The Finance & Office Executive will play a key role in ensuring the financial health and effective administration of the charity. Working closely with the CEO and Head of Finance & Operations, the postholder will provide financial assistance, manage the office, and undertake the administrative functions required to support the smooth running of the charity.

This role is perfect for someone who enjoys working with numbers, systems and people. You’ll play a key role in supporting and delivering the charity’s financial and operational strategy and enabling the Trustees to fulfil their legal and fiduciary obligations. You will ensure that our finance processes and office run smoothly, including diary management, and that key governance and HR processes and procedures comply with law and with our policies.

We are looking for an energetic and motivated self-starter keen to take on a new challenge within a fast growing organisation, to join us and support our team. You will have an appetite for detail and a focus on standards. Additionally, you will be a problem solver, team player, able to quickly adapt, (and to ask for help when you need it) and you’ll have the self-belief and capacity to develop trusted relationships with stakeholders at every level.

As our next Chief Executive Officer, you will:

• Strategy & Impact: lead a collaborative listening phase and then develop and deliver a 3–5 year strategy and rolling business plan that defines the Centre’s core offer and impact targets.

• Governance & Finance: own the annual budget and medium-term financial modelling, deliver full-cost recovery across activity lines and present timely, accurate management information to trustees.

• Operational Leadership: ensure continuity of community services, venue trading and café operations and strengthen operational systems including safeguarding, H&S and business continuity.

• Income Generation: drive commercial performance of venue hire, events and catering, professionalise fundraising (major donors, legacies, corporate partnerships) and lead bids for multi-year statutory contracts.

• Community & Partnerships: sustain and deepen strategic relationships with Westminster City Council, commissioners, local partners and corporate supporters to secure commissioned work and philanthropic income.

• Estate Stewardship: manage day-to-day stewardship of the Centre’s significant ageing building, overseeing maintenance, lease/compliance obligations and contractor relationships.

• People & Culture: build a cohesive senior team, embed clear role accountabilities, performance management and development, and protect the Centre’s welcoming culture while managing change.

• Brand & Profile: act as a visible ambassador locally and with funders to raise the Centre’s profile and champion its social value.

Who you are:

• A seasoned senior leader with proven experience in a small/medium charity, community organisation or social enterprise that combines front-line delivery with significant premises/estate responsibility.

• Demonstrable track record of leading strategic development and delivering organisational growth while balancing hands-on operational leadership.

• Strong commercial and earned-income expertise, with experience of running successful commercial – ideally site-based - operations.

• Confident in winning and managing statutory contracts and multi-year grant programmes; credible with local authorities, commissioners and corporate partners.

• Financially literate with direct budget and cash-flow accountability and experience of full-cost recovery modelling.

JOB SUMMARY

To ensure that efficient governance, operational systems and controls are in place to manage Factory International’s Governance and Business Administration function.

This includes governance and acting as Company secretariat, data protection and acting as Data Protection Officer, accountable for Business Plan Reporting, internal communication, oversight of Legal & Compliance, Risk Management, Insurance, Policies & Procedures and Procurement

The key responsibilities for the Head of Governance & Business Administration include;

Governance & Risk

• Ensure robust governance frameworks and compliance with statutory and regulatory requirements
• Coordinate Board and Committee meetings, including scheduling, agenda preparation, and distribution of papers
• Maintain statutory registers and ensure timely filing of returns and documents with regulatory bodies
• Support FI Executive and Board in proactively managing risk, and accurately reflecting via the Company Risk register, working closely with Directors to ensure quarterly updates are shared with the Executive Leadership and Board of Trustees (including relevant sub-committees)
• Maintain consistency and compliance for all internal communication channels

Business Planning & Reporting

• Act as the organisational lead for Business Plan Reporting, ensuring alignment across all key grant funding agreements and business plan KPIs
• Oversee the annual cycle of statutory reporting to both public sector funders and trustees including all ad-hoc reporting requests across the business
• Attend key external stakeholder meetings with the Executive Director (e.g. MCC, ACE, GMCA) relating to reporting against grant agreements etc
• Work closely with key Directors, Commercial Leads (including the Trusts & Foundations Manager) on funding bids ensuring that commitments are consistent with our agreed internal Business Plan targets and objectives

Legal, Insurance, Data Protection & Compliance

• Ensure legislative and regulatory compliance in all systems and procedures around business administration
• Acting as lead organisational contact and budget holder for external legal support ensuring consistent processes are followed and value for money is achieved to meet the strategic needs of the business
• Ensure adequate data protection in place, devise and implement any additional process and/or training, and act as DPO, accessing external advice as appropriate
• Where required, support the achievement of essential consents such as Planning, Licence variations, Building Control, etc
• Manage the relationship with FI’s insurance broker, working with the Executive Director and Finance Director to ensure appropriate cover and regularly review policies. Overseeing the appropriate claiming of all losses

Procurement

• Acting as lead organisational contact for all Procurement Activity – working closely with the Executive Director to ensure consistent processes are followed and value for money is achieved to meet the strategic needs of the business
• Maintain oversight of the register of planned Procurement as well as responding to un-planned procurement requirements – working closely with relevant Directors and Executives

Policies & Procedures

• Overall responsibility for control and oversight of the organisation’s suite of policies and procedures, including requests for new procedures
• Ensure that key policies are updated by business owners and renewed as per the agreed schedule – ensuring a consistency of tone, content and that relevant checks/approvals have been managed at the appropriate level (Exec, Trustees etc)

We are seeking a Community Development Officer to lead a major in-progress project improving recognition, support, and care for people with smell and taste disorders at a local level across England. 

This three-year, volunteer-led programme, funded by The National Lottery Community Fund has achieved significant success in its first eighteen months. We are now recruiting a new postholder to take this strong foundation forward through the next phase of delivery. 

Over the past eighteen months, we have recruited and established a thriving network of volunteers and local groups across England. This momentum is expected to continue. The Community Development Officer will work closely with existing volunteers and groups, primarily remotely, while also attending in-person events and meetings in different parts of England as needed. 

The postholder will lead the ongoing recruitment, training, and support of volunteer groups, working with them to identify opportunities for local outreach and engagement. Together, you will ensure that more people affected by smell and taste disorders access the information, support, and recognition they need, while continuing to raise awareness of these often-unrecognised sensory impairments. 

Our volunteer groups bring together people with lived experience alongside experts from the food, beverage and fragrance sectors, and other relevant fields.

The MSF UK Digital Team is made up of 10 specialist staff who act as an internal agency and provide expertise, project management, training and support to all other departments. We are seeking an enthusiastic and experienced Records Management Officer for an exciting 18-month FTC opportunity, with an interest in record keeping and archiving for an organisation that positively impacts the communities we serve. This new role comes at an exciting time in The Fund’s Records Management journey as the Fund is undertaking a significant record management project, which this role will play a key part in delivering.

In this role you will conduct a process of mass cataloguing and appraisal of The Fund’s legacy physical records.

This will include:

• Reviewing boxes of legacy records and applying descriptive metadata.
• Making retention, disposal and transfer decisions.
• Cataloguing through the collection management system.
• Engaging with key internal and external stakeholders.

The successful candidate will have knowledge and experience of applying metadata and archival description during large scale cataloguing activities. The role requires the successful candidate to work both independently and as part of the wider Records Management team, engaging with internal and external stakeholders and to work to deadlines.

Due to the nature of this work, the role will be predominantly office based at The Fund’s Newcastle Office, with some opportunity for home working. The Fund does offer flexible working arrangements with the working pattern to be agreed with the successful candidate.

Role Overview

We are seeking a detail-oriented Compliance Officer to ensure the College meets its legal and regulatory compliance requirements as an educational establishment and a charity.  The focus of the role is to be responsible, with the support of the Training Administration team, for all reporting to regulatory bodies in a timely manner to ensure the College meets the requirements of the Office for Students (OfS), The Open University (OU), Higher Education Statistics Agency (HESA), UK Visas & Immigration (UKVI), UK General Data Protection Regulation (GDPR), Information Commissioner’s Office (ICO), Competition and Marketing Authority (CMA) and other regulatory bodies. The postholder will also take on the role of Data Protection Officer (DPO) within the organisation and ensure that the college processes all personal data in compliance with UK data protection legislation.

Key Responsibilities

• Responsible for reporting internal information and meeting the reporting requirements of regulatory organisations – primarily the Office for Students (OfS), Higher Education Statistics Agency (HESA), the Open University (OU), the UK Visas & Immigration (UKVI), Competition and Marketing Authority (CMA) and the Information Commissioner’s Office (ICO). This will be with the support of the Training Administration team and all other teams within the college.
• Collaborate with senior management and other department heads to ensure compliance
• Collaborate with cross-functional teams to ensure compliance relating to HR, Health and Safety, Safeguarding, Prevent, Communications and Finance.
• Serve as the point of contact for regulatory bodies and external auditors
• Prepare and submit reports to regulatory agencies and senior management as needed and within required deadlines
• Use external student data systems – such as HESA / Salesforce
• Perform research to remain informed regarding higher educational and other compliance requirements  
• Monitor the College’s compliance and internal policies to ensure they are up to date with relevant legislation, and draft new policies when required.
• Perform risk assessments to identify potential compliance issues and help the organisation understand compliance risk and scope
• Record findings accurately and follow up with senior management to ensure that issues are rectified 
• Conduct investigations to discover the root cause of compliance problems when they arise 
• Develop systems for data collection, tracking, managing and reporting

• As DPO, ensure all personal data and sensitive information is handled within the College according to UK GDPR guidelines
• Draft new and amend existing data protection policies, guidelines, and procedures, in consultation with key stakeholders
• Serve as the main point of contact within the organisation for staff members, regulators, and relevant authorities on issues related to data protection, and provide advice as required.
• Maintain records of all data processing activities within the College
• Conduct audits to ensure compliance and to address potential issues
• Train and advise all staff on compliance and GDPR regulations, how to meet, maintain and improve compliance requirements and the impact of non-compliance on the College. 
• Review College external communication, marketing materials, websites and presentations to ensure compliance with regulations

Qualifications and Skills

Essential

Educated to degree level 

Excellent written and verbal communication skills, and ability to promote the college

Strong organisational skills and ability to meet tight deadlines

Ability to multi-task, use initiative and prioritise

Excellent attention to detail with proof-reading skills and decision-making capability

Familiarity with compliance tools and systems

High level IT skills in Microsoft Outlook, Excel, Word, PowerPoint

·Help with event coordination, from setting up events to liaising with external organisations, and providing on-site support when needed.

·Manage Together Active’s inboxes and SharePoint: responding to enquiries and passing messages on to the right team members, and making sure our information is organised and easy to find.
·Work with external partners to make sure we get all the documents we need for projects in a timely manner.
·Assist with team logistics, including travel arrangements, organising team meetings.
·Handle office management tasks, like managing supplier relationships and ordering office equipment.
