About the role and you

We are recruiting for a skilled and experienced manager to join the Helpline team. You will support the Head of Stop It Now, working alongside our Helpline Managers and Child Sexual Abuse Prevention Manager in the day to day running of the helpline and provide support and advice to Helpline Advisors. You will have direct client contact via telephone, a secure message service and online chat. You will also support with the training of staff and promotion of the work of the helpline.

You will have experience in working directly with one or more of our key target groups: - for example adults and/or children and young people who have sexually harmful behaviours, or child victims of sexual abuse, or family members of these individuals.  Our ideal candidate will be an energetic professional, who is proactive and outcome focused with exceptional communication and relationship skills. You will be able to evidence a successful track record of working with individuals and families impacted by child sexual abuse. You will be able to demonstrate confidence in translating the charity’s mission into direct child protection practice and equipping other professionals in tackling child sexual abuse.

• A confident manager with good staff supervision and support skills, and an enthusiasm for supporting colleagues to work within organisational guidelines as well as to develop new skills

We’re looking for a Gift Processing Administrator, to play a key role in the smooth processing of all donations received at our London office.

What does this role do?
As Gift Processing Administrator, you’ll:

• process all incoming donations, from uploading data to the supporter database and sending thank you letters, to assisting charity shops with the administration of Gift Aid,
• work closely with Gift Processing Officers on more complex work, such as problem payments or refunds,
• accurately capture supporter consent preferences, ensuring data is entered correctly and in line with regulatory requirements,
• support the Supporter Stewardship team with emails during busy periods.

This role is being offered as a fixed term, family cover contract until December 2026. Interviews for this role are provisionally scheduled for Friday 21st November 2025, and will take place on Teams.

Community Engagement Officer

This role is a FT maternity cover contract over a 15 month period, 38.75 hours pw with some weekend and evening working included. Overseen by our Head of Fundraising, this role primarily covers running the Shelters events alongside supervising our  non animal related Volunteers overseeing the running of our two Charity shops , actively recruiting and managing new corporate sponsors and donors including our Helping Hands offering and attending general networking events.

JOB DESCRIPTION 

Title: Community Engagement Officer

Responsible to: Head of Fundraising

Post Objective: Working under the direction of the Head of Fundraising, to take responsibility for any community engagements. This being Corporate led commitments, events and management of Volunteers and the Charity Shops.

Responsibilities :-

• Work effectively as part of the Management team reporting directly to the Head of Fundraising to ensure that the Shelter is run in accordance with the instructions of the Board of Trustees.

• In conjunction with the Head of Fundraising and Fundraising team promote a range of fundraising events and functions on behalf of the shelter throughout the year including regular weekend activities, working closely with and involving other members of the management team, other staff and volunteers. Look after the entire life cycle of each event from initial enquiry/plan to completion.

· In conjunction with the Head of Fundraising and Fundraising team oversee regular Corporate groups attending the shelter, encouraging them to fundraise beforehand and afterwards. Support and lead their CSR day at the shelter.

· Responsible for the acquisition of new corporate partners and the effective stewardship and development of existing corporate relationships to maximise long-term support for the organisation.

 · Take the lead on any General Shelter talks within the local community.

· Collaborate with the Education team and support them with workshops where requested and relevant.

· Manage and oversee events on the day of happening, including problem solving, welcoming guests/supporters, directing event set-up, communicating with staff and organizing vendors. Ensure all event equipment such as gazebo’s, tables, chairs, information stand, marketing materials, etc are available and loaded onto vehicles the night before and then unloaded when returned.

• Communicate with other members of the Fundraising team to create effective advertisements for each event, creating paper based items such as posters and information or for the website/Facebook online advertisements for individual events., leaflets and online advertisement.

• Anticipate and plan for different scenarios and where necessary plan multiple events at once.

· Have overall responsibility for the promotion and performance of the onsite and offsite Charity Shops liaising regularly with and managing the Onsite Shop Supervisor and offsite Shop Manager. Ensure that the EPOS system incorporating the Retail Gift Aid process works correctly and captures GA where possible.

· Actively promote and coordinate the collection of items for fundraising recycling, via the individual Charity Shops.

· Coordinate the distribution, collection and careful recording of money spinners , individual money collection tins and food collection bins.

· Pro-actively seek out new collection sites and times, gaining local council licences where necessary and be involved and co-ordinate these. Includes street collections ( Christmas and Race week)  via Cheltenham Borough Council, Pets At Home store collections and regular supermarket collections.

· Ensure events are well manned by Volunteers and as much support is given as possible to all activities profiling the Shelter.

· Post and monitor adverts for and then recruit and induct new Volunteers for various non animal related roles as demand dictates within the Shelter.

· Monitor, encourage and support those volunteers in all aspects of daily life within both the Shelter and at all external events.

· Record regular hours of all Volunteers, hold thank you events and organise recognition certificates for long service Volunteers.

· Attend various Networking events to make new contacts and keep up to date with all local and national Volunteering groups and news.

· Promote the Animal Shelter in a positive and pro-active manner by improving systems and methods and provide an exemplary lead to staff.

· Provide excellent customer care when in contact with members of the public, supporters, sponsors ,and other’s presenting a professional image at all times.

· Carry out any other reasonable duties as required by the General Manager, Operations Manager or Head of Fundraising

About the team

The newly formed High Value Operations & Stewardship team will sit in the High Value Partnerships (HVP) sub-directorate which is part of Shelter’s Income Generation directorate. It’s an award-winning team that is responsible for all areas of high value income generation across philanthropy, trusts and foundations, statutory funders, corporate partners and legacies to power Shelter’s fight for home.

Shelter’s High Value Partnerships (HVP) team is an energetic group of around 50 talented professionals who collectively raise over £30 million each year through voluntary and statutory income. By harnessing the support, networks, influence, and expertise of our supporters, the team plays a crucial role in powering our mission to fight for home.

As our portfolio of high-value funders continues to grow—and with ambitious targets ahead—we’re building a dedicated operations function to act as the central hub for knowledge, insight, and coordination within HVP. Overall purpose

 As the Finance Officer, you will be required to ensure that our income and expenditure records are accurate, complete, free from error and comply with both the relevant accounting standards as well as donor restrictions. This role will play a key part in ensuring that the recording of financial information is compliant and auditable, in both the finance system and CRM.

You will also work alongside the Head of Finance to support the wider organisation in its financial understanding and management. This support will focus on both the fundraising team to empower them to raise as many funds as possible, especially unrestricted funds, and the services team to ensure their financial processes are robust and efficient. You will also be expected to contribute to and uphold our outstanding culture by living and demonstrating our values of being mission-led, welcoming, entrepreneurial and collaborative.

Key responsibilities

Finance responsibilities

• Record all income and expenditure general ledger transactions in the finance system, ensuring correct coding and full supporting documentation is stored in either the finance system or in the CRM.
• Have ownership of both the sales ledger and purchase ledger, ensuring all entries are recorded accurately with the correct VAT treatment while adhering to the relevant controls.
• Ensure all staff and client expenses are captured and recorded accurately, adhere to the relevant expense policy and are paid in a timely manner.
• Prepare and post payment runs alongside the Head of Finance
• Support the Financial Accountant in the monthly bank reconciliation
• Participate in month end processes to ensure the I&E figure is accurate within the pre-determined deadline, including posting prepayments, deferrals and accruals where relevant and other accounting adjustments as needed such as grossing up of platform fees.
• Ensure all finance documentation is complete and auditable including restricted fund evidence, and ensure the relevant GAUs are tracked on salesforce.
• Capture all restricted fund income and expenditure is the finance system on a monthly basis (staff and non-staff) alongside the Financial Accountant and Head of Finance
• Understand clawback risk on grants
• Ensure Breaking Barriers is claiming gift aid where applicable and optimising opportunities to reclaim input VAT in our business/non-business VAT return
• Reconciling to third party platforms on a monthly basis including fundraising platforms and Equals
• Work with the Head of Finance to upskill the fundraising and service teams to ensure they understand necessary financial processes
• Undertake income and expenditure control activities e.g. checking for grant rejection letters and verifying changes to supplier details.
• Be the finance team’s superuser for the CRM
• Support in year-end audit and the creation of relevant notes
• Support with ad hoc projects such as the implementation of a new finance system and policy and procedure updates

Technology

• Support the Financial Accountant, Finance Director and outsourced technology provider as needed for ongoing technology support and occasional projects.

Office and facilities management

• Support the financial team and any applicable offices as needed for ongoing office and facility management

Cross-cutting

• Ensure staff are effectively onboarded and our knowledge management processes ensure that required information on the finance and ops processes is accessible and understood
