The Royal College of Ophthalmologists (RCOphth) is a membership organisation and the voice of the profession, with over 4,000 members in the UK and overseas. Job Purpose

The National Ophthalmology Database (NOD) is a core Department workstream using clinical audit data to identify improvements and provide advice, to inform patient care, safety, and service delivery. This is a new role working with internal and external stakeholders to coordinate and support the programe manager to deliver activities of the NOD. The post requires strong attention to detail and excellent organisational skills. The role will be responsible for all aspects of project support and day-to-day management of the NOD website, including implementation of new developments with the supplier and analysis of usage to suggest areas for improvement.

Main Areas of Work and Responsibility

• Assist the NOD Manager in project planning to identify and track deviations from the project plan and budget, identifying and logging any risks and issues, and improving project procedures
• Support the NOD Manager with administration, project outputs, applying and explaining the information governance, outlier, and other project policies to stakeholders
• Management of the NOD website including liaising with the website supplier, working with the NOD Manager to develop a content schedule, editing content, assisting users with queries, authorising user access
• Review and analyse website performance and make recommendations for improvement
• Lead and manage the delivery of specific workstreams as agree with the NOD Manager
• Administer virtual and in person meetings, preparing agendas, taking minutes, following up actions
• Liaison with the project teams and RCOphth functions e.g. policy and communications team  
• Process and respond to incoming correspondence, providing information and guidance to stakeholders and project participants
• To maintain and update audit contact databases (Microsoft Excel and CRM) assisting with its ongoing development and testing.
• Assist the NOD Manager with recruitment of organisations to take part in the audits
• Assisting with editing and proofreading project outputs and ensure they adhere to branding and house style guidelines
• To undertake other administrative duties as required. For example, finance/processing purchase order information to enable subscription invoices to be issued
• To maintain accurate and secure electronic filing systems and document management
• Occasionally manage sub-projects as directed by the NOD Manager

Person Specification

Knowledge, Qualifications and Experience

• At least two/three years’ experience in a similar project support role
• Experience of website administration/management including use of Google analytics, Content Management Systems and liaising with developers
• Experience of working with customer relationship management databases to support effective project administration
• Experience of coordinating activities for complex/substantial work programmes, with numerous ‘external’ customers, to challenging deadlines
• Knowledge and experience of Microsoft applications, including Word, Excel, Outlook, PowerPoint and Project
• Experience with managing and maintaining documentation, flowcharts and schedules

Due to the rapid expansion of Day One Trauma Support over the last three years, the charity’s infrastructure has needed to respond quickly to meet its changing demands. There is now a requirement to ensure that the Finance and Resources team has the right skill set and capacity to provide the support needed by the charity in an efficient and proactive way.

The HR Officer and Executive Assistant role is a newly created position to reflect both the growing HR needs of the charity as the workforce expands, and the executive support required by the CEO and Senior Leadership Team (SLT) to ensure the efficient and effective running of the charity. This is a key role which is instrumental in bringing the HR and organisational administration functions together at an operational level.

Reporting primarily to the Director of Finance and Resources and assisted by an external HR and Employment Law support service, this role will provide advice, guidance and support to all line managers in HR related matters whilst building and nurturing relationships with key stakeholders throughout all levels of the organisation.  This will include support to ensure the efficient and effective management, monitoring and reporting of people metrics, from recruitment, development, retention through to attrition and at all stages of the employee life cycle.

The role will also provide crucial executive support to the CEO and SLT of three Directors, to ensure the smooth operation of their responsibilities and co-ordinating efforts of various parties to ensure completion of key tasks and actions.

About you:

You will have at least 3 years’ experience of delivering HR support directly and facilitating line managers to deliver HR support.  You will have a demonstrable understanding of employment law and the practical application of this, with experience of implementing HR administration and operational best practice for example, in the areas of recruitment, capability and performance management. You will help lead in creating an atmosphere of trust and an enabling environment where staff can contribute their best and develop their potential, which is critical for Day One as a young organisation.

Job objectives 

• Support the trustees in the due diligence and evaluation of each applicant and facilitate the decision-making process for each application

Duties and responsibilities will include 

• Write regular reports to the trustees of new applications, applications in progress and outcomes, inform and advise the trustees to achieve a swift decision on all cases 

• Organise the publicity and communications around each successful grant, including newsfeeds, social media and website updates. 

• Liase with the Access Marketing team to support their own comms 

• Ensure financial accounts are accurate and complete 

• Liase with 3rd parties such as external suppliers and partners ranging from auditors to our financial partners 

• Draft Offer letters for the successful applicants 

• Recruit, Manage and Appraise the Admin and Grant Assistant

• Attend trustees, volunteers and applications meetings 

• Manage the access controls for volunteers and staff 

• Oversee the financial accounts, approve invoices on our bespoke Finance system and deal with some financial accounting together with our Chair of the board of trustees 

Skills and Experience Required 

• Organised, efficient and reliable with the ability to juggle multiple tasks simultaneous 

• A minimum of 2 years' experience in a similar role 

• Strong interpersonal skills, with the ability to build positive relationships at all levels from junior to CEO 

• Computer literate with good knowledge of Excel, Word and Outlook.

EXECUTIVE ASSISTANT TO THE SLT

Contract: Permanent
Hours: Part-time (21-28 hours per week). Additional hours may sometime be required, particularly for Trustee meetings, and can be taken as Time Off In Lieu.

The Executive Assistant (EA) to the SLT will facilitate all the charity’s governance requirements. Activities will primarily focus on Trustee meetings, Committees and Management team meetings, but will include policy administration and all other aspects of corporate governance and company secretariat. We are looking for a Fundraising Officer to lead the administration of CCT’s tiered membership programmes, annual and church-based appeals, legacies, and fundraising events. The Fundraising Officer will also support in the creation of marketing materials to support these initiatives.

Following the growth in audience development through online events and digital activity, CCT welcomed younger and international members and increased the number of donations. We have since witnessed decreased retention rates and are looking to implement methods to increase member and donor acquisition and retention. 

The role of the Fundraising Officer is vital to maintaining excellent service delivery across our core fundraising programmes and providing strong supporter care.

This role will support the organisational-wide aim to build a collaborative fundraising culture and ensure CCT’s buildings at risk are sustained for the appreciation and benefit of future generations.

What the job involves 

We’re looking for an Income Processing Executive to join our Data Import Team. This role who will be vital in ensuring our regular giving income continues to grow and help to fund our research to stop prostate cancer killing men.

You’ll be responsible for the day to day running and upkeep of our regular giving customers’ details in our CRM, and for the preparation and submission of weekly payment files to our payment partner. This requires handling data effectively, promptly and above all accurately in line with our business priorities while ensuring best practice and compliance.  

You’ll proactively engage regularly with other teams ensuring that our supporters are given an excellent service, that meets the business objectives of Prostate Cancer UK. 

This role will take responsibility for checking that incoming data matches uploaded data, investigate and resolve discrepancies, and adjust gift data in our CRM, Raiser’s Edge, when required.

The Supporter Relations Team plays a pivotal role in building relationships with our supporters and assisting our fundraising team to raise vital funds that will support our mission to beat blood cancer within a generation. The main purpose of this role is to lead and develop the Supporter Relations Team to deliver excellent customer service to our supporters from the beginning of their journey with Blood Cancer UK. Our processes need to be as efficient and effective as possible to get the best from our supporters.

This is an excellent opportunity for someone with great communication, organisation and interpersonal skills. The post holder will take responsibility to help build lasting relationships with our supporters through written and verbal communication and ensure efficient administration of donations and maintaining accurate data on our CRM system. §  Manage and lead the development and implementation of MfM Business leading on Coporate and Communiting fundraising and relationships

We are a multi-award-winning, creative, and innovative organisation, and the Database Officer is a role at Al-Khair Foundation, sitting within the Database team and delivering on a range of database tasks and processes utilising our Salesforce database.

We’re looking for someone who has a good working knowledge of database systems and who understands their importance to organisations like Al-Khair Foundation. We seek someone who is naturally process-driven and has a great eye for detail. You will be responsible for specific monthly processes, such as organisation income reconciliation and ongoing data uploads and cleansing for the Fundraising teams. You will also become a champion for Salesforce and understand the importance of CRM to help Al-Khair Foundation achieve our goals and provide a better service to our donors, supporters, and participants.

Your Role

Al-Khair Foundation uses Salesforce to manage relationships with our donors, supporters, and stakeholders, including recording all donations made to the organisation. Al-Khair Foundation’s Database Officer will be responsible for the monthly delivery of the income and data reconciliation processes for the Fundraising teams, which includes liaising with a wide range of external agencies and the website to successfully download and query files, update and create new supporter records on the database, process cheques and payment requests, and work closely with the Finance team to ensure all anticipated and banked income tallies correctly.

You will also work closely with colleagues in the Database team to support and maintain regular database processes, data cleansing, and other database-related functions that happen on a monthly or quarterly basis. This may include responding to and being responsible for Support Ticket queries in relation to income, data, and/or the database generally and working with external database agencies such as our web platform partners and Salesforce.

Aside from these core duties, from time to time, you may also carry out general administrative tasks on behalf of the Supporter Engagement team. This may include supporting the Supporter Care Assistant during busy periods with customer care via email and telephone and recording updates, processing invoices, and maintaining and updating team rotas and trackers.

Your Responsibilities

• Delivering the monthly data reconciliation and income reconciliation processes, which include downloading and uploading data files.
• Supporting the Fundraising teams with their monthly income recording and reconciliation.
• Liaising with external agencies and the Finance team.
• Checking for and correcting inaccuracies and updating supporter records.
• Running reports for the Fundraising and Finance teams.
• Maintaining and carrying out regular database processes, including data cleansing.
• Supporting the Database Coordinator and the Senior Data Manager to encourage best-practice use of the database across the organisation, including assisting with onboarding and new user training and being on hand for day-to-day technical support when the Database Coordinator is unavailable.
• Working with external partners (i.e., telemarketing agencies) to ensure the successful and smooth transition of data onto the database.
• Spotting and reporting database glitches and problems.
• Supporting with the ticketing system as a second point of contact in the Database team.
• Contributing to creating a culture committed to the safeguarding of children and adults and compliant with Al-Khair Foundation’s Child Safeguarding and Adults at Risk Policies.

Who You Are

To be successful, you will be:

• Someone who has experience using a Salesforce database to carry out day-to-day tasks and who understands their importance for organisations such as Al-Khair Foundation. Charity/NGO experience would be an advantage.
• Someone with excellent attention to detail and good numeracy skills.
• A great communicator who can manage a variety of stakeholder requirements and resolve requests in a timely and accurate manner.
• Able to organise your time and own workload effectively and able to work to deadlines in a busy environment.
• Able to learn new processes and systems swiftly and diligently.
• Able to work under your initiative, take instructions from others, and work well as part of a team.
• Experienced in carrying out administrative tasks and processes in an office setting, with good knowledge of Microsoft Office, especially Excel.
• Keen to learn more about the inner workings of database management.
