Cosmic is a small but mighty children’s charity dedicated to supporting the incredible work of the Paediatric Intensive Care Unit (PICU) and Neonatal Intensive Care Unit (NICU) at St Mary’s Hospital, Paddington, and Queen Charlotte’s Hospital, Hammersmith. We provide vital funding for life-saving equipment, specialist staff training, and pioneering research. We also deliver our own emotional and practical family support services - making a real difference for children and families when they need it most.

The Role

This role will be pivotal in connecting Cosmic with the families we support and our NHS units across both hospital sites, by managing service delivery and fostering continuous engagement. The postholder will lead and coordinate our new Post-Discharge Support service, working closely with families, the NHS Family Liaison Team, and counsellors. They will also be responsible for monitoring and evaluating the outcomes of service delivery projects - focusing on the experiences and impact on both NHS staff and families - while ensuring efficiency and value for money through careful cost assessment.

NHS Engagement & Relationship Management

• Build strong partnerships with PICU and NICU teams to embed Cosmic’s presence, raise awareness, and identify areas for support.
• Collaborate with clinical teams to develop and deliver projects that improve patient, family and staff experiences - maintaining an up-to-date pipeline of funding needs.
• Liaise directly with families on the units to understand their needs and explore how Cosmic can offer practical and emotional support, helping to build trusted relationships and inform future service development.
• Organise engagement activities and events to promote Cosmic across the units, ensuring consistent branding and visibility.
• Represent Cosmic at senior staff hospital meetings, forums and working groups, sharing feedback and opportunities with the wider team.
• Manage project timelines, budgets, KPIs and reporting to senior management and funders.

Engagement Campaigns

• Create, promote and mobilise staff on our units to deliver a yearly schedule of engagement campaigns. Work with staff to develop new and existing campaigns; creating and implementing the plans as appropriate.
• To keep abreast of any key or newsworthy/trending national developments and topics relating to PICU & NICU care and the NHS and develop campaigns as appropriate.

Management of Service Delivery Programmes

• Identify and implement a plan to secure the necessary resources to deliver services, such as recruiting new counsellors for post-PICU support programme.
• Develop, in partnership with the units, service delivery models that include services provided, and their impact.
• Develop project budgets with the COO, monitoring and evaluating them to ensure projects are delivered on budget.
• Oversee ongoing evaluation and development of the service to ensure it meets targets and desired outcomes.
• Work with our supporters and past patients and families in the development of projects and services.
• Work closely with the Family Liaison Team, who will interact directly with families benefiting from the service, to ensure their needs and experiences inform the ongoing development of the project.

Monitoring, Evaluation & Reporting

• Develop and implement data metrics and gathering points to measure and analyse the impact of Cosmic’s services, supporting outcomes reporting and strategic decision-making.
• Utilise strong IT skills for database modelling and data interpretation, ensuring timely data capture in collaboration with clinical staff to enhance service delivery and promote awareness.
• Monitor and report on the impact of Cosmic’s work to support funding efforts and improve overall effectiveness.

We are seeking to appoint a part-time experienced and capable administrator with the skills and attributes necessary to ensure the smooth running of the day-to-day operations of the Staines & Feltham Circuit.

• Line Manage the Service Managers, ensuring that their teams are high performing, reporting and data collection is of a high standard and relationships with funders and other stakeholders are outstanding.
• Ensure that the structure of all Jigsaw4u services are optimised to allow for growth and support staff and volunteers (including trainee counsellors/therapists) to develop key skills.
• Maintain knowledge and awareness of best practice within the charitable sector (and other sectors where relevant), to inform and update Jigsaw4u so that we take advantage of the latest approaches to change, innovation and development which can have a positive impact on our beneficiaries lives.
• Work proactively and collaboratively to identify innovation and business improvement within the SLT to define and agree Target Operating Models and oversee implementation and ongoing review. Use insight, evaluation and analysis to continually inform and refine practice.
• Play a full part in the development of the SLT and deputise for the CEO as required. Work closely with the Service Management Team to develop and deliver an outstanding approach to people management, building a learning culture that delivers high quality, extensive support enabling people to achieve their best as a team.
• Represent Jigsaw4u at formal meetings with funders and other stakeholders and through submission of reports and data requests. Establish new, and strengthen existing, external relationships to promote Jigsaw4u’s profile, influence and reputation.
• Ensure compliance with relevant statutory and regulatory requirements, and adherence to relevant professional codes and standards of good practice.
• Support the CEO in funding and tender applications
• Support the CEO and fundraising team in generating income

As a member of the SLT you will be expected, with training and support, to take an active part in supporting the whole organisation. Experience and aptitude to provide calm leadership and a supportive problem-solving approach to practical problems and judgements involving risk is necessary.

The charity invests in the skilled and inclusive workforce who are critical to the success of the screen sector, including UK film, TV, VFX, animation and games.

The Personal Assistant role is pivotal to the success of the charity and provides a high standard of administrative support and personal assistance to the CEO. You will also provide administrative support to the Interim Finance Director and Interim COO.

Key responsibilities include:

• Provide high level of confidential PA duties, administrative and project support to the CEO, Interim Finance Director and Interim Chief Operating Officer (COO) to enable the smooth and effective running of the charity
• Excellent and pro-active inbox and diary management whilst responding proactively to a range of organisational activities
• Act as a first point of contact for internal and external enquiries, handling sensitive and confidential matters with professionalism
• Functional lead in supporting the Interim Finance Director with Governance arrangements and assistance to both the Board of Directors and the Finance and Audit Committee, including minute-taking for their meetings and effective coordination of related tasks.
• Support office operations and events, including travel arrangements, staff socials, and general business support duties
• Provide holiday cover for office or HR support and administration roles

The PA will have proven experience in a similar PA/EA role within the charity sector, supporting executive-level leaders with excellent organisational, time management, and multitasking skills. You will demonstrate strong diary and email management abilities, accurate minute-taking for senior meetings, and proficiency across Microsoft Office, Outlook, PowerPoint and remote communication tools such as Zoom and Teams. Excellent interpersonal, written, and verbal communication skills are essential, along with discretion in handling confidential information and the ability to build strong relationships with stakeholders. Experience in event coordination, document management systems (e.g., SharePoint, OneDrive), and working in a fast-paced office environment is also required.

Desirably, the candidate may bring an interest in the screen sector, policy or education, experience with visual content tools like Canva, familiarity with AI tools, social media management, and the ability to provide basic tech troubleshooting. A calm, confident manner and experience working in a matrix environment would be advantageous.

This role is primarily office based (near Barbican) with 4 days a week in the office and 1 day a week from home. The core working hours are 9-5pm. Some very occasional evening or weekend working may be required but TOIL will be provided on those occasions.
