates a room hire service it is expected that the postholder will undertake out-of-hours work to ensure that this service can operate.  Excess hours worked will be compensated for by time off in lieu. 
• The post holder is expected to undertake any other responsibilities or tasks consistent with the role and/or reasonably required by the Head of Events.

This role will work closely with the Head of Support Services supporting our volunteers and wider community through a range of services and events. 

You’ll work with our incredible volunteers to support others living with conditions and raise awareness and understanding of our work.  You will recruit and support people to engage in volunteering in the way that best suits them.

Alongside this you will undertake administrative work to ensure the smooth running of Support Services, and deliver our flagship in person events. 

You will report directly to the CEO and work closely day to day with the Head of Support Services. It’s an exciting role which offers the opportunity to develop a broad range of skills in a supportive, can-do, values led organization.

Role Description

Volunteers

o Working with the CEO and Head of Support Services develop and deliver the Volunteering Strategy for the organisation.

o Work to significantly increase the inclusivity of volunteers and the work done by volunteers.

o Oversee the recruitment of volunteers and ensure appropriate induction in collaboration with relevant staff.

o Deliver mandatory initial and ongoing training for volunteers.

o Working with colleagues, produce and keep up-to-date policies, processes and forms, ensuring volunteers understand and use these resources.

o Provide day-to-day support to volunteers, working closely with the Head of Support Services.

o Manage all volunteer programme communications in collaboration with the Communications Officer including: ebulletins, website, social media and print materials.

o Collect and process feedback and statistics and compile reports on satisfaction and effectiveness as required.

o Provide specific support for volunteering roles including;

Helpline and Telephone Buddies

o Support the transition of the helpline to a new scheme such as our telephone buddy scheme

o Support and review the telephone buddy scheme

o In conjunction with the Head of Support Services, support the implementation and ongoing management of a new Facebook support group

o Collate statistics on helpline calls and report on this monthly.

Local Support Groups

o Support the establishment of online condition specific and new regional groups.

o Undertake visits to Local Support Groups as appropriate.

o Working with the Finance and Operations Manager support the groups to use funds they have raised.

Other Volunteers

o Support Office volunteers in their day to day work, being the first point of contact and allocating tasks.

o Working with the Head of Support Services contribute to the development of the Lived Experience Committee.

o Working with the Head of Fundraising support and engage Ambassador and Fundraising volunteers.

Support Service Coordination

o Ensure the CRM system is up to date with all Support Services information.

o Ensure all statistics relating to Support Services are up to date.

o Ensure Support Services’ phone systems and booked calls are effectively and efficiently set up.

o Ensure accurate record of all research and surveys we are asked to engage in and follow up on outcomes of that research.

o Undertake any small administrative duties as required.

o Where required, provide support in managing the helpline emails.

Support Services Events

o Lead on the development and delivery of three one day conference style events annually.  These will be held throughout the UK and will offer panel discussions and networking for our community. 

o In partnership with the wider team, occasionally represent The Foundation by running information stands, coordinating volunteers and preparing information for external events such as industry conferences.

o Where appropriate attend and present at external meetings.

o Support the management and delivery of the portfolio of online and in person events delivered by the Pituitary Foundation in conjunction with the wider team.

Purpose of the Role

The Digital Marketing Manager will implement and help develop a new digital marketing strategy, crucial to the ongoing development of ArtsEd’s profile and reputation and the successful delivery of all our programmes.

Understanding the needs of current and prospective students and pupils and their parents, and being able to identify digital plans and initiatives which will enable ArtsEd to meet both the long and short-term needs is a central aspect of the role.

The Digital Marketing Manager will lead in the planning and implementation of digitally creative and customer focused campaigns and will be responsible for the achievement of student and pupil recruitment targets. They will work closely with senior staff and the rest of the Marketing team to deliver highly effective experiences to all stakeholders and potential stakeholders.

The Digital Marketing Manager will be responsible for the continuing development of ArtsEd’s online profile amongst all of our target audiences, including high-level industry connections, potential supporters and the local community, alongside potential students, pupils and parents.

In addition, the Digital Marketing Manager will be responsible for ensuring that ArtsEd’s messaging is consistent, innovative and compelling across all platforms.

Digital Marketing

• Plan and execute digital marketing, including SEO/SEM, email, social media and display advertising campaigns in collaboration with the wider marketing team.
• Use digital marketing expertise to create effective user funnels to optimise conversion rates, tracking user behaviour in order to refine processes.

• Collaborate closely with staff across the organisation to identify storytelling opportunities to ensure a full understanding of ArtsEd’s broad range of target audiences.

• Set up digital advertising campaigns through Meta, Google Ads and other platforms

• Utilise excellent graphic design skills to collaborate with the team on the design and delivery of different digital campaigns for all stakeholder groups. This will include mass e-mails, social media posts and digital collateral as required.
• Instrument conversion points and optimize user funnels.
• Monitor social media communications (both comments on posts and direct messages) and respond in a timely and appropriate manner.

Design & Brand

• Be a guardian of the ArtsEd brand, ensuring correct and effective use of our branding and house style both internally and externally.
• Ensure all digital information is accurate, up to date and relevant.
• Ensure ArtsEd embraces and celebrates diversity and inclusion through all digital marketing touchpoints.
• Develop and manage image library including liaising with relevant staff to select images, co-ordinating in-house photography and film requirements, up-dating plasma screen and fulfilling external requests for images.
• Ensure all touchpoints communicate ArtsEd visual identity. Working with the wider Marketing team to review and implement ArtsEd brand architecture structure on digital platforms

Graphic Design

• Create print and digital advertising material using Canva or similar software.
• Design and create in-house digital signage and support the Marketing Officer where needed.
• Support the print production process, liaising with printers and publications, proof reading and adapting print collateral as required.

Recruitment

• Lead on the implementation and delivery of a robust digital marketing strategy to optimise student and pupil recruitment across the whole organisation. This will include:
• Building on existing digital activity to maximise its reach and impact against all of our target audiences, including digital and associated print advertising.
• Managing an associated  programme of recruitment focused events and activities, both virtual and face-to-face, to raise our profile and to maximise our enquires, registrations, applications and acceptances across all of our activities.
• Supporting the relevant teams in the delivery of this programme, which will include existing activity e.g. Day School and Sixth Form Open Days, degree audition days and our outreach programme.
• To programme our email marketing conversion communication using software Mailer Lite/MailChimp
• Overseeing the production of all marketing collateral.

Social Media

• Overseeing the planning and delivery of a social media plan that aligns with and enhances all strands of the marketing and communications strategy
• Create engaging and content drive social media assets.
• Oversee and a schedule the delivery of day-to-day social media content
• Work with the marketing officer to Launch as short form video content strategy for all platforms with aligns with the Marketing and organisations strategy.

• Manage through line managed staff all aspects of the ArtsEd website, ensuring that it remains relevant to all users at all times. This will include:-

• Identifying opportunities to create and update brand focused content

Market Analysis/Planning

• Review and analysis of data to identify competitor tactics, market trends, new opportunities and challenges.

• Complete quarterly digital impact reports

The Healthy Ageing Project will address specific challenges within the community, while actively promoting healthy ageing in practical and effective ways across our network.

We will focus on the strengths and expertise of our member groups to promote engagement with Ireland's unique music, dance, sport, language and culture.

We will work together with our members throughout this three-year journey.
