Role Requirements
- Support planning and changes in the administration of children and young people’s timetable for children and family services.
- Support with photocopying of notes for subject access/ solicitor requests (SARS).
- Manage the SARS and redacting process with appropriate members of the Therapies teams.
- Update logs and coordinate the Clinical and Safeguarding Supervision across the Therapies teams, escalating non-compliance where required.
- Monitor mandatory training compliance and administer booking processes for all relevant training sessions/course.
- Coordinating specialist clinics, including spine and hip clinics; liaising with the Physiotherapy team to ensure the correct children are on the schedule. Liaison with external Consultants to organise the clinic lists.
- Carry out audiotyping of clinic letters and distribute as required.
- Update absences within the teams onto the SMI (staff care) system, as requested by the Heads of Service.
- Place orders for any required equipment and/or resources for departments and for the children and young people as deemed necessary.
- Take overview of clinical asset ordering, linking with the clinical assets team and management system, in line with MHRA guidelines and the medical devices policy.
- Track and monitor equipment orders with Heads of service, escalate delays and provide a central overview for all equipment re-charges and ordering.
- Raise and receipt PO’s and invoices for the therapies directorate and liaise closely with the finance team.
- Undertake other or additional duties that are within your skills and abilities, as the organisation may reasonably require from time to time.
With experience of working in a complex environment, across a large and diverse workforce, you will be exceptionally organised with a high-level of attention to detail. You will naturally possess excellent inter-personal skills, and an ability to consult and positively engage with key stakeholders across the organisation.

We are looking for an additional support worker with lived experience of self-harm to join our existing team working with people who have attended A&E for self-harm treatment. This role has been developed specifically for people who have lived experience of self-harm. Self-harm can take many forms but for the purposes of this role we mean things which someone has done to themselves with the clear intention of causing harm.
This role is not about sharing personal stories of self-harm, but some exploration of your experiences will be part of the interview and training process. All questions will be provided in advance of the interview and training will be run in a small, closed group. Both the interviews and training will be facilitated by people who have used their self-harm experiences in their working lives.
Duties and responsibilities
1. Support the day to day running of the Lived Experience Service by:
- Offering tailored follow up support to people of all communities and genders who have attended A&E for self-harm treatment including face to face or video chat meetings, researching community support and guidance in finding and using self- help resources based on the principles of mutual experience, empathy and holistic support;
- Where appropriate sharing ideas about ways of achieving goals, drawing on personal experiences and assisting people to decide what they want to achieve based on their circumstances and personal resources;
- Administrative tasks including researching and updating service resources and maintaining accurate client records in line with organisational confidentiality, data protection and safeguarding policies.
- Supporting their own wellbeing by engaging in regular supervision and appropriate training
2. Contribute to the overall running of the organisation through:
- Attending team meetings

The Role
This is an exciting opportunity to join the Client Services Team which operates within HBF’s vibrant, multi-disciplinary team. The duties of Client Services Administrator are two-fold 1) is to host our busy reception area and friendly waiting room; welcome clients and visiting professionals to the Helen Bamber Foundation and attend to any needs they might have and 2) to oversee the booking of appointments between clients and staff/volunteers across the organisation; liaising with third parties and clinicians in relation to Initial Assessments; booking and managing doctor’s diaries for our Medical Advisory Services and the booking of interpreters across the organisation. You will be at the heart of an exciting team of experts, working as the face of HBF and the first point of contact for both external and internal queries. An exciting opportunity has arisen at Mind CHWF to join our Facilities team as a Receptionist and Administrative Assistant on a casual contract.
As a crucial part of the Facilities team, you will be the face of the organisation welcoming clients, visitors, and fellow staff members, ensuring that the central reception function, including facilities runs smoothly. You will be responsible for telephone calls to reception, ensuring call are answered in an efficient and polite manner and messages are relayed. You will also provide effective administrative, and facilities support whilst making sure that the reception area is the optimal working environment for all.
DBS clearance at Enhanced (without Barring) is required for this role.

You’ll need to be a proactive coach who is able to ensure that customers receive timely and efficient support that meets their individual needs. This is a pivotal role in supporting our clients, so our ideal candidate must be able to build strong relationships to bring clarity and understanding to offer practical advice and guidance to support and encourage. You’ll need to be able demonstrate effective coaching and mentoring skills, have the ability to build rapport and engage with individuals from a wide variety of backgrounds and experiences. Key Responsibilities

- Develop relationships with multiple agencies and partners to provide holistic approaches to support individuals e.g. NHS mental health/wellbeing, services and with participant consent undertake case conferences with external agencies to jointly optimise support packages.
- Work within Pluss and community outreach locations (sometimes alongside other services e.g. housing, health and primary care centres) to increase service accessibility.

Skills and Experience
Essential

We are seeking a Payroll & Finance Administrator to assist the Executive Director: Finance and Resources with completing administration and payroll tasks to ensure a smooth running Finance Team.
You will administer aspects of donations and income, post donations received into our CRM system liaising with the Director of Fundraising, conduct Gift Aid claims, generate reports and utilise the CDS system to ensure all data is correctly entered and support given to all administrators.
You will administer the payroll and receipt system. Additionally, you will reconcile all costs, generate invoices and check that timesheets, holidays and absence are recorded correctly. This role requires you to work Monday to Friday but you must be willing to be flexible as and when required.
You must have a minimum of five A*-C GCSE passes, including Mathematics and English (or equivalent). Additionally, good IT skills, especially in Excel and administrative, recording and reporting skills are essential for this role.
This is a challenging but important and rewarding job because our team members know they are working hard to help transform the lives of some of the most vulnerable people.
