The facilities Officer will be responsible for the building, reactive building works, renovation, and repair of the building. Working as a senior member of the maintenance team under the supervision of the Facilities Manager.
 
Additionally, this person will ensure that day-to-day repairs and planned maintenance of Your Place properties are efficiently and effectively carried out. The post-holder will monitor the performance of internal operatives and contractors handling communications and ensuring the work is carried out in line with completion targets and quality standards. Furthermore, the Senior Maintenance Officer will carry out minor repairs to the buildings, plumbing and electrical systems.
 
The ideal candidate will possess experience in facilities, and ideally experience working as part of a team and interacting with a variety of people. A basic understanding of health and safety and risk assessment is necessary. The role requires flexibility, including the ability to work evenings and weekends on a rota. Additionally, holding a clean driving license is essential.

Children North East is a growing charity, working to ensure that all babies, children and young people have the opportunity to grow up happy and healthy. The charity as a whole has been through a transformative restructure and due to this transformation the charity has grown substantially since 2019. Our Operational area will be led by two Directors an Operations Director and an Operations Development Director.

The current Operations Director has now been appointed internally as the Operations Development Director, this role will focus on system change including research, data, growth and further our development on specific pieces of work. This will include growing the demographics of children we work with to help us to meet their needs, changing reactionary work into intervention work and will lead on the following:
• CNE voice work – supporting babies children and young people to have a voice in the work that we do at CNE.

Our Education Programmes are focused on engaging primary schools, secondary schools and sixth form colleges across the UK to take part in our programmes and ensure LGBT+ young people can thrive. Main Responsibilities:

•  To provide facilities management to all YMCAES sites across East Surrey. This includes 5 housing schemes and one sports and community centre all owned by the YMCAES together with six family and youth centres that the YMCA lease from local authorities. 
• u  To manage a team of three maintenance technicians (full and part  time), and facilities administration assistant and to be responsible for their training and professional development 

• u  To be the Health and Safety Officer for YMCAES to ensure that the organisation complies with all current legislation and to encourage good practice throughout the YMCAES. 

• To be responsible for ensuring all risk assessments are up to date and accurate:
•   to carry out regular building risk assessments
•  where necessary support and advise staff in completion of risk assessments
•  to ensure fire risk assessments are carried out in accordance with legislation and good practice
•  To be responsible for the maintenance of YMCA buildings and sites. Including preparation of cyclical maintenance plans and to arrange and supervise necessary major works to be scheduled and safely carried out in accordance with the project plans. 
• To be responsible for managing the online maintenance system (Pyramid) ensuring accurate recording and reporting of:
• daily reactive maintenance tasks
• planned and cyclical maintenance tasks
•  all regulatory building compliance requirements.
•  To manage YMCAES building contracts and to comply with the Accepting Contracts and Procurement policies and procedures. 
• To be responsible for the compilation and upkeep of the preferred provider list of contractors.
• To put in place and manage a call out system for managers to respond to any emergencies relating to buildings.
•  To be responsible for all ground maintenance including management of a ground maintenance worker and/or external contracts. 
• u  To maintain the fleet of vehicles owned by YMCAES, including insurance, tax, MOT, fuel and maintenance.
•  To support HOCS for responsibility of all insurances required by the YMCAES. Ensuring compliance with legislation and efficiencies and effectiveness of all policies. Also, to ensure that necessary inspections and certification of lifts and other equipment are carried out as per requirements of insurers and current legislation.
• To provide the CEO and Head of Housing with advice and guidance around technical and regulatory requirements on YMCA property developments and acquisitions of new buildings.

 To work with the HOCS to prepare a budget for central costs (buildings and vehicles) and to manage this budget through the year. 

To prepare and present a report to the quarterly Governance and Risk Committee which has a remit for overseeing the organisational risk management framework, incident reporting and regulatory compliance. 

•  Any other duties are required to be performed within the grade and renumeration of the role.

DESCRIPTION

Job Purpose:To manage the facilities and services that support the core functions of YMCA East Surrey (YMCAES), including maintenance across multiple sites.

To be the competent person to oversee all health and safety matters across the organisation

Hours of work:35 hours per week , Monday to Friday 9.00am to 5.00pm.

In your role of Trust and Partnerships Officer you will be actively involved in the provision of these positive initiatives by applying your excellent research and relationship management skills to help develop a pipeline of income from charitable trusts and corporate foundations with the potential to support our wide range of projects. You will identify and develop compelling applications to secure funding through various funding sources, that not only contributes to the financial team target but makes a difference to the UK's most vulnerable children.

• You will write compelling and successful funding applications to Charitable Trusts, Statutory funds and other grant making organisations.
• You’ll keep up to date on the UK grant funding market and trends
• You’ll build and maintain grants and partnership pipeline, seeking out new prospects and opportunities to support existing and new projects.
• You’ll ensure compliant and organised information filing on SharePoint and CRM to facilitate access to relevant information for colleagues and ensure smooth collaboration.
• You’ll produce and update internal income generation reports
• You’ll work flexibly, adapting to rapid changes and opportunities.
• Support volunteers and interns within the Grants and Partnership fundraising team.
• Work across teams to develop projects and align with funders criteria.
• You’ll collaborate across fundraising, sharing ideas, learnings and encouraging creativity and innovation.
•  You’ll be prepared to represent the team at workshops and events as required (may require occasional evening/weekend work).
• You’ll assist the Fundraising Team with other fundraising appeals/events when necessary.
• You'll comply with all current charity law and data protection legislation (i.e. GDPR) and ensure that the Code of Fundraising Practice, as stipulated by the Fundraising Regulator and best practice is adhered to.

Salary: £30-£32k  per annum

Base: Leighton Buzzard, Bedfordshire with flexibility for Hybrid home working.

Hours: 37.5  Monday-Friday
