We are looking for a dynamic individual to take on the day-to-day administration of BVSC. This is a key role at BVSC – a varied, interesting, creative role that requires a solid background in IT, database management, website maintenance, administration and supporting a large team.
Key Duties:
- Reviewing, refining and managing our database and website
- Ensuring the Community Directory is up to date, ‘live’ and reviewed regularly, with organisations supported to update and amend their own directory entries
- Providing administrative support to the CEO and HR & Governance Manager in their day to day work
- Supporting the Office Manager with induction and provide general support to the staff team with IT
- Being a key member of the social media and communications team
- Managing room bookings, events and CEO diary

Planning Reviewing and Organising
- Overseeing the day-to-day BVSC administrative processes which include booking rooms, diary management, receiving phone calls, managing a general email inbox, updating our website and database, helping problem solve if occasional IT issues occur.
- Processing and recording Community Lottery applications.
- Team members are responsible for their own administration; however you will provide admin support to the organisation eg booking training courses, managing room bookings, offering support to staff that are facilitating Teams meetings/training events.
- Maintaining levels of stationery and office supplies as appropriate.
- Ensure all electronic and paper record systems which contain sensitive or person identifiable records are stored in compliance with the Data Protection Action and our Information Governance standards.
- To actively plan, support, and administer BVSC’s networks, internal and public meetings – taking minutes when required.
- To review current electronic filing systems, keeping folders organised, up to date and using archive appropriately.
- To be a key member of the communications team that manage the BVSC Twitter, Facebook and Instagram accounts keeping them current and relevant by scheduling content created by the team.

- Respond to general enquiries, answer the BVSC phone and being the first point of contact in the office, ensure delegation of this responsibility in your absence

- The post holder will help produce regular impact reports for senior staff

Person Specification
Essential
- Experienced office administrator with excellent interpersonal and communication skills
- The ability to work as part of a team and provide efficient and professional administrative support to other office members
- Excellent working knowledge of Microsoft 365 suite including Word, Excel, Outlook, and a range of 365 apps e.g. Teams, Forms, SharePoint – these are used daily
- Excellent IT skills and experience of maintenance and input to CRM database systems
- Experience of working within a framework of confidentiality and with access to sensitive personal data
- Knowledge of website management and maintenance (WordPress and Drupal)

Reporting to the strategy director, you will work alongside other staff in an in-house policy team comprising the executive director, research and strategy directors, heads of policy, senior advisers, advisers, analysts and assistants. You will work with the communications team on the production of outputs, events and media.

Who: We are looking for an experienced, self-starting Finance Manager for the Central Foundation Schools of London, a charity supporting two state schools in London, with investments and endowments in the region of £40m.
Responsibilities: The Finance Manager will be responsible through the CEO to the Board, for day-to-day management of the charity’s accounts and all financial operations. They will manage the financial record keeping, payroll, pensions, banking and oversee the tracking of Foundation’s investments and income. Our Work: For over 150 years, the Central Foundation Schools of London has supported two schools in inner London. A Board of 18 trustees/directors volunteer their time and skills and collaborate closely with the small staff team. In 2022 the Board started a process of transformation and modernisation of the charity’s operations and processes. In 2023, alongside refreshing our governance, supporting two major building programmes and updating our financial operations, we established our first strategy addressing how we can best support the Schools over the next decade and more.
The Role: To support the exciting opportunities presented by the new strategy, Central Foundation Schools for London are recruiting a permanent Finance Manager to provide professional management of the charity’s accounts, ensuring the charity’s operational effectiveness and efficiency, accurate financial management information and advice, preparation of the annual budget, management of our investment portfolio as well as compliance with statutory for the production of the Annual Statutory Accounts in compliance with latest SORP and legislation.
Experience: We are looking for a fully qualified accountant with good post-qualification experience with the ability to work independently and lead the charity’s financial operations.
Hours: Working 2 days a week, the appointed candidate will have the flexibility agree their working pattern with the chief executive. Ideally, the new Finance Manager would work Tuesday or Wednesday (or both) on site in the Foundation office when other staff members are also on site.

About the role of Finance Manager
The Finance Manager is a core member of WCC's management team and is a key advisor and partner to the CEO on all areas of finance. The post-holder will have responsibility for timely and efficient management of the day-to-day accounting function and all internal and external financial reporting. Reporting directly to the CEO this role is part of a friendly, highly productive and collaborative, dedicated clinical and operational staff team of ten.
It is a varied and senior position that is part time, 3 days per week, and we are happy to discuss how the hours are worked over the week. It’s hybrid, working a minimum of one day per week in our Waterloo office. The salary is £45,000 to £48,000 pro rata, depending on experience.
The successful candidate will:
- Be a Fully Qualified Accountant (CIMA, ACCA, ACA, ICAEW etc).
- Have 5+ years PQE, preferably with charity sector/ fund accounting experience.
- Able to demonstrate working independently and as finance lead.
