Job Description 

Duties and Responsibilities

Project Management:

  • To identify service needs and inform the Operations Manager as appropriate.
  • To ensure that services comply with the funders’ criteria and with agreed quality standards.
  • To act as the designated lead on safeguarding of children and vulnerable adults
  • To monitor and evaluate the service, via various methods including feedback from service users and by producing statistical information.
  • To prepare quarterly reports for the Chief Executive Officer.
  • To be responsible for ensuring that returns are forwarded to funders as appropriate.
  • To ensure that monitoring systems are maintained and used by staff.
  • To ensure that Birmingham & Solihull Women’s Aid (BSWA) administrative and financial systems are maintained across the service.
  • To ensure that adequate records are kept for all service users.


  • To develop the services to meet the needs of the service users.
  • To promote the project to external agencies, as well as to potential and existing service users
  • To develop a work plan for the services.
  • To work with the Chief Executive Officer and Management Board to develop, agree and implement a fundraising strategy.
  • To develop and ensure the implementation of appropriate policies and procedures with the management team.
  • To develop links with outside agencies and attend relevant fora and meetings in order to enhance the work of BSWA.
  • To participate in the development of Strategic and Annual plans for the organisation.

Staff Management:

  • To offer line management, support, case reviews and annual reviews and plans for the staff team.
  • To assist in the recruitment and selection of staff.
  • To devise and run induction programmes, in consultation with the Operations Manager.
  • To ensure that staff are aware of and follow policies and procedures.
  • To ensure that staff receive appropriate training within budgetary constraints.
  • To facilitate team meetings and ensure that they are recorded.
  • To ensure that staff provide adequate support and supervision for volunteers and that they are integrated into the team.
  • To work alongside colleagues, including the Home Options Hub Manager, to provide adequate management cover for projects.
  • To participate in 24 hour on call cover


  • To ensure that all staff team members are aware of any matters that are relevant to the welfare and security of the refuges, staff, volunteers and service users by:
  1. maintaining BSWA communication records
  2. following safety procedures
  3. attending team and organisational meetings
  • To attend in-house training.
  • To attend support and supervision sessions with your line manager.
  • To develop professional working relationships internally and with external agencies.
  • To contribute towards your project’s quarterly Management Board report.
  • To be involved in the Annual Review process.

Financial Management:

  • To ensure that appropriate finance systems are maintained and that staff are aware of and follow finance systems.
  • To ensure that the services run within budgetary constraints.
  • To keep the Chief Executive Officer informed of the financial needs of the project.

Support Work:

  • To ensure that an Individual Support Plan is produced for each service user, in conjunction with the service user, and reviewed on a regular basis.
  • To ensure that individual needs of women and children are identified and to ensure that these needs are met by using both in-house resources and external agencies.
  • To ensure that appropriate methods of communication with service users are developed and implemented.
  • To maintain the confidentiality of the women and children using the service.
  • To ensure that safeguarding issues in relation to service users are identified and dealt with in line with relevant policies.
  • To ensure that information for service users is developed and kept up-to-date.
  • To develop and maintain appropriate referral systems
  • To ensure that services to women and children meet statutory requirements.


  • To identify and attend training relevant to the post in agreement with your line manager.
  • To work alongside colleagues to organise in-house training and information sessions on a range of issues for service users.
  • To raise awareness of the impact of domestic violence on women and children and of the BSWA services.


  • To maintain the confidentiality of the women, young people and children using the service.
  • To maintain confidentiality in all matters relating to the organisation.
  • To offer an equal service to all women and children regardless of age, class, culture, language, race, religion and sexual orientation, adhering to BSWA’s framework for equal opportunities and anti-discriminatory practice.
  • To maintain an awareness of the issues surrounding domestic violence on a national and local level with a particular reference to those of relevance to child work.
  • To ensure the efficient use of resources at all times.
  • To work within BSWA policies and procedures and demonstrate a commitment to the values and ethos of BSWA.

To undertake any other duties required by BSWA, which may arise incidentally, develop or be assigned commensurate with the post.
