Inter Mediate

Inter Mediate (IM) is a unique and discreet London-based peacemaking organisation established in 2011 to support behind-the-scenes peace negotiations in some of the world’s most challenging conflicts. This role offers an exciting opportunity to join the senior management team of a small high-impact organisation working at the leading edge of international peacemaking.

Reporting to the Deputy CEO and working closely with the CEO and the Financial Director, the Operations Director will lead Inter Mediate’s institutional, Human Resources and project-support systems to keep the organisation running smoothly and ensure we are equipped to deliver the best results.

A successful candidate will be a motivated self-starter with senior management experience in operations, preferably for a non-profit organisation. You will be familiar with the fast and sometimes unpredictable pace of an international operating environment, and confident in handling challenges as they arise. You will be comfortable working collaboratively within a small team and engaging credibly with a wide range of people from senior government officials to project interlocutors in the field.

Key Responsibilities

A) Governance and Institutional Compliance (with the Deputy CEO and senior management)

• Lead the development and implementation of IM’s operational planning, in coordination with the CEO, Deputy CEO, Finance Director, staff, Trustees and supporters.
• Ensure that Inter Mediate complies with its charitable and legal obligations.
• Prepare, attend and minute Trustee and Committee meetings.
• Develop and implement quality improvement process for institutional policies and project delivery to keep Inter Mediate ethical, efficient and delivering value for money.
• Source, manage and review all professional services and suppliers engaged by Inter Mediate including banking, legal advice, accounting and auditing.

B) Human Resources and Office Operations

• Oversee Inter Mediate’s recruitment process and work with the Deputy CEO to ensure that we have fair procedures for benefits, training, probation, diversity and inclusion, gender pay gap, safeguarding, grievance and disciplinary matters.
• Oversee the contracting and on-boarding for new staff, consultants and trustees.
• Manage day-to-day HR functions and queries, including leave recording systems.
• Conduct staff remuneration and salary benchmarking exercises with the Deputy CEO.
• Update and maintain the employment handbook policies and procedures.
• Oversee office operations, equipment and facilities management.

C) IT, Security and Risk Management

• Ensure that the IT and communications systems are optimally configured for effectiveness and security, and that staff can operate them as necessary.
• Ensure Inter Mediate has robust risk mitigation systems and training for staff.
• Ensure Risk Assessments and security plans are completed by staff prior to staff travel.
• Ensure Inter Mediate has a viable business continuity plan.
• Maintain and review the Risk Register for the organisation with the Deputy CEO.

D) Financial Management (with the Finance Director)

• Work closely with the Finance Director to ensure that operational and financial planning processes and decisions are mutually informed and fully aligned.
• Strategise with the Finance Director and Deputy CEO to ensure all wings of the organisation work together to advance the best interest of the institution, its staff, projects and donors.

Experience, qualifications and skills:

• At least 8 years experience leading charity operations at a senior level spanning institutional compliance, Human Resources, IT, security and project support services, ideally in the non-profit sector.
• Track record of excellent business decisions for institutions under UK charity law operating in an international, multi-donor environment.
• Extensive experience of supporting Boards and Board committees at a senior level in a non-profit context.
• Some knowledge of project support mechanisms required for smooth delivery of peacebuilding, humanitarian, human rights or political projects in high-risk environments.

• Evidence of ability to both lead and service a complex network of external relationships.

• Graduate with a relevant degree and, preferably with relevant post graduate qualifications or relevant experience.

Working at Inter Mediate

A normal working week consists of 35 hours (or pro rata for part-time). Our office operates between 8am and 6.30pm with core hours from 9.00am to 5.00pm. Inter Mediate operates a hybrid working model, with at least 2 set days per week in the office in London.

About this role

The role of the Finance and Payroll Manager is to support the Development and Finance teams to manage and report on restricted income, as well as to manage monthly in-house payroll under the guidance of the Head of Finance. This involves ensuring that we are maximising the use of restricted funding, and that money is spent in line with donors’ wishes and that staff are paid accurately and on time each month. The Finance and Payroll Manager will work within a small Finance team under the supervision of the Head of Finance. They will work closely with the Joint ED, wider Senior Management Team, Head of Development and budget holders throughout the organisation.

They will support the Head of Finance with annual budgeting and quarterly re-forecasting as well as with the production of the monthly management accounts. They will support the Development team in making grant applications and develop restricted grant budgets for newly secured grants for integration into the organisational budget; they will meet regularly with the Development team and budget holders to review restricted project spend. They will produce reports for funders working in conjunction with our Development Team and casework teams. The Finance and Payroll Manager will contribute to a culture of continuous improvement of the finance systems, processes and grant management tools to ensure they continue to be fit for purpose.

Contract and location

The role is a full-time, permanent position with an annual salary of £50,571 per annum less any required deductions for Income Tax and National Insurance.

The organisation Working with a very well-established charitable foundation, the organisation comprises of three independent schools and two state-funded academies.

They are the holding company which owns the school land and buildings and manages the endowments valued at c.£50m. The Foundation Office delivers a "head office" type finance function for the Group and a range of other services to the schools, including governance and HR.

Your role The Group Finance Manager will work within a small team and an extended team of around 15-20 finance staff in the schools. About Our Client

The Director of Finance is responsible for the financial management of St George's Weybridge, a £30m business with over 500 staff. The post holder will fulfil a wide range of responsibilities and roles in connection with the financial strategy, accounting and general financial management of the School. The post is the most senior finance professional on the staff and reports directly to the Bursar, who is effectively the CFO/COO. Job Description

Interim Head of Finance | 3 Month + | £300 - £350 per day (outside IR35) | Hybrid | Croydon

For a small but vital refugee charity, we are recruiting an Interim Head of Finance for 3 + months, starting ASAP. Reporting to the CEO, the main accountabilities will focus on providing insightful monthly management accounts and reporting to the Senior Leadership Team and Trustees / Board, and to ensure the correct allocation of expenditure to a high number of grant funds. This role will oversee the Finance Assistant and the day-to-day finance transactions, including expenses, payroll, and balance sheet reconciliations.

Main Duties:

• Produce regular management accounts and financial reporting
• Support the Leadership Team, Finance Committee and Board with long-term financial planning
• Lead and review budgeting, reforecasting and cashflow management
• Review and re-negotiate all contracts, including office premises, IT, grants, and services
• Oversee the Finance Assistants day-to-day work including transactions and payroll processing
• Work with the Head of Fundraising and Senior Leadership to ensure income generation and fundraising strategy is in line with long-term goals

Women in Prison is the main national charity focused on women in the criminal justice sector. We exist to support women facing multiple marginalisation and exclusion, who have been let down, and their rights denied.  We believe that prison doesn’t work and we want to see an end to the harmful imprisonment of women in England and Wales.

Our staff team are passionate, ambitious and grounded in the reality of women’s lives.  We are proud of our roots as a feminist grassroots organisation, and we have grown from strength to strength since the 1980s, delivering services to women and campaigning for change. We are in our 40th year of supporting women impacted by the criminal justice system. We work with women who are at risk of, or being harmed by, the systems that are meant to protect us.

The successful candidate will lead on a wide range of responsibilities for the charity including managing our resources and systems, organisational development and, critically for an organisation of our size, the financial management of the charity.  The role will also lead our internal approaches to embedding equity, diversity and inclusivity into our everyday work and culture. 

This is a crucial role. It will support the backbone of WIP to ensure we continue to be fit for purpose, have the most appropriate resources, efficient systems, and anti-oppressive internal practices in place so that every person in WIP is able to fulfil their role to the best of their ability.

We are looking for a freelance Finance & Operations Officer - ideally with charity experience and familiar with Xero - who can support our core team of four as it takes the charity to the next level.  Preferably able to work flexibly, the average time required is estimated at one day per week. This may mean dealing with an email or phone call in an ad hoc way from time to time.

Using a network of music industry professionals and youth workers, Grounded Sounds offer engaging, top quality programmes in a highly welcoming and supportive environment. The programmes are for young people from disadvantaged backgrounds - both 11 – 16 year olds in schools or youth centres and for 16 – 24 year olds (often NEET) with an interest in music. The programmes don’t just develop musical talent; they build young people’s confidence and life skills.

As Finance & Operations Officer, you will report to the Chief Executive and help with all ‘back office’ activities for the charity.  These include: all bookkeeping activities; producing monthly and annual financial reports; managing and overseeing the use of Views, our Monitoring and Evaluation system from Substance; supporting the Chief Exec in ensuring policies and procedures are kept up to date; and supporting the team with analysis and reporting to funders.  You will also run the payroll.  The Treasurer, one of the trustees, who has been doing the accounts and performing many of the back office activities up to this point, will support you.

Summary of responsibilities

• Bookkeeping

• Bank reconciliations, posting of transactions, logging invoices and receipts 

• Allocations, e.g. of team costs based on timesheets and of justgiving donations

• Maintaining chart of accounts and tracking categories in response to new project reporting requirements

• Management reporting and cashflow planning

• Monthly management accounts and other regular programme financial reports

• Liaison with CEO and Fundraising Manager to understand / update latest project and funding status and refresh cashflow forecasts

• Financial reports for trustee meetings (4 per year)

• Financial reports for funders as required

• Budgeting

• Liaison with CEO, Programme Managers and Fundraising Manager to create and maintain programme and organisational budgets and three year financial plan

• Gift Aid

• Preparation and submission of Gift Aid claims to HMRC

• Annual Accounts

• Production of annual accounts for submission to Charity Commission

• Support for fundraising

• Updating funding status tracker with funds received / expected

• Restating budgets in formats required by funders

• Payroll & pensions

• Running the payroll monthly – using the Iris Kashflow payroll system

• Submitting monthly pension contribution schedule to NEST

• Updating records for new joiners and leavers

• Other HR admin

• Setting up timesheets for the team for the year

• Maintaining a salary and cost to employ spreadsheet and advising on budget impact of proposed salary rises

Skills / Experience Required

Essential:

• Bookkeeping and financial management

Role Overview:

The purpose of the Executive Director roles within Depaul is to ensure that the organisation’s vision, mission and values are delivered through a strategic, shared approach by the Trustee Board, Executive Team and wider workforce.

As the appointed candidate, you will manage the Finance and IT departments and provide strategic and operational management of financial and budgetary processes, ensuring sound, prudent, financial management in compliance with all regulatory and statutory requirements, underpinned by relevant policies and procedures.

You will provide support for income generation, and other service activity, to secure financial sustainability.

You will also report to the CEO and manager a team of 10 people - currently 8 FTE in Finance and 2 FTE in IT, including 2 direct reports – Financial Controller and Head of IT & Systems.

As part of responsibilities, you be attend meetings of the Council of Trustees, the Trustees’ Finance, Audit and Risk Committee (FARC) and the Depaul Housing Services Board.

Key Responsibilities:

• Provide a financial service to Depaul UK that meets regulatory and statutory requirements.
• Ensure robust systems and processes for financial planning, analysis and reporting.
• Preparation of the annual statutory accounts and corporate reports to Depaul International, owning an effective relationship with external auditors.
• Support and guide budget holders and senior managers in their financial management responsibilities and produce the annual budget and periodic reforecasting.
• Provide strategic oversight, and monitoring, of the corporate risk register reporting to the CEO and Finance, Audit and Risk Committee.
• Support ICT systems development ensuring that all ICT is strategically planned and fit for purpose, delivering cost savings and efficiency wherever possible.

What We Are Looking For – Person Specification:

• Fully qualified accountant (CCAB or CIMA), with post-qualification experience in senior financial management positions and a track record of producing financial strategy, planning, reporting, monitoring and budgeting.
• Excellent knowledge and understanding of UK financial regulations, including Charity SORP and its application
• An excellent people manager, with demonstrable experience of leading and driving change programs
• Experience of working in a senior leadership/executive team
