About the role

The Director of Operations will serve as a key member of the Senior Management Team (SMT) and a key driver of our organisational strength. About the role

We need someone to join us as our Operations and Governance Manager to ensure London Funders, its projects and subsidiary Collaboration Circle, run smoothly. The ideal candidate will bring strong organisational skills, a collaborative and people-led approach, and the ability to turn strategic thinking into clear, effective action.

Background

The Minster Centre is a registered charity based in Queens Park, London NW6 that trains psychotherapists and counsellors and provides an accessible therapy service. As an accredited higher education organisation, we provide in-person and online courses throughout the week and weekend. The Minster Centre provides a psychotherapy and counselling service to the local community and has a number of rooms that are hired out for therapy, training, and events.

The Reception Manager is a critical and central role at The Minster Centre, providing a welcoming service to students, room hirers, therapy clients and staff members that is efficient and aligned with The Minster Centre’s Ethos. As part of this role, you will provide first-line support to tutors and students as well as undertake administrative duties crucial to the running of the Centre. You will also provide support to other staff members where appropriate.

Job summary

The ideal candidate will have previous administration and front of house experience to help ensure that all building users (students, room hirers and clients) are welcomed, that the building is available and set up for training and therapy services, and that the building is closed and secured at the end of the day. Furthermore, they would be organised, have excellent IT skills and knowledge and, ideally, practice of using Zoom. They will have the ability to work calmly and efficiently under pressure. In addition, they will be able to work autonomously on various tasks and work well in a team. This is a great opportunity for someone with relevant transferable skills to develop those skills further.

Duties and responsibilities

Oversee and manage the Reception Team

• Ensure Reception is always covered by organising a reception rota that covers absence, holidays, etc.

General management of Reception

• Receive and welcome visitors.
• Co-ordinate access to the building, opening and closing of the building.
• Respond appropriately to emergencies.
• Order stationary and other supplies as requested.
• Manage petty cash.
• Keep the reception area tidy.
• Ensure there are adequate supplies of daily refreshments and organise catering for specific events.

Event and training support

• Set up for events and assist with special or evening events when requested.
• Organise and keep track of First Aid and Fire Marshal trainings.

Administration

• Conduct daily spot checks of the building and report any significant problems to Facilities and Membership Manager.
• Undertake small repairs of damaged equipment or fixings.

IT support

• Field/triage general IT Support emails with the IT Team.
• Diagnose and resolve equipment issues on site.
• Support tutors and office staff with basic Office apps, Moodle, Zoom queries (support and training can be provided).
• Provide IT support for tutors facilitating Zoom teaching sessions including troubleshooting.
• Manage tutor Zoom accounts.
• Schedule Zoom sessions.

Student support and progression 

• Ensure that students are enrolled on courses and set up on systems accurately.
• Manage the re-enrolment process between academic years. 
• Oversee the recording of student progression. 
• Liaise with and support the Operations Team in organising the annual Graduation event and ensuring all eligible students receive timely information.

Our flagship Oshana project provides refugee women in Lebanon with a dignified income, a supportive community, and a creative outlet for trauma through embroidery and crochet - and has built a reputation for beautiful design and impeccable craftsmanship. 

We are a young but ambitious organisation that is transforming the lives of hundreds of refugee women and their families in Lebanon, and dozens in the UK. We have rapidly grown over the past three years, with an accompanying increase in income.

THE ROLE

We are looking for an experienced and dedicated Finance and Administration Manager to lead on developing and maintaining our financial and organisational systems, enabling Makani to increase our impact on the lives of refugee women. 

Position: Finance and Administration Manager

Contract type: Permanent - but also open to applications on a consultant basis

Responsible to: Director of Operations

Location: Home-based, with occasional meetings in London (transport costs covered)

Hours: 20 hours per week, core hours to be agreed upon appointment, flexitime-friendly

KEY ROLE RESPONSIBILITIES

Finance

• Work with the Executive team to set and monitor annual budgets

• Prepare end-of-year accounts 

• Oversee payroll and ensure timely invoice payments

• Support the board and senior staff to maintain and update charity policies (safeguarding, finance, HR, etc.)

• Support the board to develop HR processes to ensure legal compliance

ROLE REQUIREMENTS

You will have:

• Proven experience in charity financial management, including restricted/unrestricted funding

• Familiarity with or willingness to learn Xero accounting software

• Familiarity with UK charity accounting and reporting standards

• Strong organisational and administrative skills

• Ability to work independently and remotely and to communicate well in a small team

• Understanding of good HR policies and practice for small charities 

• Understanding of or willingness to learn about other key areas of compliance such as data protection

For a well-known UK charity, we're recruiting a Financial Operations Lead on a permanent basis. Reporting to the Financial Controller, the Financial Operations Lead will oversee all processing and reconciliation of financial transactions, accruals and prepayments, as well as VAT returns, and all day-to-day banking, credit card and investment matters. The Financial Operations Lead is a key role, supporting staff queries, liaising with HR on payroll returns, and supporting the development of robust month-end processes across the team.

What you'll be doing:

• Financial Transactions - support AP processing, and approval of invoices on the AR ledger
• Prepare payroll journals and reconcile all payroll information
• Prepare accruals and prepayments for income and expenditure and support month-end accounts
• Prepare balance sheet reconciliations and VAT returns
• Support year-end with the preparation of note to the accounts including payroll, banking, fixed assets and investments
• Liaise with bank, investment fund managers and credit card providers
• Support wider teams with finance queries, and financial compliance procedures
• Payroll - check all finance aspects of the payroll before final sign-off and work closely with HR team to ensure payroll system is compliant with HMRC guidelines
• Develop improvements within the finance ledger and HR systems, and support the training and roll-out of any new systems updates

WHAT YOU’LL DO

· Project management: Plan and manage projects from start to finish, making sure deadlines are met and everyone delivers on their part.

· Meetings and follow-up: Organise and run management meetings, keep notes, and make sure agreed actions happen.

· Governance: Oversee compliance and act as Company Secretary, keeping records accurate and up to date.

· Finance: Use Xero and work with accountants/bookkeepers to oversee budgets, accounts, and financial reports so the numbers are always clear.

· Fundraising and business development: Support funding applications, proposals, and relationships with partners to bring in new opportunities.

· Operations: Keep the day-to-day running smoothly — from diary management and HR basics to coordinating contractors.

· Communications: Maintain simple but effective comms, updating the website and keeping social media active.

SKILLS & QUALITIES

The Head of Finance and Resources will lead the financial strategy, operations and finance-related governance of the charity, ensuring financial sustainability and effective stewardship of resources to achieve organisational goals. The successful candidate will be a member of the Senior Management Team and expect to participate in top level strategy for the organisation.

The role of Head of Finance and Resources is critical as it encompasses financial controls, reporting, analysis, budgeting and forecasting; business services: Human Resources, ICT and other systems optimisation, premises, contract oversight, supplier management and procurement as well as team management.

The successful candidate will demonstrate the following:

• Financially qualified or significant QBE
• Proven experience in a senior finance role, ideally within the charity sector.

• Advanced analytical skills with the ability to interpret and manage complex financial data.
• Excellent negotiation and relationship management skills.
