About the role

This is a key support role at the heart of Housing Justice, providing high-quality, proactive and highly organised executive support to the CEO and senior leadership team in a fast-moving national charity environment. The postholder plays a critical role in enabling the CEO and Directors to operate effectively, requiring excellent diary management, strong judgement, discretion, and the ability to manage competing priorities and anticipate organisational needs. The role also involves coordinating meetings end-to-end, ensuring they are well-structured and outcome-focused, including preparing agendas, capturing accurate notes, maintaining action logs, and proactively following up to ensure timely completion.

About This Vacancy

We are looking for an organised and detail-oriented Project Officer to join our International Programmes Team on a permanent basis, working within our Asia region.

Overview

The Project Officer will be part of a regional team that works with new and existing partners to design, deliver and learn from projects in line with the organisation’s mission. The team supports the full project cycle: partner engagement, application review, due diligence, project design, contracting, implementation support, monitoring, evaluation and project closure, maintaining accurate records throughout, in close collaboration with the Quality Team (Director and Quality Assurance and Impact (MEAL) Specialists).

The Project Officer will work collaboratively across the regional team, providing flexible support and surge capacity during peak periods and responding to emerging priorities as required. Under the supervision of Programme Managers and the Regional Director, they will also take day-to-day responsibility for a portfolio of assigned partners and specific projects, ensuring timely progression from concept to completion and that documentation, compliance, quality assurance and learning requirements are met. This includes working with the Quality Team to integrate appropriate MEAL approaches, support data quality and ensure learning is captured and shared.
 

Key Responsibilities

·Project Identification and Evaluation

oIdentify and assess project concepts and proposals with assigned partners, ensuring alignment with organisational strategy, feasibility, risk, safeguarding considerations and expected impact.

oContribute to emergency or rapid-response programming when required, including providing surge support to colleagues and helping to coordinate time-critical actions.

oSupport partner mapping and relationship management activities, helping to identify potential partners and project opportunities.

oUndertake contextual and partner due diligence research to inform project design, risk management and decision-making.

oPrepare high-quality proposals for internal review and project governance processes, including summaries of recommendations, risks and mitigation actions with the support of the Quality Team and in line with standards set by them.

·Grant Administration

oSupport Programme Managers and the Regional Director through the full project cycle, from initial scoping and proposal development through contracting, implementation support, monitoring, evaluation and closure.

oManage any individually assigned projects through the full project cycle, from initial scoping and proposal development through contracting, implementation support, monitoring, evaluation and closure.

oEnsure projects comply with organisational policies and procedures (including safeguarding and due diligence), and any relevant donor, statutory and partner requirements.

oEnsure the fulfilment of any actions mandated by the Programmes Subcommittee.

oTrack delivery against agreed plans, budgets and results frameworks; flag variances, support problem-solving with partners and colleagues, and recommend adjustments where needed.

oWork with the Quality Team (Director and Quality Assurance and Impact (MEAL) Specialists) to agree proportionate MEAL plans for assigned projects (e.g., indicators, data sources, reporting schedules), and to strengthen quality assurance throughout implementation.

·Stakeholder Engagement

oAct as a key point of contact for assigned partners, working closely with Programme Managers and the wider regional team to coordinate support and decision-making.

oMaintain regular communication with partners to provide guidance throughout proposal development and implementation, including on reporting requirements, procurement expectations and agreed outputs/outcomes.

oCoordinate with the Quality Team (Director and Quality Assurance and Impact (MEAL) Specialists) to support partner capacity strengthening on quality assurance and MEAL requirements, and to address quality or evidence gaps identified during implementation.

oDevelop familiarity with other organisations working in the Region and look for opportunities to collaborate with and learn from them.

·Budget Administration

oSupport sound financial management across the Regional Team and for assigned projects, including budget review, payment scheduling, verification of supporting documentation and reconciliation of expenditure against budgets.

oFor approved projects, ensure that all finance processes are completed to facilitate payments.

oPrepare clear updates and financial summaries for Programme Managers, the Regional Director and other internal stakeholders, maintaining an appropriate audit trail.

·Reporting and Documentation

oMaintain complete and accurate project documentation for assigned projects, including due diligence records, agreements, correspondence, partner reports and closure documents.

oMaintain project and partner information in relevant systems and trackers, producing reports and analysis as required.

oMonitor progress and results, review partner narrative and financial reports, support evaluations where appropriate, and ensure project learning is captured and shared within the team.

oWork with the Quality Team (Director and Quality Assurance and Impact (MEAL) Specialists) to review project evidence, ensure data quality standards are met, and support evaluations, reviews and learning products as required.

oCoordinate meetings and follow-up actions (including agendas, minutes and action logs) to ensure decisions are recorded and progressed.

Person Requirement

Essential

·Experience in project administration or coordination, ideally in the charity, NGO or public sector.

What You'll Be Doing

You will:

• Develop and implement BART's Fundraising and Philanthropy Strategy.

• Develop a compelling organisational Case for Support aligned to BART's Five-Year Strategy.

The Fundraising Administrative Assistant forms an integral part of our Fundraising Team. Role Responsibilities 

Supporter Development team 

• Support the Individual Giving Managers and Legacy Giving Manager with day-to-day communications with our donor base, including timely database administration to capture communication preferences and personal details. 

• Support the Database team with data and financial processes, including recording and batching donations, generating reports, contributing to supporter journeys and reconciling income. 

• Liaise with design and print suppliers to source quotes and deliver appeals and other campaigns. 

• Support the Supporter Development team in-person in the office, with the processing of direct marketing appeal responses, including banking of donations and sending thank you letters.

• Work with the Individual Giving Managers to implement supporter journeys to encourage further support to the organisation. 

• Support the Individual Giving Managers in building emails using the charity’s email marketing platform. 

Philanthropy team

• Use a CRM database to effectively administer and manage event and community enquiries and activities. 

• Work with the Events and Community team to send out literature and parcels to community groups and event participants in an efficient and timely manner. 

• Support with logistics for virtual and in-person events as required. 

• Work with suppliers to order new fundraising materials. Be responsible for managing and replenishing fundraising merchandise and stock.

The Role

The Trusts & Grants Officer is responsible for delivering income from trusts, foundations and statutory funders through proactive prospect research, high quality applications, relationship management and timely reporting, contributing directly to FareShare Midlands’ income targets and growth plans.

Quest for Learning is an education charity working to close the gap for primary school children in Oxfordshire who are falling behind due to disadvantage.

We work closely with schools to deliver targeted, evidence-led literacy and numeracy programmes that help children build the skills, confidence and foundations they need to thrive. Greenwich Hospital is the lead charitable funding organisation for the Royal Navy and wider Royal Navy Community. As such, we are able to facilitate the identification of needs and the setting of strategic priorities, build capacity, deliver significant impact and encourage enhanced collaboration within the Naval charity sector.

We have undertaken significant reform in order to generate increased income for grant making – which has risen from £5m in 2023 to £10m in 2026.

Part of this revision has been the implementation of a new grants strategy in 2024, which seeks in particular to evidence need in order to guide the current and future funding of charitable support, with the expansion of our proactive and preventative funding to support education, young people and families. Our grants now encompass more preventative and wellbeing-enhancing education delivery not covered by public funding. 

Following a review of our education and employment funding strategies, we are now focussing on widening our funding support beyond the longstanding bursary scheme for the Royal Hospital School. We are funding new educational programmes (such as free tutoring support) and developmental extra-curricular programmes with varied activities for children in order to enhance social mobility, compensate for the disadvantages of service life and enhance retention in service. This is undertaken in partnership with the Naval Children’s Charity, Royal Naval Sailing Association and Andrew Simpson Foundation. These funding streams also include increased focus on supporting partners of serving personnel with life opportunities and employability programmes.

Engaging with the research community to fill knowledge gaps has been key to the identification and balancing of current against future need, enabling accurate financial forecasting and income generation. We have recently completed our first long-term study of the welfare needs of the RN/RM community with granular demographic and qualitative data running through to 2040, and have now developed a sustainable funding strategy out to then.  

This work has been led and overseen by our current Research and Education Grants Manager over the last two years. She will be going on maternity leave in mid-September, so we seek to recruit maternity cover for a fixed-term period of 14 months to join our charity team of four. The expected start date will be the beginning of September, but we hope the successful candidate will be able to meet with the current Manager occasionally before then.

Working alongside strategic partners, we will keep our grant priorities under regular review and adjust according to evidenced need. The Research and Education Grants Manager plays a significant role in this life enhancing work.

It is expected that the current Research and Education Grants Manager will return to work, therefore this maternity cover role will be made redundant at the expiry of its term.

JOB DESCRIPTION AND PERSON SPECIFICATION:

RESPONSIBILITIES

· Assist in the delivery of GH’s charitable output to RN/RM beneficiaries in accordance with the Hospital’s objectives, governing legislation, policies and budgets.

· Help shape GH’s charitable work in education and the Life Opportunities programme. This will include direct delivery of support and delivery with/through others in order to ensure high impact and effectiveness. This will also include the development of new projects and programmes together with funding strategies to tackle unmet need.

· Strengthen current charity partnerships and establish new ones.

· Strengthen and assure impact monitoring and reporting across the applied grants, using best practice in current research methodology.

· Coordinate available research to identify gaps and focus GH spend.

KEY TASKS

1. In consultation with the Director of Grants and Finance staff, commission, track and manage the Hospital’s Education and Life Opportunities grants programme and budget, making sure it keeps within approved limits, reflects agreed payment schedules, and ensures the budget is spent in year or agreed as part of a roll over plan.

2. Oversee a portfolio of grants at various stages of the grant life cycle, including assessment of new applications, issuing Grant Agreements and managing awarded grants, applying established policies and processes. The process includes presenting grant applications and their assessment to our Charity Scrutiny Panel and Charity & Education Committee.

3. Ensure grants awards are authorised, paid and reviewed promptly.

4. Oversee and manage educational bursaries and grants, liaising and co-ordinating with the relevant educational organisations, applying established policies and processes. This includes bursaries for children attending the Royal Hospital School and university bursaries for serving personnel, working closely with the RN Learning and Development Organisation.

5. Collect, evaluate and report on the impact and effect of charitable giving and outcome of awards and, as required, collate and submit appropriate data and information to partner organisations.

6. Undertake the co-ordination and administration of cross-charity groups and meetings chaired and hosted by GH; represent GH in discussions and negotiations with stakeholders and other charitable partners and beneficiaries and represent GH at internal and external meetings.

7. Work alongside the Director of Grants to develop and implement GH’s new funding stream focused on supporting the naval charity sector in strengthening organisational capacity building and implementing effective impact measurement frameworks.  

8. Identify, co-ordinate and where necessary scope commissioning of new research to inform present and future grants planning and spend, liaising with FiMT, MoD, SCiP Alliance and other appropriate bodies.

9. Work with the Communications Manager to ensure suitable publicity is given to GH charity activity internally, on the GH website and social media, in national publications and by grant recipients.

10. Assist the Director of Grants in the production of impact reporting to inform the GH Advisory Board and Charity & Education Committee.

11. Ensure and promote adherence to good charity governance practice; assist in the periodic review of funding guidelines/ policies and delivery.

12. Develop and apply good understanding of RN ethos, personnel and beneficiaries.

13. Assist in the development and delivery of a Communications Strategy for the Hospital’s charitable activities including website and social media.

14. Draft appropriate contributions to the Annual Review/Impact Report.

Person Requirement

Essential

·Educated to degree-level or equivalent, with strong administrative and systems experience.

·Experience in a busy administrative role, supporting multiple stakeholders, scheduling meetings, and coordinating actions to deadlines.

·Experience administering or providing ‘super-user’ support for a CRM/database (preferably Salesforce), including maintaining data standards and producing reports/dashboards.

·Experience with document control and shared filing systems (e.g SharePoint), including version control and maintaining audit-ready records.

·Experience undertaking structured research tasks and producing clear summaries/recommendations for non-specialist audiences.

·Highly organised with strong attention to detail; able to manage multiple deadlines and stakeholders.

·Strong systems aptitude: able to document processes, apply data standards, run checks, and support colleagues to use systems consistently.

About the role

The Institut français du Royaume-Uni is seeking a dynamic and strategic Head of Patrons’ Circle & Sponsorship Activation to lead the development of its patron engagement programmes and sponsorship (in-kind) activation strategy across the Institut’s major cultural events and flagship seasons.

This senior role has three core objectives:

• to grow and structure the Institut’s existing Patrons’ Circle;
• to create and launch a new Young Patrons Circle aimed at engaging a new generation of supporters;
• to design and deliver an in-kind sponsorship activation strategy across the Institut’s flagship cultural events and programmes.

The role combines community building, relationship management, experiential programming and sponsorship activation. It focuses on audience engagement, visibility and stakeholder experience rather than direct fundraising or financial sponsorship solicitation.

A key dimension of the role is the development of both:

• an in situ engagement programme at the Institut français;
• and a “Hors-les-murs” programme of exclusive events and experiences organised in partnership with leading cultural venues and institutions across London.

Key responsibilities

Patrons’ Circle & Young Patrons development

• Design and implement a development strategy for the Patrons’ Circle focused on engagement, retention and community growth
• Conceive, create and launch the Institut français du Royaume-Uni’s Young Patrons Circle, defining its positioning, audience, engagement model and value proposition
• Develop a recruitment and engagement strategy targeting younger audiences and emerging supporters
• Build and nurture a strong community through tailored engagement and personalised experiences
• Oversee the full patron journey, including onboarding, stewardship and retention
• Develop targeted communications and engagement campaigns (newsletters, invitations, tailored outreach)
• Structure and evolve benefits and membership offers for Patrons and Young Patrons
• Develop exclusive cultural experiences and networking opportunities for patrons and trustees

In-kind sponsorship activation & event partnerships

• Develop in-kind partnerships and collaborative sponsorship opportunities for major events including the French Film Festival UK, Night of Ideas and other high-profile programmes
• Identify and engage brands, cultural partners and lifestyle organisations aligned with the Institut’s values, audiences and events
• Develop creative non-financial partnership propositions focused on visibility, hospitality, audience engagement and cultural experiences
• Ensure meaningful and high-quality sponsor integration into events through experiences, visibility and tailored activations
• Coordinate sponsor activations in collaboration with programming, communications and production teams
• Build and maintain long-term relationships with sponsors and institutional partners

Events & experiences

• Curate, in coordination with the Institute cultural teams, selected moments from the Institut français’ existing programme for Patrons’ privileged access, including post-event encounters with artists and production teams
• Lead the conception and delivery of the “Hors-les-murs” programme, developed in close collaboration with cultural teams and hosted across partner venues in London
• Collaborate closely with programming, communications and production teams
• Ensure excellence in event delivery and premium stakeholder experience

Administration & coordination

• Prepare administrative committees and Board meetings in close collaboration with the Head of Partnerships & Major Donors
• Draft meeting minutes and coordinate follow-up actions
• Oversee administrative management of the Patrons’ Circle
• Coordinate agreements, partnerships and sponsor deliverables
• Ensure logistical and administrative follow-up for events and activations

Strategic contribution

• Propose innovative formats and initiatives to enhance patron and sponsor engagement

Profile

• Minimum 5 years’ experience in partnerships, sponsorship activation, audience engagement, cultural programming or related fields
• Proven experience in developing and managing high-level relationships and stakeholder communities
• Experience in event partnerships, experiential engagement or brand activation
• Strong strategic thinking with the ability to design and implement audience and engagement initiatives
• Excellent organisational and project management skills
