We are looking for someone to champion sustainability across the organisation and lead the development and implementation of Plantlife’s carbon footprint reduction programme aswell as provide professional support to colleagues across a range of administrative functions. 

This is an interesting, varied role within the finance and operations team and the role is key in enabling colleagues to work effectively, efficiently and safely by providing the right accommodation and equipment and serving on the Health, Safety & Welfare Committee. The role also provides support within the finance team, helping to maintain the smooth running of the busy function.

We are offering the role hybrid- Salisbury office and home working.There will be a requirement to attend our Salisbury office at least once a week and there will be occasional travel across the UK.

Job Purpose - Facilities Manager - Projects 

The role holder will report directly to the Head of Estates whilst working closely with the Facilities Manager and the wider team, as well as operational colleagues.

The role holder will be responsible for the delivery of specific ad hoc estates projects, whilst also providing support to the wider Estates team in the delivery of business-as-usual activity to ensure the development of an estate that delivers outstanding outcomes for the people we support, ensuring the portfolio is managed safely, cost effectively and in accordance with statutory and regulatory requirements.

This role requires an individual with strong project management capability within an estate’s environment, with a demonstrable track record of delivery of projects on time, to Budget and to the requisite level of quality.

Reporting directly to the Head of Estates, the role holder will: 

• Lead the estates input in the expansion of the existing property footprint.
• Onboard new additions to the estate’s property portfolio efficiently and effectively.
• Work collaboratively with operational colleagues ensuring “best outcomes” are delivered for the people we support in the development and maintenance of the estate.
• Support the wider estates team in the delivery of business-as-usual activities.
• Be visible and on site to ensure the smooth running of projects and the timely resolution of issues. 

Dimensions

Whilst the role currently has no direct reports assigned, the level of project activity and the consequential resource requirements will determine any additional staffing needs. The nature of individual projects will determine this although it is anticipated that project spend will be circa £0.5m+ per annum.

Principal Accountabilities

Estates and Facilities Management 

• Responsibility: Act as the senior estates and facilities professional on project work assigned. 

• Project Plans: Ensure there is a clear and documented estates plan for each project assigned and lead the implementation of these plans to ensure best possible outcomes for the people we support. In the planning and delivery of projects, the role holder must ensure that due consideration is given to operational requirements. 

• Project Performance: Ensure a robust contract performance management framework is in place for each project. 

• Regulatory: Ensure all project work is undertaken in accordance with applicable regulatory and statutory requirements. 

• Resource Management: Manage and co-ordinate both AFG staff and external contractors in the delivery of projects. Where required mitigating actions/plans may need to be taken to ensure that projects are delivered to requirements. 

• Onboarding: With support from the Head of Estates, lead the estates input re. property acquisition (both support with the identification of appropriate property and subsequent due diligence). 

• Expansion: With support from the Head of Estates, lead the estates input re. the expansion of existing estates footprint. 

• Business Cases: Prepare business cases, feasibility studies for consideration by the Head of Estates and onwards by the Executive/Director team. 

• Business as Usual Estates Activity: The role holder will be required to work alongside the Estates Manager and the wider estates team in the delivery of business-as-usual estates activity (including site visits, contract monitoring meetings, supervision of reactive repairs etc.), where project requirements mean the role holder has capacity to undertake this work. 

Financial Management

• Financial Performance: Manage project related budgets, ensuring projects are delivered to Budget, to the requisite quality and to time. 

• Procurement: Work closely with the Procurement team to source potential suppliers for services and ensure those services are sourced on a “Value for money” (VFM) basis, and in accordance with the terms of the Scheme of Reservation and Delegation. 

• Tenders: Working closely with the Procurement function of the Charity, take the estates lead in tender activity where assigned, ensuring that activity is undertaken in accordance with the Scheme of Reservation and Delegation. 

• Cost Reduction/Service Improvement: Lead in ensuring we are continually striving to reduce cost/improve service provision. 

• Commercial Acumen: Commercially savvy to drive continuous improvement opportunities (both financial and operational). 

Sustainability, Efficiency, and Innovation 

• Estates Development: Ensure development activity within the estate takes account of environmental considerations/technological advances in the go-forward design.

This role is home based, with occasional travel within the north west of England required. This role is Band II as per our structure

Main Responsibilities:

•  To provide facilities management to all YMCAES sites across East Surrey. This includes 5 housing schemes and one sports and community centre all owned by the YMCAES together with six family and youth centres that the YMCA lease from local authorities. 
• u  To manage a team of three maintenance technicians (full and part  time), and facilities administration assistant and to be responsible for their training and professional development 

• u  To be the Health and Safety Officer for YMCAES to ensure that the organisation complies with all current legislation and to encourage good practice throughout the YMCAES. 

• To be responsible for ensuring all risk assessments are up to date and accurate:
•   to carry out regular building risk assessments
•  where necessary support and advise staff in completion of risk assessments
•  to ensure fire risk assessments are carried out in accordance with legislation and good practice
•  To be responsible for the maintenance of YMCA buildings and sites. Including preparation of cyclical maintenance plans and to arrange and supervise necessary major works to be scheduled and safely carried out in accordance with the project plans. 
• To be responsible for managing the online maintenance system (Pyramid) ensuring accurate recording and reporting of:
• daily reactive maintenance tasks
• planned and cyclical maintenance tasks
•  all regulatory building compliance requirements.
•  To manage YMCAES building contracts and to comply with the Accepting Contracts and Procurement policies and procedures. 
• To be responsible for the compilation and upkeep of the preferred provider list of contractors.
• To put in place and manage a call out system for managers to respond to any emergencies relating to buildings.
•  To be responsible for all ground maintenance including management of a ground maintenance worker and/or external contracts. 
• u  To maintain the fleet of vehicles owned by YMCAES, including insurance, tax, MOT, fuel and maintenance.
•  To support HOCS for responsibility of all insurances required by the YMCAES. Ensuring compliance with legislation and efficiencies and effectiveness of all policies. Also, to ensure that necessary inspections and certification of lifts and other equipment are carried out as per requirements of insurers and current legislation.
• To provide the CEO and Head of Housing with advice and guidance around technical and regulatory requirements on YMCA property developments and acquisitions of new buildings.

 To work with the HOCS to prepare a budget for central costs (buildings and vehicles) and to manage this budget through the year. 

To prepare and present a report to the quarterly Governance and Risk Committee which has a remit for overseeing the organisational risk management framework, incident reporting and regulatory compliance.

DESCRIPTION

Job Purpose:To manage the facilities and services that support the core functions of YMCA East Surrey (YMCAES), including maintenance across multiple sites.

To be the competent person to oversee all health and safety matters across the organisation

Hours of work:35 hours per week , Monday to Friday 9.00am to 5.00pm.

Strathclyde would like to appoint an early career fundraiser to the role of Alumni Fund Officer, working within its established and successful Alumni and Development team. This role will deliver fundraising programmes to support the University’s Alumni Fund – a fund which is championed by many thousands of our graduates, and which supports the whole student experience. 

You will deliver a range of fundraising projects including an annual student telethon campaign, direct mail, and digital projects (including Giving Day campaigns). Working across the University, you will develop close and supportive relationships with senior staff and talented students alike.

The University’s Alumni Fund helps students to have an outstanding student experience by funding a range of projects including scholarships for students in need; community programmes; international experiences; learning resources and student-led projects. You will raise awareness of the Fund to the student community, and you will manage the funding application process, taking an active role in awarding funding to successful projects.

The role

As Community Engagement Officer you will play a key role in ensuring the Foundation achieves its objectives of engaging with and increasing physical activity levels amongst the four key priority groups facing the greatest inequalities: low socio-economic groups, women and girls, disabled people and people with long term health conditions, and culturally diverse communities. This will predominantly be achieved through the critical support you will provide to our ambitious PlayZones Programme, as we continue to roll the programme out across priority areas of the Country.

We have an ambition to deliver in excess of 200 PlayZone facilities by 2025. To realise this ambition, we’re going to focus on investing in safe, inclusive, and accessible facilities in communities with the greatest need. We will tackle inequalities in physical activity levels and create inclusive opportunities for our priority groups to become active through recreational formats of football and other sports and activities.

With a great deal to do, the role will be pivotal in working with local groups to support them through the application process, and to ensure high quality projects are being developed based on local community need.

The role sits within the Football Foundation’s Delivery Team, the team responsible for strategic identification and capital project delivery, reporting to the Community Engagement Lead and with responsibility for a portfolio of PlayZone programme areas within one of the Delivery Team geographical regions.

You will provide critical support to applicants and work extremely closely with our network of Delivery Managers & Officers to advise and agree community engagement plans for a range of Over £25k projects – helping to ensure their engagement is robust, but that applicants also receive support and guidance as required throughout the development of their application.

Community Engagement Officers will champion the benefits of great engagement, capturing good practice, identifying successful approaches, and share knowledge and learning across the Foundation and other stakeholders.

What are we looking for?

You don’t need to follow football to apply, but it is expected that you appreciate the power of sport to change lives and have a genuine interest in using your skills and experience to help the Foundation achieve our charitable and strategic objectives.

You must be educated to HND/Degree standard, or with the equivalent experience, with knowledge of how sports development can be used for community benefit. You must have strong communication and interpersonal skills with experience of communicating with and supporting a diverse range of colleagues and customers remotely.

Your knowledge of place-based working and how to best reach and engage with local communities will be key for this role, as well as your understanding of the inequalities that exist in supporting active lives across socio economic groups, women & girls, individuals with a disability or a long-term health condition, and culturally diverse communities. You will be aware of and have experience of dealing with the operations and challenges faced by community organisations, charities, and the voluntary sector.

You must be highly organised, with working knowledge of different project management techniques and experience of managing multiple projects at the same time. While not essential, experience of producing robust reports and of using dashboards to monitor the progress of projects would be useful.

ROLE PURPOSE

This position involves identifying and prioritising potential donors capable of making significant contributions to help us deliver a range of projects aimed at enhancing the student experience and supporting the local community. By providing the Development and Fundraising Team with tailored and insightful research, this role will enhance the prospect funding pipeline and facilitate the cultivation of a diverse pools of donors, including individuals, grant-making trusts, and companies. This role will also manage a well-structured stewardship program for donors. Responsibilities include promptly acknowledging donations, creating personalised impact reports, and overseeing bi-annual events which recognise and celebrate their support.

PRINCIPAL ACCOUNTABILITIES

· To maintain and develop the University’s database of fundraising prospects through proactive identification, analysis, and segmentation, (individual and aggregate) record updating, and original research, including the identification of new prospects.

·  To prepare prospect profiles (which may include wealth ratings), and work with relationship managers to devise appropriate tailored cultivation and solicitation plans, enabling appropriately targeted fundraising asks.

·  To develop and manage reporting in the database across fundraising portfolios to help ensure prospects are strategically moving along the prospect pipeline towards major gift solicitation • To produce and provide due-diligence reports on prospective donors as part of the University’s gift acceptance procedures.

· To deliver an annual donor recognition event to acknowledge and celebrate the support of the University’s most generous supporters.

· To organise smaller bespoke events for higher level donors to the university, for example, site visits to project sites and/or opportunities to meet student beneficiaries.

· To write insightful and impactful bespoke reports for donors supporting the University, ensuring reports demonstrate the positive impact of support and encourage repeat gift solicitation from the fundraising team.

· To keep abreast of regulations, including the Privacy and Electronic Communications Regulations (PECR) and the General Data Protection Regulations (GDPR) ensuring that all prospect research and cultivation is compliant and understood by fundraisers.

CONTEXT

The primary purpose of the Development team is to secure philanthropic income to support the delivery of the University’s Being Westminster 2022-2029 strategy. The Development team forms part of the Global Recruitment, Admissions, Marketing and Communications (GRAMC) directorate. The team also works closely with the Business Engagement Directorate to deliver an integrated approach to the University’s relationships with its key external stakeholders. The Development team collaborates with the Alumni Relations team to inspire and engage the University of Westminster’s vibrant, global community of alumni and supporters to build lifelong and mutually beneficial relationships with the institution.

The Meridian One Community Garden serves as a space where we focus on cultivating fruit, salad, and vegetable produce. We involve the local community by hosting weekly volunteer gardening sessions, welcoming school visits, and organising various community events.

TCV is seeking a Senior Project Officer with expertise in community engagement, event coordination, and managing community facilities. The garden, which was established one year ago, encompasses facilities such as an office, a community meeting/education room, toilets, and a spacious polytunnel.

The Senior Project Officer will oversee a range of tasks including planning and executing community events, maintaining site Health & Safety, leading volunteers in practical projects like building wooden planters, tending to garden plants, and ensuring timely completion of administrative duties such as procurement, risk assessments, social media updates, and task reporting. They will also lead activities for the under 5’s Nature Explorers group, school visits, themed evening events, and family weekends. Additionally, they'll organise corporate volunteering sessions and cover holiday shifts for the Green Gym gardening program. Previous events have included 'Pampering and Enrichment,' 'Repurpose, Recycle, Reinvent' workshops, and a Black Women in Conservation and Horticulture photo exhibition, as well as our weekend family events featuring free food, music, and arts and crafts activities.

This role involves being friendly and open to various people who visit, from the toddlers attending the Nature Explorers club, to our volunteer gardeners, to senior staff from the local authority. There are two other people working part-time at the garden, and TCV provides thorough training and support from a helpful local team.

Ideally, we’re looking for someone with experience of gardening and/or nature conservation. However, what’s equally important is that the Senior Project Officer has initiative, is welcoming, and comfortable working with a wide range people. We’d therefore welcome applications from candidates who can display those personable qualities, with perhaps experience of working in a community centre setting.

In Spring 2024, TCV will be taking on the management of an additional nearby meanwhile space. The new Senior Project Officer will join us at an exciting time when we begin to turn that space into a new community tree nursery. Working with local people to gather seeds from significant trees in the surrounding area, we aim to grow saplings which will go on to be distributed for planting around London.

Working hours are 9am to 5pm, Monday to Friday. Given the nature of the role the Senior Project Officer will need to work from the garden during these times. Occasionally, to avoid lone working in the absence of another colleague, there will be the opportunity to work from home. Weekend family events take place on Saturdays, four times a year and there are approximately six evening events which take place between April to September. This post holder would be expected to attend those evening and weekend events.
