About the Role
We are seeking a charity professional with evaluation and impact experience, and skills to develop Lewisham Local’s business functions such as service delivery impact with a focus on impact measurements of infrastructure work, premises, and admin.
This is a newly built role to support the charity’s new ambitious three-year strategy.
Main Objectives
- Develop and deliver the charity’s Impact and Evaluation framework
- Ensure charity’s CRM Salesforce is used at every level of capturing data
Support, develop and manage Lewisham Local’s business functions such as Admin and Premises management
Main Duties and Responsibilities
Impact Measurement
- Working closely with the SMT and project leads to understand the depth of the work carried out by Lewisham Local and develop an impact and evaluation framework to measure the success of our work.
- Train and support colleagues to ensure the framework is embedded into our daily work measuring the change created as a result of the work carried out by Lewisham Local.
- Run a quarterly impact report for SMT and Board
- Introduce data capture protocols and training on using the charity's CRM Salesforce to ensure data is recorded and up to date
- Act as a champion for this across the team
Manage Admin function
- Manage the two (job share - 0.8 & 0.2 FTE) Admin officers who support the CEO, Board and take on the general office admin tasks
- Develop and improve Lewisham Local’s admin processes
Manage premises – support and training will be offered
- Manage a Premises Coordinator (0.6FTE) in safe running the Orchard Gardens Community Centre
- Support the CEO in developing premises strategy and future proposals
Together with SMT and the CEO manage Lewisham local’s fundraising function, reviewing and contributing to the grant applications.

- Be a visible, active, positive and engaging presence within the community at local events, activities and meetings.
- Contribute and create regular communications content
- Champion the role of local giving, and the contribution of civil society in Lewisham
- Collect and process data, carry out monitoring and evaluation of our impact
- Help other team members at times of increased workload and/or specific events
- Contribute to office organisation and administration responsibilities to ensure the effective running of the organisation and staff presence at the office premises
- Manage volunteers to achieve the portfolio and charity’s aims and objectives
- Attend regular team meetings and supervision sessions as required
- Undertake training and development as required
- Contribute to writing grant applications for future projects and core work

Key Activities
Donation Processing
- Responsible for the timely recording and processing of all incoming donations (including via our website, bank account, third party platforms and cheques) into the Medair UK CRM (Salesforce).
- Ensure all donors receive gift acknowledgements / thank you letters corresponding to each gift received.
- Maintain up-to-date records of donors, staff and other contacts in the Medair UK database.
- Process and record completed Gift Aid declarations and support in the regular reclaim of Gift Aid.
Financial Administration
- Inputting of all financial data (income and expenditure) into Quick Books.
- Preparing and following up suppliers invoices for payment.
- Processing expenses claims.
- Managing the banking of income and supporter cheques.
- Support the Head of Operations to implement the month and year end reconciliation process for both Salesforce and Quick Books.
Facilities & Office Management
- Act as first point of contact for the office and public enquiries, responding to incoming telephone calls and emails.
- Answer basic enquiries about Medair's work and distributing information to supporters and others as required.
- Manage and order office supplies, stationery and equipment.
- Maintain a clean, tidy and safe working environment, administrating risk assessments, H&S and fire safety procedures.
Information Technology
- Ensuring the maintenance of the IT system and handling minor in-house IT technical issues for staff and volunteers.
- Liaising with the Global Support Office IT Helpdesk team to ensure the timely set up of IT for new staff and volunteers – i.e. setting up email addresses, and relevant permissions.
- Ensuring that IT permissions are current, and that these are amended as and when staff and volunteers leave.
- Assisting with continuous improvements in Medair UK’s use of IT.
Engagement Support
- Supporting fundraising activities with data segmentation and the production of standard and custom reports in Salesforce
- Supporting the production and automation of email newsletter and appeals via Campaign Monitor
- Setting up new Salesforce campaigns with tailored reports and dashboards to track donations.
- Producing digital surveys and web-forms as required.
- Providing support to Medair’s virtual events, including the technical administration of Zoom and pre and post event attendee administration.
HR Administration
- Organising and co-ordinating staff and volunteer inductions ensuring that the induction checklist is completed.
- Supporting the Head of Operations with team training and organisational learning and development opportunities.
Qualifications - DESIRABLE
- Vocational qualification in business or financial management / administration desirable
Languages
- Excellent English (spoken and written).
Experience / Competencies – ESSENTIAL
- Experience of office administration / financial administration
- Experience of Microsoft Office solutions, including proficiency in Excel, Word, Internet and email use
- Experience of fundraising or other database(s), ideally Salesforce and Campaign Monitor

Key details
Hours: full-time or part-time (from 28 to 35 hours per week): usual working hours are Monday to Friday, 09:00-17:00. Flexible working is possible and we would consider a four-day week.
Salary: £34,536 per annum FTE, plus 6% contributory pension scheme.
Location: hybrid working (a mixture of onsite and home/remote working). Staff are working onsite for at least 20% of their working hours at our London office (4-8 Rodney Street, London N1 9JH).

CONTEXT & PURPOSE OF ROLE
SportsAid is currently implementing Salesforce Nonprofit Cloud as our new organisation-wide CRM platform to strengthen engagement with athletes and their parents/care-givers, supporters and funders, partners, alumni, volunteers and other key stakeholders. The Head of CRM will provide strategic and operational leadership for the charity’s CRM function.
Initially the focus of the role will be to realise the value of the implementation, including adoption, embedding ways of working and processes across teams, improving data quality, refining reporting, ensuring good system governance and optimising organisation-wide usage.
Longer term, the role will develop and lead a CRM roadmap, identifying priorities and enhancements for future development and planning the strategic evolution of our new CRM ecosystem and long-term sustainability of our Salesforce Nonprofit Cloud platform.
