Job Purpose

As our Finance Manager, reporting to the Director of Finance and working closely with the Senior Leadership Team and colleagues across the organisation, you will be a key person ensuring that our financial data is complete and accurate, overseeing reporting to our programme funders and our international network, and ensuring best practice in all aspects of financial management. You’ll supervise the Database and Income Processing Officer and the Finance Assistant (position currently vacant).

Key responsibilities

Ensure the integrity of financial data and controls, including budgeting, forecasting, Treasury and cash flow management

· Prepare data ready for monthly accounts, reports, and financial statements. This will include the normal monthly journals, reconciliations, and checks

· Support financial planning, risk management, and decision-making

· Liaise as necessary with colleagues in Habitat for Humanity’s international network for reporting and efficient transmission of funds to overseas affiliates

· Manage payroll, tax returns, and financial reporting for funders

· Provide leadership to finance team members and develop financial policies

Accountabilities and Responsibilities

 Purchasing / Expenditure

· Administering commitment and invoice approvals in line with our Delegation of Authority

· Coordinating and verifying expense coding by non-finance staff

· Administering transfers to international partners according to policy

· Other ad hoc payments, including foreign currency transactions

· Reconciling supplier accounts each month

· Ensuring VAT records are accurate and returns made on time

· Maintaining auditable financial records

Income / Donations

· Manage income processing team

· Working with fund-raising teams to ensure all income is appropriately coded and documented

· Importing grants and donations from the CRM system (Raiser’s Edge) to the accounting system and reconciling to bank

· Regular reconciliations between the accounting and CRM systems

· Coding, processing and reconciling other income

· Assisting with Gift Aid claims

Bank

· Administering weekly payment runs and coordinating on-time authorisations

· Processing international transfers

· Currency and treasury management

· Bank account reconciliations

General queries

· Dealing politely and efficiently with questions from inside and outside the organisation

· Dealing assertively and effectively with cases of any deviations from policies and procedures

Record keeping

· Complete and accurate record keeping bearing in mind detailed level of audit compliance

· Logical filing of evidence of transactions, primarily electronic.

Month- and Quarter-End processes

· Preparing nominal journals, such as accruals/prepayments, payroll allocations, depreciation

· Monthly reconciliations of balance sheet accounts.

Other duties

 · Checking Employee Expenses Claims (processed by the Office Manager) and final processing

· Assisting Director of Finance and other relevant staff with finance-related questions

· Assisting with the annual audit and preparation of financial statements

· Additional finance admin duties as required

· Run donor budget reports for the Europe region office and internal stakeholders

What we’re looking for

 · A qualified or part-qualified finance professional with at least 3 years’ experience in charity finance, including fund accounting

· Skills in financial control, compliance, management, and reporting

· Knowledge of accounting software (Sage50 and Sun ideally) and downstream spreadsheet and similar tools; a willingness to learn new ways of handling data

· Good summarising and communication skills with the ability to influence colleagues and senior leaders

· A pragmatic, efficient character with a dedication to accuracy and reliability

Role Purpose

The Finance Manager will proactively plan, manage and oversee the financial strategy, operations, and compliance of our dynamic and growing organisation. The role contributes directly to the organisation’s strategic planning and has hands-on oversight of financial transactions, operations, compliance and reporting.  

As the Finance Manager, you will be a member of the Executive leadership team working closely with the CEO on matters of financial strategy and business development - contributing to strategic decisions and providing financial guidance.You’d also be supported by the Finance Manager Assistant and the Bookkeeper.

Main Objectives

• Provide leadership, in-depth knowledge and financial expertise to support the organisation’s strategy, business development and operations. 
• Manage the day-to-day financial operations including payroll, payments, controls and cash flow to ensure sound financial management and accuracy around all financial routines and procedures. Also ensure compliance and accurate reporting.

Financial Planning

Accounting

• Ensure accuracy of income and expenses allocation and coding, including deferred income and monthly reconciliations.

Payments and Payroll

• Manage effectively payroll, tax and pension submissions, banking and associated procedures.   
• Ensure all payments are made, received and acknowledged in an accurate, compliant and timely manner.

Contracts Management

• Ensure that operational, building, insurance and supplier contracts are up to date and renew them as required. Includes utility bills, IT and telephone.
• Prepare and issue employee contracts (working with the CEO/HR).

Support service delivery

• Calculate and prepare courses fees and other financial information for reviews and to support decision-making
• Liaise with students to offer and manage payment plans
• Ensure financial queries by colleagues, collaborators, students and practitioners are dealt with effectively and in a timely manner.
• Support the integration of financial and operational systems.

People Management

• Supervise, manage and support the Finance Manager and Bookkeeper, ensuring and supporting high performance and wellbeing.
• Recruitment, induction and professional development of the finance team. Also ensuring team members understand and adhere to organisational policies and procedures.

ABOUT YOU

PERSON SPECIFICATION

Qualifications and experience  

• Qualified or part-qualified (final stage), for example ACA, ACMA, CIPFA, CIMA.
• Minimum 3 years relevant financial management experience working with a charity/not for profit.
• Good experience of sound accounting and financial management in the charity/not for profit sector. Good knowledge of charity accounting and the Charity SORP.
• Sound knowledge and experience of leading and managing the audit process.
• Thorough practical up-to-date understanding of management accounting principles and techniques.
• In-depth knowledge and experience with payroll and pension processes and management systems for accounting functions, including QuickBooks.

Financial Strategy, Planning and Control: 

• Accountable for organisational financial strategy, working with senior staff and trustees to ensure multi-year planning, target setting and monitoring in line with Habitat GB’s strategic objectives.

• Responsible for the preparation and submission of annual statutory accounts in accordance with SORP and legal requirements and coordinating the external audit exercise and seeing the process through to Board approvals and filing with statutory bodies. 

• Lead a positive and collaborative relationship with HFHI Finance teams and ensure that Habitat GB meets its regular reporting requirements. 

• Lead Habitat GB’s relationship with relevant external partners, including auditors, bankers, insurers, pension providers, HMRC, Charity Commission and Companies House. 

GB Homes Subsidiary Entity: 

• Working closely with the National Director/CEO on planning for the future wind-up of the entity, providing all financial management, reporting and compliance resources as required in the interim. 

• Working with the Director of Programme Delivery, provide financial resource and support to the management of the former GB Homes asset portfolio, developing appropriate reporting mechanisms that provide data which can be included into the combined budgeting and reporting of Habitat GB 

• Accountable for integration and ongoing provision of the operational requirements of the GB Homes subsidiary, including insurance, technology, and communications requirements. 

Fundraising & Programmes support: 

• Work closely with the Directors of Fundraising & Partnerships, and of Impact & Influence to set ambitious and achievable targets across restricted and unrestricted fundraising, track performance, and ensure high quality forecasting, reporting and budget management. 

• Be responsible for the development and oversight of policies, protocols and systems required for restricted fund management which align with Habitat for Humanity International and external donor requirements. 

• Work collaboratively across Habitat GB to agree service delivery expectations and ensure the timely provision of relevant inputs from the Finance, Operations & Compliance team across partnership and programme cycles.  For example, audit or financial reporting requirements from donors, up to date policies, review of proposal documents, grants and contract agreements. 

• Work closely with the Directors of Programme Delivery & Retail to ensure Habitat GB has the specialist knowledge and financial skills relevant to our diverse types of programmes, including a new and growing retail operation, as well as construction project delivery. 

Risk Management and Compliance: 

• Lead on the development and maintenance of the organisational Risk Register, being responsible for the management and mitigation of financial, regulatory and operational risks and coordinating with others on the reporting and review of other risk areas. 

• Ensure Habitat GB is fully compliant and up to date with all its data protection and insurance requirements and has access to appropriate legal and other expert resources where necessary. 

• Be responsible for technology infrastructure, hardware and the management of outsourced support services.

The Finance Assistant will play a key role in supporting KCLSU's finance operations, maintaining strong financial controls, and ensuring accurate financial reporting across the organisation.

We are now seeking an exceptional leader to join our Executive Team as Executive Director of Finance and Corporate Services. This is a pivotal role, providing strategic oversight and leadership across Finance, People and Culture, IT, and Communications.

The Role
Reporting directly to the Chief Executive, you will lead and manage the Finance and Corporate Services functions, ensuring strong financial governance, compliance, and strategic planning. You'll work closely with internal and external stakeholders including the Board, Executive Team, regulators, auditors, and funders.

You will also act as the organisational lead for financial strategy, treasury management, HR, IT infrastructure, and internal and external communications-ensuring that EastEnd Homes is well-resourced and delivering outstanding services.

Key Responsibilities:

• Providing leadership across Finance, IT, HR, and Communications, implementing procedures, policies and strategies
• Manage, support, and develop staff across the Finance and Corporate Services teams, including performance reviews, training needs, and continuous improvement
• Ensure all statutory returns and performance reports are accurate and submitted on time
• Embed a culture of data-driven decision-making and continuous service improvement
• Ensure full compliance with the Housing Regulator's and FCA's financial frameworks, including the timely submission of returns
• Lead the preparation of annual statutory accounts and liaise effectively with external auditors
• Oversee day-to-day financial operations, ensuring robust systems and internal controls are in place
• Manage relationships with lenders and ensure compliance with loan covenants
• Leading treasury management, budgeting, financial planning and reporting
• Monitor spend against budgets and provide timely, accurate financial reporting to the Executive Team and Board
• Develop sound financial controls and value-for-money initiatives, ensuring efficient and cost-effective service delivery
• Identify and pursue additional funding or grant opportunities aligned to EastendHomes' goals
• Driving improvements in digital services and internal IT systems to enhance customer experience and internal efficiencies
• Proactively identify and manage financial and operational risks, contributing to a robust risk management framework
• Ensure compliance with regulatory standards and contribute to the Annual Assurance Statement
• Represent the organisation with external partners, stakeholders, funders, and regulators

About You:

• Recognised accountancy qualification (e.g. ACCA, ACA, CIMA)
• Proven experience in a senior finance and/or corporate services leadership role
• Experience working within the housing sector, or a similarly regulated, customer-facing environment.
• Experience of working effectively with a Board or committee, writing and presenting reports, strategies etc.
• Strong understanding of financial governance, legislation, and risk management as well as developing short, medium and long term financial plans which ensure their financial viability over the longer term
• A collaborative, values-driven leadership style who fosters an inclusive environment at the fore front of what they do
• Excellent communication and influencing skills to be able to communicate financial concepts and organisational performance insights to internal and external stakeholders
