ThinkForward Executive Assistant

Location: London, Islington
Salary: £29,078-£30,983 (pro rata) including London weighting
Hours: Part Time - 22.5 hours per week – semi-flexible working offered
Contract: Permanent

Overview of ThinkForward
ThinkForward is a breakthrough coaching programme that offers young people 1 to 1 support through trusted, long-term relationships to help overcome challenges in and out of school and linking them to ready for work activities provided by a community of businesses. By the end of the programme young people develop the aspirations, skills and mind-sets needed to thrive and sustain employment.

Purpose of the role
The Executive Assistant is a pivotal role within ThinkForward, responsible for the smooth operation of the executive functions of the charity, including support for governance (board and subcommittees), office management plus team diary support.

Key Relationships: ThinkForward Trustees and Executive Team, Central Team

Responsibilities will include but are not limited to:


  • Lead responsibility for the administration of board meetings and sub-committees, including timetabling, paper collation, formatting and distribution.
  • Production of board meeting and sub-committee minutes and updating of the rolling action log.
  • Manage external file sharing platform, including providing access and uploading documentation
  • Administration of specific project sub and working groups as required
  • Liaison with trustees as required, including setting up telephone calls
  • Perform charity and company secretarial duties

Office Co-ordination:

  • Act as point of contact for suppliers in relation to facilities matters
  • Support the Office Administrator to resolve technical & IT issues
  • Manage office layout, storage and ensure Office Administrator maintains supplies of equipment and stationery
  • Manage the telephone conference calling facility
  • Lead for telephony relationships, including opening and closing accounts, maintenance of asset log and monthly reconciliation

Team administration:

  • Timetabling of Exec Team appraisals and staff member 121s
  • Organise and minute relevant team meetings
  • Co-ordinate operational set-up and organisation of external events, meetings and training, co-ordinate office events calendar
  • Diary management for Chief Executive, COO, Director of Fundraising and Director of Delivery
  • Drafting correspondence and responding to enquiries
  • Ensure accurate filing in paper and electronic form

Other responsibilities:

  • Support the Heads of Fundraising & Delivery and the COO with operational and finance related duties
  • Other support as could be reasonably required

Person Specification:


  • Excellent data inputting skills and keen attention to detail.
  • Computer literate with intermediate skill levels in Outlook, Word, Excel and Powerpoint.
  • Team player, with lots of energy and enthusiasm.
  • Aptitude for numbers, data, absorbing lots of information, willing to learn a lot and take on responsibility
  • At least 3 years’ relevant prior experience with knowledge of administrative and policy procedures
  • Knowledge of customer service principles and practices
  • Proactive in reviewing and evaluating personal performance and identifying areas for improvement and development

The Executive Assistant & Office Manager will be a confident and energetic individual with demonstrable experience in the fields of office management, governance support and administration. A skilled and confident communicator, they will be able to work on their own initiative and take a solution-focused and accountable approach. This is an external facing role and the post holder will need to identify and exhibit behaviours which promote our values and purpose.

The right candidate will demonstrate a flexible approach, have strong interpersonal skills and demonstrate an affinity and empathy with our charity. Ideally, the candidate will have provided executive support to an executive team in the past and may have worked in a charitable environment where they have managed sensitive information. Discretion and at all times maintaining the highest levels of integrity and confidentiality are paramount.

  • Three years direct experience of working in a similar role
